Organize screenshots by client, campaign and capture date, then record the exact query and search context in a searchable index. A SERP screenshot shows what appeared for one query in one observed context at one time; it is not a universal ranking position or a substitute for Search Console performance data. Google does not prescribe a folder or filename standard for agency screenshots, so use the workflow below as a practical recommendation.
Build a folder structure that separates client work
Start with a top-level folder for each client. Within it, separate projects or campaigns, then group captures by date. Add market or city, language, device, or result type when those distinctions matter to the comparison.

The example is a suggested structure, not a Google requirement. Keep each client’s materials clearly separated rather than combining unrelated captures in a general folder. Use subfolders for recurring, easy-to-browse distinctions; put details that vary capture by capture in the index.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsUse stable filenames and a searchable capture log
Filename format
A useful pattern is YYYY-MM-DD_market-city_device_language_query-slug_result-type_01.png. For example: 2026-10-03_IN-Delhi_mobile_en_best-running-shoes_local-pack_01.png. Use a sequence suffix when you have multiple captures for the same query and context.
Keep filenames short enough to scan. If the exact query would make a filename unwieldy or expose sensitive client details, use a neutral slug and preserve the exact query in a restricted companion log instead. Choose consistent labels for devices, languages, markets and result types so staff can filter reliably.
Fields to record
Maintain a CSV, spreadsheet or other searchable index with one row per capture. Include:
- Client, project or campaign, and capture owner.
- Capture timestamp and time zone.
- Exact query, unless it is stored in a more restricted companion record.
- Country or city, language, device and viewport dimensions.
- Browser or search context and result type.
- Relevant personalization, filters or other conditions, where known.
- Filename or relative file path, plus any notes needed to interpret the capture.
Record what is known rather than implying that all captures share identical conditions. For India-focused work, specify the market or city when relevant: “India” alone may not describe the search context you are comparing.

Preserve originals and control access
Keep the original image unchanged. Make annotations, crops and other edits as separate working copies, and place approved client-facing images in a report-ready folder. This leaves a clear distinction between the captured evidence, internal analysis and material approved for sharing.
Apply access restrictions at the client level and set retention periods according to your contracts and internal policy. Google’s Search Console documentation does not prescribe screenshot access controls or retention periods; those are agency decisions.
Keep screenshots separate from Search Console performance data
A screenshot records a visible SERP in a particular search context. Search Console reports structured performance metrics for a verified property, including clicks, impressions, click-through rate and average position, with dimensions such as query, page, country, device, search appearance and date. Use screenshots to discuss visible result features; use Search Console exports to analyze the property’s reported performance. Keep the two evidence types separately stored and indexed.

Occasional exports from Search Console
Google says most Search Console reports let you export the data currently shown, including applied filters or special groupings, to Google Sheets, Microsoft Excel or CSV. For larger sites, the Help page says exports may be truncated to 1,000 representative rows even when displayed totals include the truncated data. See Export data directly from a Search Console report.

Google Search Central’s October 19, 2022 guidance states that the Search Console user interface export is limited to 1,000 rows. It gives an upper limit of 50,000 rows per day per site per search type for Search Analytics API and Looker Studio exports, while noting that this amount may not be available in every case. The same guidance explains that anonymized queries are omitted from Search performance tables to protect privacy, though they can be included in chart totals unless a query filter is applied. Visible query rows therefore may not sum to the chart total. Google’s explanation of Search Console performance data filtering and limits provides the details.
Recurring, larger-scale retention
For ongoing analysis that warrants setup, Google documents a daily bulk export from Search Console to BigQuery. Google says this export includes performance data except anonymized queries and is not affected by the daily data row limit. Consider it when daily refreshes, larger volumes or downstream joins justify the setup; report downloads may be simpler for occasional analysis. Google’s BigQuery bulk export announcement explains the export.
Rank #4
Choose a retention approach based on how often data must refresh, expected volume, setup effort, structured analysis needs and whether anonymized-query coverage is expected. For context on Search Console export workflows, see Google’s February 26, 2020 overview of data export.
Capture screenshots consistently
Whether captures are made manually or through an API, use a consistent checklist and log the conditions that matter to your comparison. Do not treat a screenshot as a context-free ranking record: it captures what was visible for that search at that time.

Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →- Open the intended client and campaign folder, and confirm that you are using the correct market and query.
- Set or note the relevant search context, including city or country, language, device and viewport. Record browser or other context and any known personalization or filters.
- Capture the visible results page and save the original with the agreed filename pattern and a sequence number if needed.
- Add the capture and its metadata to the index, including timestamp and time zone.
- Make any crops or annotations on copies; put approved images in the report-ready folder.

ScreenshotNeo is a website screenshot API and MCP server. A single GET request can return a screenshot or PDF. Before a capture, it accepts the cookie or consent banner like a visitor and removes more than 60 known consent platforms, newsletter popups and chat widgets; each cleanup step can be turned off. Bot checks or CAPTCHAs, blank pages, timeouts, failed loads and cache hits are not billed, and the response identifies the page verdict and billing status in headers. Its MCP server includes take_screenshot, get_page_info and capture_pdf for AI agents and MCP clients.
For a basic PNG screenshot, replace the example URL with the page you want to capture. See the ScreenshotNeo API documentation for parameters such as output format and viewport.
Best Value
curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://stripe.com -o shot.webp
The response file in this example is named shot.webp; use the relevant output-format parameter when you need a different format. The API supports PNG, JPEG, WebP and PDF. A screenshot API does not remove the need to log the capture’s query, market, device, timestamp and other context if you want the file to be useful to an agency team.
- Consent banners, popups and chat widgets are removed before the shot.
- Bot checks, blank pages and failed loads are never billed.
- An MCP server lets AI agents take screenshots.
- The Free plan includes 1,000 screenshots per month with no card; paid plans start at $5 for 3,000 screenshots.

Quick Recap
Common organization problems and fixes
- Files cannot be found by query: Add an exact-query field to the index and make it searchable; use a shorter filename slug if needed.
- Two captures look comparable but use different contexts: Record market or city, language, device and viewport, and note known filters or personalization. Do not describe the images as a controlled comparison if those conditions differ or are unknown.
- Edited images are mistaken for originals: Preserve the original and put edits in a separate folder with a clear relationship to the source filename.
- Visible Search Console query rows do not match chart totals: Anonymized queries may be omitted from tables while remaining in chart totals unless a query filter is applied. Interpret the export with that qualification.
- An exported report appears incomplete: The Search Console Help page says exports for larger sites may be truncated to 1,000 representative rows. For recurring or larger-scale retention, assess whether BigQuery bulk export fits the need.
