They solve different problems, so using one as if it were another is the quickest way to lose track of your pictures.
A practical system is to create an album for a trip, event, person, project, or task; star the few images you want to retrieve immediately; and archive screenshots, reference material, or other clutter that you still need. None of those actions is a substitute for deleting backed-up files when your goal is to reclaim storage.

Choose the right Google Photos tool
Start with the job you need to do rather than the button you happen to see. An album answers “Which pictures belong together?” A Favorite answers “Which of these should stand out?” Archive answers “Which items should stop appearing in my main timeline?”
| Tool | Best use | What happens in the main Photos view | Where the item remains available | Storage result |
|---|---|---|---|---|
| Album | A deliberate set for an event, trip, person, project, or purpose | The photos remain visible unless you separately archive them | The album and the normal library; removing an item or deleting the album does not delete the library item | No deletion or storage reduction |
| Favorite | A quick star marker for standout images | The photo is not hidden by the star | The normal library and the Favorites view or filter provided by your app version | No deletion or storage reduction |
| Archive | Keeping an item while taking it out of the everyday feed | The photo is hidden from Photos view | Albums, search results, device folders, and Archive | It still counts toward your account quota |
These tools can be combined. For example, a vacation photo can be in a “Japan 2026” album and be a Favorite. A screenshot can stay in a “Reference” album while being archived so it does not dominate the timeline. A photo can also be archived without belonging to any album.

Build albums for groups you will recognize later
Albums are organizational labels, not second copies of your files. Google states that photos and videos removed from an album remain in the main Google Photos library unless you delete them from the main Photos section. Deleting an album has the same result: the album disappears, but its contents remain in the library.
Use a naming rule based on memory
Name an album for the way you expect to look for it months from now. A compact pattern works better than a maze of categories:
- Event or trip plus year: “Lisbon trip 2026” or “Maya birthday 2025.”
- Recurring person or project: “Grandpa visits” or “Kitchen remodel.”
- Function: “Receipts,” “Insurance,” “Recipes,” or “Reference screenshots.”
Use distinctive words that will still make sense in search. There is no documented ideal number of albums, and creating dozens of barely different collections usually makes retrieval slower. If a set has a clear boundary, give it one album; if it is only a temporary shortlist, Favorites may be the lighter option.
Quick wins for a faster PC:
Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Create an album on the web
- Open Google Photos in your browser and select the photos or videos you want to group.
- Choose Add, then choose New album.
- Enter a title that follows your naming rule.
- Finish the creation flow. The selected items stay in the main library as well as appearing in the new album.
For an existing album on the web, open it to change its title, cover, order, or contents. The exact controls can move as the web interface changes, so use the album’s more-options menu when a command is not displayed beside the title.
Create an album in the mobile apps
- Select one or more photos in the Google Photos app.
- Tap Add to album.
- Choose New album, enter the title, and save.
On Android and iOS, albums are generally reached from Collections > Albums. Google documents sorting albums by title, last modified, or most recent photo on both mobile platforms, although the placement of the sort control can differ by app release. Desktop album controls are not identical to the mobile controls.
Maintain an album without deleting library items
You can set a cover, rename the album, reorder or sort its contents, and remove individual items. Removing an item changes the membership of that album only. Before using a delete command, check whether you are acting on the album or on the underlying item in the main Photos view; deleting the underlying item is the action that can move it to trash and eventually remove it from the account.

Know the album limits and special types
Google’s album help gives a maximum of 20,000 photos or videos in one album. Google also warns that some features may not be available for very large albums, so split an extremely large event into logical parts if editing becomes unreliable.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
A Live album is different from a normal, hand-curated album. It can automatically add images that match selected face groups. Face matching is imperfect, and Google cautions that a Live album can occasionally include a photo without the selected person. Live albums are unavailable in some countries, so you may not see the option at all. Use a regular album when every member must be checked by you.
Mark standout pictures as Favorites
Favorites are star markers. They are useful for a short list of images you want to find quickly, such as a best shot from each day of a trip, a handful of images to share, or portraits you regularly reuse. A star does not create a copy, move the file, hide it, or reduce storage use.
Star a photo
Google Photos Community product-expert guidance describes the usual control as follows: open the photo, then tap the star on the photo’s detail screen. Tap the star again to remove the Favorite. Because this instruction comes from Community answers and Google changes controls between app versions, look for the star on the detail screen rather than relying on one permanent button position.
On the web, product-expert guidance also describes selecting one or more photos and using the three-dot menu to add a Favorite. When you are already inside an album, open the individual image and use its star instead; the multi-select menu may not offer the same command in that context. Your account may show a slightly different label or icon.
Find and use the Favorites collection
The exact current route to a Favorites collection is not uniform across Google Photos platforms and releases. Look in the app’s collections or library filters for Favorites, and use the search or navigation labels shown in your version. If you cannot find the collection, first confirm that the star appears on the image’s detail screen; the marker can exist even when the navigation entry has moved.

