Search can find photos using those labels and other information such as dates, places, captions, people, and text in images, so you do not need to build a deep folder-like hierarchy for every photo.
Choose the right way to organize a photo
| Method | Best for | Where Apple documents it | How membership works |
|---|---|---|---|
| Album | A collection you want to curate, such as a trip, family event, or project | Mac and iPhone | A photo can appear in more than one album; an album is not an exclusive container. Apple’s Mac album guide explains adding and removing items. |
| Folder | Grouping related albums so the Albums view stays manageable | Mac and iPhone | Folders organize albums rather than replace the library. Apple’s iPhone album guide documents creating folders for albums. |
| Keyword | A reusable label that can apply across albums, such as “birthday” or “architecture” | Mac | Keywords can be used to search and filter; Apple’s Mac keyword guide documents adding and managing them. |
| Smart Album | A rule-based collection that gathers matching items automatically | Mac | Photos selects items according to criteria you set. See Apple’s Mac album guide. |
| Search | Finding an item without maintaining another collection | Mac and iPhone, with different search options | Search can use available information such as keywords, dates, places, people, captions, categories, events, or text in images. |
This distinction is useful when deciding what to maintain manually. An album is appropriate when you want to choose its contents yourself; a Smart Album is suited to a repeatable rule; a keyword or search is often better when the same attribute crosses many albums.

Build a simple album and folder system
Start with a small number of durable albums based on how you expect to browse—for example, trips, family events, and ongoing projects. Avoid making a separate album for every detail that search or a keyword could retrieve. Add folders only when they make a group of related albums easier to navigate.
Create albums on Mac
- In Photos, choose File > New Album to create an empty album. You can also select photos first and create an album from that selection.
- Give the album a name that describes the collection you will look for later, such as “2025 — Coast trip” or “Garden renovation.”
- Add or remove photos as you curate the collection. The originals remain in the library, and a photo may appear in multiple albums.
Apple documents album creation and management in its Mac album guide.

Create albums and folders on iPhone
- Open Photos and go to Collections > Albums.
- Tap Add, then New Album, and name the album. The exact navigation labels can vary by iOS version; check the current Photos interface if they differ.
- To group albums, create a folder from the Albums area and place related albums in it. Keep the structure shallow enough that you can browse it without remembering several levels.
Apple’s iPhone guide to albums covers creating, renaming, sorting, and grouping albums into folders. Deleting an album does not delete its photos and videos from the library or from other albums where they appear.
Add reusable keywords on Mac
Apple calls its Mac tagging feature keywords. Choose a compact, consistent vocabulary for recurring attributes that are useful across albums—such as “birthday,” “receipt,” or “architecture.” The vocabulary size and naming style are your choices, not Apple requirements.
- Select one or more photos or videos.
- Open the Info window, enter a keyword, and press Return.
- For repeated assignments, use Keyword Manager to apply existing keywords, add or rename terms, remove terms from the keyword list, and set shortcuts.
- Put frequently used terms in the quick-pick group to make them faster to assign. Quick-pick keywords also appear in the Filter By menu.
These keyword controls and their use in search are described in Apple’s Mac keyword instructions. Applying a keyword to a batch can be more efficient than labeling each item separately.
Use Smart Albums for rule-based collections on Mac
A regular album is manually curated; a Smart Album collects items that match criteria you set. Use a Smart Album when you want Photos to gather a repeatable category, rather than having to remember to add each matching item by hand. For a collection whose membership depends on your judgment—such as “best photos from the trip”—use a regular album instead.

Search is often the quickest way to retrieve a photo when you remember something about it but do not need a permanent curated album. Search options differ between Mac, iPhone, and operating-system versions.
Search on Mac
Use the toolbar search field, or press Command-F. Apple says Mac search can use titles or captions, keywords, dates, and text within photos; you can combine terms, such as a place and a month. See Apple’s Mac search guide.
Search on iPhone
Search is available from Library or Collections and can also be used within an album or collection. Apple’s iPhone guidance lists search targets including dates, places, businesses, categories, events, named people or pets, text, and captions. The labels and navigation may vary by iOS version; consult Apple’s iPhone search guide if your screen differs.

If a search does not find an item, try another detail you remember—such as the place, date, caption, or visible text—or narrow the search to an album or collection. Search results depend on the information Photos can use for that item; a keyword is not necessary for every search.
Keep the library available across devices
If you want the same photo library on multiple Apple devices, check that iCloud Photos is enabled on the devices where you expect to access it and that they are signed in to the same Apple Account. Apple says iCloud Photos keeps the library current and accessible across those devices. Setup guidance is in Apple’s Mac Photos overview and iPhone album guide.
A practical routine that stays manageable
- Create a few albums for collections you genuinely want to browse or curate.
- Group related albums in folders when doing so improves navigation.
- On Mac, add a small set of consistent keywords for attributes that recur across collections.
- Use Smart Albums for stable, criteria-driven membership and regular albums for hand-picked collections.
- Before making a new album or adding another layer of folders, try searching by a keyword, caption, date, place, person, or other remembered detail.
- If you use multiple Apple devices, verify iCloud Photos is enabled where you expect the library to appear.
Apple’s interface changes over time. The paths here identify the device context and the documented labels; if your screen differs, check the current guide for your macOS or iOS version. Apple’s Mac Photos User Guide covers current Mac features including keywords, folders, Smart Albums, filtering, and iCloud Photos.
