How to Organize Physical Books and Kindle Ebooks in One Reading List

Use one master catalog, but track format, ownership and reading status separately. That lets a single title appear as a print book you own and have not read, a Kindle book you are reading, or a borrowed copy—without confusing your shelves with your inventory.

Choose what your reading list needs to do

Decide whether your main goal is to know what you own, track what you are reading, or do both. A reading tracker can record progress without showing which books are on your shelves; a home-library inventory needs an ownership label and, if useful, a physical location.

For one combined list, choose a master catalog and give each book distinct fields or labels for format, ownership and status. These are practical organizational labels, not built-in standards shared by every service.

Pick a master catalog

Option Useful for What to know
LibraryThing Cataloging print books and other titles in an inventory-style list. Its quick-start guide documents barcode scanning with its iPhone app or a CueCat, manual entry, imports from Goodreads and MARC, collections, searchable catalog views and batch editing. LibraryThing says individual book cataloging is free and describes tags and private profiles on its About page. The cited pages do not establish a complete automatic import of a Kindle library, so plan to add Kindle titles where needed.
Goodreads linked with Kindle Following Kindle reading progress and using familiar reading-status shelves. Goodreads says linking a Kindle account can automatically shelve Kindle books, track reading and surface notes and highlights. It also describes adding and rating print and Kindle books purchased on Amazon. Kindle Scribe’s guide documents Want to Read, Currently Reading and Read shelves. Goodreads availability varies by country, and the guide says most Goodreads-on-Kindle features require Wi-Fi. Treat this as reading tracking, not a complete inventory of physical books.
Spreadsheet or notes app A simple list with fields you choose. You can use the same format, ownership and status labels, plus location and notes. The sources cited here do not compare spreadsheet apps; you will maintain entries yourself, and should check a specific app before relying on scanning or sync features.

Set up fields that keep the list clear

Use separate fields rather than creating a different shelf for every combination, such as “owned paperback to read” and “owned Kindle finished.” A useful starting set is:

#1 Best Overall
Amazon Kindle 16 GB (2024 model) - Light and compact, with fast page turns, and high contrast ratio - Matcha
  • Light and compact - With adjustable brightness, high contrast ratio, and fast page turns.
  • Effortless reading in any light - Read comfortably with a 6“ glare-free display, adjustable front light—now 25% brighter at max setting—and dark mode.
  • Escape into your books - Tune out messages, emails, and social media with a distraction-free reading experience.
  • Read for a while - Get up to 6 weeks of battery life on a single charge.
  • Take your library with you – 16 GB storage holds thousands of books.
  • Title and author
  • Format: print, Kindle, audiobook or other
  • Ownership: owned, borrowed, wishlist or removed
  • Reading status: to read, currently reading, finished or paused
  • Physical location, if you are tracking books around your home
  • Edition or ISBN, if you need to distinguish copies
  • Optional details: rating, date finished and notes

For example, one record might be “print / owned / to read,” while another is “Kindle / borrowed / currently reading.” If you own both formats, record both copies or formats in a way your chosen catalog can represent clearly.

Add physical books without creating duplicate records

LibraryThing’s overview recommends scanning barcodes with its iPhone app or a CueCat for quick entry; it also supports manual addition. Scan a small batch first, then check that the returned title and edition match the book in your hand. If a scan does not find the right edition, search or enter the title manually.

Amazon Kindle 16 GB (2024 model) – Light and compact, with fast page turns, and high contrast ratio – Black
  • Light and compact - With adjustable brightness, high contrast ratio, and fast page turns.

  • Escape into your books - Tune out messages, emails, and social media with a distraction-free reading experience.

  1. Scan or search a small batch of books.
  2. Check each result against the title, author and edition you have.
  3. Correct a mismatched edition rather than keeping it as a second title, unless you intentionally track editions separately.
  4. Continue in batches once the records look right.

A dedicated scanner is optional; a phone app may be enough. LibraryThing lists barcode scanners and labels in its tools and store information, but no particular scanner model is established as required or tested.

Add Kindle titles and handle reading progress

If your priority is one ownership catalog, add Kindle titles to the same master list and label their format. Do not assume your Kindle library will transfer wholesale into another catalog: the LibraryThing pages cited here document imports from Goodreads, Excel, text and MARC, but do not establish a complete automatic Kindle-library import.

Amazon Kindle Paperwhite 16GB (2024 model) – 7" glare-free display and weeks of battery life – Black
  • Kindle Paperwhite – 7“ Paperwhite display with high contrast ratio and fast page turns.
  • Ready for travel – The ultra-thin design has a larger glare-free screen so pages stay sharp no matter where you are.
  • Escape into your books – Your Kindle doesn’t have social media, notifications, or other distracting apps.
  • Battery life for your longest novel – A single charge via USB-C lasts up to 12 weeks.
  • Read in any light – Adjust the display from white to amber to read in bright sunlight or in the dark.

If your priority is Kindle reading progress, Goodreads says you can link your Kindle account for automatic shelving and reading tracking. The Kindle Scribe User Guide describes adding Amazon books to Goodreads and syncing Goodreads shelves with Kindle. Those controls are device-specific, and availability can vary by device and country; check the controls on your reader. Goodreads also says most Goodreads-on-Kindle features require Wi-Fi.

Keep ownership explicit even when Goodreads tracks a title’s status. A book marked Read tells you about progress, not whether you own a print copy, a Kindle edition, both or neither.

Import, check for duplicates and back up

Before a large import or cleanup, check how your chosen catalog represents editions and what export options it provides. LibraryThing documents importing from Excel, text, Goodreads and MARC, as well as exporting a catalog, on its tools page.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Use title and author to find likely duplicate records.
  • Compare ISBN or edition details when different editions matter to your inventory.
  • Decide whether two formats or editions are separate copies you want to track, rather than accidental duplicates.
  • Export a backup before a major import or cleanup if your catalog provides that option.

Start with a small test batch, confirm that formats, ownership and statuses are represented as intended, and then add the rest of your books.
