To reconcile a bank account in QuickBooks Online, compare the transactions recorded in the correct QuickBooks account with one specific bank statement. Prepare the statement, verify the beginning balance, open Accounting > Reconcile, enter the statement’s ending date and ending balance, and mark the statement’s transactions until the difference is zero. If the beginning balance or a previously reconciled transaction is wrong, investigate the cause before making any adjustment.

What reconciliation does in QuickBooks Online
Reconciliation is a statement-by-statement check. You are not merely matching downloaded bank-feed items; you are confirming that the account balance and cleared transactions in QuickBooks agree with the bank’s statement for a defined period.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
The statement supplies two anchors:
- Ending date: the last day covered by the statement.
- Ending balance: the balance shown by the bank on that date.
QuickBooks also calculates a beginning balance from the account’s prior activity. For an account reconciled before, that beginning balance should equal the previous reconciliation’s ending balance. Intuit’s reconcile-workflow guidance states that, after reconciliation, the QuickBooks ending balance and the account statement should be the same.

A reconciliation is complete when the difference between the statement balance and the selected QuickBooks transactions is zero. Keep the resulting reconciliation report with your accounting records; it is useful when a later period does not start with the balance you expect.
How do I reconcile a bank account in QuickBooks Online?
1. Gather the right statement and account records
Download or obtain the bank statement for the exact account and period you are reconciling. If your business has several accounts at the same bank, verify the account number or other identifying details before you begin. A statement for the wrong account can produce a convincing-looking but meaningless comparison.
For a bank-connected account, review the downloaded transactions first. Match items to existing entries, categorize them, post them when appropriate, or exclude genuine duplicates and non-business items according to your normal bookkeeping policy. Reconciliation should be the final check on recorded activity, not a substitute for deciding what each bank-feed item represents.

2. Check the beginning balance before marking anything
Look at the beginning balance shown in the reconciliation window. Do not start selecting transactions if it is already different from the balance you expect.
If this is the first time the account has been reconciled, compare QuickBooks’ opening balance with the actual bank statement for the day before your business began tracking the account in QuickBooks. An incorrect opening balance is a common first-reconciliation problem.
If the account has been reconciled previously, compare the current beginning balance with the ending balance on the last completed reconciliation report. A mismatch usually means that something in an earlier period changed. It is not evidence that you should add a random deposit, expense, or journal entry to force the numbers to agree.
3. Open the reconciliation screen
- Sign in to QuickBooks Online and open Accounting.
- Select Reconcile.
- Choose the bank or credit-card account that appears on the statement.
- Enter the statement’s ending date.
- Enter the statement’s ending balance exactly as printed by the bank.
Labels can vary by region, role, and product rollout. If your screen uses a slightly different label, select the control that starts reconciliation for the chosen account and statement period.

4. Compare every listed transaction with the statement
Work through the reconciliation list against the statement, one item at a time. Select a transaction only when the date, payee or description, and amount correspond to the bank’s entry. Deposits, withdrawals, checks, electronic payments, fees, transfers, and interest may appear in different sections.
- Missing from QuickBooks: enter or otherwise account for the transaction using your normal bookkeeping procedure before completing reconciliation.
- In QuickBooks but not on the statement: leave it unselected and determine whether it is still pending, dated in another period, duplicated, or recorded in the wrong account.
- Duplicated: identify which entry is the valid transaction and correct the duplicate through your normal accounting process. Do not select both just to reduce the difference.
- Downloaded but not posted correctly: resolve its bank-feed status, category, match, or exclusion before relying on it in the reconciliation.
The cleared total and the calculated difference update as you select items. Keep comparing rather than selecting every line automatically; a zero difference obtained through an incorrect transaction is not a reliable reconciliation.
5. Recheck the statement details and finish at zero
Before completing the reconciliation, recheck the ending date and ending balance you entered, then confirm that the beginning balance is sensible. If the difference is not zero, stop and investigate the unmatched amount instead of inserting a balancing entry without evidence.
When the selected transactions produce a zero difference and the QuickBooks and bank balances agree, complete the reconciliation. Save or download the reconciliation report and retain it with the statement and supporting records.
Why is my beginning balance off?
The correct response depends on whether this is the first reconciliation or a later one.
First reconciliation: check the opening balance
For a newly tracked account, locate the bank statement covering the day immediately before the date on which you began recording activity in QuickBooks. Compare that bank balance with the opening balance in QuickBooks. If the values differ, trace how the opening balance was entered and whether transactions were also imported or entered for the same starting period.
Correct the opening-balance problem only after you can explain the difference from the bank statement and your accounting records. A balancing entry with no documentary support can make this reconciliation appear finished while carrying an error into every future period.

