How to Organize and Tag a Media Library in Plex

The most reliable Plex library starts on disk, not in the Plex interface: keep Movies, TV Shows, Music and other media in separate top-level folders; use one folder per film; arrange shows by season; and use predictable names with release years or episode numbers. After Plex scans that structure, use tags and collections to describe and group items, while reserving labels for access restrictions. External database IDs and local NFO files are optional tools for titles that automatic matching cannot identify correctly.

This guide lays out a complete workflow, from creating folders and naming files to choosing scanners, fixing bad matches, applying tags, and deciding whether local metadata is worth the additional maintenance.

Start with a media tree Plex can understand

Plex uses two layers to identify content. The scanner examines folder structure and filenames; the metadata agent then uses that information to retrieve posters, descriptions, cast, genres and other details. A clean directory gives both layers the best chance of agreeing on what each item is. Plex warns that mixing major content types under one path can lead to incorrect matches, poor classification or files being ignored. Its support guidance says that “the scanners and metadata agents used by Plex will only work correctly when your major types of content are separated from each other.” Plex Support

Use separate roots even when everything is stored on one disk. A practical starting point is:

Media type Example root Plex library type
Films /Media/Movies Movies
Series and episodic programs /Media/TV Shows TV Shows
Music /Media/Music Music
Pictures /Media/Photos Photos
Unclassified video /Media/Other Videos Other Videos

The folder names themselves are not magic; the important part is that each Plex library points to a location containing only the corresponding kind of media. Do not point a library at an entire drive when a narrower folder is available. Plex specifically recommends selecting the content directory rather than a drive root. Its library-creation guidance explains that one library can include multiple separate content locations when that is useful.

Name movie files and folders predictably

Give every film its own directory and put the release year in both the directory and the filename. The basic pattern is:

/Media
  /Movies
    /Avatar (2009)
      Avatar (2009).mkv

Plex recommends the per-movie-folder approach because it keeps the video, subtitles, artwork and related assets together. Plex also says that individual folders can sometimes significantly increase the speed of scanning new media, but it publishes no universal percentage or guaranteed time saving. See Plex’s movie naming guidance.

Use the release year to disambiguate titles

The year is especially important for remakes, sequels with similar names and films that have been reissued. Match the year to the film’s release rather than the year you acquired or ripped it. Keep punctuation simple and consistent; avoid placing unrelated words such as codec names or download-site labels in the title portion.

Add an external ID when a title is still ambiguous

With the current Plex Movie agent, you can append an IMDb or TMDb identifier in curly braces, for example:

Avolusion PRO-T5 4TB USB 3.0 External Hard Drive for Windows & Mac OS (White) - 2 Year Warranty
  • [ Massive 4TB Storage Capacity ] Store thousands of photos, videos, games, music files, and important documents in one convenient external hard drive.
  • [ Fast USB 3.0 Performance ] High-speed USB 3.0 interface provides reliable and efficient data transfer for backups and everyday storage use.
  • [ Plug & Play Convenience ] Easy setup with no additional software required; compatible with Windows PCs, Mac computers, gaming consoles, and more.
  • [ Reliable Backup & Storage Solution ] Ideal for expanding storage, system backups, gaming libraries, videos, photos, and everyday file organization.
Batman Begins (2005) {imdb-tt0372784}
Batman Begins (2005) {tmdb-272}

Use an identifier when Plex repeatedly selects the wrong film, when two titles share a year, or when an obscure release has little searchable information. Keep the readable title and year even when an ID is present; the ID is an additional matching signal, not a replacement for a sensible name.

Represent multiple cuts as editions

The newer Plex Movie agent supports an edition marker such as:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Blade Runner (1982) {edition-Director's Cut}.mkv

Plex documents edition support as dependent on the server administrator having Plex Pass, Plex Media Server 1.28.1 or later, and the non-legacy Plex Movie agent. Those prerequisites can change with future releases, so verify the current requirements before reorganizing a large collection. Plex’s current movie-file article is the reference for supported markers.

Arrange television shows by series and season

Television matching depends heavily on hierarchy. Put each program in a show folder, then create a folder for every season. Name each episode with the show name and an unambiguous season/episode code such as S01E01:

/Media
  /TV Shows
    /The Example Show (2024)
      /Season 01
        The Example Show (2024) - S01E01.mkv
        The Example Show (2024) - S01E02.mkv
      /Season 02
        The Example Show (2024) - S02E01.mkv

Use season folders even if a program currently has only one season. Specials and other non-season episodes should follow the numbering expected by the metadata source; if Plex cannot identify a special, check the show’s listing in the selected database rather than inventing a season number.

