To tidy a Mac desktop without moving files, click an empty area of the desktop and choose View > Use Stacks. You can also Control-click the desktop and choose Use Stacks, or press Control-Command-0. Stacks groups the items where they already are; it does not create a new filing system or decide where long-term project files belong.
Once enabled, choose View > Group Stacks By and select Kind, Date, or Tags (called Finder Tags in some versions). The exact wording can vary slightly between macOS releases. Apple’s current Mac User Guide material covers macOS 26 and macOS 27, so use the labels shown on your Mac if they differ.

What Stacks changes on your desktop
Stacks is a Finder desktop presentation feature. It compresses loose desktop items into visual piles, called stacks, instead of leaving every icon spread across the screen. The files remain on the desktop and retain their existing names, contents, permissions, and locations. You are changing how Finder displays them, not moving them into hidden folders.
When you add another file to the desktop, macOS places it in the appropriate stack according to the grouping you selected. This makes Stacks useful for temporary working files, screenshots, downloads, installers, and other items that accumulate during a task. It does not, however, make a project archive for you. If a file should live in a project folder, client folder, or other deliberate location, move it there or create a folder yourself.

Stacks is not automatic filing
A stack can make a crowded desktop readable, but it does not determine whether a document belongs in a particular project, archive, or backup set. The grouping rule is based on a property such as file type, date, or tag. Two files that belong to the same project may therefore appear in different stacks, while unrelated files with the same type may appear together.
Think of Stacks as a lens over the desktop. Changing the lens from Kind to Date changes which items appear together, but it does not change the files themselves. You can switch grouping whenever the task changes, and the next file you place on the desktop will be represented under the currently selected rule.
Stacks is not synchronization
Turning on Stacks does not copy desktop files to another Mac. If you need the same Desktop and Documents items on two Macs, Apple’s documented option is iCloud Desktop and Documents, enabled on both Macs while they use the same iCloud account. That is a separate storage and synchronization feature. Stacks works without iCloud Desktop and Documents.

Turn on Stacks
- Activate Finder on the desktop. Click an empty area of the desktop. The desktop must be the active Finder view; clicking inside another app first can leave that app’s menus active.
- Enable the feature. In the menu bar, choose View > Use Stacks. As an alternative, Control-click an empty area of the desktop and choose Use Stacks.
- Use the shortcut if preferred. Apple’s Stacks guide documents Control-Command-0 as another way to turn Stacks on.
- Check the result. Loose icons should collapse into stacks. If the desktop looks unchanged, click the desktop again and verify that Use Stacks is enabled in the Finder desktop menu.
Stacks applies to the desktop view. It does not reorganize files in Finder windows, external disks, or other folders unless those items are actually displayed on the desktop.
What happens to existing and new items
Enabling Stacks immediately groups the loose items already on the desktop. You do not need to select them individually. Afterward, files added to the desktop are automatically added to the appropriate stack under the selected grouping. A new image, for example, joins the image stack when you are grouping by Kind; a newly tagged item follows its Finder tag when you are grouping by Tags.
Folders are desktop items too. A project folder can appear as one item in a stack, while the files inside remain organized by that folder’s own contents. Stacks does not flatten a folder or redistribute the files inside it.
Choose how stacks are grouped
After enabling Stacks, open View > Group Stacks By. Select the property that best answers the question you are trying to answer when you look at the desktop.

|---|---|---|
| Kind | You need to distinguish formats quickly | Files are grouped by type. Apple’s examples include images and PDFs; desktop-organization guidance also uses images and presentations as examples. |
| Date | Recency or timing matters more than format | Stacks are based on a date associated with the file, such as when it was created or last opened, depending on the available date choice in your macOS version. |
| Tags or Finder Tags | You already label files by project or purpose | Files are grouped according to Finder tags you have applied. Untagged items may not sort into the project labels you expect. |
When Kind is the clearest choice
Choose Kind when the immediate task is format-based. A stack for images can hold a collection of pictures, while another can hold presentations or PDFs. This is convenient when you need to open several files of one type but do not want to create folders just for a temporary task.
Kind is often the least demanding starting point because it requires no preparation. It is useful after exporting assets, collecting screenshots, or downloading several documents in different formats. Its limitation is that it says nothing about purpose: two unrelated presentations still share a stack simply because they have the same kind.

