How to Recognize and Report a Phishing Email Before You Click

By Freedom251 Team · · 12 min read

Stop first: do not click a link, open an attachment, reply, download anything, or enter information while you are uncertain. Phishing emails impersonate trusted people and organizations to get a password, payment, personal data, or access to an account. They can look exactly like genuine correspondence, and polished grammar is not proof of safety.

Verify the request through a separate, trusted route, then report the message using your email provider and—when appropriate—the public reporting service for your country.

What a phishing email is

Phishing is a social-engineering attack. The sender pretends to be a bank, delivery company, employer, colleague, government office, online service, or someone you know. The goal is to make you disclose information, authorize a payment, sign in to a fake page, install malware, or continue a conversation that can be exploited later.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

An email may use a real logo, familiar wording, a copied signature, or a display name that matches a contact. A message can also come from a compromised account. Treat the request—not the visual appearance—as the thing to verify.

Warning signs to check without interacting

No single indicator proves that an email is malicious or safe. Look for several signals together, and verify independently when the request matters.

Signal What it can indicate Safe response
Unexpected request for a password, security code, identity document, bank details, or other private information The sender is trying to capture credentials or personal data. Do not reply or use the message’s form. Contact the organization through its known website, app, or telephone number.
Urgency, threats, or pressure to act immediately Stress is being used to bypass your normal checks. Pause. A genuine problem can be checked through an independent channel.
Unexpected invoice, refund, prize, delivery problem, or shared-document notice The message is creating a reason for you to click or pay. Check your account directly rather than following the email.
Display name and address do not match, or the address uses a look-alike domain The visible name may be hiding the real sender. Inspect the complete address, including the domain after the @ symbol.
A link’s displayed text differs from its destination The visible wording may conceal a phishing site. On a computer, hover without clicking to view the destination. On a phone, avoid tapping; use the organization’s app or type its known address yourself.
Unverified-sender or “via” indicator, or failed authentication The message may have arrived through an unexpected route. Use the indicator as a reason for caution, not as conclusive proof. Legitimate forwarded or third-party mail can produce similar labels.
Attachment you were not expecting The file may contain malware or a fake document. Do not open it. Confirm with the alleged sender using a known contact method.
Perfectly polished writing Modern phishing can be professionally written or generated with language tools. Judge the sender, request, destination, and context—not grammar alone.

Check the sender, destination, and context together

Compare the sender name with the full address. Read the domain carefully: an added word, misspelling, extra subdomain, or different country ending can matter. Authentication indicators and message headers can provide useful context, but they are technical signals rather than a verdict. An authentication failure or a “via” label alone does not establish that a message is malicious.

Ask whether you were expecting the communication. Did you recently place the order, request the reset, or share the document? An unexpected message can still be genuine, but it deserves independent verification before any action.

Why a convincing message can still be dangerous

Attackers copy branding, writing style, signatures, and even the names of real employees. They may send a message from a breached mailbox, so the address can appear familiar and the conversation can contain accurate details. A grammatically perfect email is therefore not safer than one with obvious errors. Conversely, a real service can send a poorly formatted automated notice. Consider the requested action, the destination, and whether the message fits something you actually did.

Be especially cautious with requests that combine secrecy and urgency: “Do not call,” “keep this confidential,” or “complete this within 15 minutes.” Those instructions are designed to stop you from checking with a colleague, bank, family member, or support team. A legitimate organization should allow you to confirm a request through its normal channels.

What headers and authentication can—and cannot—tell you

Some mail services expose authentication results or full headers showing how a message traveled. These details can reveal a mismatch between the visible From address and the system that delivered the message. They are useful evidence for a provider or investigator, especially when you report the original message. They are not a guarantee of safety: forwarding services, mailing lists, and compromised legitimate accounts can create confusing results, while a sophisticated attacker can sometimes pass basic checks. If the technical information is unclear, stop and verify through a known-good route rather than trying to diagnose it yourself.

