The privacy checklist to use before every call
Use this sequence for a private meeting, a work call or a casual conversation:
As an Amazon Associate I earn from qualifying purchases.
- Update the operating system and calling app through their official update channels. Security fixes are useful only after they are installed.
- Review camera and microphone permissions. On Windows, open Settings > Privacy & security > Camera, then repeat the review under Microphone. Turn off access for apps that do not need it. Windows documents exceptions, so do not assume one switch controls every hardware or system scenario.
- Use a fresh invitation or meeting code for a private conversation rather than reusing a public or recurring link.
- Turn on a waiting room or lobby when the service offers one. Admit only people you recognize and expect.
- Check the participant list during the call. Remove or block anyone who should not be present.
- Preview your camera image. Look for documents, whiteboards, badges, mail, family photographs, windows, reflections and location clues.
- Share one application window instead of the whole desktop whenever possible. Close unrelated documents and notifications before presenting.
- Look for recording, transcription, live-caption or note-taking indicators. Identify who controls the output and where it will be stored.
- Verify the actual encryption mode if the conversation is confidential. Check the call type, account or plan, organizer setting and features covered; an “encrypted” label alone is not enough.
- Mute and switch off video when they are unnecessary. A compatible physical webcam cover can block the camera when it is not in use, but it cannot block the microphone or replace software permissions.
Control camera and microphone access at the device level
Windows permission settings
Windows separates camera and microphone privacy controls. Go to Settings > Privacy & security > Camera to review which applications can use the camera, then open Settings > Privacy & security > Microphone for audio access. Disable permissions for software that has no reason to use either device.

A browser, desktop client, recording utility or virtual-camera tool may appear separately. Windows also documents exceptions to the normal permission model, so treat the settings as an important control rather than a guarantee that every possible hardware path is disabled.

Check the selected devices inside the call app
Permission is only one layer. In the app’s audio and video settings, confirm which camera and microphone are selected. A laptop may have an internal microphone, a headset microphone and a monitor microphone available at the same time. Select the device you intend to use and disconnect or mute alternatives that could capture sound unexpectedly.
Use a physical cover only for the camera
A sliding webcam shutter or other compatible cover provides a simple visual and physical barrier when the camera is not needed. Check that it fits the bezel and does not prevent the laptop from closing. It has no effect on microphone access, screen sharing, recordings or software permissions, so it should supplement—not replace—the operating-system controls.
Keep uninvited people out of the meeting
Waiting rooms and lobbies
A waiting room places people outside the live call until the organizer admits them. This gives the host a chance to compare each name with the invitation or a known contact. Keep the lobby enabled for sensitive meetings, and do not automatically admit everyone at once.
Some services let people listed on a calendar invitation enter directly while people outside that invitation must request access. That behavior means a forwarded calendar event may be enough to bypass a request screen, so restrict the invitation itself and remove people who no longer need it.
Prevent early entry
Look for a setting commonly labeled Join before host or Allow participants to join before the organizer. Disabling it keeps guests waiting until the host starts the session. This prevents an unattended meeting room from becoming an open conversation before the organizer arrives.

Use admission and removal controls actively
- Match the displayed name to the expected participant before admitting someone.
- Ask unknown attendees to identify themselves through a separate, trusted channel rather than admitting them to investigate.
- Remove an attendee who appears unexpectedly; do not rely on mute alone.
- Lock the meeting after everyone has arrived if the service provides that control.
- Do not post meeting links, access codes or screenshots of invitations in public channels.
Understand what “encrypted” actually protects
Encryption in transit protects data while it travels between a device and the provider’s systems. End-to-end encryption (E2EE) is a narrower mode in which the provider is intended to have less ability to access the live media. The terms are not interchangeable, and E2EE commonly disables features that depend on server-side processing.
| Protection or setting | What it can protect | Important limits to verify |
|---|---|---|
| Encryption in transit | Helps protect media moving between the client and the service. | It does not by itself prevent the provider, an authorized administrator or a participant from accessing or recording content. |
| End-to-end encryption | Provides stronger confidentiality for the covered live media. | Availability depends on the call type, account, organizer setting, plan and supported clients. Chat, apps and recordings may be outside its scope. |
| Recording or transcription | Creates a stored copy that can be searched, downloaded or shared. | Storage location, retention period and access permissions must be checked separately from the live-call encryption label. |
Google Meet’s published scope
Google states that Meet data is encrypted in transit by default for browser meetings, the Android and iOS apps and meeting-room hardware. It also says recordings stored in Drive are encrypted at rest by default. Google says it does not store meeting audio or video unless recording, transcription or note-taking is activated.

