Reconcile a changed loan hedge by treating the update as a controlled change to exposure, not as a simple balance-sheet edit. Preserve the old and new records, identify whether amount, timing or risk changed, rebuild the exposure using the correct contractual or expected assumptions, map it to the derivative and hedge designation, then assess effectiveness and accounting under the framework your entity has adopted.
This workflow is operational guidance, not a case-specific accounting conclusion. IAS 39, IFRS 9 and US GAAP have different requirements, and your approved hedge policy, designation documents and jurisdiction determine the final treatment.

What changes when loan data changes?
A loan update can alter three dimensions of a hedged exposure:

- Timing: contractual maturity, expected repayment, prepayment, interest reset or payment dates.
- Risk profile: benchmark index, spread, currency, repricing frequency, fixed-versus-floating status or the active status of the loan.
The derivative may remain unchanged while the hedged item changes. That creates a potential break in amount, timing, population, basis or designated risk. A corrected record does not automatically mean that hedge accounting must stop, and an estimate does not automatically qualify for a hedge relationship. The conclusion depends on what was designated, what risk is now being hedged, the applicable accounting framework and the entity’s documented method.

Step 1: Capture the change before recalculating anything
Start with a versioned change record. Do not overwrite the prior value before preserving it. The record should allow another person to reproduce the reconciliation as of the original reporting date.
Minimum change record
- Old value and new value for every affected field.
- Authoritative source system and source-document reference.
- Effective date of the business change.
- Date and time the servicing, treasury or accounting system was updated.
- Reason code, such as data correction, new origination, payoff, modification, restructuring or forecast change.
- Person or team responsible for the source data.
- As-of date used in the hedge and valuation extracts.
Separate a correction to an existing loan record from a new origination, payoff, contractual modification or change in an estimate. Those events can have different effects on population, designation and accounting. A late correction entered on 17 October, for example, may relate to a loan event effective on 30 September; both dates belong in the audit trail.
Step 2: Screen the fields that can change hedge exposure
Use a field-level screen rather than relying on a total-balance comparison. The following fields should be reviewed at minimum.
| Loan field | Why it matters to the hedge | Questions to resolve |
|---|---|---|
| Outstanding principal or notional | Changes the amount of cash flows or repricing exposure being hedged. | Was the movement an amortisation, draw, payoff, correction or population change? Are units and signs consistent? |
| Contractual maturity | Changes the contractual end of the exposure. | Was the maturity legally amended, or was only an expected repayment date revised? |
| Actual or expected repayment/prepayment date | Changes when the risk is expected to exist and may move exposure between repricing buckets. | Is the date observed, contractually fixed or modelled? Which approved prepayment method produced it? |
| Interest-rate index and spread | Determines the benchmark and basis risk relative to the derivative. | Did the index, fallback, margin or reference rate change? |
| Reset date and frequency | Controls repricing timing and cash-flow alignment. | Does the loan reset monthly, quarterly, semi-annually or on another schedule? |
| Payment dates | Affects cash-flow timing and valuation periods. | Were payment dates shifted by a modification, holiday convention or data error? |
| Currency | Changes foreign-exchange and interest-rate exposure. | Was the currency changed, translated incorrectly or mixed across source extracts? |
| Active or terminated status | Determines whether the loan belongs in the hedged population. | Was termination effective before or after the hedge measurement date? |
Also check fields that are not obvious in a balance report: day-count convention, amortisation profile, caps or floors, rate floors, modification status, legal entity and portfolio identifier. Include them when they affect the designated risk or the cash flows used in the effectiveness method.
Step 3: Reconcile the revised loan record to authoritative data
Before comparing the loan with a derivative, prove that the revised loan data is internally consistent. A hedge comparison built on a stale or duplicated extract only produces a precise-looking error.

