Use two linked but separate reconciliation tracks: match outward supplies in your books to GSTR-1 and then to the outward-liability figures in GSTR-3B; separately match purchases and input tax credit (ITC) in your books to GSTR-2B and then to ITC reported in GSTR-3B. Work at document level before comparing totals, investigate timing and classification differences, and keep an evidence trail for every correction, reversal and later claim.
This workflow reflects GST Portal guidance available through 13 October 2026, including GSTR-1A, GSTR-2B and DRC-01C functionality. Return instructions and law can change, so verify the live portal and the instructions for the filing period before submitting.

What each record is for
A mismatch is easier to diagnose when each dataset has a defined role. GSTR-1 is the supplier’s statement of outward supplies. GSTR-2B is a recipient-side statement of documents that may support ITC. GSTR-3B is the summary return in which outward tax and ITC are reported and paid or claimed. Your books are the underlying transaction record against which all three portal outputs should be tested.

| GSTR-1 | Outward-supply details, including registered-recipient invoices, specified inter-State B2C invoices, exports, advances and adjustments, credit/debit notes, amendments, nil/exempt/non-GST supplies, HSN/SAC summaries and specified e-commerce supplies | Match sales documents and classifications to the period’s outward-supply reporting. |
| GSTR-2B | Recipient-side statement of supplier-reported documents relevant to potential ITC | Match purchase documents to the statement, then assess legal eligibility independently. |
| GSTR-3B | Summary liability and ITC figures filed for the period | Confirm that summarized outward tax and eligible ITC agree with the reconciled underlying records. |
The GST Portal describes the contents and portal behavior of these forms, but it does not provide a universal taxpayer-specific mapping from every GSTR-1 table to every GSTR-3B table. Use the form instructions for the applicable period when building that mapping.

How do I reconcile GSTR-1 and GSTR-3B with my books?
1. Freeze the period and preserve source records
Start with one tax period and the correct filing frequency. Do not mix monthly and quarterly populations or combine current-period transactions with later amendments without labeling them.
- Export or preserve the sales register, purchase register, credit-note and debit-note registers, relevant tax ledgers and the draft return data for the same period.
- Record the extraction date, report filters and source-system version. If the accounting system is upgraded or reconfigured, retain the version used for each extraction.
- Mark documents posted after period close but relating to an earlier supply. Keep the original posting period and the return-reporting period as separate fields.
- Lock the working copy used for review. Subsequent corrections should be added as a new version so the filed figures can be reproduced.
This control is practical record-management advice. The GST Portal establishes that GSTR-1 is period-based; defining the period precisely is therefore the first condition for a meaningful comparison.
2. Match the sales register to GSTR-1
Use document-level matching wherever GSTR-1 contains invoice-level details. At minimum, compare:
Recommended Free Tools
- Supplier and recipient GSTIN, where applicable
- Invoice, debit-note or credit-note number and date
- Taxable value
- Tax rate and tax amount
- Tax head
- Place of supply
- Supply category and GSTR-1 reporting table
For supplies reported in summarized form, compare the relevant book summary with the GSTR-1 classification and period totals rather than forcing an invoice-to-invoice comparison that the return does not contain.
GSTR-1 can include registered-recipient invoices, specified inter-State B2C invoices, exports, advances and their adjustments, credit and debit notes, amendments, nil-rated, exempt and non-GST supplies, HSN/SAC summaries and specified e-commerce supplies. A book entry classified as a normal taxable sale can therefore appear in a different return section, or be excluded from taxable totals, if its legal category is different.
3. Build an exception list instead of forcing totals to agree
Every unmatched item should receive a reason code and an owner. Useful investigation buckets are:

- Document omitted from the return or from the books
- Duplicate upload or duplicate book posting
- Wrong recipient GSTIN or place-of-supply classification
- Tax rate, taxable value, tax amount or tax-head difference
- Credit or debit note recorded in a different period
- Amendment reported after the original transaction
- Book entry that belongs in an exempt, nil-rated, non-GST, export, advance or e-commerce category
- Transaction recorded in the books before it became reportable in the relevant return
Check the invoice, contract, tax calculation, ledger entry and portal record for each exception. Do not change a return merely to make a control total agree; first establish which record is incorrect and which period’s instructions apply.

