Keep the original recording unchanged, make a separate protected copy, document where it came from and who handled it, and promptly ask the responsible agency in writing to preserve any recordings it holds. Do not assume that a video will remain available for a fixed number of days: retention depends on agency policy, the type of recording, and applicable law. Preserve the video you already have
Keep the original intact
Keep the original file and, where practical, the phone, camera, account, or other context in which it was recorded or received. Do not edit, trim, crop, filter, add captions, convert, or overwrite the only copy. Those actions can change the file or its metadata.

Make a separate, protected copy
Make a backup promptly, but treat copying as a documented evidence-handling step—not as proof that the recording is authentic. NIST recommends multiple copies as a way to reduce the risk of losing a digital file to corruption and discusses secure storage, access controls, logging, and offline storage in its Digital Evidence Preservation guidance.
A separate external drive can be one physical backup option. Restrict access, record who made the copy and when, and keep it secure. A drive—or a cloud backup—does not by itself establish authenticity, preserve a chain of custody, or guarantee that the file cannot be changed. For cloud storage, consider account access, security, retention settings, and the provider’s handling of the data rather than assuming that syncing alone is sufficient.
Record where the file came from and who handled it
Make a dated record while the details are fresh. NIST IR 8387 says documentation should capture the original source and how a file was created or transferred to law enforcement. For a personal recording, record as much of the following as you know:

- Who recorded or supplied the file, and when and where it was recorded or received.
- The device, account, camera, or source system involved; note when a detail is unknown rather than guessing.
- When a copy was made, who made it, how it was transferred, and where the original and copies are stored.
- Every person or system that later accessed or handled a copy, and when that happened.
- Related messages, upload confirmations, transfer receipts, or other records that help explain how the file moved.
Keep this record separate from the video and protect it from unauthorized changes. NIST’s guidance focuses on preserving the file and documenting its handling; an ordinary storage device is not an evidence-management system.
What a hash can—and cannot—show
A hash is a digital checksum calculated from a file. NIST explains that a file can be identified by its hash and that changing the file changes the hash. Using a NIST-approved hashing algorithm and storing the hash data separately in a secure location can support later integrity checks.
If two files have matching hashes, that supports the conclusion that their contents are identical at the byte level when the hashes were calculated. It does not establish who made the recording, whether it captures the entire event, or whether it will be admissible in a legal proceeding. A hash is one part of a preservation record, not a substitute for documenting the source and transfers.

If hashes differ, do not automatically conclude that someone tampered with the evidence. NIST notes that changes can occur without changing the evidence itself and discusses backups and block hashes as possible tools for assessing integrity. Keep any hash records securely and separately, and consult a qualified forensic professional if a difference needs to be evaluated.

Send a prompt, dated written request to the agency or unit likely to hold the material. Identify the incident as specifically as possible and ask that relevant original recordings and associated records be preserved pending review or investigation. Keep a copy of the request and proof of delivery.
A request can identify possible records such as:
- Body-worn-camera or vehicle-camera recordings.
- Dispatch or radio audio and 911 recordings.
- Surveillance video or photographs.
- Original phone recordings, messages, and upload or transfer records.
- Agency access or download logs associated with relevant recordings.
This is a checklist of possible sources, not a guarantee that each record exists or that you can obtain it. DOJ body-worn-camera guidance treats download responsibilities, safeguards against tampering or deletion, retention, access and review, and public release as matters for agency policy. Its 2014 recommendations do not establish one national retention period. The DOJ COPS Office also identifies retention, access, and release as policy topics in its body-camera best-practices summary.

There is no universal number of days that applies to all police body-camera footage. How long a recording is retained depends on the agency’s policy, the recording’s category, applicable state or local law, and whether an investigation or other process affects it. Do not rely on historical examples in an older report as current rules for a particular department.
A written request is a practical preservation step; the cited federal materials do not establish that a request alone creates a legal hold, prevents deletion, or guarantees access to the records. If footage may be overwritten, someone is facing an investigation, or formal preservation or access rights matter, consult a qualified attorney in the relevant jurisdiction promptly.

The involved unit or person(s), if known, are [details]. Please retain the original recordings and relevant associated records pending review or investigation. I am sending this request on [date].
Include identifying details you know, avoid speculation, and retain the sent message or letter plus delivery confirmation.
When to get specialist help
Seek qualified local legal advice if evidence could be overwritten, a person may face criminal or disciplinary investigation, or you need to understand a formal deadline or right to preserve or obtain records. For technical handling questions involving a device, account, or disputed file integrity, consult a qualified digital-forensics professional. Do not bypass account security, interfere with an investigation, or alter evidence to try to secure it.
