The safest way to preserve formatting is to keep an untouched copy in the source suite’s native format, save a separate exchange copy in the format the recipient will edit, and inspect that copy in the receiving application before sharing it. Microsoft Office and LibreOffice can open many of each other’s files, but support does not guarantee identical rendering or preservation of every interactive feature.
Compatibility is not the same as identical rendering
A document can open successfully and still look different. Office suites implement styles, pagination, drawing objects, fields, formulas and presentation layouts differently. A conversion may therefore produce a formatting change, such as a moved page break, without deleting the underlying words. In other cases, an unsupported feature can be altered or removed, which is content loss.

Microsoft Support says Word can open and save OpenDocument Text (.odt) files, but warns that an ODT opened in Word may not retain its original formatting because applications that use OpenDocument have different features and options. Microsoft specifically recommends closing and reopening the saved ODT copy to inspect its appearance. Its guidance covers Word 2016, 2019, 2021, 2024 and Microsoft 365; behavior can vary by product version and update.

Choose a working format and an exchange format deliberately
Do not overwrite the only copy of a document while testing compatibility. Keep the source application’s native file as the working master, then create a copy for exchange. Microsoft identifies Open XML as the default format family in supported Office versions and recommends it unless there is a specific reason to use another format. Unsupported features can change or cause content loss when an Office file is saved as an OpenDocument format.
| Situation | Keep as the working master | Send or exchange as | Why and what to validate |
|---|---|---|---|
| The recipient will continue editing in Microsoft Office and the file uses Office-specific features | .docx, .xlsx or .pptx |
The same Office Open XML format | It is the native path for Office. Still inspect the recipient’s copy if it will pass through another suite. |
| The recipient requires an open document standard and will edit in LibreOffice or another ODF-capable suite | Your original Office file, if that is where the document was created | .odt, .ods or .odp |
Export a separate ODF copy, open it in the destination suite and check both appearance and required features. |
| Readers mainly need a stable visual reference rather than an editable document | The native source file | A PDF copy, when the receiving workflow accepts it | PDF can serve as a review or delivery reference. It is not a substitute when recipients must continue editing or need live fields and formulas. |
| Several people use different suites and will make substantial edits | A designated master in the suite that owns the most feature-dependent content | The format used by the next editor, with a reviewed round-trip copy | Agree in advance who owns the master and who validates each conversion. |
LibreOffice maps Microsoft formats to its applications: DOC and DOCX to Writer, XLS and XLSX to Calc, and PPT, PPS and PPTX to Impress. It also provides save-format choices by document type and a Document Converter Wizard for converting a folder of Office files to OpenDocument files. The receiving suite, not the extension alone, determines what the recipient actually sees.
Prepare the source before you convert
A short inventory prevents surprises after saving.
- Make a source copy: duplicate the native file before any conversion. Keep it unchanged until the recipient confirms the converted file is usable.
- Identify the next editor: record whether the recipient will use Word, Writer, Excel, Calc, PowerPoint, Impress or another application.
- List feature dependencies: note macros, embedded objects, fields, charts, text boxes, multi-column sections, revision marks, pivot tables, conditional formatting, specialized formulas, slide masters, grouped objects and other elements that must remain editable.
- Reduce avoidable complexity: where practical, use ordinary styles and layouts instead of effects or objects the receiving suite cannot edit. This lowers risk; it does not guarantee identical output.