Sync Favorites with Apple Photos on iOS
Google’s official sync guidance provides a specific iOS path: open Google Photos settings, choose Apps & devices, choose Apple Photos, and turn on Sync favorites. With syncing enabled, favoriting or unfavoriting on either side is propagated. Existing Favorites remain marked if you later turn syncing off. This setting synchronizes the star status; it does not turn albums or Archive into Apple Photos equivalents.
Do not confuse Favorites with photo stacks
On Android, Google Photos can group similar pictures into photo stacks. Stacks are an app-only view feature for backed-up photos, and the stack’s top pick is distinct from a photo you have marked as a Favorite. Choosing a stack’s suggested top pick does not automatically apply your star-based Favorites workflow.
Archive items you want to keep out of the timeline
Archive is a visibility choice. Google describes it as hiding photos from the Photos view and moving them to Archive. Archived items remain in albums, search results, and device folders. They are also excluded from highlight videos and animations, and they continue to count toward your storage quota.
Archive on Android
- Open Google Photos and open the image, or select one or more images.
- Choose More.
- Tap Archive.
Afterward, the selected images leave the normal Photos view but are not deleted. To review them, open Collections and choose Archive.
Archive on the web
- Select the photo or photos in Google Photos.
- Choose More.
- Choose Archive.
Use Archive in the web interface to review them. Select an item and choose Unarchive to return it to the Photos view. Mobile and web labels can differ, and iOS may place the command in a different more-options menu, so follow the Archive label displayed by your app.
Good candidates for Archive
- Phone screenshots that you need for reference but do not want mixed into the camera timeline.
- Images of product labels, serial numbers, maps, or instructions that you may need later.
- Temporary reference pictures kept for a project.
- Scans or documents that belong in search or an album but should not appear in daily highlights.
Archive is not a storage-cleanup command. If your account is full, archiving will not lower the quota. Use Google Photos’ separate storage-management and deletion tools, and confirm that important items are backed up before deleting anything.

Understand the document auto-archive rule
Google Photos has a separate automatic organization option for document albums. It can hide document photos older than 30 days from the Photos view, with age measured from the photo’s creation date. That 30-day rule applies to this document feature, not to the general Archive command. Turning document auto-archive off does not automatically unarchive documents that were already archived; restore those items separately if you want them back in the main view.
A practical three-pass workflow for a messy library
Work in passes so each decision has one purpose. Doing everything at once encourages accidental deletion and produces albums with unclear boundaries.
Pass 1: group the items that have a shared story
- Search or browse to one event, trip, project, or recurring subject.
- Select the items that belong together and create or add to a clearly named album.
- Open the album and remove outliers. Removing them from the album leaves them in the main library for a later decision.
- Set a cover that represents the whole set, not merely the first image you selected.
For a large event, divide the collection by meaningful boundaries such as “Conference 2026 — sessions” and “Conference 2026 — people” rather than pushing one album toward the 20,000-item limit.
Pass 2: mark the small set you will reuse
- Open the best images from each group.
- Apply the star only when you have a concrete retrieval reason: sharing, printing, a profile image, a portfolio shortlist, or a personal highlight.
- Review the Favorites view periodically and remove stars that no longer serve that purpose.
This keeps Favorites a useful shortlist instead of turning it into a second, unfiltered library.
Pass 3: remove visual clutter without destroying records
- Identify screenshots, scans, and reference images that should remain searchable or available in an album.
- Archive those items in batches.
- Check Archive after the batch to make sure the intended images moved and that no camera originals were selected by mistake.
Do not archive a file merely because storage is tight; archived files still consume quota. Handle storage separately after checking backup status and any retention requirements.

Maintenance habits that keep the system usable
Use albums for durable context, not every temporary selection
An album should answer a question a future version of you is likely to ask. “Which photos were from the 2026 move?” has durable value. “Photos I might post this weekend” may be better represented by Favorites and then cleared when the task ends. This distinction prevents abandoned albums from becoming another form of clutter.
Best Value
Review Archive when you need a complete history
Because Archive removes items from the everyday Photos view but not from search or albums, it is easy to forget that an item exists. When preparing taxes, insurance records, travel documentation, or a long-term project, include Archive in your review. Searching for a distinctive word or date can surface archived items without restoring them.
Audit automatic features
If a Live album contains an unexpected person, check its face-group settings and remove the incorrect image. Face Groups can make mistakes, so automatic inclusion should be treated as a draft rather than proof that every match is correct. Likewise, remember that Android photo stacks are a presentation feature for backed-up photos, not a replacement for naming albums or assigning Favorites.
Troubleshooting common surprises
“I removed a photo from an album and it disappeared.”
Removing an item from an album should not remove it from the main library. Return to the Photos view and search by date, subject, or filename. If it is missing there too, check Trash and your account or backup status; you may have used a delete command on the underlying photo rather than an album-removal command.

“The archived photo still appears in search or an album.”
That is expected. Archive hides an item from the main Photos view while retaining it in albums, search results, and device folders. Use Unarchive only when you want it visible in the main view again.
“Archiving did not free storage.”
Archive does not change quota usage. To reclaim space, use Google Photos’ storage-management tools and decide whether files can be deleted. Verify backup and any legal, financial, or personal retention needs before confirming deletion.
“I cannot see the star or Favorites collection.”
Open the image itself and inspect the detail screen for the star. The Favorites collection and menu placement vary by platform and app version, and the current official help does not provide one universal navigation path. Update the app if appropriate, then look through Collections or library filters for the label used by your release.
“A Live album added the wrong person.”
Face Groups are not perfect. Remove the incorrect image manually, or use a regular album when automatic matching is not acceptable. Live album availability also varies by country.

Once an event album is curated, Google Photos can use it as the starting point for a photo book. Google’s documented Android ordering flow asks you to select at least 20 photos. Photo books are unavailable in some countries, and current availability, pricing, and shipping depend on the account’s region, so check the options shown in your own app before planning around them. A photo book is an output from an organized album; it does not change how Albums, Favorites, or Archive manage the originals.
