How to protect sensitive documents scanned on your iPhone

The safest built-in workflow depends on what your scan becomes. A scan made in Notes may be lockable only when the note contains eligible content; Apple specifically excludes notes containing PDFs from Notes Lock. A scan made in Files is saved as a file to a location you choose, but Apple’s scanning instructions do not provide a per-file password lock.

For confidential material, decide whether you need an editable note or a portable PDF, save it to an appropriate location, protect the iPhone with a strong passcode, limit sharing, and consider Advanced Data Protection if the file syncs through iCloud. That combination is more reliable than assuming every scan in Notes is automatically protected.

Choose the right destination before scanning

Apple supports two built-in scan destinations. In Notes, the scan becomes part of a note. In Files, the scan is saved as a document to a folder or cloud location you select. The destination determines which protection controls are available later.

Workflow Result Protection that Apple documents Best fit
Notes A scan attached to a note Notes Lock can protect eligible notes; notes containing PDFs and other excluded content cannot be locked Short text, images, sketches, tables or other note content that must stay in Notes
Files A document file, normally a PDF, saved to a chosen folder The scan instructions do not establish a per-file password lock; protection comes from the iPhone, storage account and sharing settings Portable documents, filing in a specific folder, or workflows that require a PDF

Apple’s current scan instructions are in How to scan documents on your iPhone or iPad (published February 18, 2026). The labels can move with future iOS releases, but the underlying choice remains the same: Notes or Files.

Use Notes when the content can remain a note

Notes is convenient for a scan that belongs with written context, a checklist or other note content. If the note contains only content supported by Notes Lock, you can lock the entire note with your iPhone passcode or a separate Notes password.

Use Files when you need a document file

Files is the natural destination for a PDF that you need to attach to another service, move into a project folder or keep in iCloud Drive. Do not select Files expecting the scan itself to acquire a password. Apple’s built-in scan procedure explains where to save the file, not how to assign a separate password to that file.

Scan the document with the least exposure

Scan into Notes

  1. Open Notes and create a new note or open the note that should contain the scan.
  2. Tap the Attachment button, then choose Scan Documents.
  3. Position each page in the camera view. Let the iPhone capture automatically, or capture manually when the page is difficult to detect.
  4. Review the pages, retake any unclear image, and tap Done to place the scan in the note.
  5. Before adding a PDF or another unsupported attachment, decide whether you still need Notes Lock. Adding an excluded attachment can make the note ineligible for locking.

Scan into Files

  1. Open Files.
  2. Tap More, then choose Scan Documents.
  3. Capture and review each page.
  4. When prompted, select the folder or storage location where the document should be saved.
  5. Tap Save. Check the folder immediately so you know whether the scan is in iCloud Drive, on the iPhone or in another enabled location.

Saving to a chosen folder prevents an important document from being left in an unexpected default location. It also lets you evaluate the cloud and sharing controls that apply to that folder.

Lock an eligible note

Notes Lock protects a note, not every kind of attachment on an iPhone. Apple’s instructions in How to lock or unlock notes on your iPhone or iPad state that you can lock notes on the device and in iCloud, but list several exclusions.

Locking steps

  1. Open the note that contains the sensitive material.
  2. Tap More (the three-dot menu).
  3. Choose Lock.
  4. Authenticate with the iPhone passcode, or create and use a Notes password when offered.
  5. Enable Face ID or Touch ID if your device and settings support it.
  6. Close the note when finished and let the iPhone sleep or lock when you step away.

A locked note is not continuously sealed while you are working in it. Apple says a note can remain open for several minutes after authentication and will relock when Notes closes or the device goes to sleep. Treat that interval as an exposure period: do not leave the open note visible on a desk, in a meeting or in an unlocked car.

Content that cannot be locked

Notes Lock is unavailable for a note containing a PDF. Apple also excludes notes containing audio, video, certain iWork files and other unsupported attachments. Shared notes and notes syncing from some third-party accounts may not support locking either. If the Lock command is missing, inspect the note’s attachments and account rather than assuming the feature is broken.

Apple Platform Security explains that secure-note attachments support images, sketches, tables, maps and websites, while unsupported attachment types cannot be encrypted in secure notes. See Secure features in the Notes app for the supported-content model.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Choose a Notes password carefully

A custom Notes password is separate from the device passcode. Store it in a password manager or another secure recovery method you control. Apple warns that forgetting the password means previously locked notes cannot be opened; resetting the Notes password does not restore access to those older notes. A recovery plan is therefore part of protecting the document, not an optional afterthought.

What to do when the scan is a PDF

If the scan is a PDF attachment, Notes Lock is not available for that note. Moving the PDF into a different note does not change the file type, so it does not solve the limitation.

Keep the PDF in Files when portability matters

Use Files to save the PDF in the exact folder you need, then rely on the iPhone’s device security, the account protecting that storage location and careful sharing controls. The built-in Files scan workflow does not document a command for assigning a password to one PDF. Do not describe a PDF saved in Files as individually password-protected unless a separate, documented tool has actually applied file encryption.

Use a note only for eligible content

If you need Notes Lock, scan or add only content that Notes supports for locking and keep the note unshared. A PDF-heavy workflow and a Notes-Lock workflow are different choices; select one before you distribute the document.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Strengthen iCloud protection with Advanced Data Protection

When a scan is stored in iCloud Drive or Notes, cloud security is part of the threat model. Apple’s optional Advanced Data Protection for iCloud extends end-to-end encryption to more categories, including Notes and iCloud Drive. Apple describes the result this way: “With Advanced Data Protection, your protected data can be decrypted only on your trusted devices, protecting your information even in the case of a data breach in the cloud.” Read the setup requirements in Use Advanced Data Protection for your iCloud data.