- Choose the authoritative record. Tie the revised values to the servicing or accounting subledger and, where relevant, the executed loan document, payoff statement, modification agreement or rate notice.
- Check population integrity. Identify duplicate loans, missing records, terminated accounts still included, and new accounts omitted from the extract.
- Check units and signs. Confirm whether principal is stored in currency units, thousands or millions, and whether repayments are represented as positive or negative amounts.
- Align dates. Make the effective date, entry timestamp, valuation date and extract as-of date visible. Do not combine a current loan snapshot with a prior derivative snapshot without documenting the timing difference.
- Trace downstream feeds. Confirm that servicing, treasury, valuation, hedge-accounting and general-ledger extracts use the same approved version or that differences are explicitly reconciled.
- Obtain controlled sign-off. The source owner should confirm whether the change is a correction, a legal event or an estimate update before exposure is rebuilt.
Operational-practices guidance published by ISDA stresses front-to-back processes, controlled data and pricing sources, reconciliation standards, and procedures for breaks and disputes. That guidance is non-binding and is not legal, accounting, regulatory or financial advice, but its control principles are useful when designing the workflow.
Step 4: Rebuild the hedge exposure
Recalculate the exposure from the corrected inputs instead of applying the percentage change in the total balance to the old hedge result. The recalculation should produce loan-level and aggregated outputs that can be traced to source fields.

Contractual cash-flow rebuild
For each loan, regenerate principal and interest cash flows using the contractual index, spread, reset calendar, payment dates, amortisation and maturity. Aggregate the results into the same currency, portfolio and repricing buckets used by the hedge designation and effectiveness test.
Expected-timing rebuild for prepayable loans
When borrowers can prepay, contractual maturity may not represent the period in which the portfolio is expected to reprice or remain outstanding. Use the entity’s documented prepayment and behavioural method, historical experience and other available evidence. HMRC manual page CFM27200, updated 27 August 2026, describes IAS 39 macro-hedging treatment in which expected repricing dates are relevant for prepayable items. It is explanatory guidance, not a universal rule or a substitute for the applicable standard.
AASB’s IAS 39 text likewise requires expected repricing dates to be estimated using historical experience and other available information, including prepayment expectations, where that approach applies. Confirm that IAS 39 remains applicable to your entity and that the method is consistent with the hedge documentation. Do not replace an expected repayment date with contractual maturity merely because the latter is easier to obtain.

Record the calculation inputs
- Curve, index or forward-rate source and valuation timestamp.
- Prepayment, attrition or behavioural assumptions and their approval status.
- Reset, payment and day-count conventions.
- Loan inclusion and exclusion rules.
- Rounding, currency conversion and aggregation rules.
- Model or spreadsheet version and any manual adjustments.
The output should show the old exposure, revised exposure and the variance by loan, bucket, currency, index and cause. A single net variance is not enough to explain whether a break came from a payoff, an index mismatch or a timing shift.

Step 5: Match the revised exposure to the hedge records
Compare the rebuilt loan exposure with both the derivative trade record and the hedge designation. Review the following dimensions together.
| Comparison dimension | Evidence to compare | Typical break explanation |
|---|---|---|
| Amount | Revised loan notional or cash-flow amount versus designated hedged amount and derivative notional. | Amortisation, drawdown, payoff, duplicate record or stale hedge amount. |
| Period | Expected or contractual exposure dates versus derivative maturity, reset and payment dates. | Prepayment, maturity extension, delayed reset or date-convention error. |
| Population | Loan identifiers and portfolio rules versus the designated population. | New origination, termination, transfer, omission or duplicate. |
| Index and basis | Loan benchmark, spread and fallback terms versus the derivative reference rate. | Benchmark transition, different tenor, floor, spread or fallback. |
| Currency | Loan currency and translation basis versus derivative currency. | Wrong currency code, translation date or cross-currency exposure. |
| Designated risk | Risk stated in the designation document versus the risk represented by revised cash flows. | Changed benchmark, changed forecast transaction or a risk that is no longer separately identifiable. |
| Effectiveness method | Inputs required by the prospective and retrospective or other approved method. | Missing data, changed assumptions or a method that no longer reflects the relationship. |
Classify each difference as timing, amount, population, index/basis, data quality or stale designation. Require a specific cause and owner for every material exception. “Model variance” is not a sufficient explanation unless the model component and input change are identified.
Step 6: Assess effectiveness and accounting consequences
IFRS 9 describes effectiveness as “the extent to which changes in the fair value or the cash flows of the hedging instrument offset changes in the fair value or the cash flows of the hedged item.” The analysis therefore concerns offset between the instrument and the hedged item, not whether the loan balance merely moved in the same direction as the derivative.
When the change is a data correction
Reperform the calculation using the corrected historical input and determine whether the original designation, measurement and journal entries were based on an error. Follow the entity’s error-correction policy and approval route. Do not label a correction as a new hedge or silently rewrite a previously reported result.

