Capture the page promptly, save the full URL and an unambiguous UTC time, identify the account or author and surrounding context, and preserve the untouched original. Add a PDF, platform export, API response, HTML/WARC or other structured web capture when available. Keep a manifest, cryptographic hashes, capture log and custody history, with at least two controlled copies. These steps improve reliability and authentication, but no screenshot is automatically admissible: probate courts and other jurisdictions apply their own rules.
What a screenshot preserves—and what it leaves out
A screenshot records the pixels visible in a browser or app at one moment. It can show the displayed text, images, account name, interface elements and any date or time that is actually on screen. It is inexpensive, easy to read and useful as an exhibit.

By itself, it normally does not preserve hidden metadata, edit history, comments that were below the captured area, linked pages, the navigation path, or the page’s functionality. A later viewer cannot use the image to determine whether content was changed before capture, whether a login restricted what you saw, or what the page returned to other visitors.

The National Archives and Records Administration (NARA) describes a complete record as content, context and structure together with associated metadata such as author and creation date. Its social-media guidance says screenshots create only a picture and do not preserve metadata and functionality for permanent web records. For a private estate, that is a practical warning: retain the image, but also preserve a representation that carries context and machine-readable information.

Will a screenshot be enough for court?
There is no universal yes or no. Federal Rules of Evidence provide a useful baseline, while state probate courts and other jurisdictions can impose different requirements.
- Rule 901: the proponent must offer evidence sufficient to support a finding that the item is what the proponent claims it is.
- Rules 1001 and 1002: a sight-readable output that accurately reflects electronically stored information can be treated as an original, while the original-content rule has exceptions.
- Rule 1003: an accurate duplicate is generally admissible to the same extent as the original unless authenticity is genuinely disputed or admission would be unfair.
- 28 U.S.C. §1732: an accurately reproduced record that is satisfactorily identified may be admissible in a judicial or administrative proceeding, subject to the statute’s conditions.
These provisions do not certify a particular screenshot. Authentication usually depends on a witness or declaration explaining what was captured, when, by whom, from which account or URL, and how the file was kept unchanged. Ask the estate’s lawyer about local probate rules, subpoenas, privacy restrictions, legal holds and retention instructions before distributing the material.
A defensible capture workflow
1. Identify the item before opening capture software
Write down the canonical URL, platform, account or author, displayed post or page title, and why the item matters to the estate or dispute. If the item is in a private group, direct message or account requiring login, note that fact and who had authorized access. Record the URL exactly as shown, including query parameters when they determine the content.
2. Capture the surrounding context
Do not crop immediately to the sentence you want. Capture the account name, profile or page identity, visible date and time, replies or comments that explain the statement, linked media, and enough of the navigation path to show how you reached the item. Make a note of content that was unavailable, collapsed, deleted, or blocked by a login or region restriction.
3. Save several representations
Keep the untouched PNG, JPEG or WebP screenshot. Where it adds value, print the view to PDF. Also obtain a platform export, API response, HTML/WARC or other web-capture package that preserves page structure and metadata. If a platform offers a built-in export, use it rather than assuming a screenshot substitutes for the export. Never overwrite the original with a crop, redaction or conversion.
4. Record time, operator and method
Use a UTC timestamp such as 2026-10-17T14:32:08Z, not an unexplained local clock reading. Record the operator’s name, device and browser or capture tool, account used, URL, and any settings that affect output (viewport, full-page mode, JavaScript, cookies or login). List every transformation—cropping, redaction, format conversion or annotation—in a separate note. Keep an unmodified original even when a court-ready working copy is needed.

