Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallThe safest way to prepare for a college technology festival is to treat the organizer’s current rulebook as your specification. Before you polish a prototype or design slides, record the event’s deadline, submission format, presentation time, poster dimensions, judging criteria, booth provisions, equipment rules, and safety restrictions. Then build one clear story—problem, solution, method, evidence, feasibility, impact—and rehearse a reliable demonstration that matches what you submitted.
Start with the event’s own rules
College technology festivals do not share a universal format. One showcase may require an A0 portrait poster and a six-minute presentation; another may use a five-minute slot with questions, a five-to-ten-minute presentation, or a poster-only exhibition. Equipment, booth space, mounting materials, network access, and safety rules also vary. Use examples from other festivals only as planning references, never as substitutes for the current instructions for your event.

Read the organizer’s page or rulebook before assigning tasks. For example, the VisionX Project Showcasing Track Guidelines specify a poster, demonstration, and timed presentation, while Iconeect 2026’s project exhibition guidance permits several presentation formats and sets its own equipment and safety expectations. The University of Calcutta IIC SIH 2026 instructions describe a slide deck and prototype demonstration where applicable, with a poster as an option.

Ask the organizer about any blank field early. Power and mounting questions are especially difficult to solve on the morning of the event.
Shape the project around the judging questions
A judge should be able to understand the project without guessing why it exists or what has actually been demonstrated. A useful narrative order is below. An event may impose its own slide template or sequence; follow that template if it conflicts with this editorial structure.
1. Define the problem
State who experiences the problem, in what setting, and why it matters. Use a measured observation, user requirement, or clearly bounded use case when you have one. Avoid opening with a list of components or an unexplained acronym. A judge needs the need before the mechanism.
Quick wins for a faster PC:
Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Repair Windows errors before they cause bigger problemsFix Now →2. State the solution and what is distinctive
Describe what the project does in one sentence, then identify the useful or novel choice. “A sensor system” is a category; “a system that alerts a laboratory supervisor when a refrigerated sample leaves its safe range” is an understandable function. Distinguish an original contribution from a familiar part used in a new combination.
3. Explain how it works
Show the architecture, workflow, prototype, algorithm, or design decisions at the level your audience can follow. A block diagram can connect inputs, processing, communication, and output more clearly than a paragraph. Define technical terms the first time they appear and explain why each major design choice supports the stated need.
4. Present evidence honestly
Show test results, a working workflow, user evaluation, or another concrete indicator of performance. Label the test conditions and sample size when those details exist. Keep proposed features separate from completed results. If a network-dependent feature, sensor, or model is not ready, name the limitation rather than presenting a plan as a finding.

5. Address feasibility and impact
Explain what resources the project needs, who could use it, and what would be required to deploy or improve it. Include practical constraints such as power, maintenance, data access, training, or manufacturing. Connect impact to the original problem instead of making broad claims that your evidence cannot support.
6. Demonstrate and close
Show the shortest path from the user’s action to the project’s key result. End with one takeaway: the problem solved, the evidence supporting it, and the next step. Then invite questions. Penn State Hazleton’s STEM Research Fair judging criteria emphasize logical organization, an appropriate balance of visuals and text, communication, demonstration organization, technical method, and delivery; this sequence addresses those dimensions without turning the presentation into a script.
Choose the right presentation combination
Use the format the event permits and the project can execute reliably. The following decision table separates the strengths of each option from the checks that must happen before you commit.
| Format | Best when | Confirm before choosing |
|---|---|---|
| Poster-led display | The event is an exhibition, judges circulate among booths, or a poster is mandatory. | Required dimensions, orientation, print deadline, mounting method, and whether the team must stay at the booth. |
| Slide presentation | The event assigns a timed pitch or requires a deck. | Template, file type, time limit, screen or projector, advance submission, and question period. |
| Live demonstration | The core function can be shown quickly, safely, and repeatedly. | Power, network, setup time, floor space, safety approval, and the permitted fallback if a live feature fails. |
| Poster, slides, and demo | The event permits multiple formats and the team can prepare each without losing a single clear message. | Give each format a distinct job; do not copy a dense slide deck onto the poster. |
Iconeect’s guidance allows a poster, laptop presentation, live demo, or another suitable visual format. VisionX combines a specified poster with a mandatory demonstration and timed presentation. The University of Calcutta guidance calls for a slide deck and prototype demonstration where applicable, while treating the poster as optional. These differences are why the organizer’s wording controls your plan.
Build a poster that can be scanned
Follow the required physical specification
Use the exact dimensions, orientation, file type, and submission or printing deadline. VisionX requests an A0 portrait poster: 84.1 × 118.9 cm (33.1 × 46.8 in). That measurement belongs to that event; it is not a general festival standard. If your organizer specifies a different size, use its value instead.
Give the poster a judge-friendly hierarchy
Arrange the content so a reader can identify the project and its result while standing several steps away:

