Windows Errors? Fix Them Before They Spread
Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallCrashes, No Sound, or Screen Glitches?
Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minutePrice a private event as an alternative use of your restaurant, not as a larger version of a normal table. Your minimum price must cover the regular-service revenue the room displaces, the food and beverage you will serve, incremental labor, and every event-specific cost. Then present the result as a clearly defined minimum, per-person package, or buyout price with taxes, service charges, deposits, and shortfall rules stated in writing.
There is no universal restaurant-event margin or labor rate. The reliable price is the one built from your own room-level sales, costs, demand, guest count, and event duration.

Build a price floor before choosing a selling price
A price floor is the lowest amount an event can generate without making the reserved capacity less valuable than normal service. It is a cost-control calculation, not a guaranteed-profit formula. A profitable quote may need to be higher when demand is strong, the event runs long, or the client requires unusual production.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
| Cost component | What to include | How to measure it |
|---|---|---|
| Opportunity cost | Normal revenue the room could produce during the same daypart | Use room-level sales or a defensible revenue-per-cover figure for that day and meal period |
| Food and beverage | Ingredients and beverage products for the actual menu or package | Use your recipes, purchasing data, yields, waste records, and beverage costs |
| Incremental labor | Setup, service, clearing, breakdown, prep, and event management time | Schedule the actual people and hours required, including work outside the guest-facing window |
| Overhead and event additions | Linens, rentals, AV, candles, printed menus, décor, delivery, cleaning, and other event-only expenses | Obtain vendor quotes or use current internal costs; do not assume these are absorbed by ordinary service |
Reunion’s 2026 pricing guidance identifies opportunity cost as often the largest number. Add the four components above to establish your floor, then apply your normal margin policy and any demand premium. If your restaurant has separate accounting for private events, use its actual labor and purchasing results rather than a generic industry percentage.

Calculate the opportunity cost room by room
Start with the space, date, and time the client wants. Ask what that room would have produced in ordinary service, including the number of turns you would realistically achieve. A 40-seat room that normally serves one dinner seating has a different opportunity cost from the same room that turns twice on a Saturday.
- Use comparable dates and dayparts, not the restaurant-wide average if the room trades differently.
- Adjust for the event’s setup and breakdown window. A six-hour booking may displace a lunch and dinner service even if guests dine for only two hours.
- Account for a buyout that removes adjacent tables, a bar, a patio, or a service station from normal use.
- Use local booking history to test whether a slow weekday really has unused capacity or whether it regularly fills at short notice.
Include the event’s real menu cost
Cost the menu the client will receive, not the menu price printed on your regular list. A hosted premium bar, passed canapés, late-night snacks, dietary substitutions, and a tasting event can change product usage and prep time. If the final menu is not selected, cost a conservative package specification and state what changes can trigger a re-quote.
Cost labor from the schedule, not just the service window
List every incremental shift: room reset, deliveries, prep, loading, guest service, dishwashing, security, coat check, manager coverage, and post-event cleaning. Include overtime or a second setup crew when the booking overlaps normal operations. Your floor should reflect the wage rates and payroll burden your business actually pays; the available guidance does not establish a universal labor rate.
Separate fixed event costs from variable costs
Some costs occur once per event, while others grow with attendance. A rental order, AV technician, special linen, or floral installation may be fixed. Food, beverage, glassware, and some labor are variable. Track both so a 20-person dinner is not priced with the same assumptions as a 100-person buyout.
Use a worked starting illustration carefully
Reunion’s published method starts with average regular-service revenue per cover multiplied by the seats in the event space, then suggests adding 20–30% as a starting adjustment. Its illustration uses 40 seats and $85 average revenue per cover, producing a $3,400 baseline. The guide shows that baseline rounded to a $3,500 Friday minimum and a $2,500 Tuesday minimum to reflect the different value of a premium night and a fill-day weekday.
Those figures are Reunion’s 2026 examples, not market rates. Replace every input with your own room-level sales, event duration, demand, costs, guest count, and target margin. The weekday example should not be copied if your Tuesday routinely sells out, and the Friday example may be too low for a high-demand room.