When the change is an estimate
Document the information available at the measurement date, the approved estimation method and why the revised assumption is supportable. A changed prepayment or repricing estimate can create ineffectiveness without changing the legal loan contract. The accounting result depends on the designated relationship and the applicable framework.
When the designated risk or item changes
Ask whether the revised loan cash flows still meet the definition of the hedged item and whether the designated risk remains the same. If the hedged amount, period, benchmark or expected transaction changes, apply the current framework and policy to determine whether rebalancing, redesignation, continuation or discontinuation is permitted or required.
IFRS 9 requires an entity to analyse expected sources of ineffectiveness at designation and on an ongoing basis. A changed estimate should therefore trigger an updated assessment of expected mismatch, not just a mechanical threshold test.
For US GAAP, use current authoritative guidance and the entity’s hedge policy. A 2019 FASB staff issuance can illustrate how a revised hedged risk might be reassessed, including the possibility that failure of the revised risk to qualify leads to discontinuation, but that historical staff material is not a substitute for current US GAAP. Older Statement 133 summaries are likewise superseded and should be used only for high-level mechanics, not current requirements.
Questions the accounting reviewer should answer
- Was the changed value known or knowable at the original designation or reporting date?
- Does the revised exposure remain within the documented hedged amount, period, benchmark and currency?
- Has the expected transaction become no longer highly probable, or has the underlying loan population changed?
- Is rebalancing or redesignation allowed under the adopted framework and policy?
- If discontinuation is required, how will accumulated amounts and subsequent changes be treated?
- Do disclosures, controls or prior-period corrections need updating?
Do not make a final accounting conclusion from the operational reconciliation alone. Route the documented facts to the responsible technical-accounting reviewer.