4. Compare reconciled outward tax with GSTR-3B
After GSTR-1 has been reviewed, compare the period’s outward taxable values and tax by tax head from the books and finalized GSTR-1 with the corresponding GSTR-3B liability summaries.
- Start with the reconciled population, not the original unfiltered sales report.
- Separate taxable, exempt, nil-rated, non-GST, export and advance-related amounts according to the period’s return instructions.
- Compare each tax head separately; an equal grand total can conceal an IGST, CGST or SGST misclassification.
- Trace differences to timing, a note or amendment, a category change, a non-taxable item or a data-entry error.
- Document the explanation and supporting document before filing GSTR-3B.
GSTR-1A changes can auto-populate GSTR-3B, but the material reviewed does not establish a complete official table-by-table mapping. Verify the current form instructions and portal preview for the period.
5. Correct a GSTR-1 mistake with GSTR-1A when the timing rules fit
GSTR-1A is an optional correction window. The GST Portal says it can be used after GSTR-1 is filed, or after its due date if that is later, and before GSTR-3B for the same period is filed. Changes made through GSTR-1A auto-populate GSTR-3B.
- Confirm that the error belongs to the period being corrected and that GSTR-3B for that period has not been filed.
- Review the original GSTR-1 document and the proposed amendment against the books and source invoice.
- Enter the correction in GSTR-1A using the live portal’s available tables and validations.
- Preview the resulting GSTR-3B values and confirm that the tax effect agrees with the corrected books.
- Save the acknowledgement or reference number and update the exception log.
A supply declared or amended through GSTR-1A becomes available for the recipient’s ITC in the next period’s GSTR-2B, according to the Portal guidance. That timing can create a legitimate-looking difference between the supplier’s correction period and the recipient’s statement period. Confirm live portal behavior before relying on this route.
How do I match GSTR-2B with ITC claimed in GSTR-3B?
1. Match purchases and GSTR-2B at document level
Use the purchase register and GSTR-2B for the same reconciliation cycle. Compare supplier GSTIN, document number and date, taxable value, tax amounts, tax head and period. Add place of supply where it affects classification or eligibility.

Investigate documents that are absent from GSTR-2B, amended documents, credit notes, duplicate lines and tax-head or place-of-supply differences. A missing line is a follow-up exception, not by itself proof that the purchase is ineligible or that the supplier has failed permanently. Check supplier filing status, the document, receipt evidence and the applicable period before deciding what to do.
2. Treat statement availability and legal eligibility as different tests
A document appearing in GSTR-2B is not automatic legal approval for ITC. The statement’s unavailable-credit indications cover specified cases, while other legal restrictions may require your own assessment. Check the applicable law and the facts for receipt, business use, blocked-credit categories, reversals, time limits and any other condition relevant to the claim.
Conversely, a document that is not yet in GSTR-2B should remain in an exception queue until the reason is understood. Do not claim it simply because it appears in the books, and do not permanently write it off solely because a supplier’s filing is late without checking the current rules and evidence.
“Taxpayers, are advised to self-assess and reverse or take such credit in their Form GSTR-3B.”
This is GST Portal guidance: reconciliation supports the decision, but the taxpayer remains responsible for the self-assessment.
3. Reconcile the amount actually reported in GSTR-3B
- Start with the purchase-register population for the period.
- Mark each document as matched to GSTR-2B, pending supplier action, amended, credit-noted, duplicated, or otherwise requiring review.
- Apply the separate legal-eligibility assessment and record the conclusion and evidence.
- Compare eligible, ineligible, reversed and reclaimed amounts by tax head with the ITC figures entered in GSTR-3B.
- Investigate any difference before filing and preserve the final matching file.
The GST Portal specifically advises taxpayers to reconcile GSTR-2B with their own records and books, ensure that no document’s credit is taken twice and reverse credit when required.

