How to Reconcile UPI Payments and Refunds in Business Accounts

Reconcile UPI by tying five records for the same period: the acquiring bank or payment provider’s transaction report, its settlement statement, the business bank statement, the internal sale or invoice, and any refund or adjustment record. Match stable references and amounts, explain timing and documented deductions, and keep an exception queue for pending, failed, duplicated, or unconfirmed items. Do not treat a customer’s success screen or a provider status alone as settled revenue.

What UPI reconciliation means for a merchant

Merchant-side reconciliation is the controlled comparison of what the customer was charged, what the acquiring bank or payment provider recorded, what was actually credited to the business bank account, and what the business recorded as a sale. Refunds and adjustments must remain linked to the original transaction while retaining their own status, date, amount, and reference.

This is different from interbank or member settlement. NPCI’s settlement process describes participating banks downloading daily settlement reports, comparing them with their own records, and raising adjustments for exceptional transactions. A merchant should use the reports and timing supplied under its own acquiring-bank or payment-provider arrangement; it should not assume access to NPCI member back-office files.

An acquiring-bank relationship is central to UPI acceptance. NPCI’s official FAQ says merchant receipt timing follows the merchant agreement. It states: Merchant will receive the money immediately after customer confirms the payment into the merchant Pool bank account/ merchant bank account as per their agreement. The agreement-dependent wording matters: there is no universal settlement-day promise that applies to every merchant.

Records to collect before you start

Choose one date and time range and apply it to every source. Save the original exports rather than relying on a dashboard that can change later. Record the timezone and whether the report uses transaction time, settlement date, or bank-value date.

Record What it establishes Useful fields to preserve
Acquirer or payment-provider transaction report Each UPI attempt and its provider-side status Transaction reference or UTR, date and time, amount, merchant or order reference, status, and any settlement or adjustment reference
Acquirer settlement statement The batch or period amount the provider says is payable to the merchant Settlement period, batch reference, gross transactions, documented fees or adjustments, refunds, and net amount
Business bank statement Actual credits and debits in the account Value date, posting date, narration, amount, bank reference, and account identifier
Internal order, invoice, cashbook, or accounting record What the business sold and how it recognized the sale Order or invoice number, customer reference, gross sale, tax treatment used by the business, and fulfillment status
Refund and adjustment log Money returned or corrected after the original payment Original transaction or order reference, refund amount, request date, processing status, confirmation reference, and bank credit or debit evidence

Keep a note of the report-generation date and covered range. If one report ends at midnight and another uses a provider-defined settlement cut-off, retain both ranges and document the cut-off instead of forcing the rows into a calendar day.

A repeatable seven-step close process

1. Freeze the period and archive the files

Start with a defined period, such as the settlement cycle specified in your merchant agreement. Download the transaction report, settlement statement, bank statement, internal sales records, and refund or adjustment reports. Store the untouched files with a consistent name that includes the provider, period, and download date. Work on a copy so the original evidence remains available for an audit or complaint.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check that the report includes all pages or rows, that totals displayed by the provider agree with the exported file, and that the bank statement covers the same account used for settlement. A report covering transaction date cannot be compared directly with a statement filtered only by value date without recording that difference.

2. Match transaction-level activity

Use the strongest identifier available, normally the transaction reference or UTR, and preserve it exactly as supplied. Add the merchant or order reference where present. Compare the following dimensions:

  • Transaction reference or UTR
  • Transaction date and time, including the relevant cut-off or timezone
  • Amount and currency used by the account
  • Merchant, order, or invoice reference
  • Provider and bank status
  • Settlement, adjustment, or refund reference

Do not match on amount alone. Two customers can pay the same amount, and a refund or duplicate attempt can make an amount appear twice. If a reference is missing from one source, use a documented combination of date, time, amount, order reference, and bank narration, then flag the row for review rather than silently treating it as a confirmed match.

3. Reconcile the settlement statement to bank credits

Compare the provider’s net settlement for the agreement’s settlement period with the credits actually posted in the business bank account. First align the period and batch references. Then explain every difference with an item visible in the provider statement or a documented bank entry, such as a fee, adjustment, reversal, refund, or timing item.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use a bridge that starts with the provider’s gross eligible transactions, subtracts documented fees and refunds, adds or subtracts adjustments, and arrives at the provider’s stated net settlement. Compare that net to the bank credit, retaining the bank reference. If the credit is in a later period, leave it as a timing exception until the statement shows the posting; do not rewrite the original transaction date to make the totals agree.

NPCI’s FAQ places merchant receipt timing under the agreement. Therefore, describe a credit as late or early only against the documented settlement schedule for that merchant, not against a universal T+N rule.