- Define the acceptance test: decide which pages, sheets or slides are business-critical and what must remain editable versus merely visible.
Step-by-step workflow for one document
- Save the untouched master. In the originating application, use its native format: for example, DOCX for Word, XLSX for Excel or PPTX for PowerPoint. Give the file a distinct name such as
Project-master.docx. - Choose the exchange target. In Word, use File > Save As and select the required file type. In LibreOffice, use File > Save As and choose the recipient’s format from File type. Save to a new filename rather than replacing the master.
- Export to ODF only when the workflow calls for it. Choose ODT for Writer text, ODS for Calc spreadsheets or ODP for Impress presentations. If the recipient needs an Office file, keep the native Office format instead of converting merely because LibreOffice can open it.
- Close the saved copy. Do not validate only the in-memory document that was open during saving. Closing ensures that the file is reconstructed from what was actually written to disk.
- Open the copy in the receiving application. For an ODT produced from Word, open it in LibreOffice or the recipient’s ODF application; for an ODF file going to Word, reopen it in Word. Microsoft explicitly recommends this close-and-reopen check for ODT files.
- Inspect the rendered document and its editable features. Use the checklist in the next section. Check the pages, sheets or slides that carry the most complex formatting, not just the first page.
- Repair the recipient copy. Make corrections in the copy intended for delivery, using the receiving suite’s styles, layout tools and object controls. Do not “fix” the master unless you have deliberately decided that the receiving suite is now the authoritative editor.
- Round-trip again. Save the repaired copy, close it, reopen it in the same receiving application and verify that the correction survives. Keep the original master beside the final exchange copy.
What to inspect after conversion
Use a feature-by-feature check rather than relying on the file opening without an error.
| Area | Typical compatibility risk | Check in the receiving application |
|---|---|---|
| Page geometry and typography | Different font metrics, margins, line wrapping or pagination can move content. | Page count, page breaks, margins, header and footer positions, line wraps, font substitutions and printed or exported output. |
| Lists and tabs | Microsoft’s Word/ODT feature table identifies differences in list spacing and bullet appearance and unsupported positional tabs. | Numbering sequence, indentation, bullet symbols, hanging indents and tab-aligned text. |
| Sections and columns | Text-column section properties may be lost; LibreOffice also lists multi-column formatting and frames as challenge areas. | Section starts, column count, column breaks, linked headers and footers, and text flowing between columns. |
| Tables and text boxes | Support can be partial, with changes to sizing, anchoring, wrapping or cell behavior. | Table width, row height, cell padding, borders, merged cells, text-box position and text wrapping. |
| Pictures and graphics | Some picture border styles are unsupported; graphics and objects can be handled differently. | Image crop, anchor, wrap mode, border, transparency, layer order and whether the object remains editable. |
| Fields and revision marks | Fields, tracked changes and revision marks may not map exactly between suites. | Page numbers, cross-references, dates, automatic contents, comments, insertions, deletions and author information. |
| Spreadsheets | LibreOffice identifies pivot tables, conditional formatting and some formulas as conversion challenge areas. | Formula results and formulas, named ranges, number formats, conditional rules, pivot layouts, filters, charts and print areas. |
| Presentations | Spacing, grouped objects and other Impress/PowerPoint layout details may change. | Slide masters, theme fonts, object alignment, grouped-object editing, animation or transition behavior, notes and presenter view. |
The lists above describe documented areas of partial or different support, not a prediction that every file containing one of these features will fail. Test the actual file and the actual application versions.