- Title and team: Use a descriptive title, team members, department, and institution if required.
- Problem: State the affected user or setting and the need.
- Objectives: List the specific outcomes the project set out to achieve.
- Methodology: Use a diagram, short sequence, or labeled architecture to show how the system works.
- AI use, if applicable: Identify where AI is used and what role it plays, rather than adding “AI” as decoration. VisionX explicitly asks its poster to highlight AI use.
- Results or outcomes: Show the central evidence with units, conditions, and labels where relevant.
- Conclusion and impact: State what the evidence supports and the practical significance.
Use short blocks, descriptive subheads, labeled figures, and enough empty space around the central result. Penn State’s criteria call for a logical organization, an appropriate mix of visual and textual material, and visual appeal. A readable figure with a caption is more useful than several unlabeled screenshots.
Prepare the file and the physical copy early
Export the digital file in the organizer’s requested format, then inspect it on another computer for missing fonts, clipped diagrams, low-resolution images, and spelling errors. If a print copy is required, allow time for a proof and a correction. Confirm whether boards, clips, pins, tape, or other mounting materials are supplied; pack them only if the organizer does not.
Make the live demo dependable
Rehearse the complete path
Test from power-on to the key result, not just the individual components. Record the exact sequence: launch the application, connect the device, provide the input, trigger the feature, and show the output. Time the sequence repeatedly, including setup and recovery. A demo that works only after an unplanned configuration change is not ready.

- Repeat after a restart and, if relevant, with the network disconnected.
- Write a short recovery card for common faults: reconnecting a cable, restarting an application, replacing a battery, or switching to an approved fallback.
- Rehearse the spoken explanation while another teammate operates the prototype.
Plan for an unavailable Wi-Fi connection, a missing sensor reading, a dead battery, or a venue computer that cannot open your file. Use a clearly labeled recording or screenshots only if the event allows them, and identify them as recorded evidence rather than a live operation. Do not imply that a prerecorded sequence occurred at the booth.
Keep the demonstration consistent with the submission
The University of Calcutta IIC SIH 2026 instructions say the presentation, prototype, and demonstration should remain consistent with the submitted proposal and ask teams to test equipment before their slot. Treat that as a useful integrity check even when your event uses different wording: update your materials together, and disclose any changed scope or unfinished feature.
Plan the timed presentation
Do not guess the length. Published examples include a six-minute presentation in the VisionX guidelines, a five-minute slot with questions in one exhibition format, and five-to-ten-minute presentations in another. These are event-specific examples, not a universal range. The University of Calcutta SIH 2026 guidance calls for a ten-slide format, so teams attending that event should use its slide count and submission instructions rather than adapting a different deck.

