A private restaurant event is booked only when the venue’s required contract, deposit, and confirmation steps are complete. Start with a precise inquiry, obtain an itemized written proposal, and record every deadline—from menu selections and dietary requests to the guaranteed guest count and final payment. Deposits, cancellation windows, minimums, fees, and billing rules are set by each restaurant, so treat examples from other venues as questions to ask, not as industry-wide standards.
The booking sequence at a glance
Use this order to keep the event financially and operationally controlled. Do not assume that a tentative conversation or calendar hold secures the date.

Send an inquiry a restaurant can answer
Event teams can respond faster when the first message contains the decisions that affect room availability and pricing. Give a preferred date and start time, a backup date if you have one, estimated attendance, event purpose, and desired end time. State whether you need a fully private room, a semi-private area, or are open to either.
Include operational requirements
- Meal style: plated dinner, family-style service, buffet, cocktail reception, or another format.
- Beverage expectations, such as hosted bar, consumption bar, wine service, or nonalcoholic-only service.
- Dietary restrictions and allergies already known, including vegetarian, vegan, halal, kosher, gluten-free, or severe allergen concerns.
- Accessibility needs, including step-free entry, accessible restrooms, table clearance, hearing assistance, or reserved seating.
- Presentation requirements: microphone, screen, lectern, music, decorations, gifts, registration table, or branded signage.
- Whether outside cake, wine, vendors, entertainment, or equipment may be brought in.
Ask the pricing questions immediately
Ask whether the venue uses a room rental fee, a food-and-beverage minimum, or both. A minimum is usually a spending commitment, not a flat room price; the contract must say what counts toward it. Request the room’s seated and reception capacities, setup and breakdown windows, and any required event duration.

Use a message like this, adapting it to your event:
Subject: Private event inquiry — [date], approximately [guest count]
Hello [event contact],
I am planning a [event purpose] for approximately [number] guests on [preferred date], from [start time] to [end time]. We would like [private/semi-private] space and are considering [plated/family-style/buffet/reception] service.
Please let me know available rooms, capacities, food-and-beverage minimums or room fees, menu options, beverage packages, accessibility details, and your deadlines for contract, deposit, menu selections, and final guest count. Please also list service charges, gratuity, taxes, corkage, dessert, overtime, audiovisual, and other possible fees.
Thank you,
[name and contact information]
A restaurant’s event page may direct you to an inquiry or event contact, but there is no universal inquiry form or standard information set. Supplying the details above reduces back-and-forth and creates a useful record of what you asked.
Evaluate the room, format, and true price
Match the room to the event
Confirm whether “private” means a room with a door, a curtained section, or an area separated from the main dining room. Ask about noise from neighboring diners, sightlines to a presentation, restroom distance, coat storage, and whether another event can share the same service corridor. Capacity numbers may differ for seated meals, standing receptions, dance floors, or audiovisual setups, so request the capacity for your exact layout.

Separate minimums from fees
An estimate should identify each cost category rather than present one unexplained total. Ask these questions:
- Does the food-and-beverage minimum include only menu and drinks, or can service charges and taxes count toward it?
- Is there a separate room, event, or event-services fee?
- Are service charge, gratuity, and sales or other taxes included, and are they calculated before or after discounts?
- What happens if your selections do not reach the minimum?
- How are overtime, extra guests, upgraded beverages, additional courses, special rentals, audiovisual equipment, cake cutting, corkage, and dessert fees billed?
- Is there a required deposit or payment authorization in addition to the minimum?
Cattlemens describes a total that includes food, beverage, related charges, sales tax, and service charge. That wording is venue-specific: obtain the selected restaurant’s own itemization rather than assuming every quote uses the same basis. Piatti La Jolla identifies an event services fee and lists possible corkage and dessert charges, illustrating why extras should be priced before signing.
Build a comparison table before choosing
When two venues appear affordable, compare identical assumptions: the same guest count, menu level, beverage plan, event length, and tax treatment. Record “not stated” when a proposal does not answer a question, then request clarification.

Get a written proposal and contract before calling it booked
Ask the event contact to send a proposal that identifies the restaurant entity, event date, room, times, estimated attendance, menu or package, beverage terms, minimum spend, every fee, tax treatment, deposit, cancellation policy, and payment schedule. Check whether the estimate is fixed, a starting price, or subject to later menu changes.

