Plan travel and overnight stays as part of the tech fest itself, not as separate errands. Start by fixing the campus, venue, dates, hours, attendance, attendee origins, overnight demand and budget. Then map the entire journey—from parking or transit through an accessible entrance and between buildings—choose transport that matches the group and schedule, verify any lodging with the actual property, and publish practical details in registration. The right plan is conditional on your campus and dates; no general guide can supply a route, price, hotel or booking deadline for an unspecified fest.

1. Establish the planning brief before you contact providers

Travel decisions are only meaningful after you define the event they must serve. Put the following in a one-page brief that the travel, accommodation, registration and safety leads can all use:

As an Amazon Associate I earn from qualifying purchases.

  • Campus and venue: list every building, room, dining area, restroom and outdoor space used by the programme.
  • Dates and operating hours: include setup, check-in, competition periods, breaks, closing and teardown. Transport must work for the earliest arrival and latest departure, not just the headline opening time.
  • Expected attendance: separate competitors, volunteers, speakers, staff and guests because their arrival patterns and support needs may differ.
  • Origins: collect the cities or campuses from which people will travel. This tells you whether a single coach, several pickup points, public transport information or mostly local directions are appropriate.
  • Overnight demand: estimate how many people need a bed, for which nights, and whether minors, chaperones or accessibility requirements affect room assignments.
  • Budget and payment responsibility: decide what the fest pays, what attendees pay directly and which costs require reimbursement or deposits.
  • Access and support contact: assign one person to answer mobility, sensory, dietary and lodging questions and to coordinate changes with providers.

Do not fill gaps with assumptions. The city, campus, dates, attendance, available routes, prices, property inventory and booking windows are unknown until you obtain them. Keep those fields visibly marked as decisions to be made rather than promising a service you have not checked.

2. Inspect the complete journey, not just the event room

A venue can have an accessible hall and still be difficult to reach. Georgia Tech’s accessible-event guidance says ease of travel and accessible entrances and exits should inform venue suitability. Inspect or digitally audit the route from the surrounding road and transit stop through arrival, registration, programme rooms, dining and restrooms.

Trace arrival and departure points

  • Identify legal coach and rideshare stopping points, private-car drop-off, accessible drop-off and nearby parking.
  • Measure or verify the route from each point to the usable entrance. Note ramps, elevators, curb cuts, stairs, steep grades, narrow doors and surfaces that become difficult in rain.
  • Confirm which entrances are open during your actual hours. An accessible door that is locked after business hours is not a usable plan.
  • Mark where registration, help desks and waiting areas sit relative to the entrance. Avoid sending a person who needs assistance across a crowded or indirect route to check in.

Make wayfinding usable

Prepare a simple arrival diagram showing parking, drop-off, transit stops, the accessible route, entrances, elevators and the event rooms. Use signs at decision points rather than only at the destination. Give drivers and attendees the same names for buildings and doors that campus staff use. Include a phone or messaging contact for someone who cannot find the route.

Check movement within campus

Tech fests often move people between registration, workshops, competitions, meals and accommodation shuttles. Check elevator locations, door widths, rest areas and restroom access along each internal route. If a route depends on an elevator, identify a backup route and the person responsible for responding if the lift is unavailable. Georgia Tech’s detailed planning guidance specifically calls attention to parking, drop-off, route signage, ramps and elevators.

3. Select a transport model that matches the group

Compare only services that actually operate for your campus, dates and hours. American University’s group-travel guide identifies contracted buses, public transportation, rideshare, group size and nighttime road travel as factors to assess. Cornell advises requesting a wheelchair-accessible bus in advance rather than trying to improvise one at the last minute.

Model When it may fit Questions to verify Risks and controls
Contracted coach or shuttle A concentrated group needs a predictable campus-to-venue or lodging-to-campus movement. Vehicle capacity, exact operating hours, pickup points, driver contact, boarding equipment, luggage and ability to add a second vehicle. Late or failed service can affect everyone; obtain a provider escalation contact and a fallback route.
Public transportation Frequent, suitable services already connect major attendee origins with campus. Accessible stations and vehicles, service hours during arrival and departure, walking route, disruptions and fare/payment method. Reduced or disrupted service may strand late travellers; publish alternatives and do not assume every station is step-free.
Rideshare or taxis People arrive in small, irregular groups or need point-to-point travel. Designated pickup area, vehicle availability at event hours, accessible-vehicle request process and who pays. Surge pricing, congestion and inconsistent accessibility; keep a staffed pickup point and an escalation number.
Self-arranged cars Many local attendees can drive and parking is sufficient. Permit rules, lot location, accessible spaces, drop-off rules, closing time and overnight parking. Full lots and confusing entrances cause delays; reserve accessible spaces and send a map before arrival.