| Presentation element | What the audience should learn |
|---|---|
| Opening problem | Who needs help and why the problem is significant. |
| Solution and novelty | What your project does and what is useful or different about it. |
| Method or architecture | How inputs become the result, including key design choices. |
| Evidence | What you tested, under which conditions, and what happened. |
| Feasibility and impact | What deployment would require and who benefits. |
| Demo and close | The core workflow, one supported takeaway, and the next step. |
Assign a time budget to each section, then rehearse with the actual slides, clicker, prototype, and speaking order. Leave enough margin for a brief transition or an equipment restart. If questions are included in the slot, practice stopping at the announced time rather than consuming the question period.
Assign team roles and rehearse questions
Every team member should know what happens if the primary operator is absent. Assign:
- Introducer: frames the problem and the intended user.
- Technical explainer: describes the method, architecture, or prototype decisions.
- Operator: runs the demonstration and watches the equipment.
- Slide controller or timekeeper: advances materials and signals the remaining time.
- Question lead: directs questions to the teammate with the strongest evidence, while everyone remains prepared to answer.
Rehearse concise answers about the problem, method, feasibility, cost-effectiveness, limitations, safety, and evidence. If a result is preliminary, say what remains to be tested. Judges generally learn more from a precise limitation than from an unsupported promise.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Pack for the venue, not an imaginary venue
Venue provisions differ sharply. One event may describe Wi-Fi, a table, power strips, and mounting materials; another may instruct teams to bring laptops, chargers, power supplies, extension boards, and project-specific accessories. Georgia Tech’s Capstone Design Expo student guidance advises requesting outlets during registration when needed and bringing fully charged laptops or tablets or backup devices.
Documents and files
- Registration confirmation, student ID, schedule, room or booth assignment, and required QR code.
- Final presentation, poster, proposal or abstract, and offline copies of demo assets.
- A second copy on a separate storage device when the rules permit it.
- Printed notes with the demo sequence, contact details, and recovery steps.
Devices and hardware
- Laptop, tablet, or other approved device; charger; required adapters; and a tested backup device when practical.
- Prototype, cables, sensors, tools, spare parts, and project-specific power supply.
- Extension board or power strip only if permitted and not supplied by the venue.
- Mounting materials only when the organizer does not provide them.
The UM iFEST presenter checklist explicitly names a phone charger and power bank. Bring a power bank only when it is compatible with your device and allowed by the event. A phone power bank should not be assumed to run a laptop, high-draw prototype, or other equipment.

Personal and safety items
- Phone charger, water, and any event-required protective equipment.
- Insulation, guards, cable ties, or other safety hardware required by the project’s approved setup.
- A small label or sign identifying the prototype’s controls and “do not touch” areas where relevant.
Review safety and intellectual property before arrival
Read the written safety rules and obtain approval for unusual hardware before transporting it. Iconeect’s guidance prohibits exposed high-voltage terminals, hazardous chemicals or materials, unsecured batteries, and dangerous moving mechanisms; it also says organizers may prohibit demonstrations considered unsafe. The same guidance places responsibility on participants to avoid third-party intellectual-property infringement. Those are Iconeect’s stated rules, so check whether your festival adds or changes them.

What to do on festival day
Set up before the audience arrives
Check in, locate the power outlet and network information, and verify that your table or board matches the expected dimensions. Mount the poster without covering required text. Power the prototype using the approved supply, run one complete test, and leave enough time to return the booth to a safe, uncluttered state.
Use the first interaction to orient the judge
Give a 20-to-30-second explanation of the problem and the result before launching into technical details. Ask whether the judge would like the full demonstration or a particular component explained. Keep the primary path visible and avoid burying the result under setup steps.
Record changes and incidents
If a sensor fails, a feature is disabled, or the organizer changes the timing, note it and explain the effect accurately. Do not silently substitute a different project version. Consistency between the submitted materials and the booth protects the credibility of the team’s claims.
After the festival
Save judges’ questions, observed failures, and requests for evidence while they are fresh. Separate feedback about the problem, explanation, prototype, and logistics. A short post-event review can identify whether the next version needs better testing, a clearer visual, safer hardware, or a more realistic deployment plan. Keep the final submitted files and the version demonstrated together so later reports do not confuse planned work with completed work.
