Capture the post promptly, but keep more than a screenshot: save the direct URL, account or publisher identity, date and time with time zone, surrounding thread context, and any original media or related messages. Preservation and admissibility rules vary by jurisdiction. If the dispute is urgent or high-stakes, speak with a lawyer in the relevant jurisdiction; no checklist can guarantee that a court will admit the material.
What to save before a post is deleted
Make a record of what appeared online and how you collected it. A practical collection should include:
As an Amazon Associate I earn from qualifying purchases.
- The full visible statement and enough preceding and following content to show its context.
- The direct URL or platform location, plus the displayed account name, handle, page, or publisher identity.
- The capture date and time, including the time zone.
- Original available copies of attached photos, video, documents, or other media.
- Relevant replies, reposts, direct messages, emails, notifications, and other communications.
- A note naming the collector, device or software used, and steps taken to capture or download each item.
These are practical steps for making a record another person can understand; there is no universal screenshot format prescribed for every dispute.

A screenshot is quick and can document what appeared on a screen, but it may leave out dates, times, recipients, metadata, or page context. Use it as one part of a fuller record, not the only preserved item. If the platform offers an export or download, save that too; download attached media in its original available format. Keep relevant electronic documents and communications, not just the public post. UK Practice Direction 31B describes electronic documents broadly, including email, texts, voicemail, files on devices and servers, deleted data, metadata, and embedded data. UK Practice Direction 31B

A careful preservation workflow
1. Capture the page and its context
- Take one or more screenshots showing the statement, the displayed account or page identity, and enough surrounding content to identify the exchange.
- Capture the browser address bar or separately write down the direct URL.
- Record the capture date and time with time zone, the device or method, and who made the capture.
- If the post is in a thread, include material before and after it rather than isolating a fragment.
Do this promptly if content may disappear. If it later changes or vanishes, make a new capture and note what changed; do not replace the earlier file.
2. Save fuller and original records
Use the platform’s export or download feature when it provides relevant records. Save original available media and related messages, emails, notifications, replies, and reposts. Do not delete relevant messages, accounts, files, or other data. Do not crop, annotate, edit, or recompress the only preserved copy. If you need a redacted or annotated version for discussion, make it as a separate working copy.

3. Make a collection note
For each item, note who collected it, when and in what time zone, its URL or platform location, the device or software used, and the steps taken to copy or download it. Explain any later captures or changes without overwriting earlier material. For a serious dispute, a digital-evidence professional can advise on a defensible collection and integrity process. The US Federal Rule of Evidence 902 includes provisions concerning certification of certain electronic processes and records, illustrating why the retrieval process may matter; it does not guarantee admissibility. 4. Keep an unchanged master and secure copies
Keep the original capture or downloaded file unchanged as a master, then make separate working copies. Store a secure backup, limit access, and retain relevant device or account data where appropriate. Removable storage, including a USB drive, is one possible location for electronic documents under the UK disclosure guidance; it does not authenticate a record or have to be used.

5. Pause before escalating publicly
Avoid replying in anger or reposting the accusation before preserving what is there. If litigation is contemplated, get legal advice about next steps and any preservation request. In the UK, Practice Direction 31B says legal representatives must notify clients of the need to preserve disclosable documents once litigation is contemplated. That is UK procedural guidance, not a worldwide rule.
Which preservation method fits?
| Method | What it can preserve | Limits to keep in mind |
|---|---|---|
| Screenshot with URL and collection note | Visible wording, identity as displayed, and some page or thread context. | Fast, but may omit metadata, timestamps, recipients, or other context. |
| Platform export or downloaded native files | May retain more of the original electronic material, including metadata or attached media, depending on what the platform makes available. | Availability and contents vary by platform; keep the capture process documented. |
| Professional digital-evidence collection | Can provide a more structured collection and integrity process where authenticity is disputed or stakes are high. | Involves technical and potentially professional cost; it still does not guarantee a court will admit the material. |
Choose by the context needed, whether native files and metadata are retained, how clearly the process can be explained, and the time, cost, and technical burden. A web archive should not be the sole record: its legal recognition is not universal, and the material here does not establish otherwise.

Does a capture prove who posted it?
No, not by itself. A screenshot or page capture can document what appeared at a particular page, but proving authorship is a separate question. Account names and displayed publisher identities are part of the record, not conclusive proof of who controlled or used the account. Authentication is also distinct from hearsay, relevance, and other potential objections. For example, US Rule 902 addresses self-authentication of certain electronic processes and records, but authentication alone does not resolve those other issues. The applicable requirements depend on jurisdiction and case circumstances.
When to involve a lawyer
Seek advice from a lawyer in the relevant jurisdiction if the matter is urgent, significant, or likely to become litigation, especially before taking steps that could affect evidence or legal rights. The UK Pre-Action Protocol for Media and Communications Claims applies to specified claims within CPR 53.1, including defamation claims arising from online or social-media publication. It provides for early information exchange and resolution in covered claims, and says the extent of compliance may assist the court on costs and other orders. It is UK-specific and does not supply a universal takedown strategy or deadline. UK Pre-Action Protocol for Media and Communications Claims

For a capture of a public page, ScreenshotNeo offers a one-request screenshot API. It can record a rendered page, but it does not by itself prove authorship or make evidence admissible. Keep the URL and collection note, and preserve platform records and native files separately where available.

curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://example.com/post -o shot.webp
ScreenshotNeo accepts cookie or consent banners and removes more than 60 known consent platforms, newsletter popups, and chat widgets before capture; each of these steps can be turned off. Bot checks or CAPTCHAs, blank pages, timeouts, failed loads, and cache hits are not billed, and response headers identify the page verdict and billing status. Its MCP server provides AI agents with tools to take screenshots, get page information, and capture PDFs. The free plan includes 1,000 screenshots a month without a card; paid plans start at $5 for 3,000. Learn about ScreenshotNeo.

Frequently Asked Questions
Should I use a web archive as my only copy?
No. Keep your own capture, URL, collection note, and any platform exports or original files available to you; the legal recognition of archive snapshots is not universal.
Is there one deadline for preserving or bringing an internet defamation claim?
No universal deadline is established here. Timing and procedure depend on jurisdiction, so get local legal advice promptly.
