Find out where the message is before recovering it
Outlook uses separate locations for suspected spam, ordinary deletions and items removed from the Deleted Items folder. The correct command depends on the message’s current location and the Outlook client you are using. Start with the least destructive check: search the folders where Outlook normally places or removes mail before trying a recovery command.

| Not visible in any of those places | Check Other, clear filters, inspect Inbox and Sweep rules, and check other mail apps or a Trash folder. | All clients, with labels varying by account type |
Do not empty another folder while looking. Emptying Deleted Items can move a message into the less visible recoverable area, while automatic removal from Junk Email can make a message unrecoverable after the applicable period. If you find the message in either ordinary folder, moving it immediately is safer than leaving it there while you investigate.

Recover mail in new Outlook for Windows
When the message is still in Junk Email
- Open Junk Email from the navigation pane. If your folders are hidden, show the navigation pane first.
- Look at the sender, subject and date so you do not restore an unrelated message.
- Select the legitimate message.
- Choose Move, then select Inbox or another destination. You can also right-click the message and choose Restore when that option is shown.
- For future messages from the same sender, use Report > Not junk rather than simply moving one message. This tells Outlook that the message was classified incorrectly.
Moving a message changes its folder but does not necessarily correct the classification of future mail. Reporting it as not junk is the useful preventive action when the sender is legitimate. Keep checking the message in its new folder after the move; a rule or another connected app could move it again.
When Junk Email has already sent it to deletion
If the message is no longer in Junk Email, open Deleted Items and look there before using recovery. Junk Email and Deleted Items are different folders, even when a message moved between them quickly.
- Select the message and choose Move to send it to Inbox or another folder.
- If it is absent, remain in Deleted Items and select Recover items deleted from this folder.
- Review the recovery list and select the message you want. Check the sender and subject carefully if several similar messages are listed.
- Choose Restore.
- After restoration, open Deleted Items and move the message to Inbox or a normal storage folder if it is not already where you expect it.
Microsoft notes that this new-Outlook recovery workflow returns restored items to Deleted Items first. That intermediate destination is easy to miss: restoration does not always put the message directly in Inbox. Move the message from Deleted Items to your chosen folder after the restore completes.
The recovery command is available only while the item remains within the account’s recoverable period. If the list is empty, first verify that you are in the correct mailbox and that the message was not moved to another folder by a rule or a different app.
Recover mail in classic Outlook for Windows
Move a message that is still present
- Open Junk Email or Deleted Items.
- Select the message.
- Use Move to place it in Inbox or another folder.
- If it is genuine junk that was misclassified, use the available not-junk reporting command so later messages from that sender are less likely to be treated the same way.
Use server recovery after Deleted Items was emptied
- Make sure Outlook is online and connected to the account. The server-recovery command cannot retrieve a mailbox item while Outlook is working offline.
- Open Deleted Items.
- On the ribbon, select Home > Recover Deleted Items From Server.
- Review the available items and select the message.
- Choose Restore Selected Items, and confirm.
- Return to Deleted Items and move the restored message to Inbox or another folder.
The server-recovery command may not appear for accounts that do not support it. Its absence is a client or account capability issue, not proof that the message is still in Junk Email. Use Outlook on the web if your organization provides it, or ask the account administrator whether a retention or legal-hold recovery process exists.
Classic Outlook and new Outlook use different labels for the recovery command, so instructions for one application may not match the other. Confirm which application you opened before troubleshooting a missing button. Microsoft’s client-specific instructions are in its official recovery guide.
Recover mail in Outlook.com or Outlook on the web
Message still in Junk Email or Deleted Items
- Open Junk Email or Deleted Items in the folder list.
- Select the message.
- Choose Move and select Inbox or another folder.
- If the message is legitimate and still in Junk Email, choose Report > Not junk.
If the folder list is collapsed, expand it before deciding that a folder is missing. Some account types use Trash instead of Deleted Items; check that equivalent folder when necessary.

Message removed from Deleted Items
- Open Deleted Items.
- Select Recover items deleted from this folder.
- Choose the message and select Restore.
- Check the destination folder after the operation. Move the message again if you need it in Inbox or a project folder.
Web recovery returns a message to its original folder when that folder still exists. If the original folder was deleted, Outlook sends the message to Inbox instead. A restored message may therefore appear in a different place than expected even though recovery succeeded.
These controls and their retention rules are described in Microsoft’s recover-and-restore article. Use a desktop browser on a PC or Mac for the recoverable-items step; a mobile browser cannot open that view.
What the 30-day limits mean
For consumer Outlook.com accounts, Microsoft states that email is automatically deleted from Deleted Items after 30 days. Microsoft also states that Junk Email is retained for 30 days before it is automatically deleted. Messages removed from Deleted Items are available through the recovery view for 30 days in Outlook.com and Outlook on the web. Microsoft’s missing-mail guidance is at Email is missing from your Outlook.com inbox.
| Stage | Typical Microsoft consumer behavior | What happens after the window |
|---|---|---|
| Junk Email | Automatically removed after 30 days | Microsoft says the messages are not recoverable after automatic removal |
| Deleted Items | Automatically emptied after 30 days | The message moves into the account’s recoverable-deletion process, if supported |
| Removed from Deleted Items | Recoverable for 30 days through the recovery command in Outlook.com/web | It is probably permanently deleted once the applicable period ends |
These are separate clocks. A message can spend time in Junk Email, then time in Deleted Items, and then have a separate recoverable period after it is removed from Deleted Items. Do not assume that 30 days in one location guarantees another full 30 days in every later location.

