Retain an untouched original plus protected backups; make redacted copies only for sharing. Report promptly to the platform and the police or regulator that covers your location.
What to preserve first
Online posts can be edited, deleted, hidden behind a login, or made inaccessible after an account block. Work in this order when it is safe:

- Do not engage or amplify. Do not reply, quote-post, forward, or otherwise spread the material unless an investigator tells you to. Open the item only long enough to record what is needed for a report.
- Capture the complete context. Include the post or message, username or handle, display name, visible profile or post URL, date and time shown by the service, replies, and enough of the surrounding thread to show what happened. Keep identifiers in the original image; do not crop them out.
- Copy links separately. Put the exact content URL and the account or profile URL in a plain-text log. Copy links rather than relying on a screenshot of an address bar. Record the platform or app and your time zone.
- Record the incident. Note when you first saw it, whether it was repeated or escalated, who was targeted, any threat, and why you believe it is hateful or dangerous. Use one row per item and never overwrite an earlier entry.
- Preserve originals and back them up. Download or export the original image, video, or message when the service permits it. Keep that file read-only, retain its metadata, and maintain at least two controlled copies, such as encrypted cloud storage and a labelled USB drive.
- Report promptly. Use the platform’s reporting route and the police or regulator for your jurisdiction. Police.uk expressly says you do not need screenshots, text messages, videos, or photos before reporting, so missing evidence must not stop a timely report.
How to capture a defensible record
Take screenshots that show identity and context
Capture the entire visible post rather than only the offensive sentence. Include the account name or handle, profile image if it helps identify the account, visible post identifier or URL, timestamp, replies, quoted material, and navigation elements that establish which platform you are viewing. If the thread is longer than one screen, take sequential images with overlapping content so the order is clear.

Do not edit, annotate, filter, sharpen, or crop the first capture. If you need to hide a victim’s address or another person’s personal information for a platform moderator, duplicate the file and redact that copy. Label it as a working or redacted copy; never replace the original.

Use a screen recording for transient or scrolling material
A recording is useful when a page loads replies as you scroll, an image disappears after viewing, or a video contains the relevant words or symbols. Start on the account or post page, slowly show the address bar or app context, and scroll through the thread without jumping over material. Keep the original recording untouched. A recording supplements rather than replaces still images and a text log.
Export the original file when available
If the platform offers a download, export, or message-save function, retain the resulting image, video, audio, or document in its original format. Do not re-save it through an editor or messaging app, which can strip metadata. The UK’s Digital Imaging and Multimedia Procedure (version 3.0, published 16 November 2021) addresses the capture, retrieval, storage, and use of evidential images and associated metadata; following the same preservation principles helps an investigator understand what you received and when.
Build an incident log
A log connects separate posts and makes repetition or escalation visible. Keep it as a plain text or spreadsheet file alongside the originals, and preserve earlier versions rather than editing history away.

Write facts separately from your interpretation. For example, quote the words in one field and explain in another why they appear to target a protected characteristic or threaten someone. This gives a reviewer the source material without requiring you to make a legal conclusion.
Store originals safely and preserve metadata
Use two controlled copies
Keep one copy in encrypted cloud storage and another on a labelled USB flash drive stored somewhere secure. Restrict access to people who need it, use strong account passwords and multi-factor authentication, and avoid placing unredacted files in a public folder or group chat. A second physical copy protects against account lockout, accidental deletion, or a failed device.

Keep an untouched master and working copies
Set the master files to read-only where your operating system permits it. Do not rename them in a way that loses the original extension or overwrite them after a platform update. Make separate copies for cropping, blurring, subtitles, or translation. Keep the incident log with the master set so an investigator can match each file to its URL and capture time.
Do not expose sensitive material unnecessarily
Store only what is needed to show the conduct and its context. If an image might be an intimate image and the person’s age is uncertain, do not screenshot, record, download, or share it. Report what happened, preserve the URL and surrounding non-image information if safe, and follow police instructions. This precaution is especially important where the material could involve a child.