The examples reviewed use formal confirmation steps. Cattlemens describes a banquet contract and deposit; Piatti La Jolla requires a signed contract and deposit; Waterbar states that a signed contract and deposit guarantee the date and space. These are examples, not a universal legal rule. Your date is not secure until the selected venue confirms that its own requirements have been met.
Check the contract against the proposal
- Names, dates, times, room, setup access, and cleanup deadline match your agreement.
- Guest guarantee and minimum-spend language explains what happens with fewer or additional attendees.
- Menu substitutions and dietary accommodations are addressed.
- All fees, taxes, service charges, gratuity, and outside-item rules are stated.
- Cancellation, rescheduling, force-majeure, and refund language identifies notice method and deadlines.
- Payment schedule lists deposit, interim payments if any, final balance, and accepted methods.
- The person authorized to approve changes and sign on behalf of your group is identified.
Keep the signed agreement, proposal versions, receipts, and email approvals together. If a salesperson promises an exception verbally, ask for the contract or an amended confirmation to reflect it.
Understand the deposit, cancellation, and rescheduling rules
There is no standard restaurant-event deposit policy. Before paying, ask four separate questions: Is the deposit credited to the final bill? On what date does it become non-refundable? How must cancellation be delivered? Is rescheduling treated as a cancellation, and can the deposit transfer to a new date?
Why timing matters
Sinigual states that a deposit is refundable when written cancellation arrives within 72 hours of payment. Waterbar states that its deposit is refundable at least 45 days before the event and non-refundable at 44 days or less. Those policies differ sharply and apply only to those venues’ stated terms. Do not describe either window as a typical industry rule.
Ask whether the clock starts when the payment is processed, when the contract is signed, or when the venue sends confirmation. Clarify whether weekends and holidays count, which email address or portal receives notice, and whether the venue must acknowledge receipt. Save proof of delivery.

Calculate your exposure
Identify the largest amount you could owe if attendance falls, the event is canceled, or the date moves. A deposit may be only one part of the exposure: a cancellation charge, non-refundable specialty order, or committed minimum may apply separately. If you are waiting for sponsor or employer approval, ask whether the venue can hold the date temporarily and what payment is required for that hold.
Set menu, dietary, and guest-count deadlines
Put every venue deadline on a calendar as soon as the contract is signed. Menu selection and final attendance are often different deadlines, and both may be earlier than hosts expect.
Examples of venue-specific deadlines
| Venue example | Guest-count rule | Menu or detail deadline |
|---|---|---|
| Sinigual | Guaranteed number required seven days before the event. | Menus must be finalized within seven days, according to its stated policy. |
| Piatti La Jolla | Final guest count due 72 hours before the event. | Menu selections and other details due seven days before. |
| Cattlemens | Final guest count due seven days before the event. | Confirm the contract’s specific menu deadline with the event contact. |
These dates illustrate variation, not a recommendation. Write down the exact calendar date supplied by your restaurant, including the time and time zone if the venue is in another region.

Use one guest tracker with names, meal selections, allergies, accessibility notes, and RSVP status. Distinguish a preference from a medical allergy and ask the restaurant how it prevents cross-contact; never promise a guest that a dish is safe without the kitchen’s confirmation. Send one consolidated update rather than multiple informal messages, and request written acknowledgment of substitutions.
Ask whether children, vendors, entertainers, and staff count toward the guarantee. Confirm whether a guest who arrives but does not eat is billed, and whether unopened meals can be taken away.
Know how attendance changes affect the bill
Ask for a plain-language formula for both shortfalls and additions. Sinigual says billing uses the greater of the contract’s guaranteed number or actual attendance. Piatti La Jolla says that fewer arrivals do not reduce the confirmed charge, while a larger attendance is charged at actual attendance. These examples show why an RSVP estimate is not the same as a financial guarantee.

Before the deadline
Tell the venue promptly when your estimate changes. A reduction before the guarantee deadline may be accepted, but only the contract can establish that. Ask whether the minimum spend remains unchanged even when the guaranteed count is lowered.

Ask whether late additions can be seated, whether the kitchen can produce the contracted menu, and what per-person or overtime rate applies. Do not assume that an empty seat releases the minimum or that an extra guest can be accommodated without changing room layout, staffing, or food availability. Designate one host to approve additions and record the agreed price before service begins.