Google’s consumer privacy information describes the newer Meet app’s one-to-one and group calls as end-to-end encrypted and not stored on Google’s servers. That statement should not be extended to every Meet meeting, Workspace call, recording or collaboration feature. Work or school account activity logs may be reviewable by the organization that administers the account.
Microsoft Teams’ published scope
Teams meeting E2EE is a Teams Premium capability that the organizer must enable before the meeting. Microsoft says it covers audio, video and video-based screen sharing. It does not cover apps, avatars, reactions, chat, filters or Q&A.
Teams Premium can also provide watermarks and screenshot-prevention controls in eligible configurations. Microsoft describes screenshot prevention as turning the meeting window black when someone attempts a screenshot, while warning that unsupported platforms may be limited to audio-only and that these controls do not stop every form of third-party capture. Treat them as configuration-dependent safeguards, not universal protection.

Questions to answer before discussing confidential information
- Is the call a one-to-one call, a group meeting, a webinar or a room-device session?
- Is E2EE enabled by the organizer, or is the session merely encrypted in transit?
- Which participants and devices can join under the stricter mode?
- Are chat, captions, reactions, apps, screen sharing or Q&A excluded?
- Can an employer, school or account administrator access logs or manage the policy?
Find and limit stored content
Recording
A recording changes a temporary conversation into a durable file. Before speaking, look for a recording indicator and identify who started it. Ask where the file will be saved, who can open it, how long it will remain available and whether participants can download or forward it. If the meeting is confidential, do not assume that stopping the visible recording also removes copies already exported by another participant.

Transcription, captions and notes
Transcription and automated note-taking can send audio or text to a service for processing and can create searchable summaries. Live captions may also be retained when a related transcript or recording is active. Turn these features off when they are not required, and review the access list for any generated document.
Participant recordings and external capture
A platform control cannot prevent every capture method. Another participant can use a phone, a second computer, an operating-system recording function or an external camera. Watermarks and screenshot prevention may deter or reveal some actions, but they do not make a conversation impossible to copy. Share only information you would be prepared to see reproduced.
Share less through the camera and screen
Prepare the camera frame
Move paperwork, identity cards, shipping labels and medication out of view. Check mirrors, glass doors and shiny surfaces for reflections. A virtual background can hide part of a room, but inspect the preview because edges, motion and accidental exposure can reveal more than expected. Turning the camera off is the strongest way to avoid visual leakage when video is not needed.
Share a window, not the desktop
Desktop sharing can expose private messages, password managers, browser tabs, cloud-drive names, notifications and personal files. Select a single presentation or application window. Before sharing, close unrelated tabs, pause notifications and verify that the chosen window contains exactly what the audience should see.

