How to Recover and Restore Deleted Microsoft To Do Lists and Tasks

Use Outlook, not the Microsoft To Do app, to recover a deleted list or task. Microsoft stores To Do lists in Exchange Online and exposes them in Outlook Tasks. In Outlook desktop, open Deleted Items, find the deleted list folder or task, and move it to Tasks. The item should then synchronize back to To Do.

If it is no longer in Deleted Items, use Outlook’s Recover items deleted from this folder command when that option is available for your account. If the object is absent from both locations, Microsoft’s documented To Do recovery instructions provide no additional restore method.

What happens when you delete a Microsoft To Do list or task?

Microsoft To Do does not show a separate, in-app trash area in the recovery instructions published by Microsoft. Instead, To Do data is stored on Exchange Online and is also visible through Outlook Tasks. That storage model determines the recovery method: Outlook is the supported place to look for deleted To Do content.

A deleted list appears in Outlook as a deleted folder. A deleted task appears as an individual task item, not as an email message. Those two object types are easy to confuse when searching, so identify what disappeared before you start.

The instructions below use Outlook with the same Microsoft account that you use in To Do. Microsoft’s help pages describe desktop Outlook steps; the exact arrangement of commands can differ between classic Outlook, new Outlook, and accounts managed by an organization.

Quick recovery decision table

What was deleted? First place to look What you move Expected result
Entire To Do list Outlook Deleted Items The deleted folder representing the list The list and its tasks return to To Do after synchronization
One To Do task Outlook Deleted Items The deleted task item The task reappears in its correct To Do list
List or task no longer in Deleted Items Recoverable Items, if offered The selected recoverable object Outlook restores it to Deleted Items first in the documented new Outlook flow; move it to Tasks if required
Nothing in either location No documented To Do-specific location beyond these stores None Microsoft’s cited guidance does not promise another recovery route

Before you begin: account and client checks

Recovery can appear to fail when the item is being sought in the wrong mailbox or application. Complete these checks before moving anything.

  • Match the account: Sign in to Outlook with the same Microsoft account used by Microsoft To Do. A personal account and a work or school account can have different mailboxes, folders, and retention rules.
  • Start with Outlook desktop: Microsoft’s To Do recovery articles give desktop-oriented steps. If you normally use the web app or a phone, check desktop Outlook first when possible.
  • Allow synchronization: A restored Outlook object may not appear in To Do instantly. Leave Outlook and To Do connected to the internet and allow time for the mailbox change to synchronize.
  • Classify the missing object: A list is represented by a folder; a task is represented by a task item. Searching for a task as though it were an email, or searching for a list name without checking folders, can produce a false “not found” result.
  • Consider organizational controls: Work and school accounts can be subject to an organization’s retention policy. Such policies can change how long deleted content remains recoverable, and an administrator may control whether secondary recovery is available.

How to restore an entire deleted To Do list

Use this procedure when the list itself was deleted and you want the list structure and its tasks back.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Sign in to Outlook desktop with the same Microsoft account connected to Microsoft To Do.
  2. In the email-folder list, select Deleted Items.
  3. Look for the deleted folder that represents the To Do list. It is a folder object, not an email conversation.
  4. Right-click that folder and choose Move > Other Folder > Tasks. If your Outlook build presents the destination picker differently, select the Tasks folder as the destination.
  5. Wait for Outlook to complete the move, then open Microsoft To Do and allow synchronization to finish.

Microsoft describes the reason this works in its Delete and restore lists support guidance: “Since your lists are stored on Exchange Online and are also visible in Outlook Tasks, you can recover accidentally deleted lists in Outlook.” The practical implication is that moving the deleted list folder back into Tasks restores the To Do list rather than merely creating an unrelated Outlook folder.

If the list comes back without appearing immediately in To Do

Keep Outlook open and connected, then refresh or reopen To Do. Confirm that both applications are signed in to the same account. Do not create a replacement list with the same name while synchronization is still pending; duplicate names can make it harder to tell which list contains the restored tasks.

How to restore one deleted To Do task

Use this method when the list still exists but one or more tasks were deleted.

  1. Open Outlook desktop and sign in with the account used in To Do.
  2. Select Deleted Items.
  3. Find the deleted task item. It is a task, not an email message, so inspect the item type and task details rather than searching only the mail subject line.
  4. Right-click the task and choose Move > Other Folder > Tasks.
  5. Allow the mailbox to synchronize, then check Microsoft To Do. Microsoft states that “The deleted task will then reappear in its correct list.”

The documented behavior restores the task to the list to which it belonged. You do not need to recreate the task manually when the original item is still available in Deleted Items.

Restoring several tasks

If multiple task items were deleted, select the relevant task objects in Deleted Items and move them to Tasks using the same destination. Verify each item after synchronization, because a list deletion and several individual task deletions are different object types and may require separate selection.

What to do when Deleted Items is empty

Outlook can have a secondary recovery area called Recoverable Items. Depending on the Outlook version and account, Deleted Items may show a command at the top named Recover items deleted from this folder.

  1. Open Deleted Items in Outlook.
  2. At the top of the folder, select Recover items deleted from this folder when that command is present.
  3. Review the recoverable objects and select the task or list-related item you need.
  4. Select Recover or Restore, using the command displayed by your Outlook version.
  5. In the documented new Outlook flow, the restored object returns to Deleted Items first. Open Deleted Items and move the recovered folder or task to Tasks using the procedure above.
  6. Wait for synchronization and check To Do.

