If an Excel workbook is corrupted or refuses to open, protect the original first, then work from a copy. For a file that should open but does not, Excel’s built-in Open and Repair command is the primary recovery method: choose Repair first, then Extract Data if repair fails. For a cloud file, an earlier version may be safer; for an unsaved workbook, use Recover Unsaved Workbooks or Document Recovery.

No method guarantees a complete recovery. Excel may restore only part of a damaged workbook, and the best route depends on whether the problem is workbook corruption, a failed drive or network location, an unsaved session, an overwritten cloud version, or Excel itself crashing.

Protect the damaged workbook before trying anything

Do not repeatedly save over the only copy. If the file is on a network share, removable drive, or a disk that is reporting errors, copy it to a local drive first. Microsoft’s repair guidance recommends creating a backup copy and moving the workbook to a different location before recovery attempts. Use the copied file for every step and keep the original untouched. See Microsoft’s corrupted-workbook guidance.

  • Close Excel windows that have the workbook open.
  • Copy the workbook to a local folder with sufficient free space.
  • Give the copy a new working name, but keep its original extension.
  • If the source drive is making unusual noises, disconnecting, or reporting read errors, stop writing to it and preserve the source for specialist data recovery.

A recovery attempt can produce a partial workbook. Keeping the original lets you try another route or compare recovered sheets later.

Choose the recovery path that matches the failure

What you see Start here Likely result Important limitation
Excel reports that the workbook is corrupted Open and Repair > Repair As much of the workbook as Excel can reconstruct Damaged content can be omitted, and repair can fail
Repair does not succeed Open and Repair > Extract Data Values and formulas that Excel can read It is data salvage, not a promise to restore formatting or workbook structure
The file is in OneDrive, SharePoint, or another supported cloud context and a recent change broke it Open version history and select an earlier version A previously saved copy Restoring replaces the current version; preserve the current file first
The workbook was never saved or Excel closed unexpectedly Recover Unsaved Workbooks or Document Recovery An AutoRecovered or unsaved copy, if one exists Availability depends on recovery settings, timing, and whether Excel had a chance to create a copy

Try Excel’s automatic File Recovery

When Excel detects a damaged workbook, it may automatically start File Recovery mode and attempt to reopen and repair the file. Microsoft describes this behavior in its official repair instructions: “When you open a workbook that has been corrupted, Excel automatically starts File Recovery mode and attempts to reopen and simultaneously repair the workbook.”

Automatic recovery is not guaranteed to start or to solve the problem. If Excel presents a recovered workbook, inspect the sheets, formulas, charts, names, and links before saving. Use Save As and write the result under a new name. If File Recovery does not appear, or the recovered result is incomplete, proceed to Open and Repair rather than repeatedly opening the original.

Use Open and Repair step by step

The following procedure applies to Excel for Microsoft 365 and the Excel 2024, 2021, 2019, and 2016 versions covered by Microsoft’s support page. Labels can vary slightly by version and platform.

  1. Start Excel without opening the damaged workbook.
  2. Choose File > Open > Browse. Do not rely on the Recent list if it points to the network or removable-drive copy.
  3. Select the local working copy.
  4. Click the arrow beside the Open button.
  5. Choose Open and Repair.
  6. When Excel asks what to do, select Repair first. This option aims to recover as much of the workbook as possible.
  7. When the workbook opens, check several worksheets and representative areas: formulas, dates, totals, merged cells, charts, pivot tables, named ranges, external links, and formatting that matters to your work.
  8. Use Save As to create a new workbook. Never overwrite the damaged original.

Repair can produce a workbook that opens but is not identical to the source. Treat every recovered calculation as unverified until you compare it with a trusted copy, printed report, source data, or another person’s records.

When Repair fails, choose Extract Data

Return to File > Open > Browse, select the copy, click the arrow beside Open, and choose Open and Repair again. This time select Extract Data.

Microsoft describes Extract Data as a way to retrieve values and formulas. It is not a complete-workbook restoration tool. Expect to lose some combination of sheet layout, formatting, charts, macros, names, links, comments, or other features if Excel cannot read those structures. Save the extracted result under a new name and compare its important values with the original source data.

If you need a usable table more than you need the original workbook design, extracting data may be the practical endpoint. If the extracted workbook is empty or missing the required sheets, preserve it anyway, then try the earlier-version and unsaved-workbook paths below.

Restore an earlier cloud version

If the workbook is stored in a supported OneDrive or SharePoint location and the damage appeared after a recent edit, version history may provide a clean earlier state. Microsoft documents this process in Restore a previous version of an Excel file.

  1. Open the workbook’s version-history view from Excel or its cloud file location.
  2. Review available versions by date and time.
  3. Open an earlier version to verify that it contains the sheets and data you need.
  4. Before restoring, preserve the currently accessible version by downloading or copying it to a separate location.
  5. Restore the selected version only after you understand the consequence: restoration replaces the current version with the chosen earlier one.

Version history helps only when the file was saved to a supported cloud service and an earlier version is available. It does not reconstruct changes that were never saved to that service.

Recover a workbook that was never saved

Use Recover Unsaved Workbooks

In Excel, choose File > Info > Manage Document or Manage Workbook > Recover Unsaved Workbooks. The wording depends on the Excel version. Open the candidate with the most plausible date and time, then immediately use Save As and give it a new name.

An unsaved-workbook file is not proof that every recent edit survived. AutoRecover works at intervals. Microsoft’s referenced Excel settings guidance identifies 10 minutes as the default AutoRecover interval; that is a product default, not a guarantee. Work entered after the last AutoRecover save can be absent.