Prepare recovery before enabling it

  1. Confirm that your Apple Account and trusted devices meet Apple’s current requirements.
  2. Choose a Recovery Contact or create a Recovery Key when prompted.
  3. Store the recovery information somewhere that is secure but available if every trusted device is lost.
  4. Only then turn on Advanced Data Protection and complete the on-screen verification.

The stronger cloud model changes who can recover the data. Apple says it cannot recover protected data if you lose account access and do not have the required keys or recovery method. A recovery contact or key is therefore mandatory risk management, not merely a setup preference.

Understand what encryption does not hide

End-to-end encryption protects the content from being decrypted in the cloud, but it does not mean that every piece of metadata disappears. Apple’s iCloud data security overview identifies metadata that can remain under standard data protection, including certain file or note dates, status fields and checksums. If the existence, timing or basic attributes of a document are sensitive, consider that information separately from the document’s encrypted contents.

Secure the iPhone that holds the scan

  • Use a strong device passcode. A long alphanumeric passcode provides more resistance than a short, easily guessed code.
  • Lock the iPhone whenever you step away. A locked screen reduces the chance that someone can read an open note or browse Files during the post-authentication interval.
  • Do not leave Notes open after viewing a protected note. Notes may stay unlocked for several minutes, and relocking occurs when Notes closes or the device sleeps.
  • Review lock-screen previews. Notifications, widgets or document names shown while the phone is locked can reveal more than the file itself. Disable previews for services that might expose sensitive titles.
  • Keep the operating system current. Apple can change security controls and menu names in iOS updates; install updates from Settings when appropriate and recheck the relevant settings afterward.

Face ID or Touch ID can make protected notes convenient, but biometric convenience should not replace a strong passcode. The passcode remains the underlying credential and may be required after a restart or other security events.

Control synchronization and sharing

Check the account behind the folder or note

Files can display locations from iCloud Drive and other enabled accounts. Notes can also sync with accounts that do not support every Notes feature. A note’s account affects whether it can be locked, while a file’s folder determines which service receives its contents. Before scanning, verify the account label and destination path.

Share only when necessary

Sharing changes the protection boundary. A shared note is not a private vault, and participants may be able to view, edit or reshare its contents according to the sharing settings. Apple’s security documentation distinguishes secure note content from unsupported attachment types; do not assume that placing a file in a shared note gives it the same protection as an eligible locked note.

For a document that must be sent to another person, remove unnecessary pages and use the narrowest sharing permission available. After the recipient no longer needs access, stop sharing or remove the participant. These actions limit exposure but do not erase copies that another participant may already have downloaded.

Pick a workflow for common scenarios

Situation Recommended built-in approach Reason
Private handwritten notes or images Scan into Notes and lock the eligible note Notes Lock is designed for supported note content
A scanned contract that must remain a PDF Scan into Files, choose the intended folder, secure the iPhone and review cloud settings Notes Lock excludes notes containing PDFs
Several iCloud documents requiring stronger cloud confidentiality Enable Advanced Data Protection after arranging a recovery contact or key Notes and iCloud Drive receive expanded end-to-end encryption
A document that must be shared with collaborators Use the smallest audience and least permissive sharing setting; do not treat sharing as equivalent to a locked note Participants and service settings affect the protection boundary
A note that shows no Lock command Check for a PDF, audio, video, iWork attachment, sharing status or unsupported account Those conditions can make locking unavailable

Troubleshoot protection problems

“Lock” is not available

Look for a PDF or another excluded attachment first. Then check whether the note is shared or syncing from an account that does not support locking. If the content must stay a PDF, move it to Files and use device, storage and sharing controls instead of trying to force Notes Lock.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The note keeps opening after authentication

This behavior is expected for a short period. Close Notes or let the iPhone sleep to trigger relocking. Avoid authenticating immediately before handing the phone to someone else, because the note may remain open for several minutes.

You forgot the Notes password

Do not reset the password expecting old notes to become readable. Apple states that resetting it does not restore access to notes locked with the previous password. Use the original password or the recovery method you stored when setting it up.

Advanced Data Protection cannot be enabled

Check that every required device is on a supported software version and that a Recovery Contact or Recovery Key has been configured. Apple’s eligibility requirements can change, so follow the current setup screen and the instructions in its support guide rather than relying on an older menu path.

You cannot find the scan

Return to the destination selected during the Files save step, then check whether you saved to iCloud Drive, On My iPhone or another account. In Notes, search the note title and confirm that the scan was attached before leaving the note.

A practical protection checklist

  • Decide whether the result should be a lockable note or a portable PDF.
  • Scan through Notes or Files and verify the destination immediately.
  • If using Notes, confirm that no PDF or other excluded attachment has been added.
  • Lock an eligible note with the device passcode or a carefully stored Notes password.
  • Close Notes or lock the iPhone after viewing sensitive content.
  • Review the account, folder and sharing permissions for every cloud-synced file.
  • Set a Recovery Contact or Recovery Key before enabling Advanced Data Protection.
  • Remember that encryption protects content, while some metadata can still remain visible.
