How to Prepare Photos and Artwork for Print-on-Demand Gifts

Prepare your image for the exact gift and print area you plan to order: use the product’s template, check that the original file has enough pixels at the final size, choose a format that suits the artwork, and follow that provider’s color and bleed instructions. There is no single DPI, color setting, or canvas size that works for every print-on-demand product.

1. Choose the gift and get its template

Start with the specific product and print location—not a generic canvas. A mug wrap, poster, canvas, and garment print area each have different dimensions and may use different production methods. Find the product’s current file guidelines and download its template before arranging the image. Printful recommends using the guidelines and templates for the specific product: Printful’s print-file guidance and digital print-file guide.

Use the template to check the printable area, orientation, and any safe zones. Do not assume that a design sized for one provider or product will fit another.

2. Check image resolution at the final print size

Resolution depends on both the source image’s pixel dimensions and how large it will be printed. To estimate effective pixels per inch (PPI), divide the image’s pixel width by the intended print width in inches; do the same for height. For example, a 3000-pixel-wide image placed 10 inches wide works out to 300 PPI across. If enlarged to 20 inches, it works out to 150 PPI.

Printful gives a general range of 150–300 DPI depending on the product requirements. Gelato’s guidance for its print-ready PDF workflow specifies at least 150 dpi and a maximum of 300 dpi at actual size. These are provider-specific instructions, not a universal standard; check the chosen product’s current requirements. See Printful’s file guidance and Gelato’s PDF upload requirements.

Use the original, highest-quality photo or artwork file when possible. Enlarging a small image can increase its pixel dimensions, but it cannot recreate detail that was not captured in the original. If a file looks soft at the intended size, choose a smaller print area or a higher-quality source rather than relying on enlargement to make it sharp.

3. Choose PNG, JPEG, or PDF for the artwork

Format Best suited to Important limitation
PNG Artwork that needs a transparent background, crisp edges, or sharp text and illustration details. Follow the product’s accepted formats and file limits.
JPEG/JPG Opaque photos and full-coverage designs without transparency. JPEG does not preserve transparency; transparent areas may instead appear as a solid background.
PDF A print-ready layout or artwork that uses vector content, when the provider and product accept PDF. Complex effects, hidden layers, embedded fonts, strokes, or transparency may render differently after upload. Export to the provider’s specified PDF standard.

Printful says, “For most print products, use PNG or JPEG/JPG, depending on the product and printing method.” It recommends flattened PNG or JPEG for predictable rendering when PDF effects may be interpreted differently. Check the product’s format rules before exporting; details are in Printful’s format guidance.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If your design should have a transparent background, inspect the exported file in a transparency preview or against a checkerboard before uploading. A white background in a JPEG will print as part of the image rather than becoming transparent.

4. Follow the provider’s color instructions

Color settings are not interchangeable across providers and products. Printful recommends the sRGB IEC61966-2.1 profile for uploaded files and says its system converts colors for printing. It also cautions that “Colors on a screen won’t always match the final printed product exactly.” Screens emit light, while printed materials reflect it, so some neon, highly saturated, or very dark colors may not reproduce as vividly.

Gelato’s cited PDF/X-4 workflow allows sRGB and CMYK objects and specifies a GRACoL 2006 output intent. Its guidance recommends sRGB images for posters and non-paper products, and CMYK image files for small-format digital printing such as brochures and stationery. These recommendations apply to that PDF workflow; they are not a general instruction to convert every image to CMYK. Follow the chosen product’s current profile and export requirements: Gelato’s PDF requirements and Printful’s file guidance.

5. Extend backgrounds to bleed and keep key details safe

For edge-to-edge printing, bleed extends the artwork beyond the final trim edge to reduce the chance of an unprinted sliver. The safe area serves a different purpose: it keeps faces, text, and other important details away from the cut. Extend background colors or imagery through the bleed, but keep critical content inside the product template’s safe area.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For its print-ready PDF workflow, Gelato specifies 4 mm of bleed on all sides. Its safe area should be at least 4 mm inside the trim line, except that the stated Wire-O products require 12 mm on the binding side. Gelato also notes that frames cover approximately 4–5 mm at each edge for the framed prints described in its guidance. These measurements are specific to the cited workflow; use the actual product template because trim, binding, and frame coverage vary. See Gelato’s PDF requirements.

6. Export, upload, and inspect the preview

  1. Export to the template’s dimensions and orientation. Use the format and color profile required for the product. For Printful, use Save As or Save a Copy rather than a legacy Save for Web workflow if that would create an unsuitable low-resolution file.
  2. Upload the exported file and review warnings. A warning may indicate a resolution or file problem; address it before ordering rather than assuming the mockup will compensate.
  3. Inspect placement in the product preview. Check orientation, crop, position, edges, and transparent areas. Make sure the preview shows the intended background and that no face, text, or other essential detail sits too close to a cut or edge.
  4. Correct the source and preview again if needed. Adjust the placement or artwork in the design file, then upload and recheck. Do not approve the order until the preview matches the intended composition.

Printful’s reviewed file-library guidance sets limits of 200 MB and 20,000 × 20,000 pixels; files beyond those limits may fail to upload. Those are Printful limits, not shared limits for all print-on-demand providers. Check the chosen service’s current upload rules: Printful’s print-file guidance.
