For an Indian business, reconcile an inter-branch bank transfer in two separate stages: first prove that the debit in the originating account matches the credit in the receiving account and the inter-branch ledger; then determine whether the underlying event was only a movement of funds or a supply of goods or services between GST registrations. A transfer between your own bank accounts does not automatically attract GST. GST can arise when goods, services or certain business functions are supplied between related or distinct persons, including in cases where no consideration is paid.
This guide assumes India’s Goods and Services Tax. “Inter-branch transfer” can mean cash movement, stock movement, an internal service or cost allocation, or a combination. The registration status of each location, the states involved, the substance of the transaction and the supporting records determine the treatment.

What an inter-branch transfer means for reconciliation
A bank statement records money movement. It does not, by itself, prove that one branch supplied anything to another. Start by identifying what actually happened, rather than applying GST to every posting with an inter-branch description.
Funds moved between the business’s own accounts
In a funds-only case, one account is debited and another account controlled by the same business is credited. The accounting task is to match both sides through the inter-branch clearing account or transfer ledger. The GST question is whether a separate supply of goods or services underlies the payment. If there is no such supply, the bank movement alone is not the taxable event.

Goods moved between locations
Stock sent from one location to another requires a goods-movement analysis. Check the GST registrations involved, the delivery or transport record, the stock ledger and the applicable invoice or other documentation. Do not assume that a bank entry is evidence of the goods transfer; a stock movement may have no matching cash payment.
Services or costs allocated between registrations
Head-office finance, human-resources or information-technology work supplied to branches can be a service transaction when the locations are distinct persons under GST. A cost allocation, recharge or reimbursement may therefore require its own source record, valuation and tax treatment. The bank payment is only one part of that evidence.
Do inter-branch transfers attract GST?
There is no blanket GST rule that taxes every transfer between branches. Section 25 registration facts and Schedule I of the CGST Act are central. Schedule I treats a supply of goods or services between related persons or distinct persons, made in the course or furtherance of business, as a supply even when no consideration changes hands, subject to the provision stated in the law.

That rule applies to a qualifying underlying supply, not to an unexplained movement of money. Establish whether the locations have separate GST registrations, which states and GSTINs are involved, and whether goods, services or another business activity was supplied. A branch name in a bank narrative cannot establish that relationship.
Distinct-person status must be verified
Locations of the same legal entity can be distinct persons when they are separately registered under section 25(4). The result depends on the registrations actually held during the period under review. Obtain the GSTIN for each location and confirm the registration state, effective dates and the entity named on the records.
Centralized functions can be taxable supplies
CBIC’s sectoral FAQ explains that centralized human-resources, finance and information-technology functions supplied by a head office to branches that are distinct persons require an invoice and GST payment. This is a sector-specific example of the Schedule I principle, not a direction to tax every internal bank transfer. Banking-sector input-tax-credit rules in that FAQ should not be generalized to other businesses.
Services need a valuation basis
CBIC Circular 199/11/2023-GST, dated 17 July 2023, concerns services provided by one office in one state to another office in another state where both are distinct persons. It directs that valuation be determined under Rule 28 read with section 15(4). The circular’s scope is services between distinct offices; it should not be extended automatically to cash transfers or every goods movement. Check the circular together with current amendments and later clarifications before applying it.

How do I reconcile inter-branch transfers in a bank account?
Use a documented schedule that links each bank debit to the corresponding credit, the internal advice and the ledger posting. ICAI’s Revised 2019 Guidance Note on Audit of Banks emphasizes reconciling inter-branch accounts, monitoring outstanding entries and reporting the dates through which accounts have been reconciled. That guidance is a control reference; it does not decide GST treatment.
1. Define the period and population
Write down the legal entity, review period, branches or offices, bank accounts, GSTINs and states included. Decide whether the review covers only bank transfers or also stock movements, internal services, reimbursements and cost allocations. Export complete bank statements and the relevant inter-branch, cash-in-transit and clearing ledgers for the same dates.
2. Build the transfer schedule
Give each bank line a unique identifier and capture:

- amount and currency;
- originating account and branch;
- receiving account and branch;
- bank reference, UTR or other narrative;
- internal transfer-advice or authorization number;
- inter-branch ledger account and posting date;
- underlying classification: funds, goods, service, reimbursement or other;
- GSTINs and states when a supply may be involved; and
- reconciliation status, owner and follow-up date.
3. Pair the debit and credit
Match the outgoing debit with the receiving credit using amount, reference, date and account. Allow for bank cut-off times, weekends, holidays and value-date differences. A debit on the last day of a month may appear as a credit in the next period. Record the explanation rather than forcing a same-day match.
Flag duplicate postings, missing credits, partial amounts, bank charges, reversals, rejected transfers and entries with no transfer advice. Preserve the approval and correspondence for each exception. Age every unresolved item and assign a person responsible for clearing it.
4. Confirm the ledger trail
Trace both bank lines to the originating and receiving ledger entries. The inter-branch clearing account should not retain a balance merely because the bank statement is difficult to read. Investigate stale balances, entries posted to the wrong branch, transfers recorded twice and transactions that were cleared against an unrelated item.

5. Classify the underlying event
For every material item, choose the fact pattern that actually occurred:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- movement of funds only;
- movement of goods or stock;
- service supplied by one registration to another;
- reimbursement or payment made on another office’s behalf; or
- a mixed transaction containing more than one element.
Do not label all five categories “inter-branch transfer” for GST purposes. The classification controls which records and tax tests apply.
6. Test for a taxable supply
For a goods or service item, verify whether the locations are distinct persons, whether the activity is in the course or furtherance of business and whether Schedule I or another provision treats it as a supply without consideration. Identify the supplier and recipient GSTINs and the state of each registration.
7. Tie the item to source documents
Connect the transaction to an invoice or other legally appropriate document, a service description or stock record, the valuation working and the tax posting. CBIC invoice rules identify core particulars such as supplier and recipient identifiers, invoice serial number and date, description, value and tax. Bank narration alone is not a substitute for these records.
8. Reconcile books, tax ledgers and returns
Compare the relevant sales or output-tax ledger, input-tax and input-tax-credit records, invoice, credit-note and debit-note registers, and the GST return records for the same period. If a figure differs, isolate whether the cause is timing, omission, amendment, credit or debit note, classification, valuation or posting error. Document the correction and the period in which it was made.

Close the reconciliation only when every unmatched item has a named explanation, supporting evidence, an owner and either a resolution or a dated follow-up. Retain the schedule, bank statements, advices, approvals, invoices, valuation workings and reviewer sign-off together.
How to match GST entries with bank statements
GST records and bank records rarely match line for line. An invoice can be issued before payment, a service can be supplied without a cash transfer, and a single bank payment can settle several invoices. Reconciliation therefore uses the bank as corroboration of settlement, not as the sole source of the tax position.