4. Record refunds as separate, linked events

When goods are returned or services rejected, NPCI says the merchant asks its bank to refund the charged amount according to the defined process. The refund is not the same record as the original incoming payment. Create a separate refund row with:

  • The original UPI transaction, order, or invoice reference
  • Refund amount and request date
  • Refund status, such as requested, processed, failed, or confirmed
  • Provider or bank confirmation reference
  • Date and account from which the refund was debited

Link the refund to the original sale for customer-service and accounting purposes, but do not overwrite the original payment row. A partial refund needs its own amount; multiple refunds against one order need separate references and a running total. Close the refund only when the provider confirmation and the relevant bank debit or customer-credit evidence are available under your process.

5. Maintain an exception queue

Move uncertain rows out of the settled-revenue population. Use a queue with an owner, next action, due date, and supporting references. The following distinctions prevent common posting errors:

Situation How to treat it while open Next check
Customer shows a success screen, but no merchant or bank record exists Do not mark the sale as conclusively received Check the acquiring provider’s transaction status and the bank statement; ask the customer for the reference if needed
Provider status is pending Keep it pending, not as settled revenue Recheck after the provider’s stated update window and contact the acquiring bank if it remains unresolved
Payment failed but the customer’s account was debited Keep the sale and cash receipt unresolved until reversal or settlement is evidenced Look for the expected debit reversal and retain its reference; escalate if it does not appear
Settlement amount does not match the bank credit Post neither an unexplained gain nor an unexplained loss Compare batch, fee, refund, adjustment, and value-date details
Two rows look duplicated Hold one as a possible duplicate rather than deleting it Compare UTR, order reference, timestamps, status, and bank posting before correcting the ledger
Refund requested but not confirmed Keep the refund open and retain the original sale link Check provider status, bank debit, and the acquiring bank’s refund process

NPCI’s FAQ notes that a pending transaction can reflect a delay at the beneficiary bank and directs merchants to their acquiring bank for status or complaints. It also notes that a failed debit is expected to reverse. NPCI’s statistics glossary distinguishes debit-reversal success and technical declines; those labels describe transaction outcomes, not proof that a merchant has received a completed settlement.

6. Escalate with a complete evidence packet

NPCI identifies the acquiring bank as the route for merchant transaction status and grievances. Its FAQ states: Merchant can raise their grievance or check status of UPI transaction directly with their acquiring banks. Contact that bank or the provider channel specified in your agreement, and include:

  1. Transaction reference or UTR
  2. Amount and transaction date and time
  3. Merchant, order, or invoice identifier
  4. Provider status and settlement or refund reference
  5. Relevant bank-statement line or report excerpt
  6. A short description of the requested correction, status confirmation, or refund action

Ask for a complaint or case reference. Add the response, promised next action, and final adjustment or refund confirmation to the exception row. If the provider requests a file, send the relevant excerpt while retaining the original report unchanged.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

7. Close the cycle and retain evidence

Close a row only when the transaction, settlement, bank posting, sale, and any refund or adjustment agree, or when a documented provider correction explains the difference. Mark the closing reference and date. Keep source reports, bank statements, exception notes, adjustments, complaint references, and refund confirmations together for the period.

An NPCI circular directed member banks to download settlement and adjustment reports, maintain records, process merchant credit adjustments and refunds, and reconcile payable and receivable general-ledger accounts daily for each settlement cycle. That is bank or member guidance; it is not a claim that every ordinary merchant must use the same system or daily cadence. A merchant should nevertheless retain enough evidence to explain each difference later.

How to answer the timing question

The practical answer to “When will merchant receive the money after UPI transaction?” is: according to the settlement arrangement with the acquiring bank or payment provider. The customer’s confirmation, the provider’s transaction status, the settlement batch, and the bank’s posted credit can occur as distinct events. A merchant can record the sale when its accounting policy permits, but should keep the cash-receipt status unresolved until the provider and bank evidence support it.

Use the provider’s settlement report to identify what it considers payable and the bank statement to prove what actually arrived. If a payment is accepted in the transaction report but absent from the expected settlement batch, classify it as an unmatched settlement exception. If it appears in the batch but the bank credit is missing, classify it as a bank-credit timing or posting exception and ask the acquiring bank to trace the batch.

How to process a refund without losing the audit trail

The practical answer to “If a customer returns the goods or rejects the services, how will the merchant return the money?” is to follow the acquiring bank’s defined refund process. Start from the original payment record, verify the amount approved under your returns policy, submit the refund through the provider or bank channel, and record the resulting reference.

