Keep dated drafts, preserve your writing application’s revision history, retain original files and their metadata, record every contributor and contract, and add an independent timestamp or hash record. Together, those records show how the manuscript developed and when each stage existed.
That evidence can support an authorship claim or reassure a publisher, but it does not automatically decide ownership. Employment, work-made-for-hire, commissioning, joint authorship and written assignments can give rights to someone other than the person who typed the words.

The proof is a chain of evidence, not one “created” date
When someone asks, “How can I prove I wrote this story?”, they are usually asking two different questions:
- Who created the text? This is an authorship question. Drafts, revision behavior, account records and consistent manuscript history help connect a person to the creative work.
- Who owns the rights? This is an ownership question. A creator may not be the final rights holder if an employment, work-made-for-hire, commissioning, joint-work or assignment arrangement applies.
The U.S. Copyright Office says, “Generally, the author of a work is the person or persons who created the work,” and asks applicants to identify the full name of the person who created it unless the work is anonymous or pseudonymous. That starting presumption is different from a courtroom finding about a disputed manuscript, and it is different again from a contract that transfers rights.

A credible proof packet lets another person follow the story’s chronology: an early concept, successive revisions, preserved source files, application history, identifiable contributors and an independent record showing that particular files existed by particular dates. No individual item has to carry the entire argument.
What each type of evidence can and cannot establish
| Record | What it helps show | Important limitation |
|---|---|---|
| Dated drafts | The work changed over a sequence of identifiable stages. | A date in a filename can be altered, so it is stronger when supported by storage history, application logs or independent records. |
| Application revision history | Edits occurred in an account or repository over time and can reveal how passages developed. | Access, permissions, exports and retention settings can affect what remains available; history alone does not resolve ownership. |
| Original source files | The document, embedded properties and native structure were preserved. | Copying or editing can change properties. Never rely on a single working copy. |
| File metadata | Author fields, creation or modification context and software details can corroborate other records. | Metadata can be edited, stripped or changed by copying files or changing a system clock. It is supporting provenance, not a complete authorship verdict. |
| Hash and independent timestamp | A particular file or digest existed no later than the recorded time and later changes can be detected. | It proves existence by a time more directly than it proves who authored every word. |
| Contracts and contributor records | Who was engaged, which passages each person created and how rights were allocated. | A contract may alter ownership even when one person did most of the writing; the governing law and exact language matter. |
| Registration or service receipts | That a filing, deposit or timestamp transaction occurred on a stated date. | A receipt is another dated record, not a substitute for the underlying drafts, history and agreements. |
Build an evidence trail while you write
Start before a dispute arises. A record made during normal writing is usually easier to explain than a collection assembled after someone challenges your authorship.
1. Create a stable project folder and naming convention
Use one project folder and a predictable filename for every milestone. A pattern such as story-title_YYYY-MM-DD_v01 makes the sequence visible without depending on a single application’s labels. Include the date of the saved milestone, not merely the date you first created the folder.
Keep working material in a separate subfolder from exports and evidence. For example:
01_sourcefor native files such as a word-processing document or writing-project file.02_exportsfor periodic read-only snapshots.03_historyfor revision-history exports or repository logs.04_metadatafor property reports and notes about the files.05_rightsfor contracts, releases and contributor statements.06_timestampsfor hashes, timestamp receipts and registration receipts.
Do not mix an edited replacement into the folder under the same filename. If a file needs correction, save a new version and note what changed.
2. Save a new version after substantial edits
Make a new source-file version after a meaningful rewrite, a completed chapter or another milestone you can describe later. Keep the prior version untouched. A useful version note records the date, the kind of work completed and the people who contributed; it does not need to contain a literary critique.
For a manuscript, milestones might include outline, first complete draft, structural revision, line edit, fact-check revision and submission copy. The purpose is not to manufacture a long trail. It is to preserve the real sequence of work.
3. Export periodic snapshots without discarding the source
Export a non-editable snapshot, such as a PDF, at important milestones while retaining the native source file beside it. The export is easier to share and review; the source preserves the application’s structure and properties. If the export changes pagination or removes comments, keep both forms and document which one is the source.
Never convert the only copy and then continue editing that converted file. That can remove revision data and alter metadata that would have helped establish provenance.

4. Preserve the application’s revision history
If your writing application or repository records revisions, keep that history with the project. Preserve the account or repository identity, the document title, the dates shown for major revisions and the history’s export function, if one exists. When the project is complete, export the log or capture a durable record that another person can inspect.
Cloud history is useful because it can show intermediate states rather than a single final upload. It is still only one layer: an account can have multiple editors, a history can be truncated by settings or retention rules, and the history does not by itself say who owns the copyright.

