Price from a complete cost per sellable unit, then check whether customers will pay it and whether each sales channel leaves enough contribution to cover overhead. Your costs establish a floor, not a guaranteed market price: a price can look profitable on a direct website and fail once wholesale terms, discounts, fulfillment, returns, or compliance costs are included.
What costs belong in the price?
Build a separate cost model for each product or SKU and each sales channel. Start with the costs that rise when you make or sell one more unit, and calculate them per sellable unit—not merely per unit started or ingredients purchased.

- Ingredients or materials: include the quantity used in the product and the cost of materials that become part of it.
- Direct production labor: count the labor required to make, fill, finish, or pack each unit. If labor is paid by the hour, allocate it using a realistic production rate.
- Packaging: include primary and secondary packaging, labels, seals, and any inserts or shipping materials that vary with units sold.
- Production losses: account for expected spoilage, breakage, rejects, or other units that cannot be sold. Divide the batch’s costs across the units you expect to sell, not the larger number you hoped to produce.
- Freight and fulfillment: allocate inbound freight to units, then add the shipping cost you pay or subsidize for orders. Keep customer-paid shipping separate from product revenue if your accounting treats it separately.
- Selling costs that vary: include payment processing, marketplace fees, sales commissions, and variable discounts or promotional allowances. Model returns and other variable costs where they are material.
Rent, insurance, salaried management, and other period expenses are generally fixed overhead over the period being modeled. Track them separately for break-even analysis or allocate them transparently for product planning. If a bill has both fixed and usage-based parts, split them when you can. Do not count an overhead allocation as a variable unit cost and then count the same expense again in fixed costs.
The U.S. Small Business Administration’s break-even guidance uses fixed costs, selling price, projected sales, and variable cost per unit, and cautions that the calculation is an estimate. Your worksheet should state what it includes: sales tax, discounts, returns, shipping, marketplace fees, retailer allowances, and overhead can each change the result.

How do you calculate a price, margin, and break-even point?
Use the net amount your business receives for the unit in the relevant channel—not automatically the consumer’s shelf price. Let P be that net selling price and V be the variable cost per sellable unit.
| Measure | Calculation | What it tells you |
|---|---|---|
| Contribution per unit | P − V | The amount left from each unit to pay fixed costs; after those costs, any remainder contributes to profit before applicable taxes and other unmodeled items. |
| Contribution margin | (P − V) ÷ P | The contribution as a share of net selling price. |
| Break-even units for a period | Fixed costs for the period ÷ (P − V) | The estimated unit sales needed to cover those fixed costs, assuming the price and variable cost remain as modeled. |
| Indicative price at a target margin | V ÷ (1 − target margin fraction) | A starting price implied by the chosen margin arithmetic, before checking the market or adding costs that were left out of V. |
For example, suppose a hypothetical unit has $4.00 in variable costs and the business is considering a 40% contribution margin. The arithmetic starting price is $4.00 ÷ (1 − 0.40), or $6.67. That result is not a market-tested recommendation and does not mean overhead is paid. If fixed costs for the modeled period are $2,000 and the net selling price is $6.67, contribution is about $2.67 per unit, so estimated break-even volume is about 750 units. The estimate changes if actual net revenue, variable costs, or fixed costs differ.

Margin and markup are not interchangeable. Margin divides contribution by selling price; markup divides the amount added to cost by cost. In the example, $2.67 divided by $6.67 is about a 40% margin, while $2.67 divided by $4.00 is about a 67% markup. Neither figure alone establishes profitability: fixed expenses and taxes may remain unpaid.
How should you account for wholesale, retail, and direct sales?
Model each route to the customer separately. The consumer’s retail price is not the producer’s revenue when a retailer or distributor sits between the maker and buyer. Buyer terms and retail format can also change the maker’s net receipts and costs. The Government of Ontario’s food and beverage manufacturing guide notes that retail pricing and margin expectations vary by retail format; its market context is Ontario, so it is evidence of variation, not a universal numeric margin rule.