  1. Locate and verify the original UTR, order, or invoice.
  2. Confirm the approved refund amount and whether it is full or partial.
  3. Submit the request through the bank or provider process specified for the merchant account.
  4. Save the request timestamp and the provider’s refund status.
  5. Match the confirmation to the bank debit or other evidence required by the provider.
  6. Notify the customer using the confirmed status, not merely the submission screen.

A refund that is requested but not confirmed belongs in the exception queue. Keep it linked to the original sale so that revenue, receivables, and customer communication do not diverge.

Controls that make reconciliation reliable

Use immutable references

Copy UTRs, settlement IDs, adjustment IDs, and refund IDs exactly. Do not replace them with an internal shorthand. Internal order numbers can be added as a second key, but the provider and bank references are needed when escalating a case.

Separate transaction date from settlement and value dates

A customer may pay near a provider cut-off, while the settlement batch and bank credit appear later. Keep the original transaction timestamp, settlement date, and bank value date in separate fields. This makes timing differences visible instead of creating false duplicates.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Reconcile gross, deductions, and net

Do not compare a gross transaction total with a net bank credit without a bridge. Record each documented fee, refund, reversal, or adjustment separately. If the provider statement does not explain a difference, leave it open and request clarification.

Restrict edits and preserve originals

Keep read-only copies of downloaded reports and statements. Use a working ledger for matching and add an audit note whenever a row is corrected. Never delete a duplicate-looking entry until its references and bank posting have been checked.

Assign ownership and ageing

Each open exception should have one responsible person, a next-contact date, and a provider case reference when escalated. Review old pending and refund rows separately from the current cycle so that they do not disappear when a new report is imported.

What to evaluate in a payment provider

If you are selecting or reviewing a provider, assess its reconciliation features rather than relying on acceptance claims alone. The following criteria derive from the records a merchant must compare:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Evaluation area Questions to ask Why it matters
Transaction-level exports Can you download every attempt, including failed and pending rows, for a chosen date range? Without the attempts, you cannot explain customer disputes or unmatched bank activity.
Stable identifiers Are UTRs, transaction IDs, order references, and refund IDs present and consistent across reports? Stable keys prevent amount-only matching and make escalation possible.
Settlement visibility Does the provider show batch references, covered periods, net amounts, fees, refunds, and adjustments? A net credit is explainable only when its components are visible.
Report timing and range controls When are reports available, and can you retrieve historical periods and provider cut-offs? Availability and date semantics determine whether a close can be completed on schedule.
Refund status Can staff initiate, monitor, and export refund confirmations linked to the original payment? A separate refund trail is required for customer and accounting follow-up.
Exception and complaint route Is there a documented acquiring-bank contact path, case number, and response process? Pending, failed-but-debited, and unmatched rows need an accountable route to resolution.
Fee and adjustment documentation Does each deduction or correction have a description and reference? Documented components let the bank credit be reconciled without unexplained balances.

These are evaluation criteria, not a ranking of providers. Confirm the exact reports, retention period, identifiers, and complaint process in the agreement before relying on them for a close.

NPCI and RBI guidance: what applies to whom

NPCI’s settlement material describes processes used by participating banks, including daily reports and adjustments on a back-office portal. It supports the principle of comparing settlement information with the records held by the relevant bank and resolving exceptional transactions, but it does not give every merchant direct access to those member systems.

RBI directions concerning prepaid payment instrument issuers discuss reconciliation and records for those issuers, including daily positions and amounts due to merchants. That context may matter when a merchant works through a PPI issuer, but it should not be presented as a blanket bookkeeping rule for every ordinary UPI merchant. Your acquiring agreement, provider reports, bank statement, and applicable accounting policy determine the merchant-side procedure.

A practical close checklist

  • Define the settlement period, transaction period, timezone, and provider cut-off.
  • Archive the transaction, settlement, bank, sales, refund, and adjustment files.
  • Match using UTR or transaction reference before amount and timestamp.
  • Link each matched payment to an order, invoice, or internal sale record.
  • Bridge gross provider activity to net settlement with documented fees, refunds, reversals, and adjustments.
  • Compare the resulting net amount with the actual bank credit and retain its bank reference.
  • Keep pending, failed-but-debited, unmatched, duplicate-looking, and unconfirmed-refund rows open.
  • Escalate through the acquiring bank with references, dates, amounts, and statement excerpts.
  • Record the complaint reference, response, final adjustment, or refund confirmation.
  • Close and retain the complete evidence set for later audit or customer follow-up.

The key control is to treat settlement as an evidence-backed state, not as an assumption based on a customer screenshot or a single provider status. A disciplined match between transaction, settlement, bank credit, sale, and refund records gives the business a defensible explanation for every rupee received, returned, or still under investigation.