Use a show ID or .plexmatch for difficult series

For a show that has regional titles, duplicate names or inconsistent database records, Plex’s TV Series agent can use a TMDb, TVDB or IMDb show ID in curly braces in the show folder name. Plex also documents a .plexmatch file as another way to provide matching information. These tools are most useful after the ordinary show/season/episode structure is already correct. Consult the TV naming article for the syntax supported by your agent.

Build the folders before adding them to Plex

  1. Create separate roots. Make dedicated directories for movies, TV, music, photos and any other media categories you intend to expose. Keep downloads, temporary files and personal documents outside those roots.
  2. Normalize movies. Create one folder per film, add the title and release year, and place the video inside it. Keep subtitle files and artwork in that same folder when you use local assets.
  3. Normalize shows. Create one folder per series, add season directories, and give every episode a season/episode identifier.
  4. Resolve exceptional titles. Add an IMDb, TMDb or TVDB ID only when ordinary naming does not produce a reliable match. Use an edition marker for supported alternate cuts.
  5. Check permissions and mounts. The account running Plex Media Server must be able to read the folders and files. If a removable or network volume is not mounted when Plex scans, items can disappear from the library.
  6. Keep paths stable. Renaming or moving a root after importing can make Plex treat existing files as missing. If a move is unavoidable, update the library location deliberately and scan after the new path is available.

Create Plex libraries with the matching content type

In the Plex web interface, add a library and choose the type that matches the folder: Movies, TV Shows, Music, Photos or Other Videos. Select the metadata language, then add the specific content folder or folders. The labels and placement of buttons can vary slightly by Plex client version, but the underlying choices are the same. Plex’s Creating Libraries instructions describe the current flow.

Choose locations at the right level

For a movie library, select /Media/Movies, not /Media and not the whole disk. For television, select /Media/TV Shows. Selecting a parent directory that contains different media types defeats the separation that the scanner relies on. If you have two movie locations, such as an internal disk and a mounted archive, add both movie directories to the same Movies library rather than combining them under a mixed root.

Understand scanning versus refreshing

  • Scan library files when you have added, removed or moved content or changed a library’s content location. The scanner looks for files and folders that are now present.
  • Refresh metadata when the files are already present but you changed the metadata agent or want Plex to retrieve updated posters, descriptions or credits.
  • Rescan after a rename. A corrected filename may not be considered until Plex scans the library again; a metadata refresh alone is not a substitute for detecting a new path.

Plex’s documentation distinguishes the scanner, which interprets the filesystem, from the metadata agent, which retrieves or applies descriptive information. The Metadata Agents article explains that relationship.

Fix an incorrect match in a controlled order

Do not begin by manually rewriting every field. Correct the source of the mismatch first, then let Plex rematch the item.

  1. Inspect the path. Confirm that the item is in the correct library and that a movie has its own folder or an episode is under the intended show and season.
  2. Inspect the name. Add a release year, season/episode code or supported database ID. Remove unrelated release-group text that could be mistaken for part of the title.
  3. Check the library type. A film in a TV library, or a show in a Movies library, will be interpreted through the wrong rules.
  4. Check scanner and agent settings. Make sure the library uses the scanner and metadata agent appropriate to its content. Agent names and availability depend on Plex Media Server version.
  5. Scan for filesystem changes. Run the library’s scan after renaming or moving files.
  6. Refresh metadata or use “Fix Match.” Once Plex sees the corrected path, refresh metadata or choose the item’s match-correction control and select the exact title.
  7. Only then edit fields manually. Manual edits are appropriate for details the metadata source does not provide, not as the first response to a bad filename.

If Plex still chooses the wrong result, add the relevant IMDb, TMDb or TVDB ID supported by that library’s agent. For a show, a .plexmatch file is another documented matching aid. The supported syntax and agent combinations are maintained in Plex’s movie and TV naming articles.

Use tags, collections and labels for different jobs

After matching is correct, Plex’s Edit Details interface lets you change metadata and add multiple values to fields such as directors, writers, genres/categories and collections. Those values can help you sort, search and filter a large library. Plex’s Edit Details documentation lists the fields and editing behavior.

Tags and collections describe or group media

Use a genre or category for a descriptive trait, a director or writer tag for a creator, and a collection for a viewing group such as a film series, a family-marathon set or a personal “rewatch” list. A title can carry several values in the same field, so you can preserve the source genre while adding a useful personal category. Keep spelling and capitalization consistent; “Sci-Fi,” “Sci Fi” and “Science Fiction” will behave like separate values if you enter them as separate tags.

