Protect your tax records during an IRS dispute by verifying the contact and response route, sharing only relevant documents through a confirmed channel, securing paper and digital copies, and keeping a dated record of every exchange. You still need to respond to a valid notice and provide information the law requires; privacy rights are not permission to ignore the case.
First, verify the notice and how to respond
Read the notice itself and identify the tax year, issue, records requested, response method, and deadline. Follow that notice’s instructions. If something is unclear, verify contact details through IRS.gov or with the assigned IRS employee rather than trusting an unexpected caller, email, text, or social-media message.

The IRS says it does not initiate contact through email or social media to request personal or financial information. Do not click unexpected links, open attachments, or send a full Social Security number (SSN), bank details, tax return, or notice image through ordinary email or an unverified upload link. There is no single submission method established for every dispute: use the channel on the genuine notice or one confirmed by the IRS employee handling your case. Collect documents that address the issue named in the notice. Keep your originals and send copies unless the IRS specifically tells you otherwise. Before submitting anything, confirm that the recipient and route are genuine. If you are unsure whether a document is relevant or how much information to include, ask the assigned IRS employee or an authorized representative.

The Taxpayer Bill of Rights says IRS inquiries and enforcement actions should be no more intrusive than necessary, and that return information should not be disclosed unless authorized by the taxpayer or by law. That protects you against unnecessary intrusion and unauthorized disclosure; it does not prevent the IRS from requesting relevant information under its authority. During an audit, IRS privacy guidance says that without a reasonable indication of unreported income, the agency will not seek intrusive, extraneous information about a taxpayer’s lifestyle. That policy is not a guarantee that an audit will never involve questions about personal or financial circumstances. Read the IRS Taxpayer Bill of Rights and IRS privacy guidance.
Secure the paper and digital copies you keep
Paper records
Store the notice, returns, and supporting documents somewhere secure, especially any document showing your SSN. Limit access to people who need it. A lockable or fire-resistant document box or pouch is an optional home-storage measure, not a product endorsed by the IRS.
Digital records and account access
Use a unique, strong password for your IRS Online Account. Keep your computer and security software updated, use reputable firewall and anti-virus protections, and avoid shared or public computers for sensitive tax work. Follow the IRS’s current account-security instructions, including its guidance on multifactor authentication. IRS Identity Protection Tips

Keep a case file and communication log
Keep the notice, copies of what you submit, and proof of delivery or online submission. Record the date and substance of calls and other contacts, including the name or identifying details of the person you spoke with when available. The IRS specifically advises people dealing with identity theft to retain records of letters, phone calls, and emails; the same organized file can help an authorized representative understand the dispute. IRS Taxpayer Guide to Identity Theft
There is no one retention period established here for every individual’s dispute file. How long to keep records can depend on the tax year, issue, amended returns, assets or carryovers, extensions, and whether an appeal, litigation, or collection matter remains open. IRS guidance on machine-sensible business records addresses a specific business-record context, not a universal deadline for individual dispute records. IRS business recordkeeping guidance

- Stop engaging with the suspicious contact. Do not reply, click links, open attachments, or use contact details supplied in the suspicious message.
- Secure your account. Change the password for your IRS Online Account and follow the instructions in any genuine IRS letter. Use official IRS channels to report suspected tax-related identity theft.
- Consider an IP PIN. The IRS offers an Identity Protection PIN (IP PIN) process that helps prevent someone else from filing a federal return using your SSN or Individual Taxpayer Identification Number. Follow the IRS’s current instructions for eligibility and enrollment.
- Preserve the evidence. Keep the suspicious message or other incident details when safe to do so, as well as a dated record of related IRS contacts and letters.
Use the IRS’s identity-theft guide for individuals for the appropriate reporting steps, and its identity protection tips for account and personal-information safeguards. A paid identity-monitoring service is not a substitute for an IP PIN, IRS instructions, or professional help with the dispute.

Know which privacy and records procedures apply
A Privacy Act request is not the general way to obtain or correct a federal tax return record. The IRS says federal tax records are exempt from Privacy Act access or amendment procedures. To correct a filed individual return, Form 1040-X or another applicable tax procedure may be appropriate; for information in an open case file, a taxpayer working directly with an IRS employee can ask that employee. Check the current IRS instructions for the situation before filing anything. IRS information about access to records through the Privacy Act

You have the right to retain an authorized representative. Consider consulting a qualified tax attorney, certified public accountant, or enrolled agent if the issue is complex, the amount is substantial, the notice raises a potential fraud allegation, collection action is underway, or the response deadline is approaching. Confirm that the person is authorized to represent you before sharing records, and agree on a secure way to exchange sensitive documents. The IRS’s Taxpayer Bill of Rights describes the right to representation.