This option is version- and account-dependent. If Recover items deleted from this folder is not available, that account does not expose this recovery route through the Outlook client you are using. The absence of the command is not a hidden To Do setting that can be enabled inside the To Do app.

Why a restored item may not be visible in To Do yet

Moving an object in Outlook changes the mailbox copy first. Microsoft To Do then receives that change through its Exchange-backed synchronization. Several conditions can delay or obscure the result:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Different sign-in: Outlook may be connected to a work account while To Do is open under a personal account, or vice versa.
  • Pending synchronization: The move has completed in Outlook, but To Do has not refreshed its data yet.
  • Wrong destination: The object was moved to a similarly named folder instead of the actual Outlook Tasks folder.
  • Object confusion: A deleted list was sought as a task, or a deleted task was sought as a folder.
  • Account policy: An organization’s retention or mailbox policy can affect whether an item remains available for secondary recovery.

Check the item in Outlook first. If it is in the Tasks folder and the account matches, refresh or reopen To Do and allow additional time for synchronization before attempting another move.

Outlook desktop, new Outlook, and the To Do app

The recovery location and the user interface are not identical across clients.

Client or area Role in recovery What to expect
Microsoft To Do app Displays synchronized lists and tasks No separate recovery workflow is described in the cited Microsoft instructions; use Outlook to locate deleted objects
Classic Outlook desktop Primary documented recovery client Use Deleted Items, then move the list folder or task to Tasks
New Outlook May expose secondary recovery Recoverable objects can return to Deleted Items first, then require a move to Tasks
Outlook on the web Interface varies by account and version Labels and available commands can differ; Microsoft’s To Do articles specifically describe desktop steps

Do not infer that a command missing from one client means the data is permanently gone. First check whether the same account exposes Deleted Items or Recoverable Items in another supported Outlook interface. Conversely, do not assume every account has the secondary recovery command; Microsoft documents it as dependent on the version and account.

Troubleshooting by symptom

The list name is not in Deleted Items

Confirm that you are viewing the correct mailbox and that you are looking for a deleted folder rather than a task. Expand the folder tree if necessary, then check whether Recover items deleted from this folder is available. If neither location contains the folder, the cited Microsoft guidance does not identify another To Do-specific restore location.

The task is not in Deleted Items

Search for a task item, not an email. Verify that the task belonged to the account currently open in Outlook. Then check Recoverable Items if the command is offered. A missing task in both documented locations cannot be promised through an unverified backup or third-party utility.

The move command is unavailable or Tasks is not listed

Make sure you are right-clicking the task or folder inside Deleted Items and using the Outlook desktop account that owns the mailbox. The destination must be the mailbox’s actual Tasks folder. Interface differences can change where Move > Other Folder appears, but the destination concept remains the same.

The object is in Tasks but absent from To Do

Check account identity in both applications, keep them online, and allow synchronization. Close and reopen To Do only after Outlook shows the move completed. If the item still does not appear, verify that it was moved into the mailbox Tasks folder rather than another custom folder with a similar name.

Recoverable Items is unavailable

Microsoft treats the command as version- and account-dependent. Its absence means the current account or client does not support that documented route. Review Deleted Items carefully and check the account with the organization’s administrator if retention policy may be involved; do not represent an unavailable command as a guaranteed feature.

What recovery can and cannot be guaranteed

Recovery is supported when the deleted list folder or task is still present in Deleted Items, or when Outlook exposes it through Recoverable Items. The documented outcome is a move back to Tasks followed by synchronization to To Do.

Microsoft’s cited To Do documentation does not promise restoration from an old device backup, a locally exported file, or a third-party recovery program when the object is absent from both Outlook recovery locations. Such methods may involve security, privacy, or data-integrity risks and are outside the documented To Do workflow. Treat an item missing from Deleted Items and Recoverable Items as unsupported for recovery rather than assuming that a hidden To Do trash folder exists.

Prevent accidental deletion next time

Microsoft says its mobile apps automatically ask for confirmation before deleting. The confirmation setting can also be enabled or disabled in the desktop or web app. Before cleaning up a large number of lists or tasks, turn on Confirm before deleting in the client you use for deletion.

  • Enable the confirmation prompt before bulk cleanup.
  • Delete a test task first if you are unsure which account or list is active.
  • When removing a list, check its name and task count before confirming.
  • For work or school accounts, learn whether your organization applies a retention policy that affects deleted mailbox content.
  • After a major cleanup, verify the result in To Do and Outlook so an accidental deletion is noticed while the item is still in a documented recovery location.

Frequently asked questions

Can I recover a deleted To Do task directly inside Microsoft To Do?

Microsoft’s cited instructions direct you to Outlook. To Do lists are stored on Exchange Online and exposed in Outlook Tasks, so recovery starts in Outlook’s Deleted Items or, when available, Recoverable Items.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Where are deleted To Do tasks in Outlook?

An individual deleted task is an item in the mailbox’s Deleted Items folder. A deleted list is represented as a deleted folder. Move the recovered object to the mailbox Tasks folder.

Will restoring a list restore its tasks?

When the deleted list folder is still available and moved back to Tasks, the list should return to Microsoft To Do with its tasks after synchronization.

What if I emptied Deleted Items?

Check whether Outlook offers Recover items deleted from this folder. If the command is unavailable or the object is not present there, Microsoft’s documented To Do recovery guidance gives no further guaranteed restore method.
