To organize music on your laptop, choose one stable home for the audio files, settle on a consistent artist-and-album folder structure, and decide whether your music app should copy files into its managed folder or refer to files where they already live. Keep those files in place once imported: a library can lose track of music when a referenced original is moved. The steps below cover Apple Music for Windows and Windows Libraries; other players may manage files differently.
Choose where your music files will live
Start with the actual audio files, not the playlists or the app’s library view. For a straightforward local collection, choose a stable folder—such as the app’s managed media folder—and use a consistent structure like Artist / Album / tracks. This is a practical convention for browsing, not a requirement imposed by Windows or Apple Music.

In Apple Music for Windows, the media-folder location and file-handling behavior are controlled in Files settings. With Keep Media folder organised enabled, the app can automatically organize imported music into artist and album folders. The same settings area lets you choose whether files are copied to the media folder when added to the library. See Apple’s Apple Music for Windows Files settings guide.

Choose whether Apple Music copies or references files
This choice determines what happens to the relationship between your library and the files on disk. Apple Music for Windows imports music by adding it to the library; by default, it references the original file rather than copying it. If you later move that original, the track may no longer play. You can instead enable copying to the media folder in Files settings. Apple explains both the import behavior and the risk of moving a referenced file in its guide to importing music from a computer.

| Approach | What happens | Main consideration |
|---|---|---|
| Copy files to the media folder | Apple Music stores copies in its media folder; with organization enabled, it can sort them into artist and album folders. | Creates a centralized managed collection. Make sure the media folder has enough space. |
| Reference files where they are | The library points to the originals without copying them into the media folder. | Original files must remain at the same reachable paths for playback. |
Import music without losing track of it
In Apple Music for Windows, open the sidebar actions menu and choose Import, then select a file or folder. Importing a folder adds its contained files. You can also drag a file or folder from File Explorer into the app. Before importing, decide whether the app should copy the files or reference them; that setting affects whether the originals can be moved afterward.
- Gather the audio files in the stable folder you intend to keep.
- Check that filenames and artist or album folders are understandable and consistent.
- In Apple Music’s Files settings, choose the media-folder location, whether to keep that folder organized, and whether to copy files when adding them.
- Import the folder or files, then play a few representative tracks to confirm the library can access them.
This sequence is a cautious way to apply Apple’s documented import behavior; it is not a guarantee that every player handles imports the same way.

Organize files with folders and listening groups with playlists
Folders on disk determine where music files live. Playlists are for listening groupings—such as a commute, a mood, or a project—and should not be treated as a replacement for a durable file structure.
Apple Music for Windows supports playlist folders that can contain playlists and other folders, but not individual songs directly. Deleting a playlist folder also deletes the playlists and nested folders inside it; the songs remain in the library and on the computer. See Apple’s guide to organizing playlists in folders.

The external drive is great for keeping your library on hand, but it can't run the new games.
Use a Windows Library for one view of several folders
A Windows Library can bring multiple folders into one browsing view without moving the files. Microsoft describes a Library as a view into its folders: “Including a folder in a library doesn’t physically move or change the storage location of the files or folders; the library is a view into those folders.” Libraries can aggregate locations and group content using metadata. This is useful when you want one place to browse files that remain in their existing folders.
There is an important storage limitation: Microsoft lists fixed local volumes, indexed network shares, and NAS devices among supported Library locations, but removable drives as unsupported. Do not rely on a removable USB drive as a Windows Library location. See Microsoft’s Windows Libraries documentation.

Keep a collection on an external disk
An external disk can hold music files that you do not want stored on the laptop. Apple’s Windows guidance describes viewing externally stored files in Apple Music when Copy files to Media folder when adding to library is turned off. The library then relies on the original files remaining available at their paths; keep the disk connected when you want to play that music. This is distinct from using the disk as a Windows Library location, which Microsoft lists as unsupported for removable drives. The external-disk setup detail is described on a third-party embedded page that surfaces Apple guidance: Apple Music file-storage guidance.
