How to Protect Your Farm Data When Using Digital Agriculture Platforms

Protecting farm data requires two separate decisions: controlling who may use the records and securing how people and machines reach them. Review a platform’s data terms before connecting equipment, then enforce strong sign-in controls, maintain an independent copy, and test your exit plan. No security feature can fix an agreement that permits uses you do not accept, and favorable terms cannot prevent account takeover or data loss.

Start by defining what “farm data” includes

Do not limit your review to yield maps. A platform may combine operational records with information that identifies your business, people, or locations. Make an inventory before signup or before authorizing an integration.

As an Amazon Associate I earn from qualifying purchases.

Data group Examples to look for
Agronomic Field histories, planting and application records, prescriptions, yield data, soil observations and imagery
Land and location Field boundaries, coordinates, ownership or lease details and machine routes
Financial and management Budgets, invoices, production costs, contracts, schedules and business contacts
Machine and equipment Telemetry, settings, maintenance data, work logs and device identifiers
Weather and environmental On-farm observations, forecasts used by the service and environmental measurements
Livestock Animal records, movements, health information and feeding data
People and account information Employee names, contact details, roles, login records and support communications

Categories differ by product. Ask why each category is needed, which feature depends on it, and what stops working if you decline access. This turns a broad privacy statement into a list of concrete trade-offs.

Governance and cybersecurity answer different questions

Data governance covers collection, permitted uses, recipients, retention, portability and deletion. Cybersecurity covers authentication, authorization, software updates, backups and response to incidents. A unique password does not stop a provider from sharing data under its contract. Conversely, a restrictive data-use clause does not protect an account whose password has been stolen.

Who owns the records?

There is no universal answer that applies to every jurisdiction, contract or type of record. Look for the agreement’s definitions of customer data, provider data, derived data, aggregated data and intellectual property. Check whether you retain rights to raw records while the provider receives a license to host, analyze or create other outputs. Have counsel review language that affects land, employee, financial or personally identifiable information when the stakes justify it.

Can a provider sell or share farm data?

Search the terms for separate provisions on disclosure, sale, affiliates, analytics providers, advisers, equipment partners and aggregated or de-identified information. A statement that the provider does not sell data does not answer whether it may disclose data to contractors, use it for product development, combine it with other datasets, or retain copies after cancellation. Record the exact choices offered and how to change them.

Use a repeatable review before signup or connection

Complete this review for the platform itself and for every equipment, accounting, advisory or weather integration. Save a dated copy of the terms and privacy notice so you can identify later changes.

  • POWERFUL SECURITY KEY: The YubiKey 5C NFC is the most versatile physical passkey, protecting your digital life from phishing attacks. It ensures only you can access your accounts
  • WORKS WITH 1000+ ACCOUNTS: Compatible with popular accounts like Google, Microsoft, and Apple. A single YubiKey 5C NFC secures 100+ of your favorite accounts, including email, password managers, and more
  • FAST & CONVENIENT LOGIN: Plug in your YubiKey 5C NFC via USB and tap it, or tap it against your phone (NFC), to authenticate. No batteries, no internet connection, and no extra fees required
  • MOST SECURE PASSKEY: Supports FIDO2/WebAuthn, FIDO U2F, Yubico OTP, OATH-TOTP/HOTP, Smart card (PIV), and OpenPGP. That means it’s versatile, working almost anywhere you need it
  • PRIMARY & SPARE KEYS: Just like having a spare house key, we recommend buying two YubiKeys - one for daily use and one as a spare. That way you’ll never get locked out of your accounts
  1. Map the data flow. List what leaves the farm, which device or account sends it, where it is stored, and which functions require continuous access.
  2. Identify every recipient. Include the platform operator, integration partners, affiliates, cloud or analytics providers, support personnel and any other recipient named in the agreement.
  3. Test the consent model. Determine whether collection and sharing require explicit consent, whether permissions can be narrowed by data type or feature, and how withdrawal works. Note whether withdrawal disables a feature or merely stops future collection.
  4. Read use and disclosure limits. Look separately for service delivery, research, advertising, benchmarking, aggregation, de-identification, disclosure and sale language.
  5. Check retention and deletion. Find retention periods, backup-copy exceptions, legal-hold language, deletion requests, and the point at which access ends after cancellation.
  6. Verify portability. Ask for export formats, included fields, export frequency, fees, API limits, and the length of time exports remain available after termination. Request a sample export when possible.
  7. Inspect security and liability terms. Identify stated safeguards, incident-notification commitments, subcontractor responsibility, service limitations and any cap on damages.
  8. Confirm product scope. If the provider cites an Ag Data Transparent certification, verify that the specific product and current terms are within its scope and read the provider’s answers rather than relying on a badge.
  9. Document the decision. Keep the approved data categories, recipients, consent settings, export procedure and responsible staff member in the farm’s records.