Step 7: Resolve exceptions and preserve evidence
Reconciliation is complete only when exceptions are resolved, accepted under a documented tolerance or escalated under the firm’s procedure. A calculation with unexplained breaks is not a completed control.
- Assign ownership. Name the servicing, treasury, valuation, data or accounting owner for each exception.
- Rate severity. Consider amount, duration, affected reporting period, designation impact, valuation impact and likelihood of recurrence. Do not invent a universal materiality threshold; use approved entity policy.
- Attach evidence. Retain source extracts, loan documents, derivative confirmations, model inputs, calculation files, system versions and approval records.
- Recalculate after correction. Preserve both the pre-correction and post-correction outputs so the change is auditable.
- Obtain sign-off before posting. Update risk, accounting and general-ledger systems only after the designated approvers accept the result.
- Escalate unresolved disputes. Follow the firm’s valuation, reconciliation and dispute procedure, with time-stamped communications and a stated next action.
Worked scenarios
Prepayment moves exposure into an earlier bucket
A portfolio loan still has a contractual maturity in 2031, but approved behavioural assumptions now place expected repayment in 2028. Rebuild the expected cash flows, move the exposure into the relevant repricing buckets, and compare the result with the derivative’s reset dates and designated period. The key question is not whether the legal maturity changed; it is whether the documented hedge method uses expected repricing and whether the revised estimate creates a supportable mismatch.
Principal is corrected after a duplicate record is removed
The servicing extract contained the same loan twice, overstating the hedged population. Preserve the duplicate evidence, remove the extra record under controlled approval, rebuild the portfolio notional and effectiveness inputs, and determine whether prior calculations or entries used the erroneous amount. Classify this as a data correction and population break, not as a new origination.
Benchmark or reset frequency changes
A loan formerly reset quarterly against one index is modified to reset monthly against another benchmark. The derivative may still provide rate exposure, but the index and timing relationship have changed. Compare benchmark definitions, tenor, fallback, spread and reset calendars; then ask whether the designated risk remains the same and whether the approved hedge method can capture the new basis and timing mismatch.
Payoff occurs before the reporting date
A loan is marked terminated in the servicing system after the payoff date but remains in the month-end hedge extract. Align the effective payoff date with the measurement date, remove the loan from the eligible population for the appropriate period, and investigate whether the derivative or designation requires action. Keep the timestamped extracts to show why the population differed between systems.
Choosing a reconciliation approach or system
No single named system or method is established as superior for this process. Whether the control runs in a controlled spreadsheet, data warehouse or specialist platform, evaluate the capabilities below.
| Capability | What good support looks like |
|---|---|
| Data lineage | Every exposure value traces to a source, field, as-of date, effective date and version. |
| Loan-to-trade mapping | Loans, pools, derivatives and designations can be linked at the level needed to explain breaks. |
| Expected timing | Prepayment and repricing assumptions are versioned, approved and reproducible. |
| Calculation transparency | Cash flows, buckets, curves, aggregation and variance formulas can be inspected. |
| Exception workflow | Owners, severity, status, approvals and dispute history are retained. |
| Audit retention | Prior snapshots and post-correction outputs remain available for the reporting period. |
| Integration | Servicing, treasury, valuation, hedge-accounting and general-ledger data can be reconciled without uncontrolled rekeying. |
| Framework support | Reports and controls reflect the entity’s adopted IFRS, US GAAP or other applicable requirements. |
A sophisticated platform cannot compensate for an undefined effective-date policy or an undocumented prepayment method. Process ownership and documented assumptions matter as much as automation.

Common failure modes and fixes
- Comparing only total balances: Split the variance by loan, bucket, index, currency and cause so timing and basis breaks are visible.
- Using contractual maturity for every prepayable loan: Apply the approved expected-repayment method where the hedge analysis requires behavioural timing.
- Mixing snapshots: Align as-of dates and retain the timestamp of every extract.
- Overwriting the old record: Preserve before-and-after values and the reason code.
- Treating every change as discontinuation: First determine whether the designated relationship and risk remain supportable under the applicable framework.
- Treating every change as harmless ineffectiveness: Escalate changes to the designated item, risk, benchmark or expected transaction for accounting review.
- Ignoring signs and units: Validate currency scale, positive/negative repayment conventions and translation rules.
- Leaving exceptions without owners: Assign severity, an accountable owner, a due date and an approval trail.
- Relying on superseded summaries: Check the current adopted standard and local amendments before concluding on IFRS 9, IAS 39 or US GAAP treatment.
Control checklist for each reporting cycle
- Old and new loan values are retained with source, effective date, timestamp and reason code.
- Principal, maturity, expected repayment, index, spread, reset, payment date, currency and status fields were screened.
- Population, duplicates, omissions, units, signs and as-of dates were reconciled.
- Contractual or expected cash flows were rebuilt using approved assumptions.
- Revised exposure was mapped to derivative terms and hedge designation.
- Breaks were classified by amount, timing, population, index/basis, data quality or stale designation.
- Expected sources of ineffectiveness were reassessed where the relationship changed.
- Accounting treatment was reviewed under the entity’s adopted framework.
- Exceptions have owners, severity, evidence, approvals and resolution status.
- Final system updates and journal entries were posted only after controlled sign-off.