5. Hash every original and create a manifest
Generate a cryptographic hash for each original file and store the result in a read-only manifest. The rules do not require one particular algorithm; choose a documented algorithm accepted by your organization or counsel and use it consistently. A manifest row should map at least:
| Field | Example |
|---|---|
| File name | 2026-10-17_post-001_original.png |
| SHA-256 (or your documented algorithm) | hexadecimal digest |
| Canonical URL | the complete URL, copied exactly |
| Capture time | UTC date and time |
| Operator and method | name, browser/tool and settings |
| Notes | login state, missing comments, redactions in working copy |
6. Store redundant, controlled copies
Maintain a primary copy and an independent backup—for example, a dedicated external drive plus secure institutional or cloud storage. Restrict write access, use access controls for private messages and personally identifying information, and document each transfer. Storage alone does not supply metadata or prove authenticity.
7. Test retrieval over time
At intervals appropriate to the case, open representative files, verify their hashes against the manifest, and confirm that required software or format documentation is still available. Preserve the export and metadata even if the platform remains online; a post can later be edited, deleted or hidden.
8. Prepare a handoff package
Give the executor or lawyer the original files, manifest, capture notes and a short declaration describing who captured the material, the date and UTC time, the account or URL, the software or device, and how originals and backups were protected. Keep a copy of the handoff record and continue the custody log.
Choosing a capture method
Evaluate each method against the same questions: how much metadata and context it retains, whether it preserves structure or functionality, whether it can be retrieved after a platform change, how repeatable and auditable it is, what privacy controls it offers, and its cost and technical burden.
| Method | Strengths | Limitations and best use |
|---|---|---|
| Manual screenshot | Fast, readable, low cost; shows exactly what an operator saw | Weak metadata and repeatability; use as a visual supplement |
| Browser print-to-PDF | Readable multi-page record with layout and pagination | May omit hidden data, scripts, comments or interactive behavior; retain the source capture too |
| Platform export or API response | Often retains account, timestamps, identifiers and structured fields | Availability depends on account permissions and platform; export promptly and document the request |
| HTML/WARC or dedicated web capture | Better preservation of page structure, resources and repeatable capture | Requires suitable software and documentation; dynamic or login-protected content can remain incomplete |
| Screenshot API | Repeatable, scriptable capture with logged parameters and batch processing | Must document authentication, URL, settings and service response; an image still does not replace structured data |
Do-it-yourself browser procedure
- Open the canonical URL in a clean browser profile. Sign in only with authorized credentials, and note the account and access state.
- Set the system clock or capture tool to record UTC. Copy the complete URL into your log before interacting with the page.
- Expand relevant replies, comments, linked media and “see more” text. Scroll slowly so lazy-loaded content appears, and record anything still unavailable.
- Capture the full relevant viewport or full page. Do not edit the saved original. Take additional captures when context is too long for one image.
- Use the browser’s print function to create a PDF when pagination or a text-searchable copy helps. Save it as a separate derivative.
- Export available account or page data, or save an HTML/WARC capture, and keep the export alongside the image.
- Write the capture log, calculate hashes, update the manifest and copy the package to the independent backup.
Or skip the browser setup
ScreenshotNeo is a website screenshot API and MCP server for developers. A single request can return a PNG, JPEG, WebP or PDF. Before capture it can accept the cookie or consent banner and remove more than 60 known consent platforms, newsletter popups and chat widgets; each step can be turned off. Bot checks or CAPTCHAs, blank pages, timeouts, failed loads and cache hits are not billed, and the response identifies the result with X-Page-Verdict and X-Billed headers. These controls make a repeatable visual capture easier, but you should still save the URL, UTC time, settings, response headers and any structured export in your evidence log.
Use the API documentation at https://screenshotneo.com/docs/. Replace the example URL with the exact public page you are authorized to capture.

Folder layout for an estate or case
A predictable package helps another person understand what each file is and prevents working edits from replacing originals:
case-package/
00_readme/
01_original_screenshots/
02_exports_and_web_captures/
03_metadata_and_manifests/
04_hashes/
05_capture_logs/
06_working_copies/
Put the readme and manifest under controlled access. Keep private messages, account identifiers and other personally identifying information restricted to people who need them. Follow counsel’s legal-hold and retention instructions; there is no universal retention period for every probate matter.
Troubleshooting and failure recovery
The post changed or disappeared
Preserve every earlier capture, export and log entry. Do not replace the old file with a newer screenshot. Record the new URL state, date and what changed. Ask counsel whether a platform preservation request, subpoena or provider export is appropriate.
Comments or images are missing
Expand collapsed sections, scroll to trigger lazy loading, capture each relevant thread separately and record what remained unavailable. Use a platform export or API response when permissions allow.

The page requires login
Document the authorized account and access date, never share credentials in the case package, and use the platform’s export or an authenticated capture method that records the relevant settings. A public screenshot cannot prove what a private viewer saw.
The file will not open or the hash differs
Quarantine the affected copy, compare it with the primary and backup, and check the manifest. Preserve the original device or transfer record if available. Never “repair” an original in place; create a new working copy and explain the action.
A capture is blank, blocked or times out
Check the URL, network access, login state, JavaScript requirements, consent overlays and bot checks. Retry with a documented wait condition or a browser capture. If using ScreenshotNeo, inspect X-Page-Verdict and X-Billed; failed loads and blank pages are identified and are not billed, but they still require a separate successful capture or export for your record.
Privacy, security and proportionality
Estate files can contain private messages, health information, financial details and third-party data. Capture only what is relevant, restrict access, encrypt storage where appropriate, and redact only in a clearly labeled working copy. Keep the unredacted original under controlled access. Do not publish a private post merely to make authentication easier, and obtain legal advice before sharing material outside the estate or litigation team.

FAQ
Should I save the URL, HTML, PDF or only an image?
Save the URL and image at minimum, then add PDF and HTML/WARC, platform export or API data whenever available. Each representation answers a different authenticity and context question.
Does a hash prove that a social-media post is true?
No. A hash helps show that your stored file did not change after hashing. It does not prove who authored the post, when the underlying content was created or that the page was authentic.

Can I crop out unrelated names before sending the file?
Keep the complete original and make a separately named working copy for any crop or redaction. Log the transformation and preserve the reason for it.
How long must an estate retain these records?
Retention depends on the jurisdiction, dispute and counsel’s legal-hold instructions. Follow the case-specific direction rather than a universal period.