| Sales route | What to enter in the model | Questions to resolve |
|---|---|---|
| Direct to consumer | Net product revenue after discounts, minus payment, marketplace, fulfillment, and shipping-subsidy costs that apply to the order. | Who pays shipping? Are platform or payment fees percentage-based, per-order, or both? What do returns and promotions cost? |
| Wholesale to a retailer | The maker’s net wholesale receipts, minus applicable variable selling, freight, and promotional costs. | What price and payment terms apply? Who pays freight? Are there discounts, allowances, brokerage costs, returns, or promotional obligations? |
| Distributor followed by retail | The producer’s actual net receipts after distributor terms and any costs the producer remains responsible for. | What does the distributor retain or charge? Which party covers freight, promotions, and other selling costs? What is the expected payment timing? |
Do not apply one assumed retailer margin to every account or format. Use the terms actually offered, and compare channels on the producer’s net revenue per unit, contribution, break-even volume, likely demand, cash-flow timing, inventory risk, and required promotions or fulfillment. A channel with a lower contribution per unit might still be workable if its demand is defensible and its added obligations do not erase the benefit; a high consumer price does not by itself show that the maker earns more.
How do you check whether customers will accept the price?
Costs help identify a sustainable floor; customer evidence and comparable products help assess whether that price can work in the market. Compare products that are genuinely alike in size, quality, claims, packaging, and sales channel. A competitor’s listed price is only one data point: it does not establish that the product is profitable or that its costs and channel terms match yours.

- Compare like-for-like package sizes and express prices on a common unit basis, such as price per ounce or milliliter. NIST’s 2025 unit-pricing guide discusses comparisons across retail formats, including e-commerce. It reports that 74% of shoppers use unit pricing in a store when available, attributing the figure to FMI’s 2023 U.S. Grocery Shopper Trends; that finding describes U.S. grocery-store behavior, not all product categories or online shopping.
- Check actual sales, conversion, repeat purchases, discount dependence, and returns after launch. Update the model when supplier, packaging, freight, or channel costs change.
NIST SP 1181 (2025) quotes the Fair Packaging and Labeling Act’s policy statement: “Informed consumers are essential to the fair and efficient functioning of a free market economy.” Unit-price clarity can help shoppers compare package sizes, but it does not replace testing whether your offer, product, and channel make economic sense.

Compliance is part of the cost plan, but the requirements depend on the product, its claims, and where it is made and sold. The following regulatory notes are U.S.-specific; check applicable federal, state, local, and other jurisdictional rules for the actual product rather than assuming a general small-business exception applies.

U.S. cosmetics
Under FDA guidance, classification depends in part on intended use and claims; some products may be cosmetics, drugs, or both. Makers are responsible for product safety and labeling. FDA’s Cosmetics Labeling Guide describes label information including identity, net quantity, ingredient declaration, and business identity. The small-business and homemade cosmetics fact sheet explains classification and maker responsibilities. Account for formulation, testing, compliant label preparation, and any other applicable requirements in your plan; do not assume that a homemade or small-batch product is automatically exempt.
U.S. food
FDA’s food-business overview describes facility registration requirements subject to exceptions, safe-production requirements, and the role of state and local authorities. Nutrition-labeling exemptions have defined eligibility rules: FDA’s Small Business Nutrition Labeling Exemption Guide should not be read as a blanket exemption for every small maker. Check whether a specific exemption applies and budget for labeling, safe production, and other requirements that apply to your operation.
What should your pricing worksheet show?
Use one column for each SKU and a separate scenario for each sales channel. Keep assumptions visible so you can replace estimates with actual costs and account terms.

- Check the proposed price against customer response and comparable products on a like-for-like package and channel basis, then revise the assumptions as actual results arrive.
If contribution per unit is zero or negative, the modeled sales cannot pay fixed costs; revisit price, variable costs, or the channel terms before relying on volume to solve the problem. If the break-even volume exceeds a defensible forecast, the current combination of price, costs, and channel is not sustainable on those assumptions.