How to verify a message safely

  1. Stop interacting with the email. Do not click links, open attachments, reply, forward it to a colleague, or enter a password after following a message link.
  2. Leave the message and use a known-good route. Type the organization’s normal web address yourself, open its official app, or call a number from a card, statement, or previous trusted correspondence. Do not use contact details supplied in the suspicious email.
  3. Check the account directly. Look for the alleged invoice, alert, order, or support ticket after signing in through the independent route. If nothing is there, treat the email as hostile.
  4. Ask the supposed sender through a separate channel. Use a phone number already saved in your contacts or a new message created from a trusted address—not Reply.
  5. Report the email. Use your provider’s phishing control first. Then use a national reporting route if it applies to your country or if the message is part of a fraud attempt.
  6. Delete it after reporting. Keeping a copy can be useful if you need evidence, but do not continue interacting with the message.

On a desktop, hovering over a link can reveal its destination without opening it, but do not click while trying to inspect it. On a phone, a long-press may open a preview or menu and can still create risk; the safer choice is to leave the message and open the service’s app or type its address manually. Never paste a suspicious URL into another browser or scanning site unless your organization’s security team instructs you to do so.

Report phishing in Gmail

Google’s desktop Gmail instructions are: open the message, choose More, then select Report phishing. If the message is already selected in a list, use the available More menu without activating links or attachments in its body. Labels and menus can differ between desktop, mobile, and managed workplace accounts.

Reporting phishing is different from simply marking a message as spam. Google says that manually moving an email to Spam sends Google a copy of the email and its attachments for possible analysis to protect users from spam and abuse. Use the phishing option when the message is impersonating a trusted sender or trying to steal information; use Spam for unwanted bulk mail that is not necessarily a phishing attempt.

Report phishing in Outlook.com

In Outlook.com, select the message in the message list and choose Report, then Report phishing. Microsoft says reporting sends a report about the sender but does not block further messages from that sender. If you want to stop future mail, use the separate block or junk-mail control after reporting.

Sender verification marks, a visible-versus-actual From mismatch, and a “via” label can help you decide whether to investigate. None is conclusive on its own. A legitimate message routed through a mailing service or forwarded by another person can show similar indicators.

Public reporting routes by country

United Kingdom

If you are unsure whether an email is a scam, the UK National Cyber Security Centre (NCSC) says you may forward it to [email protected]. Do not click links before forwarding. Messages already in your spam or junk folder do not need to be forwarded.

The service analyzes the email and linked sites, uses submissions to monitor activity, and may work with hosting companies to remove malicious links. It says it acts on every message received but cannot tell an individual what happened to a particular report. The NCSC reported 454.8 k scam URLs removed as of July 2026; that figure is a cumulative total as stated on the page, not a yearly rate, and the page does not state its starting date.

This email-reporting route is not the same as reporting a crime after you have lost money or an account has been compromised. In England, Wales, and Northern Ireland, report fraud through Report Fraud. In Scotland, contact Police Scotland. Agency procedures can change, so check the current official instructions when you submit a report.

United States

The US Federal Trade Commission’s April 2025 consumer alert says to forward phishing emails to [email protected] and report the attempt at ReportFraud.ftc.gov. After checking and reporting the message, the FTC recommends deleting it.

Forwarding a suspicious email supplies intelligence to help providers and agencies identify campaigns. A report does not by itself recover money, reverse a transfer, or restore an account. If you suffered a loss or disclosed credentials, follow the incident steps below as well.

Provider report, block, and crime report are different actions

Action Purpose What it does not do
Report phishing to Gmail or Outlook.com Flags the message and sender for the email provider’s detection and abuse systems. It does not guarantee removal of every copy or undo information you already disclosed.
Block the sender Applies a mail-delivery rule to reduce future messages from that address. It does not report the campaign to an agency, and attackers can switch addresses.
Forward to a public reporting service Provides intelligence about scam messages and malicious sites. It is not automatically a police report or a request to reverse a payment.
Report fraud or cybercrime Creates a victimization or crime report after money, credentials, or account access are affected. It cannot promise recovery; contact your bank or service provider separately.

These routes serve different audiences. A provider needs the message to improve filtering; a public service aggregates campaign intelligence; a fraud or crime service records harm to a person or organization. You may need more than one route, and none replaces changing a compromised password or calling a bank.

If you already clicked, replied, or shared information

Stop using the email and the linked page. Do not keep testing the link, arguing with the sender, or supplying more details. Treat the event as a security incident and act according to what was exposed.