Compare platforms on evidence, not slogans

Use the same questions for each candidate. A platform that is strong on authentication may still be weak on portability, while another may offer clear data-use limits but poor account administration.

Comparison axis Evidence to record
Collection and purpose Categories collected and the stated reason for each
Control and consent Who authorizes collection or sharing and how permissions can be changed
Recipients and use Integration partners, affiliates, analytics, disclosure, sale and aggregation terms
Portability Export availability, format, frequency and ability to move records
Retention and exit Retention periods, deletion terms, post-termination access and revocation process
Account security MFA options, user roles, access reviews and account-recovery controls
Transparency Clarity of answers, date of current terms, certification status and certification scope
Operational fit Whether controls work with your equipment, connectivity, staff and recordkeeping routine

No universal ranking establishes one farm platform as the most secure. Choose based on the evidence for your operation, and treat an unanswered question as a procurement risk that needs clarification.

Secure accounts, users and integrations

Turn on multifactor authentication

Enable MFA for every platform account and for the email account used to reset it. CISA states: “Strong passwords help, but they are no longer enough to keep accounts and systems safe when used alone.” Start with administrators and anyone who can export records, invite users, alter permissions or authorize integrations.

Consider a phishing-resistant security key

Where supported, a FIDO/WebAuthn physical security key can provide strong phishing-resistant MFA. Confirm that the farm platform, email provider, browsers and the specific account-recovery process support the key before purchasing or enrolling it. CISA’s recommendation does not establish that any particular farm platform accepts any particular key model. Keep a recovery method under controlled access and document who is authorized to use it.

Apply least privilege

  • Give staff only the roles needed for their work.
  • Limit export, user-invitation, billing and integration-management rights.
  • Review administrators and connected services on a schedule, especially after seasonal staffing changes.
  • Remove former employees promptly and revoke tokens or integration accounts that no longer have a business purpose.
  • Use separate accounts for service connections instead of embedding a personal administrator credential in equipment or scripts.

Keep the access path maintained

Update phones, computers, browsers, mobile apps and equipment-connectivity components. Updates reduce known weaknesses but do not guarantee that an account or device cannot be compromised. Protect the email account used for password resets as carefully as the farm platform itself.

  • BUILT TO LAST: Made from tough, waterproof, and crush-resistant materials. Manufactured in Sweden and programmed in the USA with the highest security standards.

Build an independent copy and test it

Platform availability is not the same as farm-controlled access. Export important records on a regular schedule and keep a second copy that does not depend on the provider’s login system.

  1. Choose a schedule. Set exports around operational events, such as planting, harvest, treatment completion or month-end accounting, rather than waiting for cancellation.
  2. Use a usable format. Prefer files that can be opened or moved to another service. Preserve the platform’s field names, timestamps, coordinate system and relationship between records.
  3. Verify the export. Open a sample, check expected fields and confirm that attachments, maps and historical versions were included when required. This is an operational control, not something a provider’s marketing claim can substitute for.
  4. Encrypt the copy. Encrypt laptops, phones, removable media and external drives. Restrict the people who can unlock the backup.
  5. Disconnect removable media. After a backup finishes, disconnect an external drive. CISA warns that a connected drive can also be exposed to ransomware.
  6. Keep more than one recovery path. Maintain a second copy in a separate location or protected service, while ensuring its own terms and access controls are acceptable.
  7. Record the procedure. Write down the export path, credentials or roles required, storage location, encryption method and the person responsible for the next test.

A backup protects against loss and outage; it does not by itself solve a provider’s restrictive license or make an unusable export portable.

Plan the exit before you depend on the service

Portability is easiest to negotiate before equipment and staff workflows are tied to one platform. Ask these questions while evaluating the service:

Yubico - Security Key C NFC - Basic Compatibility - Multi-Factor authentication (MFA) Security Key and passkey, Connect via USB-C or NFC, FIDO Certified (Pack of 2)
  • The information below is per-pack only
  • POWERFUL SECURITY KEY: The Security Key C NFC is the essential physical passkey for protecting your digital life from phishing attacks. It ensures only you can access your accounts.
  • WORKS WITH 1000+ ACCOUNTS: Compatible with Google, Microsoft, and Apple. A single Security Key C NFC secures 100 of your favorite accounts, including email, password managers, and more.

