A worksheet password discourages changes through Excel’s normal interface; it does not encrypt the workbook or secure sensitive information. Microsoft’s current worksheet-protection instructions cover desktop Excel and Excel for the web, but do not document a complete setup workflow for Excel on iPad. Microsoft’s worksheet-protection guide is the relevant reference.
Choose the right kind of Excel protection
Excel has distinct controls for cells, worksheet tabs, and opening a file. They solve different problems; a password on one layer does not automatically provide the others.

Microsoft explicitly says worksheet protection is not a security feature. It can reduce accidental or ordinary edits, but it is not encryption and does not prevent someone who can view the data from copying or reproducing it. See Microsoft’s overview of Excel protection and security.
Can you set up sheet protection on an iPad?
You can use a protected workbook on an iPad, but do not assume the Excel iPad app provides every control needed to create or fully configure worksheet protection. Microsoft’s documented authoring steps specify desktop Excel and Excel for the web, not a complete iPad setup path. The dependable approach is to configure the sheet in desktop Excel, or use the web controls that are available for your workbook, then test the actual iPad workflow.

Microsoft separately documents Information Rights Management (IRM) for iOS: an authorized, signed-in user can open an IRM-protected file, and eligible Microsoft 365 subscribers may be able to apply available policies from Review > Restrict Permissions. IRM assigns file-level permissions; it is not the same as a worksheet password. See Microsoft’s IRM guidance.
Prepare the worksheet before protecting it
Plan the sheet around what users should be able to do. By default, worksheet cells are marked locked, but that setting has no effect until you protect the sheet. If you protect a sheet without first unlocking its intended input cells, users may find that everything is uneditable. Microsoft explains the default behavior in its guide to locking cells.
- Leave intended entry cells unlocked; keep formulas, headings, and fixed reference values locked.
- Separate input, calculation, and output areas where practical, and label or format editable cells clearly.
- Use data validation, required-field checks, and formula testing to improve the quality of entries. Protection itself does not verify that a value is correct.
- If formulas should not appear in the formula bar, configure the formula cells’ Hidden property before protecting the worksheet. Hiding formulas is not encryption.
- Decide which actions users need—such as filtering or selecting cells—before enabling protection, then test them.
Unlock input cells and protect the sheet in desktop Excel
1. Unlock the cells people may edit
- Open the workbook in desktop Excel and select the input cells or ranges.
- Open Format Cells. Use Ctrl+1 on Windows or Command+1 on Mac, or open the format dialog using the ribbon.
- Choose the Protection tab, clear Locked, and select OK.
For a form where most cells should be editable and only a few must remain fixed, you can instead unlock the entire worksheet first, then lock only the formulas, totals, or headings that should not change. Microsoft describes both approaches in its instructions for locking or unlocking specific areas.
2. Enable protection and choose permitted actions
- Select Review > Protect Sheet.
- Choose the actions users should be allowed to perform, such as selecting locked or unlocked cells, formatting cells or rows, inserting rows, sorting, using AutoFilter, or working with PivotTable reports.
- Enter a password in Password to unprotect sheet, confirm it when prompted, and save the workbook.
- Test the saved workbook as a regular user, including the intended edits and actions.
Permissions have conditions. For example, allowing sorting does not make every range sortable: Microsoft notes that sorting can fail when a range contains locked cells. AutoFilter controls on a protected worksheet also have limitations, including whether filters can be applied or removed. Check the behavior of your actual table and workbook features rather than relying on a checked permission alone. See Microsoft’s worksheet-protection instructions.