Platform report
Use the service’s in-product report flow, select the closest category, and provide the exact URL, account identifier, and a concise description. Keep the platform’s confirmation number or email with your incident log. If the post is already gone, report the account, the original URL, and the time it was visible; explain that the content was removed or became inaccessible.
Police, regulator, or emergency route
Use the police or regulator for your country, and use an emergency channel if there is an immediate threat of violence or danger. Tell the officer or reporting service which platform hosts the material, where the account and content were located, the relevant URLs, and what has changed since you captured it. Police.uk’s guidance is clear that you can report without first collecting screenshots, so a missing or failed capture should never be a reason to postpone a report.
Definitions of hate crime and non-crime hate incidents differ by jurisdiction. In England and Wales, the code of practice for recording and retaining non-crime hate-incident personal data commenced on 3 June 2023. That date does not determine how another country classifies a post; describe the conduct and let the relevant authority apply its local rules.

Ask investigators to preserve platform data
Tell police that the material may be deleted and provide every URL, username, and user ID you have. Crown Prosecution Service guidance says that, once a matter is reported, police should make a data-retention request to the platform so evidence is secured for an investigation. This request is different from your own screenshots and can preserve server-side records that you cannot access.
X’s law-enforcement guidance describes a temporary 90-day preservation snapshot for legally appropriate requests. That period and process apply to X’s stated procedure, not to every service; give investigators the platform name and act promptly.

Use more than one method when the material is important: still images for quick review, a recording for interaction or sequence, and an exported original where available. The goal is completeness, authenticity, durability, controlled access, speed, and a process that fits the jurisdiction handling your report.

Troubleshooting and recovery
The post disappeared before you captured it
Report immediately with the account name, profile URL, exact content URL if you copied it, approximate time, and a neutral description. Tell investigators that the item was deleted and ask them to send a platform data-retention request. Do not invent missing text or reconstruct a URL from memory.
The page is blocked, login-only, or region-limited
Record the error or access screen, the URL, your account or region, and the time. Do not bypass access controls or create a deceptive account. Give the police or platform the identifiers you have; their lawful process may reach records unavailable to you.

Take a second capture showing the browser or app address area and another showing the post context. Add the exact link and capture time to the log. Keep both images rather than replacing the first one.
The content keeps changing
Use sequential screenshots or a recording, note each capture time, and save a new log row for every materially different version. Download an original when possible. Do not edit an earlier file to reflect a later change.

Your cloud account or device is shared
Move the master set to an account and device controlled by you, enable multi-factor authentication, and restrict link sharing. Keep the USB backup offline when it is not being updated. If you suspect unauthorized access, tell investigators and preserve access logs rather than deleting the evidence.
Cross-border and evidential limits
The service may be hosted in another country, and the person posting may be elsewhere. College of Policing guidance notes that, wherever the computer or user is located, online activity can leave an electronic audit trail with significant evidential value. Cross-border cases may require digital-forensics specialists and liaison with an internet service provider or foreign authority. Your captures preserve leads; they do not establish that a post meets your local legal definition of a hate crime or guarantee that a platform or police service will act.

Can I report online hate speech if I have no screenshot at all?
Yes. Police.uk says screenshots and other files are not required before making a report. Provide the URLs, account identifiers, timing, and description you do have, and explain that the material is unavailable.
Should I send my unredacted master files to friends or advocacy groups?
Usually no. Keep the master under controlled access and create a clearly labelled redacted copy for wider sharing. Give unredacted material to police or the platform through their secure channel when requested.
What if the post is hosted outside my country?
Report through your local police or regulator and identify the hosting platform. Investigators can use the platform’s legal process and, where necessary, cross-border digital-forensics or provider liaison.
Does preserving a post prove that it is a criminal hate crime?
No. A capture preserves what was visible and helps establish chronology. The relevant authority applies the legal definition and decides what action, if any, is appropriate.
