Before you paste text, upload a file, or share code with a generative AI tool, treat it as a disclosure to an external service. Share only what the task needs, use a fictional or de-identified substitute where possible, and check the exact product, account, and workplace rules before submitting sensitive material. Turning off training is not the same as preventing storage.
Can you paste confidential information into an AI chatbot?
Only if the exact service, account, feature, and intended use are permitted for that information. A familiar chatbot or a work-branded account is not automatically approved for confidential, personal, regulated, privileged, credential-bearing, or contract-restricted data. If you are unsure how information is classified, pause and ask your organization’s data owner.
For business data, the U.S. Federal Trade Commission’s general guidance is to collect and retain personal information only when there is a legitimate need and only as long as necessary. Its guide puts the retention principle this way: “Keep sensitive data in your system only as long as you have a business reason to have it.” FTC, Protecting Personal Information: A Guide for Business. This is general U.S. business guidance, not a substitute for sector-specific or jurisdiction-specific legal advice.
How to reduce what you disclose
- Classify the information. Determine whether it is public, internal, confidential, personal, regulated, privileged, credential-bearing, or subject to a contract or policy. When in doubt, ask the data owner before using an AI service.
- Decide whether the real data is needed. Try a fictional or synthetic example, describe the problem without including source records, or share only a short excerpt. Remove names, account numbers, passwords, client details, and unique identifiers that are not necessary to answer the question.
- De-identify only as a risk reduction. Removing direct identifiers and unnecessary context can reduce exposure, but it does not guarantee anonymity. The UK Information Commissioner’s Office explains that pseudonymised information remains personal data under data-protection law; its relevant guidance is UK-focused and marked as under review following the Data (Use and Access) Act. ICO guidance on security and data minimisation.
- Check approval and obligations. For work, use an organization-approved service and account, and follow applicable confidentiality obligations, records schedules, professional requirements, and legal requirements. A personal account is not automatically suitable for work information.
- Minimize follow-ups and attachments. Conversation history and uploaded files can add or preserve sensitive context. Recheck each follow-up before sending; do not assume changing a setting later changes what you already submitted.
Does turning off training stop an AI tool from storing prompts?
No. Training use and retention are separate questions. A provider may not use content to improve models while still retaining prompts or responses to operate the service, investigate abuse, or meet other stated purposes. Check the specific service’s current policy and settings rather than treating a no-training option as a no-storage guarantee.

OpenAI’s published policy, for example, says individual services may use content for training unless a user opts out, while listed business products and the API do not use inputs and outputs for training by default. These statements are specific to OpenAI and can change; they should not be generalized to other providers or every OpenAI feature. OpenAI also says API abuse-monitoring logs can contain prompts and responses and are generally retained for up to 30 days, subject to exceptions. What to check before choosing a service or account
Review the terms and controls for the exact product, plan, account type, and feature you intend to use. Compare these points rather than relying on a broad label such as “business” or “private”:

- Whether prompts, files, and outputs may be used for model training or improvement.
- What content is retained, for what purpose, and for how long—including abuse-monitoring logs.
- Whether feature-specific application state persists beyond the conversation.
- Who can access content, including provider personnel and organization administrators, and under what circumstances.
- How deletion works, what it covers, and whether retention exceptions apply.
- What administrative, audit, and access-management controls are available.
- What contractual commitments apply, and where storage or processing occurs if regional options are offered.
OpenAI describes encryption in transit and at rest, configurable retention for qualifying organizations, and data-residency options for eligible customers on its business privacy page. Its security page describes business access-management and audit features. These are vendor statements about OpenAI services, not independent proof that a particular setup meets your organization’s requirements. Confirm scope and eligibility directly with the provider and your organization’s privacy or security owner.

- Act promptly. Use the service’s available deletion controls and follow your organization’s incident-reporting procedure.
- Record what happened. Note the service and account used, when the disclosure occurred, and the types of information shared. Avoid circulating the sensitive content more widely while reporting it.
- Escalate when the data warrants it. Contact the privacy, security, or data owner. Seek qualified privacy or legal advice if the information is regulated or a reporting obligation may apply.
Deletion options differ by provider and feature. Do not assume deleting a chat removes every copy, log, or retained item; check the provider’s stated deletion behavior for the service involved.