Test reliability and capacity

Ask each provider for the specific vehicle and service plan, not a generic statement that it is “accessible.” Confirm the number of seats, wheelchair positions, boarding method, space for mobility equipment, and whether a replacement vehicle can be dispatched. Match departures to programme end times; a shuttle that leaves before a final presentation is not a complete solution.

Plan for night travel

If people will travel after dark, inspect lighting, crossing points, campus security coverage and the distance between stops and doors. American University’s guidance treats nighttime road travel as a group-travel consideration. Decide who monitors late arrivals, how a delayed person contacts the team and where they wait safely.

4. Decide how the fest will handle accommodation

There are three workable arrangements. Choose one deliberately and state who owns each task.

Arrangement Organizer responsibilities Attendee responsibilities Best fit
Organizer-coordinated room block Negotiate inventory, dates, rates and terms; collect rooming information if needed; provide transport and an accommodation contact. Meet the booking or payment deadline you publish; report access or dietary needs through the agreed channel. Demand is concentrated and the organizer can manage contracts and deposits.
Independent booking with guidance Publish verified location, distance, access information and travel options without promising rooms or rates. Book, pay, cancel and arrange personal transport directly with the property. Demand is uncertain or attendees have varied budgets and dates.
Campus accommodation Confirm inventory, check-in rules, room and restroom access, security, linens, meals and transport between residences and venues. Follow campus check-in rules and supply required information by the stated deadline. The institution controls suitable residences during the fest period.

Verify a property with the property

Emory’s accessible-event guidance recommends consulting lodging providers about access in guest rooms, meeting spaces and common areas. Ask specific questions and record the answers:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Which rooms have the features a particular attendee needs, and are those rooms on an accessible route from the entrance and lift?
  • Are the lobby, breakfast or meeting areas, restrooms and emergency exits reachable without stairs?
  • What are the bed, bathroom, shower, door, lift and communication arrangements? Let the attendee describe the requirement; do not substitute a broad “accessible” label for confirmation.
  • What are check-in hours, identification requirements, deposit rules, cancellation terms and payment responsibilities?
  • How will guests travel to campus, and is the route usable at the times the fest begins and ends?

Do not advertise a property as suitable solely because a listing uses an accessibility badge. Keep written confirmation and give attendees a contact who can discuss individual requirements confidentially.

Connect lodging to the venue

Distance on a map is not enough. Check the actual walking route, transit stops, shuttle loading point, travel time at event hours and what happens when a person misses a departure. If the lodging and venue are on different parts of campus, treat that internal journey as transport planning, including elevators, ramps and weather exposure.

5. Collect needs early and publish useful information

Registration is the point at which a travel plan becomes usable. UConn’s accessible-event planning guidance emphasizes comprehensive pre-registration information so participants can assess what accommodations they may need. Georgia Tech recommends accessible promotion, an accommodation contact and registration fields for accommodation or dietary concerns.

Put these fields in registration

  • Arrival and departure date, approximate arrival time and origin city or campus.
  • Whether the person needs organizer transport, will use public transport, will drive or will arrange a ride.
  • Overnight nights required, preferred room arrangement and who will pay.
  • Accommodation requests, including mobility, hearing, vision, sensory, communication and dietary needs. Ask only for information needed to arrange support and explain who will see it.
  • Emergency or day-of contact details and consent for necessary coordination with a transport or lodging provider.

Set a response date based on the lead time your venue and providers require; the available guidance does not establish one universal number of days. Review responses as they arrive rather than waiting until registration closes. If a request cannot be met as first proposed, contact the attendee and offer a specific alternative.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Publish an attendee logistics page

Include the venue address, building and room names, parking and drop-off rules, accessible entrance, transit and shuttle information, lodging arrangement, check-in instructions, environmental conditions that may affect travel, and the accommodation contact. Send an accessible version of the map and directions before the event and make the same information available at registration.

6. Compare proposals with one decision matrix

When you receive transport or lodging proposals, score them against the same criteria. A low price can be a poor choice if it leaves people without an accessible route or a safe return.