  • Can an administrator export all raw records, including historical data and attachments?
  • What format is supplied, and can another system read it without proprietary software?
  • Are exports self-service, rate-limited or fee-based?
  • How long can the farm retrieve data after cancellation?
  • Which copies remain in backups, analytics stores or partner systems?
  • How do you revoke equipment feeds, APIs, tokens and user sessions?
  • Can the farm request deletion, and what exceptions permit retention?

Cancellation checklist

  1. Export and verify the records while the account is active.
  2. Save invoices, configuration details, maps and documentation needed to interpret the files.
  3. Revoke integrations, API tokens, mobile sessions and third-party authorizations.
  4. Remove users and change credentials that may have been shared with the departing provider.
  5. Submit deletion requests where available and ask for written confirmation of the applicable retention period and backup-cycle exceptions.
  6. Keep the final export and the provider’s confirmation with the farm’s records.

Understand certifications and transparency signals

Ag Data Transparent describes an independent review of provider responses to 11 questions covering data ownership, use, portability and security. Its core principles address collection categories, explicit consent, access and control, transparency, choice, disclosure and use limits, portability, retention and termination. Members updated those principles in 2024; the framework originated with privacy and security principles established by the American Farm Bureau Federation and participating organizations in 2014.

Certification is evidence to inspect, not an incident guarantee or a replacement for the contract. Confirm the date, product scope and current provider answers. A certified product can still suffer an outage or account compromise, and a non-certified product is not automatically unsafe; the distinction is whether you can obtain clear, testable answers.

Know which legal protections apply

USDA NASS confidentiality is specific

The USDA National Agricultural Statistics Service describes statutory safeguards for records collected under its confidentiality pledge. It states: “Published statistics from NASS surveys and censuses will not disclose reported data from an individual.” The pledge concerns NASS surveys and censuses, including restricted access to identifiable records. It is not evidence that a private digital-agriculture platform, or every USDA program, gives farm data the same treatment.

USDA’s 2026 modernization plan

USDA announced a Data Modernization Plan on September 1, 2026. The plan’s stated commitments include explaining why requested information is collected, how it is used and how producer privacy is protected in USDA data collection. Those commitments describe USDA activities; they do not rewrite a private platform’s contract.

Proposed legislation is not current law

An Agricultural Data Privacy Act of 2026 appeared as S. 5459 in the 119th Congress. Treat it as proposed legislation unless official legislative records establish enactment. Farm-data rights and obligations can vary by jurisdiction, contract, data type and the parties involved, so obtain jurisdiction-specific legal advice for a consequential dispute.

Maintain protection throughout the season

Use a calendar rather than relying on memory.

  • Monthly: review administrator and integration accounts, remove unneeded access, check MFA status and confirm that critical exports completed.
  • Quarterly: open a sample backup, verify maps and historical records, review connected applications and compare the current privacy notice and terms with the saved version.
  • At staffing changes: disable departing users immediately, rotate shared recovery credentials, transfer ownership of exports and review equipment connections.
  • Before major operations: confirm that connectivity components and apps are updated, recovery contacts are current and the latest independent copy is available.
  • Annually: repeat the full data-flow review, reassess whether every category is still necessary, test an exit export and have counsel review material contract changes when appropriate.

If an account or data flow is compromised

  1. Use a known-clean device to change the platform password and the associated email password; do not reuse either credential elsewhere.
  2. Revoke active sessions, API tokens, integrations and recovery methods that may have been exposed.
  3. Preserve relevant logs, notifications and screenshots before deleting evidence.
  4. Notify the provider through its incident channel and ask what records, accounts or partners were affected.
  5. Restore from a verified backup only after the affected access path is secured.
  6. Inform employees and advisers who may receive suspicious reset messages, and follow applicable contractual or legal notification duties.
  7. After containment, revise roles, MFA enrollment, export frequency and integration permissions based on what failed.

The practical standard is simple: know what leaves the farm, approve each use, restrict each account, retain a readable copy and prove that you can leave. Apply that standard to every platform and integration instead of assuming a security badge, a confidentiality slogan or a cloud login answers all of the farm’s data questions.
