Start with a room-by-room record of your belongings, supported by original photos, notes, and documents. Local AI can help draft descriptions or read legible text from images, but check every result yourself: an AI-generated list does not establish ownership, value, or proof of loss. Keep an export and a copy somewhere safe away from home.
What to record in a home inventory
Use a spreadsheet, local database, inventory app, or another format you can export and open later. Create one entry per item or sensible group of similar items, and connect it to its source photo and any supporting paperwork.

- Identification: room, category, item description, quantity, brand, model, and serial number when readable.
- History and value: age or purchase date, purchase price, and estimated current value when you have a reliable basis for recording them.
- Evidence: photo filename, receipt or invoice reference, appraisal, and repair records where relevant.
- Notes: condition or other useful details you can verify.
Mark unknown details as unknown rather than asking a model to fill them in. Keep original notes separate from AI-edited text, and retain the original photographs and documents.

Photograph the home room by room
Walk through every room, including closets, cupboards, drawers, storage areas, and garages. Take broad shots that establish the room and closer images when an item’s details are difficult to see. Photograph model or serial plates separately if that makes the information legible.
Use a consistent filename or dated note to connect each image to a room and inventory entry. The California Department of Insurance Home Inventory Guide recommends date stamps and relevant information on photographs. Keep the unaltered originals: processed or AI-edited images should not replace them.
Photos and video are useful records of belongings, and photos can help describe items that are hard to explain or lack a receipt. The NAIC claims guidance recommends documenting belongings through a room-by-room walk-through.

Add notes and supporting documents
Record details you can verify from the item itself, its label, a receipt, an invoice, an appraisal, or your own records. Gather purchase receipts, appraisals, and repair documentation, then reference the relevant file in the inventory. If an item is hard to identify from a room photo, take a separate close-up of its label or distinctive features.
If time is limited, begin with high-value or distinctive possessions such as jewelry, art, heirlooms, collections, and electronics, then work through ordinary household goods and less frequently used belongings. Keep new-purchase receipts and add entries as you acquire items.
Use local AI to draft descriptions, not facts
A vision-capable model can examine images and draft descriptions or transcribe visible text. In Ollama, image input is supported by vision-capable models; a text-only model cannot inspect a photo. See Ollama’s vision-model documentation and confirm that the particular model you select accepts images.

Try a small batch first. A prompt like this can limit unsupported claims:
List only objects clearly visible. For each, give a short visual description and any brand or model text that is legible. Mark uncertain fields unknown. Do not estimate price, age, or serial number.
Compare every draft with the image and any documents before adding it to your record. Check for missed or duplicated objects, confused identities, and misread labels. The cited tool documentation explains how to supply images; it does not establish reliable recognition or text-reading accuracy for typical household rooms. Do not treat a model’s output as verification of ownership, condition, purchase price, replacement cost, or proof that an item was lost. The NAIC’s AI guidance notes that large language models have limitations, even when useful for tasks such as summarizing documents.

Check that processing is actually local
“Local AI” describes where a selected model processes the photo, not every feature an application may offer. Check the mode before adding sensitive images, and avoid cloud-model or web-search features if you require on-device processing.
LM Studio’s offline-operation documentation says downloaded local models can run offline, while model discovery, downloads, and updates require an internet connection. Ollama’s privacy policy distinguishes local processing from cloud-hosted model use. Read the current settings and policy for the specific tool and mode you use; downloading a model generally requires network access unless you acquire it separately.

On-device processing does not secure an unlocked computer, shared folder, lost device, malware-infected system, or unsafe backup. Protect the device and copies with safeguards appropriate to the sensitivity of your records.

Consider privacy and processing location, image input, exportability, ease of attaching receipts and serial numbers, and whether the records remain usable without a particular app or subscription. The cited sources do not provide a controlled head-to-head comparison of these approaches or validated accuracy results for AI inventory work.
Export, back up, and update the record
Keep an export you can open without the original app, alongside the original photos, notes, receipts, and appraisals. Store a copy in a safe, accessible place away from the home; the California Department of Insurance recommends a duplicate at another location, and the NAIC recommends safe, accessible storage. An external SSD is one possible offline copy, not a backup plan by itself.
Add new purchases as they happen and review the inventory at least annually. The NAIC Consumer Homeowners guidance recommends annual inventory review and retaining records in a safe, accessible place.

An organized inventory helps you prepare records, but it does not determine what a policy covers or guarantee payment. Coverage, limits, deductibles, exclusions, proof requirements, and claim deadlines depend on the policy and jurisdiction. Ask your insurer or agent about specific coverage and claim procedures. The NAIC’s homeowners-claim guidance discusses documentation for a claim; an AI-generated list is not a substitute for the evidence your insurer requires.