5. Capture metadata without treating it as conclusive
For each important source and export, save a report of the visible properties: filename, file type, size, creation and modification values, author or company fields, application version, comments and embedded document properties. Keep the original file unchanged beside the report.
Creation and modification dates are easy to misinterpret. Copying a file can produce a new date, and changing a computer’s clock can create a false one. Metadata becomes more persuasive when it agrees with the revision log, account activity, dated drafts, storage history and independent timestamp records.
6. Hash milestone files and obtain an independent timestamp
A cryptographic hash is a compact fingerprint of a file. Calculate a digest for the final manuscript and, where practical, for major milestones. Store the exact filename, hash algorithm, digest, calculation date and the file’s size in a plain record that you do not later overwrite.
Common systems can calculate a SHA-256 digest locally. On a Unix-like system, a command such as sha256sum story-title_2026-10-17_v07.docx prints the digest. On Windows, certutil -hashfile story-title_2026-10-17_v07.docx SHA256 performs the equivalent calculation. These commands create a hash; they do not independently prove when the file existed.

A timestamp record binds the file or digest to a time. RFC 5544 describes timestamped data that can carry content, a filename, media type, claimed-author information, hash protection and temporal evidence; its temporal-evidence field addresses whether the timestamped document existed before a stated point.
7. Keep redundant, read-only backups
Maintain at least one backup that is read-only or offline. Keep another copy in a separate location or storage account, and preserve the timestamp and hash receipts with the evidence packet. A backup is not proof by itself, but it prevents a damaged or overwritten working copy from destroying the chronology.
Are Google Docs version history and Word metadata enough?
Google Docs or another cloud editor
A cloud editor’s revision history can be strong supporting evidence when it shows a coherent sequence of edits in an account you control and when you preserve an export or other durable record. It is most useful when the history contains substantial intermediate text, not only a final document created immediately before a dispute.

Do not rely on a screenshot alone. Preserve the document export, the account or repository identity, the history export if available, and the surrounding drafts. A history record also cannot identify which collaborator wrote a passage unless the application’s account and permission records make that attribution clear.
Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Clear out junk files and repair common Windows errors3Fix the driver behind crashes, sound loss and screen glitchesMicrosoft Word or another desktop editor
Word’s document properties can corroborate a timeline, but author, creation and modification fields are editable and can change when a file is copied or processed by another program. Keep the original native file, an exported snapshot, the property report and the external records that independently place the file in time.
Email attachments and cloud storage dates
An email sent to an editor or a file stored in a service can add useful context because the message or storage event may show when a particular attachment existed. Treat it as another link in the chain, not as a replacement for drafts and revision history. Preserve the original message or export rather than forwarding a re-created attachment.
What a timestamp proves—and what it does not
A timestamp answers a narrow question: did this file or this hash exist by time T? That is different from asking who wrote every word. A service may be able to show that a digest was submitted by an account at a particular moment, but the timestamp does not independently verify the account holder’s identity or the creative process behind the file.
Identity comes from a coherent combination of account ownership, dated drafts, revision behavior, preserved originals, contributor records and contracts. Integrity comes from immutable exports, hashes and protected metadata. Independence comes from a record held outside the writing application or your own computer. A persuasive packet uses all three ideas instead of treating a timestamp as a magic authorship certificate.
Record every contributor and the agreement governing rights
Make a rights log during the project. List the claimed author, coauthors, editors, researchers, translators, illustrators and anyone who supplied original passages. For each person, note what they created or changed, the dates of their contributions and the agreement that governs the work.
Keep signed contracts, assignment clauses, contributor releases, invoices and written approvals in the rights folder. If a collaborator wrote a chapter, keep a record identifying that chapter rather than describing the person vaguely as an editor. A contemporaneous note explaining who supplied which material can prevent a later argument over joint authorship.
United States ownership rules can change the result
Under U.S. law, the author is generally the initial owner, but 17 U.S.C. §201 recognizes joint works and work-made-for-hire rules. The U.S. Copyright Office explains that a work made for hire may be created by an employee within the scope of employment or by certain commissioned arrangements covered by a signed agreement. Therefore, proving that you wrote passages does not necessarily prove that you own all rights in them.
United Kingdom commissioning and employment
The UK Intellectual Property Office says that, for literary, dramatic, musical or artistic works, the author or creator is usually the first copyright owner. It also notes that a commissioned creator usually remains the first owner unless the parties agree otherwise in writing, and that an employer should keep careful records of which people created the work and which contractual agreements were in force.