When Date is more useful
Choose a date grouping when you are working through recent material or want older desktop items separated from newly created ones. Date-based stacks answer “what did I work on recently?” more directly than Kind does. Because Apple describes date examples such as creation or last-opened timing, inspect the option shown in your release if you need a precise interpretation.
Date can be helpful for a short-lived intake area. You might review the newest files first, open or move the ones you need, and then leave the older groups for a later cleanup session. It is less suitable when a project’s files were created at widely different times but still need to stay together; a folder or tag is more deliberate in that case.
When Finder Tags are worth setting up
Tags work best when you have a consistent labeling habit. Apply meaningful Finder tags such as a project or purpose, then select Tags (or Finder Tags) from Group Stacks By. If the files are not tagged, this view will not provide the project separation you intended; tagging is a separate organizing step.
Tags are useful when a label matters more than a file’s format. A “Client A” tag can identify a PDF, image, and presentation together, whereas Kind would split them apart. Keep the labels specific enough to be useful, and remember to tag new files if you expect them to join the same group.
Open, browse, and collapse a stack
- Expand a stack. Click the stack on the desktop. Its items fan out so you can inspect the files inside.
- Open an item. Double-click the file you want. macOS opens it with the associated application, just as it would if the file were displayed as a normal desktop icon.
- Collapse the stack. Click the stack’s down-arrow icon to return it to a single pile.
- Browse without opening every file. On a trackpad, swipe left or right across a stack with two fingers. On a Magic Mouse, swipe with one finger. These gestures let you move through the stack’s items while keeping the desktop in the Stacks view.
Opening a stack does not turn off Stacks or move its files. You can expand one stack, open a document, and collapse it again without changing the grouping rule. If you are checking several items, browse the stack first, open only the relevant file, then collapse it to restore the compact view.
Make the desktop easier to scan
Stacks reduces the number of visible icons, but you can also tune the desktop’s presentation. Click the desktop, then choose View > Show View Options. Apple’s desktop guidance identifies controls for icon size, spacing, label placement, and the amount of detail shown.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Icon size: Increase it when you need to recognize thumbnails or labels; reduce it when stacks still occupy too much space.
- Grid spacing: Adjust the distance between stacks so the desktop is compact without making labels collide.
- Label placement: Choose how file and stack names sit relative to their icons.
- Displayed detail: Show additional information when it helps you judge a stack at a glance. Apple gives the number of files in a stack as an example of such detail.
These settings affect the desktop view rather than the underlying files. If the desktop is shared by several workflows, choose settings that make names readable at the display scale you actually use. A smaller icon size is not a filing decision, and changing label placement does not rename anything.
Use folders when you need deliberate project filing
Stacks and folders solve different problems. Use a folder when you have selected files that should stay together regardless of their format, date, or tags. To create one from existing desktop items:
- Select the files you want to collect.
- Control-click the selection.
- Choose New Folder with Selection.
- Give the new folder a useful name and continue working from that folder.
Apple notes that locked items cannot be grouped this way. If the command does not produce the expected folder, check whether one or more selected items are locked and remove those items from the selection or unlock them if appropriate.

After creating a project folder, you can leave Stacks enabled for the remaining desktop items. The folder itself will appear as one desktop item and can be included in a stack according to the active grouping rule. This gives you a useful combination: folders provide intentional boundaries, while Stacks keeps the remaining loose items from spreading across the screen.