Those periods are Microsoft Support figures for consumer services, not a promise for every mailbox. A work or school administrator can set different Deleted Items and Recoverable Items retention periods. Microsoft gives an example of 30 days in Deleted Items followed by another 14 days in Recoverable Items; that is an example, not a universal policy. Organization settings can therefore make the available window shorter or longer than a personal Outlook.com mailbox.
If a message is absent after the policy period, ask the administrator whether a policy-based recovery or backup is still possible. Contact the administrator promptly rather than repeatedly emptying folders or waiting for another automatic cleanup cycle.
Use a phone without losing the recovery option
Outlook mobile app
If the message is visible in Junk Email, the mobile Outlook app can move it to Inbox. Open Junk Email, select the message, use the move command and choose Inbox or another folder. The same approach works for a message that is visible in Deleted Items.

The app cannot substitute for a server-recovery command when the message has already been removed from Deleted Items. If you cannot see the message in the app, do not conclude that it has expired; the mobile interface may simply not expose the recoverable view.

Mobile browser
A mobile browser cannot open Recoverable Items. For messages that require Recover items deleted from this folder or the equivalent server-recovery view, use Outlook on a PC or Mac. Sign in to the same account in the desktop browser and repeat the folder and recovery checks there.
If the message is not in Junk Email or Deleted Items
Check Other when Focused Inbox is enabled
Focused Inbox divides mail between Focused and Other. Open Other and look for the message there before treating it as deleted. A message in Other has not necessarily been deleted or marked as junk.
Clear filters
A view filter can hide an existing message. Set the message list to All and check again. Filters can make a folder appear empty even when it contains messages outside the selected date, sender or read-status view.
Inspect Inbox and Sweep rules
An Inbox rule or Sweep rule can move, archive or delete messages automatically. Review the account’s rules and disable or edit any rule that targets the sender, subject or domain. Check both Inbox rules and Sweep rules because they can produce similar symptoms through different controls.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsCheck other mail applications
A phone, desktop mail program or another browser session may have moved the message. Review those clients and their deletion settings, then return to Outlook’s folders. If another application is configured to empty or move mail, recovering one copy without changing that setting may only provide a temporary fix.
Look for Trash instead of Deleted Items
Some account types label the deletion folder Trash. Check that folder and use its recovery controls where available. Folder names can vary by account type even when the underlying deletion process is similar.

Microsoft specifically recommends checking Other, filters and rules when mail appears to be missing; see its missing-mail troubleshooting guidance.
Why Outlook deleted or filtered the message
- Spam classification: Outlook can place a genuine message in Junk Email; Microsoft notes that some messages in Junk Email are not junk.
- Manual deletion: A person or another connected app may have moved the message to Deleted Items.
- Automatic cleanup: Junk Email and Deleted Items have automatic removal rules, including the consumer 30-day periods described above.
- Inbox or Sweep rule: A rule may have redirected, archived or deleted the message before it reached the expected folder.
- Different folder naming: An account may use Trash, or Focused Inbox may place the message in Other.
- Filtered view: The message may still be present but hidden because the current list is not set to show All mail.
- Another client: A phone or desktop mail program may have acted on the message before you opened Outlook.
Finding the cause matters because restoring one message does not change a rule, sender classification or automatic-emptying setting that can remove the next one. Record which folder contained the message and which command restored it; that detail helps an administrator identify whether a retention policy or a client rule is involved.
Prevent legitimate mail from being lost again
- When a genuine message appears in Junk Email, select Report > Not junk rather than leaving it there.
- Check Junk Email regularly, especially for time-sensitive messages and messages from new senders.
- Add trusted senders or domains to the account’s safe-sender list where appropriate, while keeping the list limited to addresses you trust.
- Review Inbox and Sweep rules after any unexplained move or deletion.
- Check whether Outlook is configured to empty Deleted Items when you exit. Microsoft’s instructions for that setting are at Empty the Deleted Items folder in Outlook.
- Do not use Junk Email or Deleted Items as long-term storage. Move important messages to a normal folder.
- When several people use an account, agree on which folders hold important mail so another user does not empty a recovery folder accidentally.
- For work or school mailboxes, learn the organization’s retention period and administrator contact before a time-sensitive message disappears.
Safe-sender settings and the not-junk report reduce repeat misclassification, but they do not override every rule or administrator policy. Continue checking rules and connected applications if the same sender’s mail keeps moving.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. When recovery is no longer available
If the message is absent from Junk Email, Deleted Items and the appropriate Recoverable Items view, and the applicable retention period has expired, Microsoft says it was probably permanently deleted. Consumer accounts generally cannot retrieve it after the stated windows. For a work or school mailbox, contact the administrator promptly because organization retention, litigation holds or backups may provide options unavailable in the user interface.
Do not confuse a missing command with an expired message. Classic Outlook may hide Recover Deleted Items From Server for an account that does not support server recovery, and a mobile browser cannot open Recoverable Items. Try the supported desktop web or desktop Outlook client first, then confirm the account’s retention policy.
As an optional Windows-maintenance shortcut, Outbyte PC Repair can address more than 100 common Windows issues, clean temporary and cache files, check selected security settings and missing updates, and provide tools such as real-time boost and an app-crash log. It complements an antivirus rather than replacing one; results vary, and no tool repairs every crash or restores mail that the mailbox server has permanently deleted. It runs on Windows 11, 10, 8 and 7 with a free trial by category lasting at least two days, followed by a paid subscription.