4. Prevent duplicate claims and unsupported reclaims
Assign a unique internal key to each supplier GSTIN, document number, document date and tax head. Retain links to the original invoice, any amendment or credit note, the period in which credit was first claimed, the period of reversal and the period of any permitted reclaim.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How to maintain an exception and resolution log
A reconciliation is only useful if another reviewer can see what happened to each difference. Maintain one log for outward-supply and ITC exceptions, with a field identifying the track.
| Required log field | What to record |
|---|---|
| Document identity | Invoice, note or other document number, date and relevant GSTIN |
| Amount | Taxable value, tax amount and tax head affected |
| Period | Book period, return period and amendment or availability period where they differ |
| Evidence checked | Invoice, ledger, filing data, portal statement, contract or other supporting record |
| Reason code | Timing, omission, duplicate, classification, tax calculation, amendment, supplier follow-up or confirmed book error |
| Action and owner | Correction, reversal, supplier request, payment, escalation or monitoring action and the responsible person |
| Reference and closure | Return, GSTR-1A, DRC-03 or other filing reference, decision date and closure date |
Keep unresolved supplier follow-up separate from a confirmed book error or a filed return amendment. This prevents a pending item from being mistaken for a resolved difference and provides a trail for later-period matching and annual-return work.
Why is there a mismatch between GSTR-2B and GSTR-3B?
The most common explanations are timing, document identity, classification and duplicate or ineligible claims. Use the following diagnostic sequence rather than looking only at the total ITC difference.
The Tool Desk
Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →| Investigation axis | Questions to answer |

| Document identity | Are the GSTIN, document number, date and note references identical? |
| Period and timing | Was the supplier filing, amendment or GSTR-1A correction made in a different period from the book entry or claim? |
| Value and tax | Do taxable value, rate, tax amount and tax head agree? |
| Classification | Does the place of supply or return-table category differ? |
| Availability versus eligibility | Is the document present in GSTR-2B, and separately, does it satisfy the legal conditions for ITC? |
| History | Was credit already claimed, reversed, reclaimed, or recorded twice? |
For outward-supply differences, apply the same axes to the sales register, GSTR-1 and GSTR-3B. A note or amendment reported in a different period can change both the supplier’s outward figures and the recipient’s later GSTR-2B availability.

How to respond to a DRC-01C intimation
DRC-01C is a response workflow, not conclusive proof that an ITC claim is wrong. GSTN’s functionality compilation describes an automated intimation when ITC available in GSTR-2B and ITC claimed in GSTR-3B differ beyond a predefined limit or percentage threshold. The reviewed compilation does not publish the numeric threshold, so do not quote one without a current official source.
- Identify the tax period and the GSTR-2B and GSTR-3B figures used for the intimation.
- Reperform the document-level match, including amendments, credit notes, timing differences and duplicate claims.
- Separate a genuine excess claim from a timing difference, a supplier correction or a book-classification issue.
- Prepare the evidence and quantify the amount by tax head.
- Respond in Part B through the available route: explain the difference, settle through DRC-03, or use both options as appropriate to the facts.
- Save the submission reference and update the exception log.
Follow the current portal workflow and obtain professional advice where the facts, amount or legal position is uncertain. An automated comparison identifies a difference; it does not replace the taxpayer’s reconciliation or legal assessment.
Carry year-end items into the annual return correctly
Year-end reconciliation needs a separate schedule for cross-year ITC movements. The GSTN FAQ for FY 2024-25, dated 15 October 2025, distinguishes current-year credit claimed in the following year from credit claimed, reversed and later reclaimed, and gives different annual-return reporting guidance for those patterns.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- List invoices relating to the financial year but first claimed in the following financial year.
- List credit claimed during the year, reversed during the year and reclaimed later.
- Keep the original claim, reversal and reclaim periods linked to the document-level history.
- Apply the annual-return instructions for the relevant fiscal year, not an older year’s table or assumption.
- Retain the schedules with the filed annual return and reconciliation workpapers.
Because annual-return tables and FAQs are fiscal-year specific, check the version applicable to the year being filed before finalizing the disclosure.
A repeatable pre-filing checklist
- The period, filing frequency, extraction date and source-system version are recorded.
- Sales-register documents are matched to the appropriate GSTR-1 tables or summaries.
- Outward taxable value and tax by head agree between the reconciled books, finalized GSTR-1 and GSTR-3B, or every difference has a documented explanation.
- GSTR-1A has been considered where a same-period correction is needed and GSTR-3B is still unfiled.
- Purchase documents are matched to GSTR-2B, with absent, amended, duplicate and credit-note items investigated.
- ITC eligibility has been assessed separately from GSTR-2B availability.
- No document’s credit is claimed twice, and required reversals are recorded.
- Every unresolved difference has an owner, next action and due date.
- Any DRC-01C intimation has been reconciled to the underlying period and answered through the applicable Part B route.
- Cross-year ITC schedules are ready for the relevant annual-return guidance.
Run the outward-supply and ITC tracks independently, then compare the resulting GSTR-3B figures with the books. That order catches document-level errors before they are hidden inside a summary total and leaves a defensible trail for corrections, supplier follow-up, notices and annual-return reporting.