Use meeting-specific protections carefully
Some paid or administrator-managed configurations offer watermarks or screenshot prevention. Confirm eligibility, supported clients and the features covered. A control that protects the meeting window may not protect a phone camera, a second device, a copied file or content displayed outside the meeting window.
Separate organizer controls from participant controls
| Decision | Usually controlled by | What to verify |
|---|---|---|
| Waiting room or lobby | Organizer, sometimes restricted by administrator policy | Who bypasses it, who admits guests and whether calendar invitees enter automatically. |
| Join-before-host | Organizer or account policy | Whether guests can talk or share while the organizer is absent. |
| Recording and transcription | Organizer, designated co-host or policy | Who receives the file, where it is stored and how retention is handled. |
| End-to-end encryption | Organizer, plan and administrator | Whether it is enabled before the call and which media or features remain covered. |
| Camera and microphone permissions | Device owner and operating system | Which apps have access and whether hardware or system exceptions apply. |
| Screen sharing | Organizer and participant settings | Who may share, whether a specific window can be selected and what viewers can capture. |
If you are a participant, ask the organizer about recording, transcription and encryption before disclosing sensitive information. If the answer is unclear, keep the camera off, avoid screen sharing and move the discussion to a channel with protections that have been verified.
Platform-specific checks
Google Meet
- Confirm whether the call is taking place in the consumer Meet app or as a Workspace meeting; the privacy properties differ.
- Check the participant-admission behavior: calendar invitees may enter without requesting access, while others may need organizer approval.
- Look for recording, transcription and note-taking indicators, then check the resulting Drive permissions.
- Remember that organization-managed accounts can expose activity logs to the employer or school administrator.
Microsoft Teams
- Ask whether the organizer enabled Teams Premium E2EE before the meeting.
- Do not assume that E2EE covers chat, apps, avatars, reactions, filters or Q&A; Microsoft limits the published coverage to audio, video and video-based screen sharing.
- Verify whether watermarks or screenshot prevention are available for the plan and client you are using.
- Expect unsupported platforms to have restrictions, which can include audio-only participation under stricter protection settings.
Other services
Names such as “private,” “secure” or “encrypted” are not enough to compare services. Read the provider’s documentation for the exact meeting type, account tier and feature set. Look specifically for admission rules, recording behavior, administrator access, encryption scope and supported devices.

The app still sees the camera after permission was disabled
Close the calling app and any browser tabs using the camera, then restart the app. Recheck the operating-system permission list and the app’s selected camera. If another utility provides a virtual camera, disable or quit it. Windows documents exceptions, so investigate device-specific or system-level access if the camera remains active.
A microphone is transmitting while you are muted
Confirm that the mute indicator belongs to the correct call and that the selected input is the intended microphone. Check for a headset or monitor microphone that remains active, and mute the hardware itself where available. For a sensitive conversation, revoke microphone permission or disconnect the device after leaving the meeting.

An unexpected person entered
Remove the person, stop sharing and check whether the invitation or access code was forwarded. Enable the lobby, disable join-before-host and issue a new meeting code. If the meeting link was posted publicly, assume it is no longer private.
A recording or transcript appeared unexpectedly
Stop the feature if you have authority to do so, notify participants and identify the storage location. Review sharing permissions and retention settings. If an organization controls the account, ask its administrator how the file is retained and who can access it.
A stricter encryption mode blocks a participant
Check whether the participant is using an unsupported browser, mobile client, room device or older app. Decide whether the meeting can proceed without that person or whether the discussion should move to a service and configuration that everyone can use. Do not silently downgrade protection for sensitive material.

A blanket statement that one platform is “private” is less useful than comparing the controls that affect your actual call. Use this framework:
| Comparison axis | Questions to ask |
|---|---|
| Admission | Who can bypass the lobby, who admits guests and can the meeting be locked? |
| Encryption | Is protection in transit or end-to-end, and does it cover audio, video, screen sharing, chat and other features? |
| Stored output | Can recording, transcription or notes be enabled, where are they stored and who controls access? |
| Authority | Which settings belong to the organizer and which are imposed by an employer, school or account administrator? |
| Device support | Can every required participant join while the desired privacy mode remains enabled? |
| Capture resistance | Are watermarks or screenshot controls available, and what third-party capture remains possible? |
For a routine social call, a unique invitation, a lobby and careful camera framing may be sufficient. For confidential work, verify encryption and storage controls in advance. For highly sensitive material, minimize the information shared, disable unnecessary features and remember that no software setting can stop a participant from photographing the screen.