3. Store the password safely
The worksheet password is intended to prevent ordinary unprotection through Excel’s interface, not to provide encryption-strength security. Microsoft recommends a mix of uppercase and lowercase letters, numbers, and symbols; it describes eight or more characters as a baseline and a passphrase of 14 characters or longer as preferable. Store the password in an approved password manager or controlled administrative record, separate from the workbook. Microsoft says it cannot retrieve a forgotten worksheet password.
Protect specific areas in Excel for the web
Excel for the web documents protected-range controls under Review > Manage Protection. You can use its available settings for protected ranges and sheet protection, including optional passwords. These controls are not identical to all desktop options. If a password operation or setting is unavailable, open the workbook in desktop Excel. Microsoft says Excel for the web can open and edit password-protected workbooks, but cannot add, change, remove, or recover workbook passwords there; see Microsoft’s workbook-protection guidance.
Test the protected workbook on your iPad
After saving the configured workbook to the location and format you plan to share, open it in Excel on the iPad and test the tasks that matter to your users. App capabilities can vary with file type, account, workbook features, and protection settings, so a desktop test alone is not enough.
- Tap an unlocked input cell and enter a valid value.
- Try to change a locked formula or heading; confirm the app blocks the edit as intended.
- Test any essential row or column operations, sorting, filtering, tables, charts, controls, and comments.
- Save, close, and reopen the workbook. Confirm that the entered value, formulas, and formatting remain intact and that changes have synchronized if the file is shared.
If a required operation is unavailable or behaves differently on iPad, revise the sheet in desktop Excel or try the relevant Excel for the web control. You can also ask the workbook owner to provide a clearer unlocked input area. For a data-collection process where people should submit records rather than edit a shared sheet, Microsoft Forms may be simpler; Power Apps can suit managed business workflows with roles and validation.

Use stronger controls when the data or sharing needs demand them
For confidential data, encrypt the file
If unauthorized people must not be able to open a workbook, use file-level encryption rather than relying on sheet protection. In desktop Excel, the documented path is File > Info > Protect Workbook > Encrypt with Password. A person with authorized access can still see the contents, so encryption is an access barrier, not a guarantee that displayed information cannot be copied. For sheet-tab integrity, protect workbook structure
Use workbook-structure protection when users should not add, delete, move, rename, hide, or unhide sheets. It addresses the workbook’s tab structure, not whether a user can open the file. See Microsoft’s workbook-protection guide.
For named-user access, use managed sharing or rights management
OneDrive or SharePoint permissions can control who may access or edit a centrally stored workbook and provide version history. They complement, rather than replace, worksheet design: someone with edit access can still change content that the file and sheet settings allow. For organization-managed restrictions such as named-user permissions, investigate IRM or Microsoft Purview policies with your administrator. Available features depend on the organization’s configuration and subscription. Rights management also cannot stop every way a person might reproduce information visible on a screen.

Protecting formulas and fixed areas can reduce accidental overwrites, deleted headers, altered lookup ranges, damaged layouts, and unintended changes to a template. It is one control in a broader process, not a guarantee that spreadsheet data is accurate or complete.

- Keep versioned backups and use version history when the file is stored in a managed service.
- Assign a workbook owner and maintain a controlled password record.
- Review changes and establish approval or audit steps where errors have operational consequences.
- Test the workbook on the iPad app and account configuration users will actually use.
Troubleshoot common protection problems
Every cell is uneditable
The sheet may have been protected before input cells were unlocked. In an application that supports the protection controls, unprotect the sheet, select the intended input cells, clear Locked in Format Cells > Protection, then protect the sheet again.

Selection and editing are separate permissions. If users should navigate only through editable cells, clear Select locked cells in the protection options.
Sorting or filtering is blocked
Check both the protection options and the range design. Sorting can be restricted when the range includes locked cells, and a protected sheet may not allow filters to be applied or removed as expected.
A formula remains visible
Locking a cell prevents editing; it does not hide the formula. Set the cell’s Hidden property before protecting the worksheet if you want formulas omitted from the formula bar. This does not conceal the workbook’s data from someone who can access it.

A chart, button, or control stops working
Protection may lock objects or a control’s linked cells. Test each object after enabling protection and configure its object and linked-cell settings as needed. Microsoft covers these settings in its guide to protecting controls and linked cells.
The password is forgotten
Microsoft does not provide a supported way to retrieve a forgotten worksheet password. Contact the workbook owner or locate the authorized password record. If that is not possible, restore an earlier version from OneDrive, SharePoint, or another backup, or start from a clean template and re-enter verified data. Do not treat a password-removal utility as a recovery plan for a workbook containing sensitive information.
The iPad app lacks the expected command
Configure the worksheet in desktop Excel or use a supported Excel for the web control, then reopen and test it on the iPad. If users need record-level entry or named-user access rather than locked cells, consider a managed sharing or data-collection workflow instead.