Use a three-way or four-way link
For a possible inter-branch service, link the bank line to the internal advice or allocation, the invoice and the GST ledger or return entry. For goods, add the stock issue, delivery challan or transport evidence. For a funds-only movement, link the two bank statements and the clearing ledger, then record why no supply document exists.
Investigate timing differences deliberately
Keep separate lists for transactions issued but unpaid, paid but not yet posted by the receiving branch, and entries recorded in a different tax period. A month-end cut-off explanation should identify both dates and the expected clearing period. Do not alter a bank date or backdate an invoice merely to make totals agree.
Check tax identity and destination
Compare the GSTIN on the source document with the registration that received the service or goods. A correct amount posted to the wrong GSTIN can create a return mismatch even when the bank transfer is perfectly matched. Confirm the state and destination treatment from the applicable records rather than inferring it from the branch’s common name.
What documents should I keep for GST reconciliation?
CBIC’s invoice provisions and accounts-and-records rules provide the documentary backbone for an auditable tie-out. Keep records in a way that lets a reviewer move from the bank statement to the transaction and back again.
- Bank statements for both originating and receiving accounts, including the reference or UTR.
- Internal transfer advice, authorization, payment instruction and evidence of receipt.
- Inter-branch, cash-in-transit and clearing-ledger extracts showing both postings.
- GST registration certificates or master data showing the GSTIN, legal entity and state for each location.
- Tax invoices, credit notes, debit notes and any legally appropriate alternative document.
- A description of the service, cost-allocation working, agreement, timesheet or other evidence of what was supplied.
- Delivery challans, stock-transfer records, transport evidence and inventory postings for goods.
- Valuation calculation and the Rule 28/section 15(4) basis for distinct-person services where applicable.
- Records of tax payable, tax collected or paid, input tax and input tax credit claimed.
- Invoice, credit-note and debit-note registers and the relevant GST return or reconciliation records.
- Exception explanations, approvals, correction entries and final reviewer sign-off.
The accounts-and-records rules also address delivery challans and stock. Apply their stated scope and exceptions to the entity and transaction rather than treating the list as a universal format.

Common reconciliation failures and how to resolve them
The debit has no receiving credit
Check whether the transfer was rejected, reversed, credited to another account or posted in the next period. Obtain the bank’s transaction status and receiving statement. Keep the item open until the credit or a documented reversal is identified.

The credit has no matching debit
Search the originating branch’s prior and subsequent statements, including accounts used for centralized payments. A credit may relate to a grouped transfer or a prior-period debit. Do not clear it against a convenient unrelated item without evidence.
The amounts differ by bank charges
Separate the principal transfer from the charge. Post the charge to the appropriate account under the entity’s policy, document who bore it and match the net bank credit without disguising the difference.
An internal service was posted as a cash transfer
Reclassify the transaction only after establishing the service, supplier and recipient GSTINs, valuation and invoice requirements. Preserve the original bank trail and the correction entry. Do not create an invoice solely to explain an unexplained bank line.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesGST was applied to every internal movement
Revisit the substance test. A funds-only movement does not become a supply because the word “branch” appears in the narration. Conversely, a service between distinct registrations may be taxable even when the branches settle through a netting entry or no separate payment.
The invoice and return totals do not agree
Compare period cut-off, amendments, credit and debit notes, wrong GSTIN, duplicate invoice numbers, omitted postings and valuation changes. Record the correction trail and the return period affected. Escalate material or recurring discrepancies to the person responsible for GST compliance.
Banking-sector example and its limits
ICAI’s banking-sector GST compliance publication identifies supplies between separately registered bank branches or between a head office and branches as a compliance area and discusses identifying such activity and testing compliance. It refers to Circular 199 before drawing conclusions on relevant deemed transactions. Use that publication as a worked sector example, not as a blanket rule for manufacturing, retail, services or other businesses.
The CBIC FAQ also contains banking-specific guidance, including input-tax-credit considerations. Those details depend on the banking sector and the applicable method; they should not be copied into a non-bank reconciliation without checking the relevant provisions.
How to finish and retain the reconciliation
Prepare a dated reconciliation report showing the population tested, the accounts and GSTINs covered, the number and value of matched items, and every outstanding item with its explanation and owner. Attach the source schedule rather than reporting only a net balance.
A reviewer should be able to answer four questions from the file:
- Which bank debit and credit represent the same movement?
- What actually moved: funds, goods, services or a combination?
- Why is GST due or not due, and which registration and valuation rules support that conclusion?
- Where are the invoice, stock or service evidence, ledger posting and return or tax-record tie-out?
Keep unresolved items on an aged follow-up list. Persistent unmatched inter-branch entries should be escalated under the entity’s control policy, with the next action and date recorded. Review the current CGST Act, rules, CBIC clarifications and the entity’s registrations before applying a conclusion to a live transaction. A qualified Indian GST professional should review material, unusual or disputed cases.
