Keep receipts, payroll, bills and records moving by confirming the bank’s dates and instructions, listing every payment flow, updating the people and services connected to your account, and keeping the old account active until transactions have cleared. A bank-led merger or conversion is not the same as a switch your business initiates: the bank’s notices and your agreements determine what changes and when.
First, establish what is changing and when
Ask your bank to confirm the change in writing. Find out whether it is a merger, a systems conversion, a branch change, or a move your business is initiating. Request the effective dates, new account or routing details if applicable, service-by-service instructions, any expected downtime, and a contact for exceptions. General bank guidance cannot establish the timing or mechanics of your institution’s conversion.

Read notices about deposit-account terms, loan servicing and payment addresses, treasury services, and wire instructions. During a merger, deposit-account terms may change if the account agreement allows it and required notice is given; acquired loans remain subject to their loan contracts, according to the FDIC. A failed-bank acquisition may involve a new deposit contract, so do not assume a merger and a bank failure have identical effects. Check the notices and agreements that apply to your business.
Inventory every way money moves
Make one migration list for all incoming and outgoing activity. Assign an owner and a completion date to every item; a change is not complete just because someone submitted a form.
#1 Best Overall
- Money in: customer ACH and wire receipts, card settlements, e-commerce payouts, and deposits from customers.
- Money out: payroll, payroll taxes, tax payments, vendor invoices, rent, utilities, insurance, loan payments, automatic debits, scheduled transfers, and bill pay.
- Payment instruments: outstanding checks, debit or credit card activity tied to the account, and withdrawals.
- Connected systems: payment processors, accounting software and bank feeds, payroll platforms, and any other service using stored banking details.
Prepare the destination account and its users
Before directing transactions to the destination account, confirm that the correct business owns it and that authorized signers, user permissions, transaction limits, tokens, statements, and alerts are set up. Test access for the people who need to approve payments and reconcile activity.
If your business is choosing a new bank, compare the operational fit rather than focusing on a single headline rate or promotion. The FDIC and Chase identify costs, rates, features, digital tools, and service as relevant considerations; for a business, also weigh payment continuity, cash and branch access, limits and permissions, accounting and processor integrations, support, and whether the bank can handle your industry’s transaction pattern. A short-term offer does not compensate for a missing service your business depends on. See the FDIC’s account-switching guidance and Chase’s business account-switching guide.

Keep both accounts available during the overlap
Where the bank permits it, keep the old account open while the new instructions take effect. Retain enough funds there to cover uncleared checks, card activity, automatic payments, withdrawals, and other pending transactions. Check both accounts regularly for deposits, debits, returns, refunds, fees, and unexpected activity. The FDIC recommends allowing time for direct-deposit changes and monitoring the old account; it advises waiting until checks and other transactions have posted before closing it.
Use statements and transaction histories to reconcile what moved and what remains. The FDIC and Chase both advise against moving the remaining balance or closing the former account before outstanding activity and services are handled.

Review deposit-insurance notices for your specific business
For a merger, the FDIC says deposits transferred to an assuming bank are insured separately from deposits already held at that bank for at least six months, subject to ownership-category rules. That general rule does not determine coverage for a particular company, account structure, or balance. Review the bank’s notice and ask the bank or FDIC how the ownership categories apply to your business. See the FDIC’s explanation of branch relocations and bank changes.