These statements are jurisdiction-specific examples, not a universal rule. If a real dispute involves an employer, commissioner, publisher or coauthor, have a lawyer in the relevant jurisdiction review the contracts and evidence.
Assemble a repeatable evidence packet
At the end of the project, make a read-only copy of a packet another person can inspect without touching your originals. Include:
- A chronology listing each milestone, filename, date, contributor and short description of the change.
- The native source files for representative early, middle and final versions.
- Read-only exports that match those milestones.
- The application’s revision-history export or repository log.
- Metadata reports for the files, with an explanation of any unusual date or author field.
- Hash records and independent timestamp receipts for the final file and important milestones.
- Signed contracts, assignments, releases and notes identifying each contributor’s work.
- Backup details and the date on which the packet was sealed or copied to read-only storage.
Keep the originals untouched. Create a redacted sharing copy if the packet contains private addresses, account identifiers, unpublished chapters or other personal information. Never alter the original merely to remove sensitive details; work on a duplicate and record what was redacted.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Choose evidence by the question you need to answer
| Evidence method | Continuity | Integrity | Attribution | Independence | Privacy concern |
|---|---|---|---|---|---|
| Dated drafts | High when saved throughout the project | Moderate unless originals and hashes are preserved | Depends on who controlled the files | Low if kept only on one computer | Unpublished text must be protected when shared |
| Revision history | High for the period retained by the application | Moderate; export and retention controls matter | Can be strong when account-level editors are identifiable | Usually tied to the application provider | May expose comments, collaborators or personal account data |
| Metadata | Low by itself | Low to moderate because fields can change | Author fields are corroboration, not proof | Low when generated only on your device | Properties can reveal names, paths or organization details |
| Hash plus trusted timestamp | Shows selected points in time rather than every edit | High for detecting changes to the hashed content | Limited; it links content to a submission, not every writer | Higher when held by an independent service | Hashing can reduce disclosure, but receipts still contain identifiers |
| Contracts and rights log | Shows the relationship and agreed scope | Does not protect the text from later alteration | Strong for identifying roles and obligations | Independent only if signed and retained by all parties | May contain confidential commercial terms |
How to answer a publisher or an authorship challenge
When a publisher asks you to demonstrate that you wrote a manuscript, provide a concise chronology first, then enough representative material to make it verifiable. A practical sequence is:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Identify the manuscript, your role and the final filename.
- Show three or more meaningful stages, including an early version and the final version.
- Provide the revision-history export or a readable log for the period in question.
- Attach metadata reports and explain any date that changed because of copying or conversion.
- Provide the hash and timestamp receipt for the final file, with the exact hash algorithm and digest.
- Identify coauthors, editors, employers or commissioners and attach the relevant rights clause or release.
- Send redacted copies through a secure channel while retaining the untouched originals.
If the challenge concerns a particular paragraph, point to the earliest draft in which it appears and the later revisions that developed it. If another person contributed that passage, say so and rely on the written agreement rather than implying sole creation.
Common mistakes and how to recover
Overwriting the only draft
Problem: The final file contains no visible history and the earlier wording is gone.
Recovery: Look for automatic backups, cloud snapshots, email attachments, local temporary files and external drives. Preserve whatever you find as a separate, read-only version and record where it came from. Do not rename it to suggest a date you cannot establish.
Relying on a filename date
Problem: A name such as final_2026.docx is easy to change.
Recovery: Pair the file with storage history, application revisions, messages, metadata reports and an independent timestamp. State clearly which date is confirmed and which is only the date you assigned in the name.

Editing metadata after the dispute starts
Problem: Changing author fields or system dates can make the record look manufactured.
Recovery: Stop editing the original. Preserve its current state, make a forensic copy for any necessary analysis and document every subsequent action.
Sharing only screenshots
Problem: Screenshots omit file structure, embedded properties and the ability to verify a hash.

Ignoring collaborators or contracts
Problem: A claim of sole authorship conflicts with a coauthor’s draft, an employer’s records or a commissioning agreement.
Recovery: Build a passage-level contribution log and present the signed agreement. Resolve the ownership question separately from the question of who physically entered the text.
Can you prove authorship without registering copyright?
Yes, authorship evidence can exist without a registration receipt. Dated drafts, revision history, original files, metadata, hashes, timestamps and contributor agreements can establish a chronology and connect the work to a person. A registration or timestamp receipt is an additional dated record, not the entire proof.
Whether registration is required, what benefits it provides and how a court weighs it depend on the jurisdiction and the timing of the dispute. Keep any registration receipt with the packet, but do not discard the underlying evidence or contracts.
Legal limits and the practical standard
No record-keeping workflow guarantees a particular result. The weight given to metadata, cloud history, timestamps and registration records varies with the forum and the facts. A timestamp can show that a file existed; it cannot, by itself, prove that you wrote it. A metadata field can support your account; it cannot, by itself, overcome a contrary contract or credible evidence from a collaborator.
The practical standard is coherence. Your account, drafts, revision behavior, account records, file properties, independent timestamps and agreements should tell the same story. Preserve that chain as you work, keep originals read-only, and obtain advice in the relevant jurisdiction before relying on it in a live dispute.