If you entered a password or security code

  1. Use a device and browser you trust to navigate directly to the real service. Do not return through the email.
  2. Change the exposed password immediately. If you reused it anywhere else, change it on every affected service, starting with email and financial accounts.
  3. Enable multifactor authentication where available. Prefer an authenticator app, hardware security key, or other strong method offered by the service.
  4. Review recent sign-ins, recovery addresses, forwarding rules, sent mail, payment methods, and connected applications. Remove changes you did not make.
  5. Sign out other sessions if the service provides that control, and contact the provider’s official support channel if you cannot regain control.

If you disclosed bank or card details or sent money

  1. Call the bank, card issuer, or payment service immediately using the number on your card or statement.
  2. Explain that the information was exposed through phishing and ask what to freeze, replace, or dispute.
  3. Monitor transactions and alerts closely. A report to an email provider or agency does not reverse a transfer automatically.
  4. File a fraud report through the public route for your country, including the relevant UK route or the US FTC route above.

If you opened an attachment or installed software

Disconnect the affected device from networks if you suspect active malware, then use your organization’s or operating system’s trusted security process. Do not download a “cleanup” tool from the suspicious message. If the device belongs to an employer or school, contact its IT or security team immediately so it can preserve evidence and protect other accounts.

Common mistakes that make phishing worse

  • Trusting the logo or writing style: visual design and fluent language are easy to copy.
  • Using Reply to verify: the reply goes to the attacker or a compromised account.
  • Calling the number in the email: it may connect you to the scammer.
  • Assuming a security label settles the question: technical indicators can be missing, misleading, or affected by forwarding.
  • Reporting but not securing an exposed account: provider and government reports do not change a stolen password.
  • Blocking instead of reporting: blocking limits one address but gives no intelligence about the campaign.
  • Deleting before preserving needed details: if money or account access was affected, retain the original message and relevant transaction information for your bank, employer, or investigators.

A quick decision checklist

  • Was the message unexpected or asking for secrecy, urgency, payment, credentials, or personal data?
  • Does the full sender address match the organization and the context?
  • Does a link destination match the displayed text and the organization’s real domain?
  • Can you verify the request through an app, a website you type yourself, or a trusted phone number?
  • Have you reported it through Gmail, Outlook.com, or your provider’s equivalent phishing control?
  • Do you need to block the sender separately?
  • If you clicked or disclosed information, have you changed affected passwords, enabled multifactor authentication, checked activity, contacted your bank, and filed the appropriate fraud report?

When uncertain, the safest sequence is pause, verify independently, report, and then delete. That process protects you without requiring you to decide from appearance alone whether an email is genuine.

Frequently Asked Questions

What should I do if I am not sure an email is a scam?

Do not click, reply, open attachments, or enter information. Open the alleged organization’s app or type its known website address yourself, then check whether the request appears there. You can also call a trusted number from a statement or card. If uncertainty remains, report the message through your provider’s phishing control.

How do I report a scam email in Gmail?

Open the message, select More, and choose Report phishing. This is different from moving ordinary unwanted mail to Spam. Reporting helps Gmail analyze the message; it does not recover information you may already have disclosed.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Does reporting phishing in Outlook.com block the sender?

No. Microsoft says reporting sends a report about the sender but does not block further messages. Use the separate block or junk-mail control if you want to reduce future mail.

Where should UK readers forward a suspicious email?

If you are unsure whether it is a scam, forward it to [email protected] without clicking links. Emails already in spam or junk do not need to be forwarded. If you lost money or an account was compromised, use Report Fraud in England, Wales, or Northern Ireland, or contact Police Scotland in Scotland.

Where should US readers report phishing?

The FTC’s April 2025 consumer alert says to forward phishing emails to [email protected] and report the attempt at ReportFraud.ftc.gov. Delete the message after checking and reporting it.

What if I already entered my password or card details?

Go directly to the real service, change the exposed password everywhere it was reused, enable multifactor authentication, and review account activity. For card or bank details, call the issuer immediately using a trusted number and ask about freezes, replacement, and disputes. File the appropriate fraud report as well; reporting does not automatically reverse a payment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Should I delete a suspicious email immediately?

Report it first when possible. If money, account access, or malware is involved, preserve the original message and transaction details for your bank, employer, provider, or investigators. Do not continue interacting with it, and delete it after the relevant reports are complete.

The Bottom Line

Bottom line: pause before interacting, verify through a known-good channel, report the message to your provider and the appropriate public service, then secure any account or payment information that was exposed.