Labels are access controls, not ordinary categories

Plex uses labels for fine-grained restrictions when you share a library with other people. A label can therefore affect what a managed or shared user is allowed to see, whereas a collection or genre is primarily an organizational aid. Do not use labels merely to recreate a browsing category unless you also intend to use their restriction behavior.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Feature Best use Effect on shared access
Genre/category tags Describe themes, formats or subjects and filter the library Organizational; not a restriction by itself
Director/writer tags Group works by creator Organizational; not a restriction by itself
Collections Assemble a named set for browsing or playback Organizational; visibility still follows library permissions
Labels Apply fine-grained restrictions to shared libraries Can participate in access control

Know what a manual edit does

When you manually edit a metadata field, Plex locks that field so a later metadata refresh does not overwrite your correction. If you want refreshed metadata to control the field again, unlock it in Edit Details. This lock applies to the edited field, so a correction to a title does not necessarily prevent Plex from updating unrelated fields.

Choose between automatic metadata and local NFO files

Most collections should begin with Plex’s normal scanner and metadata agent. That path requires less preparation and can retrieve current artwork and descriptions from online sources. A local NFO workflow makes sense when you maintain your own metadata, have obscure or private titles, or need repeatable results independent of an online match.

Workflow Strength Trade-off or limit
Automatic Plex metadata Minimal preparation and online artwork, credits and descriptions Results depend on naming, agent behavior and available online records
Local NFO metadata Greater control over supported movie and TV metadata Requires maintained NFO files and has media-type and feature limitations

Requirements for the NFO agent

Plex’s current NFO instructions specify Plex Media Server 1.43.1 or newer for the NFO agent. The agent reads locally stored Kodi/XBMC-format NFO files for movie and TV libraries. Plex names FileBot as an example of a tool that can generate NFO files, but the NFO article does not establish any particular commercial partnership or guarantee a tool’s current availability. Read Plex’s NFO documentation before adopting this workflow.

Documented NFO limitations

  • Music NFO support is not provided by the documented NFO agent.
  • Multi-part movies are not supported by the NFO agent.
  • Local extras do not receive NFO metadata through this agent.

Because NFO files are another source of truth, edit them deliberately and keep them beside the media they describe. After enabling the agent or changing an NFO, refresh metadata so Plex reads the local file. Do not assume an NFO can override every field or every media type; the limitations above are part of the supported design.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Decide when external IDs and NFOs are worth the effort

A simple decision rule keeps maintenance manageable:

  • Use names alone when Plex consistently identifies ordinary movies and shows.
  • Add an external ID when one title is repeatedly misidentified or has a duplicate name. This is a small change with little ongoing maintenance.
  • Use an NFO workflow when you need local ownership of supported movie and TV metadata across many titles and are prepared to maintain those files.
  • Keep manual edits selective. Correct unusual credits, custom categories or missing descriptions, then leave fields unlocked unless you intentionally want to preserve the override.

Do not add IDs to every file preemptively if ordinary names already match. Extra syntax increases the number of conventions you must preserve when moving or renaming media.

Maintain the library as it grows

  • Use one naming convention. Keep title/year for movies and show/season/episode numbering for television throughout the collection.
  • Review unmatched items after imports. A quick pass catches wrong years, misplaced episodes and accidental mixed-media folders before they become harder to unwind.
  • Separate storage from classification. An additional internal, external or network drive can provide more room for media, but storage capacity does not improve tagging or matching by itself. Plex allows local or external drives as media locations. See the library-location guidance.
  • Back up your custom work. Preserve NFO files and keep a record of important manual categories if recreating the server would be costly.
  • Recheck version-dependent features. Edition markers, agent names, NFO requirements and subscription prerequisites can change between Plex Media Server releases.

A compact pre-scan checklist

  1. Movies, TV, music and photos are in separate top-level roots.
  2. Each movie has a title-and-year folder and matching filename.
  3. Each show has season folders and SxxEyy episode names.
  4. Only genuinely ambiguous titles carry IMDb, TMDb or TVDB IDs.
  5. The Plex library type matches the files in its selected folders.
  6. The selected paths are content folders, not an entire drive containing mixed media.
  7. The Plex service account can read every path, including mounted external or network storage.
  8. Tags and collections are being used for organization, while labels are reserved for sharing restrictions.
  9. Any NFO plan meets the documented server-version requirement and does not depend on unsupported music, multipart-movie or local-extra metadata.

With those conditions in place, Plex’s scanner has a predictable filesystem to interpret, the metadata agent has fewer ambiguities to resolve, and your later tagging work remains useful instead of compensating for preventable naming errors.