Choose the pricing structure that fits the event
The same cost floor can be sold in several ways. Select the structure that makes the client’s commitment clear while protecting the revenue your operation gives up.
| Structure | How the client pays | Strengths | Risks to control |
|---|---|---|---|
| Food-and-beverage minimum | The client commits to a minimum eligible spend on food and drinks; a shortfall is billed under the contract | Flexible guest choices and direct protection for the room’s revenue potential | Disputes arise if the contract does not define eligible spend, fees, taxes, service charges, or the shortfall calculation |
| Per-person package | A stated amount per confirmed guest covers specified food, beverage, and possibly room use | Simple comparison shopping and predictable production when the menu is fixed | Low attendance, upgrades, dietary changes, and heavy beverage consumption can erode margin unless inclusions and counts are precise |
| Flat-fee buyout | One price covers a defined room or whole venue for a defined time period | Maximum exclusivity and a straightforward headline number | You carry the risk of guest-count and consumption variation, so the underlying opportunity-cost and operating model must be accurate |
Food-and-beverage minimums
Define whether the minimum applies to food only, food plus beverage, or selected categories. State whether a room rental, service charge, tax, gratuity, AV, and rentals count toward it. If actual eligible spend is below the minimum, specify whether the difference is billed as a minimum shortfall and when it is calculated.
Per-person packages
Two or three tiers—such as Silver, Gold, and Platinum—can make a predictable menu easier to sell. Each tier should identify courses, beverage limits, service duration, substitutions, staffing assumptions, and what is excluded. A package price is not a substitute for cost modeling: cost every tier and check its labor and prep requirements before publishing it.
Flat-fee buyouts
Define the exclusive area, access and event times, cleaning and load-out deadline, maximum capacity, and all included services. A buyout price should still be tested against the room’s normal revenue and the event’s full labor and production plan.
Combining a room fee and a minimum
A room rental fee and a food-and-beverage minimum can coexist. Show both components separately so the client can see the commitment and so your team knows what counts toward the minimum. Other venues state that there is no room fee and use meal-period minimums instead; either approach is workable when the terms are explicit.
Adjust the price for demand, capacity, and time
Do not use one number for every booking. Price axes that materially change your opportunity cost or operating burden.

- [Dont Hesite to Order] 24 hours customer services and professional technology team are standing by
- Day of week: Friday and Saturday generally displace more valuable service than Monday through Wednesday, but verify the pattern in your own booking history.
- Meal period: Lunch, brunch, dinner, and late-night events have different sales and labor profiles.
- Season: Holiday corporate demand can raise the value of a room; January and February are often slower in broad vendor observations. Confirm whether that pattern exists locally.
- Room and capacity: A private dining room, semi-private section, patio, and full buyout remove different amounts of normal capacity.
- Event length: Add time for early access, speeches, entertainment, or extended bar service rather than giving away an extra hour.
- Guest count: Set a final-count deadline and re-cost the event when the guaranteed number changes.
Build a demand grid in your internal worksheet. For each room and daypart, record normal sales, typical covers, average check, booking lead time, cancellation history, and the minimum that protects the room. Review the grid after each season rather than relying on a permanent “weekday discount.”
What published venue schedules teach about presentation
The following dated examples demonstrate ways venues disclose their terms. They are illustrations from specific locations, not rates to transplant into another restaurant.
| Venue and published context | How the price is presented | Additional terms shown |
|---|---|---|
| Caffé Molise, main-floor private room, up to 25 guests | $1,500 food-and-beverage minimum for Sunday–Thursday dinner; $2,250 for Friday–Saturday dinner | Event fees are separate; 8.75% tax and a 20% service charge are listed; extra services and rentals may also be charged |
| Cento, semi-private room, up to 40 guests | Dinner minimums of $1,500 Sunday–Wednesday, $2,000 Thursday, and $2,500 Friday–Saturday for one of two time slots; brunch $750; weekday lunch $1,500 | Tax and the stated 22% gratuity service charge are excluded from the minimum; a shortfall is charged and prices may change |
| Quentin’s Sentosa, Singapore | Separate weekday and weekend minimums for private dining, indoor dining, outdoor terrace, and whole-restaurant use | Rates marked “++” carry a 10% service charge and 9% GST; 2026 corporate packages show bundled menus, beverages, floral pieces, place cards, and, in some tiers, AV |
| The Modern, Fall 2025 event packet | Private-room food-and-beverage minimums of $4,000 for breakfast and lunch and $8,500 for dinner, with higher December minimums; no room fee for those rooms | Beverage billing, a signed agreement, a 50% deposit, cancellation terms, and 8.875% New York State sales tax on food and beverage charges are described |
Notice the common lesson: a headline minimum is never the entire payable amount. The venue, jurisdiction, room, date, and packet version determine how taxes, service charges, fees, and inclusions work.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsMake the quote show the full payable amount
Send a proposal that lets a client reproduce the total. Put the assumptions beside each number instead of hiding them in fine print.
Required quote fields
- Event date, arrival time, guest-facing time, access time, and final departure time
- Room, section, terrace, or full-buyout scope, with capacity and exclusivity defined
- Guaranteed guest-count deadline and the rule for increases or decreases
- Menu, beverage package, substitutions, dietary accommodations, and package tier
- Food-and-beverage minimum or per-person price, including what categories qualify
- Minimum-shortfall treatment and the point at which it is calculated
- Room rental, event, rental, AV, floral, décor, delivery, security, and other separate fees
- Tax rate and taxable categories for the event’s jurisdiction
- Service charge, optional gratuity, and a plain-language explanation of each
- Extra labor, vendor, overtime, corkage, cake-cutting, or extended-bar charges
- Deposit amount and due date, payment schedule, cancellation schedule, and rescheduling terms
- Whether tax and service charges count toward the minimum
Show a calculation, not only a grand total
Use line items such as “guaranteed food and beverage,” “room fee,” “AV rental,” “service charge,” “tax,” and “deposit due.” If the final guest count or consumption is unknown, show the guaranteed commitment and explain which items remain variable. Never call a service charge a tip unless your local law and contract use that definition; the two are not automatically the same.
Check local tax and disclosure rules
Tax treatment depends on jurisdiction and on what is sold. The percentages in the venue examples above cannot be generalized. Have your accountant or counsel confirm taxable categories, mandatory disclosures, and how deposits and cancellation charges are treated where you operate.