Stacks versus folders at a glance
| Need | Better choice | Reason |
|---|---|---|
| Reduce visual clutter without moving files | Stacks | Groups desktop items in place and can be changed by kind, date, or tag. |
| Keep selected project files together | Folder | Collects the selected items regardless of format or creation date. |
| Preserve a meaningful icon layout | Manual arrangement | Leaves positions under your control when Sort By is set to None. |
| See matching files in several locations | Smart Folder | Saves search criteria and shows matches without moving the originals. |
Keep manual icon placement when position matters
Some users use the desktop as a visual work surface and want icons in specific places. In that case, leave Sort By set to None. This preserves control over where items sit instead of continuously sorting them by a property.
When you want a one-time tidy-up rather than permanent sorting, use Clean Up By. It arranges the current items according to the option you choose while leaving you able to return to a manually arranged layout. Stacks is better when you want ongoing grouping; Sort By: None is better when the position of each icon carries meaning.
These controls address a different choice from Stacks. Stacks determines whether loose items are displayed as piles; Sort By determines an ongoing ordering rule; Clean Up By performs an arrangement when you ask for it. If you need precise placement, check the current Sort By setting before rearranging icons.
Use Smart Folders and tags for finding files across locations
If the real problem is locating files anywhere on the Mac rather than reducing desktop clutter, use Finder’s search tools. Finder tags can label files by project or status even when the files live in different folders. Smart Folders save search criteria and present matching files together without moving the originals.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →This distinction matters: Stacks changes the desktop presentation, while a Smart Folder is a saved view of matching files across locations. A Smart Folder therefore helps with retrieval; it does not replace a sensible folder structure or alter where a file is stored. You can use both: file durable material in appropriate folders, tag it when a cross-folder label helps, and keep Stacks enabled for temporary desktop items.
Troubleshoot common Stacks problems
The Use Stacks command is missing
Click an empty part of the desktop first so Finder is active. Then open View or Control-click the desktop. If another app has focus, its menu bar may not show Finder’s desktop commands. The desktop context menu is the relevant menu, not a Finder window’s contents menu.
Files are grouped in an unexpected way
Open View > Group Stacks By and inspect the selected category. A Kind grouping will separate formats, a Date grouping will separate timing-related groups, and a Tags/Finder Tags grouping depends on labels already applied. Choose another category that matches the question you are trying to answer.
A file is not in the stack you expected
Check the file’s type, relevant date, and Finder tags. Stacks follows the active grouping property; it does not infer project membership. If the file belongs with a project regardless of those properties, place it in a project folder instead. An untagged file will not acquire a project label merely because similarly named files have one.

The desktop is still hard to read
Open View > Show View Options and adjust icon size, spacing, label placement, or displayed detail. Expanding a stack temporarily can also reveal its contents without disabling the feature. If names are difficult to distinguish, prioritize readable labels over the smallest possible icons.
Files did not appear on another Mac
Stacks itself does not synchronize desktop contents. To access the same Desktop and Documents items on another Mac, Apple says to enable iCloud Desktop and Documents on both Macs with the same iCloud account. Without that separate feature, each Mac has its own desktop files. Enabling Stacks on one Mac does not enable it on the other.
The grouping no longer matches the task
Switch the grouping rule rather than moving files solely to change their appearance. Use Kind for a format-focused task, Date for a time-focused review, or Finder Tags after labeling items by project or purpose. If the same files need to remain together permanently, create a folder instead of repeatedly changing the desktop view.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.A practical workflow for a tidy desktop
- Start with Stacks. Turn it on from the desktop using View > Use Stacks.
- Pick one grouping rule. Use Kind for format-based work, Date for recency, or Finder Tags for labeled projects.
- Open only what you need. Expand a stack, double-click the item, and collapse the stack when finished.
- File durable work. Move long-term project material into folders instead of leaving it on the desktop indefinitely.
- Use tags or Smart Folders for retrieval. These tools help locate files across folders without relying on desktop position.
- Choose manual layout only intentionally. Keep Sort By set to None when icon position matters, and use Clean Up By for a one-time arrangement.
For example, you might turn on Stacks and choose Kind while collecting screenshots and exported presentations. After the meeting, move the final files into a named project folder, apply a project tag if you need to find them across locations, and leave only short-lived material on the desktop. Later, switch to Date to review what remains and decide what should be filed or removed.
This workflow treats Stacks as a display aid: it keeps frequently used desktop items within reach while leaving filing, naming, tagging, and synchronization decisions under your control.
Version and menu-label notes
Apple’s Mac User Guide material currently includes macOS 26 and macOS 27 editions. The core commands remain the desktop Finder actions described above, but capitalization or wording can vary slightly by release. Look for Use Stacks, Group Stacks By, Show View Options, Sort By, and Clean Up By in the Finder desktop menu on your installed version.
If a label differs, follow the function rather than an exact capitalization. The important context is that Finder must be active on the desktop. Apple’s guides do not require a separate utility, download, external drive, or accessory to use Stacks.