Assign decision-makers
Name one on-site host and one backup who can approve substitutions, extra beverages, timing changes, and the final check. Give the restaurant their phone numbers and confirm the venue’s event manager. Decide who may authorize charges; otherwise, well-intended staff or guests may create unplanned extras.
Confirm setup and service details
- Arrival time for hosts, vendors, and deliveries.
- Room access for decorations, gifts, presentations, or photographs.
- Table plan, place cards, signage, and accessibility seating.
- Meal pacing, speeches, presentations, and last-call timing.
- Handling of leftovers, cake, gifts, coats, and personal property.
- Procedure for reporting an allergy or service problem during the event.
Ask which charges can be added on-site and whether you will receive a running total. Keep the signed proposal available so the host can distinguish contracted inclusions from optional upgrades.
Close the event and pay the balance
Before the date, ask who reviews the invoice, whether the deposit appears as a credit, and which payment methods the venue accepts. Confirm whether tax and service charge are calculated on late additions and whether gratuity is already included.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsExamples of payment timing
- Cattlemens says additional charges are collected on the day of the event.
- Piatti La Jolla requires payment immediately at the conclusion.
- Waterbar states: “Full payment is due at the conclusion of your event.”
These are venue-specific requirements. Have the authorized payer present, bring the approved payment method, and allow time to review line items before guests depart. Check guest count, menu quantities, beverage consumption, room or event fees, overtime, corkage, dessert or cake charges, rentals, taxes, service charge, gratuity, and the deposit credit. Request a final itemized receipt and keep it with the contract.
Best Value
If the check is disputed
Ask the event manager to compare the disputed line with the signed agreement and written change approvals. Record the names of everyone involved and request a corrected invoice or written explanation. Pay undisputed amounts according to the contract while documenting the unresolved item; do not rely on a verbal promise that a later adjustment will occur.
A practical planning timeline
- Initial inquiry: Send the date, time, attendance, purpose, format, dietary and access needs, and pricing questions.
- Proposal review: Compare room, capacity, minimums, fees, menu, beverage plan, and practical fit.
- Contract stage: Verify cancellation, guarantee, deadlines, and payment terms; obtain signatures from the required parties.
- Deposit: Pay through the approved method and save the receipt and refund conditions.
- Planning window: Collect RSVPs, dietary details, seating information, and presentation requirements.
- Menu deadline: Submit selections and special requests in the format the venue requires.
- Guest-count deadline: Send the guaranteed number and ask for written confirmation of the billing basis.
- Final confirmation: Reconfirm room, arrival, setup, event manager, authorized host, and payment method.
- Event day: Approve changes through the designated host and retain receipts for additions.
- Closeout: Reconcile the itemized invoice, pay the balance, and store the final receipt.
Common planning mistakes and fixes
Mistake: treating a verbal hold as a booking
Fix: Ask what specifically secures the date—signed contract, deposit, payment authorization, or another step—and request written confirmation after completing it.
Mistake: comparing headline prices
Fix: Compare the same menu, beverage assumptions, guest count, service charge, gratuity, tax, room fee, and minimum-spend treatment. An apparently lower package can cost more after mandatory charges.

Pick the symptom - the matching free tool is one click away.
Mistake: missing separate deadlines
Fix: Put menu, dietary, seating, and guest-count dates on a shared calendar. Piatti La Jolla’s seven-day menu deadline and 72-hour guest-count deadline demonstrate why one generic “final details” reminder is insufficient.
Mistake: assuming a smaller turnout lowers the bill
Fix: Read the guarantee clause and ask whether the venue charges the guaranteed number, actual attendance, or the greater of the two.
Mistake: leaving add-ons to the end
Fix: Price overtime, upgraded drinks, cake or dessert, corkage, audiovisual needs, rentals, and extra guests before the event. Require the host’s approval for new charges.
Mistake: paying without checking the deposit rule
Fix: Record the refund cutoff, written-notice method, rescheduling treatment, and whether the deposit is credited toward the final bill before submitting payment.
Questions to ask the event contact
- What exactly makes the reservation binding, and when will you confirm it?
- Is the price based on a room fee, a food-and-beverage minimum, or both?
- Which charges are included, and which are added later?
- What is the deposit amount, what does it secure, and when does it become non-refundable?
- How do cancellation and rescheduling differ?
- When are menu selections, dietary requests, seating details, and the guaranteed count due?
- How are no-shows, late additions, vendors, and children counted?
- Who can authorize event-day changes?
- When and how is the final balance paid, and will additional charges be collected that day?
Policies can change, so verify the selected restaurant’s current proposal and contract rather than relying on another venue’s wording or an older email.