Later reconciliation: use the discrepancy report
For an account reconciled before, open the Reconcile Discrepancy Report or the equivalent report available in your company file. Its rows identify changes to reconciled activity and show the reported effect on the balance. Review the “What happened” details and the transaction history for each suspected change.
Compare the evidence with the bank statement and your own records before correcting anything. A report’s suggested correction is a lead to investigate, not proof that the underlying transaction was wrong.
Common causes of a changed beginning balance
- An opening balance was entered incorrectly.
- A previously reconciled transaction was edited, deleted, voided, moved to another account, or changed from reconciled to another status.
- A bank-feed transaction that had been categorized and reconciled was returned to pending.
- A transaction dated before the previous reconciliation was manually reconciled later.
- A transaction was entered twice, then one copy was removed or altered.
Deleted and voided activity may require the QuickBooks Audit log. Transactions reconciled manually can be reviewed in the account register. Check the date, amount, account, reconciliation status, and change history rather than assuming the most recently edited item is the cause.
Why doesn’t QuickBooks match my bank statement?
If the beginning balance is correct but the ending difference is not zero, narrow the problem by comparing the statement and QuickBooks in a consistent order.
Verify the account and statement period
Confirm that the selected QuickBooks account corresponds to the statement and that the statement ending date is correct. A transaction posted on the first day after the statement period should not be selected for the earlier reconciliation, even if it was downloaded before you started.

Outstanding checks, deposits in transit, card settlements, and electronic payments can be present in QuickBooks but absent from the statement. Leave those items unselected for the current period and carry them into the next reconciliation. Do not delete a valid outstanding transaction solely because it has not cleared.
Check for omissions and duplicates
Compare statement lines with the QuickBooks list by amount and date, then use the bank description or reference number to distinguish similar payments. A missing bank fee or interest credit can account for a small residual difference; a duplicated transfer can account for a larger one. Record the transaction in the appropriate account before selecting it in reconciliation.

Review changed reconciled transactions
If a prior reconciliation report no longer agrees with its statement, inspect the discrepancy report, transaction history, Audit log, and account register. Editing an amount, changing an account, voiding a payment, deleting a transaction, moving it, or changing its status can alter a later beginning balance.
Do not force a zero
A forced adjustment hides the cause and can distort income, expenses, accounts receivable, accounts payable, or the opening balance. Use an adjustment only when your accountant has determined that it represents a real, documented difference and has specified the correct account and date.

Start with the smallest correction supported by evidence. If the problem is a transaction changed in error, restore or correct that transaction in a way that preserves the underlying business event and the audit trail. If the error affects a closed or reported period, ask an accountant how to record the correction before editing it.
When the opening balance is wrong
- Identify whether the account is in its first reconciliation or a later one.
- For a first reconciliation, compare the opening balance with the prior-day bank statement and trace the original entry.
- For a later reconciliation, run the discrepancy report and list every changed reconciled item and its reported effect.
- Inspect transaction history, the Audit log when relevant, and the account register.
- Compare each suspected change with the statement and supporting accounting records.
- Correct only the change that was actually made in error, then recheck the beginning balance and reconciliation difference.
If you cannot establish which entry is wrong, pause and consult an accountant. The safest correction is not always the one that makes the screen reach zero fastest.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How do I unreconcile one transaction in QuickBooks Online?
Unreconciling one transaction is different from undoing an entire reconciliation. Use this narrower option only after verifying that the individual item is the cause of the problem.
- Open the account register for the affected account.
- Locate the transaction.
- In its reconciliation-status field, cycle the status from R (reconciled) to C (cleared), and then to blank (uncleared), as required by the correction.
- Save the transaction and return to reconciliation to verify the effect.
Removing a cleared or reconciled status can change the next reconciliation’s beginning balance. Verify the statement, date, amount, and account before changing the status, and preserve any documentation that explains why the correction was made.

How do I undo a reconciliation in QuickBooks Online?
Undoing a full reconciliation is a much broader action than unreconciling one transaction. Intuit’s instructions state that a full undo:
Best Value
- undoes the selected reconciliation and any reconciliations completed after it;
- reverts reconciled transactions to cleared or uncleared status;
- resets the account’s beginning balance to the ending balance of the previous reconciliation; and
- deletes the reconciliation report and its attachments.
Download or save any attachments and reports you need before starting. Because later reconciliations are affected, record which periods will need to be reconciled again and make sure you have the statements for each of them.
Current QuickBooks Online help identifies Primary Admin, Company Admin, an in-house accountant, and an accountant user with access to the client company among the roles that may undo a reconciliation. Permissions and screens can change, so confirm the options shown in your account.
Use a full undo only when the evidence shows that the reconciliation itself must be rebuilt. If the correction is uncertain, affects a reported period, or involves an opening balance, consult an accountant first.

What to keep after reconciliation
- The bank statement used for the period.
- The completed QuickBooks reconciliation report.
- Explanations and support for outstanding items or corrections.
- Any downloaded attachments that could be lost if a reconciliation is undone.
- A note identifying who approved a correction to a reconciled period.
These records let you explain a future beginning-balance difference without guessing which transaction changed.
Plan availability and changing QuickBooks screens
Intuit’s workflow documentation says AI Powered Reconciliation is available only in QuickBooks Online Plus, QuickBooks Online Advanced, and Intuit Enterprise Suite. Product features and plan availability can change, so verify the current documentation and the options displayed in your subscription. The standard statement-based process described above does not depend on that feature.
When to involve an accountant
Ask an accountant or qualified bookkeeper for help when you cannot identify the source of a beginning-balance change, when a correction affects a previously reported or tax-sensitive period, or when you are considering an opening-balance adjustment or full reconciliation undo. QuickBooks supports accountant access for bookkeeping, tax preparation, and troubleshooting, but the appropriate correction depends on your records and reporting requirements.