Design packages and add-ons without giving away labor
Packages work when the client sees a clear upgrade path and your team can deliver each tier consistently. Cost the operational effect of every upgrade before adding it to the menu.
Useful upgrade categories
- Premium spirits, wine pairings, or specialty cocktails
- Additional passed hors d’oeuvres, dessert courses, or late-night food
- Extended event time or a longer hosted bar
- AV, entertainment, microphones, screens, or technician coverage
- Flowers, printed menus, place cards, candles, and décor
Reunion claims that add-ons can increase revenue by 15–25%. That is the vendor’s 2026 claim, not a guaranteed result or an independent industry benchmark. Your own conversion rate, product cost, labor, rental invoices, and sales history should determine whether an add-on is worth offering.
Use a change-order rule
Set a deadline for menu, décor, AV, and guest-count changes. After that deadline, identify rush fees, replacement costs, and additional labor in writing. A client should not be surprised because a “small” change required another delivery, a new rental order, or a second prep shift.
Run a repeatable proposal and contract workflow
- Qualify the request. Capture date, daypart, guest range, desired privacy, access time, menu style, beverage expectations, AV, décor, and budget.
- Check the demand calendar. Compare the requested slot with normal room sales, competing inquiries, holidays, and likely turns.
- Build the cost sheet. Enter opportunity cost, food and beverage cost, incremental labor, overhead, rentals, and contingency items.
- Select the structure. Choose a minimum, package, or buyout based on how predictable the menu and guest count are.
- Apply the demand adjustment. Use your daypart, season, room, and duration rules; document any manager-approved exception.
- Draft the proposal. List inclusions, exclusions, fees, taxes, service charge, deposit, cancellation, overtime, and shortfall treatment.
- Re-cost changes. Update the quote when the guest count, menu, timing, or production scope changes.
- Convert to a signed agreement and BEO. The banquet event order should match the signed financial terms and operational plan.
- Reconcile after service. Compare actual covers, sales, labor hours, waste, rentals, and discounts with the quote, then update future floors.
Software can automate proposal totals, service fees, and tax calculations. Reunion identifies its BEO Builder as one optional tool, but a spreadsheet and a controlled contract template can perform the same core work if they are maintained accurately.
Prevent the most common ways events lose money
Pricing from food cost alone
A menu can have an acceptable food-cost percentage and still lose money if it displaces a busy dinner service. Add opportunity cost before discussing margin.
Recommended Free Tools
Using a restaurant-wide average check
A private room may have different covers, turns, and beverage sales from the main dining room. Use the room and daypart that the event actually replaces.
Best Value
Letting “minimum” remain undefined
Clients interpret a minimum differently when the proposal does not say whether tax, service charge, room rental, AV, or rentals count. Define eligible spend and the shortfall formula.
Forgetting non-guest hours
Early access, setup, breakdown, cleaning, and vendor coordination consume labor and capacity. Put those hours on the schedule and in the cost sheet.
Discounting a slow day automatically
A broad observation that January or Tuesday is slower is not proof that your room has spare capacity. Check local inquiry volume, waitlists, and last-minute sales before lowering the minimum.

“Open bar” or “full AV” can create uncontrolled product and labor exposure. Specify brands or categories, service duration, equipment, technician time, and extension pricing.
Changing terms verbally
Record every approved change in the proposal, contract, and BEO. A verbal promise by one manager can otherwise invalidate the assumptions used by the kitchen, bar, and accounting teams.
Review performance after every event
Within a few days, compare the quoted and actual results:
- Guaranteed and actual guest count
- Food and beverage sales by category
- Food waste, beverage variance, comps, and discounts
- Scheduled versus actual labor hours and overtime
- Rental, AV, floral, delivery, and cleaning invoices
- Room revenue displaced and any adjacent sales affected
- Deposit, cancellation, and shortfall amounts collected
- Client changes that created unpriced work
Use the variance to update recipe costs, staffing templates, package limits, and demand adjustments. A price floor is only useful when it learns from the events you have actually operated.