Check Document Recovery after a crash

When Excel or Windows closes unexpectedly, restart Excel and inspect the Document Recovery pane. It can list more than one candidate. Compare each candidate’s date and time, open the most promising one, and save it under a new name. Microsoft explains crash-protection and recovery behavior in Help protect your files in case of a crash.

If no candidate appears, Excel may not have created an AutoRecovered copy, the recovery file may have been removed, or the relevant setting may have been disabled. Continue with version history if the file was cloud-stored, or use the original-copy repair procedure if a saved file exists.

If the workbook opens but is unstable or partly damaged

Revert to the last saved state

If the workbook opens but behaves incorrectly after recent edits, close it without saving and reopen the last saved copy. This discards unsaved changes, so use it only when the current session is less valuable than the known-good saved state. If the file is cloud-stored, compare available versions before replacing anything.

Save the active sheet as SYLK

Microsoft documents saving a sheet as SYLK as a way to filter some corruption. SYLK saves only the active sheet, so it is not a one-click repair for a multi-sheet workbook.

  2. Use Save As and select the SYLK file type.
  3. Close the resulting file, reopen it, and save it as a new Excel workbook.
  4. Repeat the process for every sheet you need to salvage.

SYLK conversion can remove workbook features. Check formulas, formatting, names, charts, links, and other functionality after converting, and retain the original workbook for comparison.

Advanced fallbacks when normal repair cannot open the file

Set calculation to Manual

Microsoft lists changing Excel’s calculation setting to Manual as a possible data-retrieval method for a workbook that will not open normally. This can prevent Excel from immediately recalculating a damaged or extremely complex workbook during the opening attempt. It is an advanced fallback, not a repair of the file’s internal structure.

After the workbook opens, save a separate copy before changing calculations back. Treat displayed results cautiously: a manual-calculation workbook can contain values that have not been recalculated from the latest inputs.

Use external references to retrieve data

External references can sometimes pull readable data from a damaged workbook into a new workbook. This approach is for retrieving data, not restoring the original workbook’s full formulas or calculated values. Build the new workbook separately, record which cells or ranges were recovered, and validate totals against an independent source.

When Excel itself crashes: test Windows Safe Mode

If Excel crashes before you can reach the Open dialog, the problem may be an add-in, startup file, or customization rather than the workbook. On Windows, close Excel and start it with:

excel /safe

Microsoft’s Safe Mode guidance explains this diagnostic startup. If Excel works in Safe Mode, test by disabling add-ins and startup items, then reopen the workbook copy. If Excel still fails in Safe Mode, Safe Mode has not repaired anything; it has only narrowed the cause to something other than the normal startup configuration, or shown that the problem may be broader.

Safe Mode is a Windows-specific command. It does not repair workbook XML, formulas, worksheets, or file-system damage.

Do not “fix” an extension mismatch by guessing

Excel may warn that the file extension does not match its format. Microsoft explains that this can follow an accidental or intentional rename, while unreadable contents can indicate corruption; see A file is in a different format than its extension indicates in Excel.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Confirm where the file came from and which application created it.
  • Check whether someone renamed the extension without converting the file.
  • Do not assume that changing .xlsx to another extension will repair damaged contents.
  • If the origin is trusted and the format is known, work on a copy and use Open and Repair where appropriate.

A mismatched extension and a corrupted file are different problems. Renaming can correct only a naming error; it cannot reconstruct unreadable workbook data.

How to verify what Excel recovered

Opening successfully is not the same as recovering correctly. Use a checklist before relying on the result:

  • Confirm every expected worksheet is present and has a plausible row and column count.
  • Check key formulas, totals, dates, error cells, and links to other workbooks.
  • Inspect charts, pivot tables, filters, merged cells, data validation, named ranges, and conditional formatting that your process depends on.
  • Check whether macros or other workbook features still exist if the original used them.
  • Compare important totals with source exports, reports, printed records, or a colleague’s copy.
  • Save the recovered file under a new name and retain the damaged original and every intermediate salvage copy.

For Extract Data, external references, or SYLK conversion, assume that structure and features may be missing until you verify them. For a restored cloud version, verify that the chosen date contains the required changes before deleting or replacing any current copy.

Prevent a repeat failure

Recovery is easier when more than one saved state exists. Keep independent backups and use a cloud location with version history when that fits your organization’s security and retention requirements. Microsoft’s crash-protection guidance covers AutoRecover and related safeguards in Help protect your files in case of a crash.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Leave AutoRecover enabled and understand that its interval is periodic, not continuous; the referenced default is 10 minutes.
  • Save major milestones under separate filenames instead of relying on one continuously overwritten file.
  • Keep a local working copy when network connectivity is unreliable, then copy the validated result back to the shared location.
  • Close Excel normally before disconnecting removable storage or shutting down a computer.
  • Test that backups can actually be opened; a backup that has never been verified may be as unusable as the original.

When built-in recovery is not enough

Stop experimenting on the only copy when the storage device is failing, the file is legally or financially critical, or every recovery path produces inconsistent data. Preserve the original image or copy, document which steps you tried, and use a qualified data-recovery or digital-forensics service appropriate to the situation. For ordinary workbook corruption, however, the safest sequence is straightforward: preserve the original, copy locally, try Open and Repair, use Extract Data if necessary, then check cloud versions or unsaved-workbook recovery for an earlier state.