Word and Writer: preserve text layout and editable structure
When starting in Word
Keep the DOCX master if Office features matter. If the recipient needs ODT, save a separate ODT file and reopen it in the receiving application. Pay particular attention to list spacing, bullets, positional tabs, section columns, text boxes, tables, fields, graphics and picture borders because Microsoft’s feature guidance identifies these as areas where support can differ or be partial.
When starting in Writer
LibreOffice can save Writer documents in Microsoft formats. Before sending DOCX, reopen the saved file in Word and inspect styles, page breaks, columns, frames, tables, revision marks and anchored objects. If the recipient will edit extensively in Word, make the reviewed DOCX the delivery copy but retain the original ODT.
Separate visual review from content review
A page that looks close can still contain a changed field, missing revision mark or uneditable object. Compare headings, body text, captions, footnotes, cross-references and automatic numbering as content, then compare layout as a separate pass.

For spreadsheets, visual inspection alone is insufficient. Open the converted file in the destination application and test formulas, recalculation, number formats and the parts of the workbook that drive decisions. Check pivot tables, conditional formatting, charts, named ranges, filters and print areas. LibreOffice’s conversion guidance names pivot tables, conditional formatting and some formulas among its challenge areas, so treat those elements as high-priority checks.

If a spreadsheet is primarily a report, produce a PDF reference in addition to the editable file when appropriate. The PDF lets a recipient compare intended printed appearance, while the native or exchange spreadsheet remains the editable source.
PowerPoint and Impress: validate every layout layer
Open converted presentations in the application that will be used for presenting, not only in a file browser preview. Check slide masters, theme fonts, spacing, grouped objects, image crops, charts, speaker notes and the order of layered objects. LibreOffice’s overview calls out presentation spacing and grouped objects as areas that can require attention. A slide that appears correct in an editor can still wrap differently on a projector or when exported.
Formatting changes versus content loss
Signs of a formatting change
- A page break moved but all paragraphs are present.
- A list has different indentation or bullet spacing.
- An image, table or text box shifted while its text remains available.
- A column, margin or font substitution changed line wrapping.
Signs of content or feature loss
- A section, object, field, formula, revision mark or note is missing.
- A chart, pivot table or grouped object is visible but no longer editable as before.
- A specialized border, tab position or layout property cannot be reproduced in the receiving suite.
- A formula result is present but the formula itself, or its supporting feature, is absent or altered.
For a formatting change, repair the receiving copy and repeat the close-save-open check. For suspected content loss, compare with the untouched master and decide whether the feature is essential. If it is, return to the native format or redesign that part using features both suites support.

- Make a read-only or otherwise protected copy of the source folder.
- Run the Document Converter Wizard on the copy and select the desired OpenDocument document type.
- Group the output by structure: ordinary letters, heavily styled reports, spreadsheets with pivots, and presentations with grouped objects should not be treated as one homogeneous sample.
- Open representative files from each group in the receiving application and inspect the highest-risk features.
- Route exceptions for manual reformatting and keep the originals until each converted file has been accepted.
The documentation does not establish a universal success rate or a fixed sampling percentage. Choose enough samples to cover the different structures in your folder, and increase review for files that use complex formatting or specialized features.

| Can someone inspect and repair a round-tripped copy? | No | Do not assume the conversion is safe. Delay delivery, simplify the document or use a format that the recipient can validate. |
Common mistakes and their fixes
Overwriting the only source file
Fix: save to a new filename and preserve the native master. A conversion problem should never remove the last known-good copy.
Checking only that the file opens
Fix: close and reopen the saved copy in the receiving application, then inspect layout, content and interactive features.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Assuming an extension guarantees compatibility
Fix: judge the combination of format, application version and document features. DOCX, ODT, XLSX and ODS are containers for different capability sets, not promises of identical behavior.
Best Value
Testing only a simple page or slide
Fix: review the sections, sheets and slides that use columns, tables, objects, formulas, grouped graphics or other high-risk features.
Converting an entire folder without sampling
Fix: use the batch wizard on a protected copy, then sample documents with different structures and manually repair exceptions.
What the official guidance establishes
Microsoft’s ODT guidance distinguishes writing from formatting when a document is shared between Word and another word processor: “When you collaborate on a document shared between Word and another word-processing application, such as Google Docs or OpenOffice.org Writer, think of writing (the words) and formatting (the look) as different tasks.” The practical implication is to verify both the text and the presentation.
Microsoft’s file-format guidance states: “The Open XML format (.docx/.xlsx/.pptx) is the default format in all supported versions of Microsoft Office and, unless you have a specific reason to use a different format, it’s the format we recommend using for your Office files.” That recommendation applies to Office workflows; it does not make Open XML a guarantee of identical rendering in another suite.
LibreOffice’s documentation similarly establishes that it can open and save Microsoft formats and convert folders to OpenDocument files, while warning that complex Office documents may use layout and formatting features it handles differently or does not support. Its “latest” help pages should be checked against the version installed on the sender’s and recipient’s computers.
The reliable rule for cross-suite documents
Choose the format for the recipient’s actual editing task, keep a native master, simplify only where it is safe, and validate the exact saved copy in the application that will receive it. Compatibility makes exchange possible; only a round-trip inspection of the real document can show whether its formatting and required features survived.