Criterion Evidence to record Decision question
Total cost Quoted charges, deposits, taxes or fees stated by the provider, and who pays each item. Does the cost fit the approved budget without hiding attendee charges?
Capacity Seats, rooms, accessible positions and realistic demand by arrival period. Can the service carry the people and equipment who will actually use it?
Hours and travel time Pickup windows, journey time, last departure and check-in hours. Does it cover setup, programme start, closing and late arrivals?
Reliability Provider contact, replacement process, service history supplied by the provider and contingency option. What happens if a vehicle, room or route fails?
Accessibility Specific vehicle, boarding arrangement, route, room and common-area features confirmed in writing. Can each registered requirement be met without an unsafe workaround?
Location Walking route, distance, transfer points, lighting and weather exposure. Is the complete journey practical at the required times?
Terms Cancellation, payment, room release, changes and refund conditions. Can you adjust when attendance changes?
Information quality Clarity of maps, contacts, instructions and language used in attendee materials. Can a first-time visitor act on the information without guessing?

Record “not established” when a provider has not answered a criterion. Do not treat silence as confirmation. Select the option that meets essential safety and access requirements first, then optimize cost or convenience among the viable choices.

7. Build the budget around real responsibilities

Cornell’s event-accessibility guidance treats accessibility costs as part of overall event expenses and encourages advance planning. Create separate lines for transport, driver or staff time, parking, lodging deposits, room charges, taxes or fees stated by providers, accessible equipment, signage, communication support, contingency travel and refunds. Keep accommodation costs visible rather than absorbing them into an unexplained “miscellaneous” amount.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For every line, name the payer, approval owner, payment method and cancellation exposure. If attendees pay a property directly, say so before registration. If the fest pays and later seeks reimbursement, explain receipts and deadlines. Reconcile actual invoices with the agreed proposal and document any change made for an accommodation request.

8. Prepare contingencies before you publish the plan

A contingency is useful only when someone can activate it. Create a short incident sheet with the trigger, decision owner, contact and attendee message for each likely failure.

  • Transport delay or no-show: call the provider escalation contact, open the published alternative route and tell waiting attendees where to remain safely.
  • Accessible vehicle unavailable: do not place a person in an unsuitable vehicle. Use the pre-confirmed accessible alternative or revise the pickup plan with the attendee.
  • Parking or drop-off closure: redirect drivers to a named backup point and keep an accessible drop-off option staffed.
  • Lift or entrance outage: activate the inspected alternative route and place a person at the decision point.
  • Lodging overbooking or room mismatch: contact the property manager, preserve the attendee’s stated requirements and escalate before assigning any substitute room.
  • Late arrival: provide a staffed contact, safe waiting location and a clear way to reach the venue or lodging after normal shuttle hours.

Share only the information an attendee needs during an incident; keep the internal escalation list with event leads and providers.

9. Use a phased execution checklist

When the event concept is approved

  1. Complete the event brief: campus, venue, dates, hours, attendance, origins, overnight demand and budget.
  2. Inspect the complete arrival and internal routes, including accessible entrances, parking, drop-off, ramps, elevators, rooms, dining and restrooms.
  3. Decide whether the fest coordinates a room block, directs independent booking or uses campus accommodation.

When options are being sourced

  1. Request transport and lodging proposals that state capacity, hours, accessibility features, contacts, payment and cancellation terms.
  2. Ask for the specific accessible vehicle or room features needed; for a wheelchair-accessible bus, make the request in advance as Cornell recommends.
  3. Compare proposals using one matrix and mark unanswered items as not established.
  4. Set an internal deadline based on the provider’s stated requirements and the time needed to respond to accommodation requests.

When registration opens

  1. Publish location, parking, drop-off, transport availability, lodging information, environmental conditions and an accommodation contact.
  2. Collect arrival, departure, overnight, mobility, communication and dietary information through accessible forms.
  3. Review requests continuously, confirm arrangements with providers and tell attendees what has been secured.

Before the fest

  1. Reconfirm every route, vehicle, driver contact, room, payment, shuttle time and accessible feature shortly before the event. Current local availability is not established by general guidance, so confirmation must come from the actual provider.
  2. Send the final map, pickup instructions, check-in details, emergency contact and contingency message in an accessible format.
  3. Brief volunteers on accessible routes, privacy when handling requests, wayfinding and who can authorize a change.

During and after the fest

  1. Staff the arrival point, monitor scheduled departures and log delays or unmet needs without exposing private details.
  2. Check that lodging-to-campus movements work for the actual programme schedule, not only on paper.
  3. Afterward, reconcile costs, record provider performance, ask attendees what information or route failed them, and update the next event’s brief.

10. Keep the plan honest about what is unknown

Official university guidance supports the planning method—checking travel ease, accessible routes, transport reliability, lodging features, registration information and accommodation costs—but it does not establish local fares, schedules, room inventory, booking windows or a property for this particular fest. Those facts must be obtained for the chosen campus and dates. A credible plan states the confirmed details, identifies open decisions and gives attendees a way to ask for help rather than presenting a generic route as a guarantee.
