How to Organize a Video Game Exhibition at a Library, School, or Community Center

Organize a video game exhibition as a small public program, not simply as a row of consoles. Start with a defined audience, a learning or community purpose, and measurable objectives. Then choose a focused theme and a number of games the room, staff, power supply, and budget can support; clear copyright and loan permissions; design accessible, supervised stations; publish age and content information; train staff; and evaluate the event against the objectives you set.

The same framework works in a library, school, or community center, but the host’s current rules and the laws of the venue’s jurisdiction control the final decisions. Copyright, public-performance, fire, accessibility, safeguarding, privacy, insurance, and photography requirements are not interchangeable between countries.

1. Define what the exhibition is meant to achieve

Write a one-sentence purpose before selecting a title or buying equipment. For example: Show how local players, designers, and technologies shaped games or Use cooperative games to demonstrate problem-solving and inclusive design. The purpose should determine the theme, labels, activities, staffing, and evaluation method.

Identify the primary audience

Choose the main audience—children, teenagers, families, educators, older adults, or general visitors—and estimate attendance, opening hours, and whether visitors will only view materials or will also play. A family drop-in event needs different supervision, content screening, furniture, and session design from a classroom visit or a specialist local-history display.

  • [Deep Bass with Clear Vocals] High-performance drivers produce punchy bass while keeping vocals clean and detailed for everyday listening.

Set measurable outcomes

Set two to four outcomes that can be observed or measured. Examples include visitors identifying design changes across decades, completing a cooperative problem-solving activity, comparing two control schemes, or describing one accessibility feature. Ontario museum-program guidance emphasizes audience research, community input, clear objectives, communication, learning opportunities, safe display, and evaluation. Use those principles to decide what evidence you will collect later.

Limit the scope to the venue

A small exhibition with four to eight stations is generally easier to supervise than a large arcade. Decide whether the display is chronological, organized by genre or technology, focused on local history, or built around a social question such as representation or accessibility. Define the maximum number of stations before selecting games; the room, electrical capacity, network policy, storage, and available staff should set the practical limit.

2. Choose an exhibition format deliberately

Different formats solve different problems. Decide which trade-off fits your purpose and resources instead of combining every possible feature.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Format choice Strength Cost or risk to manage
Hands-on arcade High interaction and immediate engagement Requires more staffing, equipment supervision, cleaning, and technical support
Display-led history Lower technical risk and better throughput for fragile or rare material Offers less direct play and depends more heavily on interpretation
Single platform Simpler support, accessories, and licensing administration Provides narrower historical coverage
Multi-platform Shows a broader range of periods and technologies Adds adapter, controller, account, update, and troubleshooting complexity
Drop-in sessions Open access and flexible attendance Attendance and supervision needs vary from hour to hour
Booked sessions Predictable group size and deeper teaching time Requires reservations and can exclude casual visitors
Original artifacts Authenticity and stronger historical connection Higher insurance, conservation, security, and handling requirements
Reproductions or hands-on copies Safer handling and easier participation Less physical authenticity
Local-history theme Strong community relevance and opportunities for local contributions Requires focused research and may cover fewer games
Broad survey Wider coverage of genres, eras, or technologies Needs more research, interpretation, and hardware support

3. Build a project team and written agreement

Name people for decisions before installation begins. One person may hold several roles in a small venue, but every responsibility must have an owner.

  • Institutional project lead: approves the program, coordinates with the host, and resolves policy questions.
  • Subject-matter curator: selects games and artifacts, verifies historical context, and writes labels.
  • Technical lead: tests hardware, displays, controllers, updates, network needs, resets, and spares.
  • Accessibility lead: checks routes, controls, labels, seating, audio, captions, and visitor information.
  • Operations and safeguarding lead: plans staffing, conduct, incident response, cleaning, evacuation, and child-safety procedures.

Invite community gamers, educators, and disability advocates to review the concept and pilot stations. Their input can reveal confusing controls, inaccessible layouts, culturally insensitive interpretation, or content concerns before opening.

Put the obligations in writing

The agreement with an exhibitor, lender, or community partner should state responsibilities, dates, storage, insurance, loan conditions, installation, takedown, photography, repairs, and incident reporting. Georgetown University Library’s gallery guidance requires coordinated installation and removal and an agreement covering these responsibilities. It also places responsibility for proving permission for copyrighted material before installation on the exhibitor.

4. Select games, hardware, and interpretation

Record a station specification

For every proposed title, record the platform, age rating, accessibility features, required controllers, display requirements, save-data handling, network needs, expected session length, and reset method. Note whether the game needs an account, an update, an online service, a particular language, or a connected audio device.

Pair play with context

A playable station should answer why the game is in the exhibition. Pair it with a concise label, timeline, developer or community context, screenshot, map, concept art, oral history, or related books from the host collection. Explain what visitors should notice: a change in interface design, a local story, a representation choice, or an accessibility feature. Use reproductions or hands-on copies when originals are fragile; Ontario standards call for accurate, relevant interpretation and safe display.

Pilot with the intended audience

Test every station with people who match the expected visitors. Check boot time, mandatory updates, account prompts, language, audio levels, controller pairing, reset instructions, and what happens when a player becomes stuck. Test the complete visitor path, including queueing, seating, reading labels, changing a controller, and leaving the station. Where the budget permits, keep a spare controller, cable, power supply, and a written reset procedure. Treat those as venue-specific procurement decisions rather than universal requirements.

Plan data and account handling

Use guest profiles where possible, disable unnecessary cloud synchronization, and define how save data is erased between sessions. Do not collect visitor names, photographs, recordings, or gameplay data unless the host has approved a clear purpose, notice, retention period, and consent process.

5. Clear copyright, licensing, and privacy before installation

Owning a game copy does not automatically grant permission to show trailers, play music publicly, reproduce box art, display screenshots, stream gameplay, or photograph loaned material. Rules differ by country, the specific game, and the venue.

Create a rights list

List every item that will appear or be heard:

  • Game copies and digital accounts
  • Screenshots, box art, logos, manuals, and promotional artwork
  • Music, trailers, cut-scenes, and other audiovisual material
  • Photographs, oral histories, and visitor recordings
  • Loaned consoles, cartridges, discs, books, posters, and other objects

Obtain written permission or a license for each item where required, and retain the documentation in the project file. Georgetown’s guidance identifies loan agreements, written authorization from copyright holders, email confirmations, and similar records as acceptable proof of permission.

Ask the host’s legal or risk office

Confirm the rules for public performance, educational exceptions, institutional subscriptions, privacy notices, photography, livestreaming, and data collection. Public audiovisual content can trigger separate permissions or premises and television licensing; UK government guidance specifically warns that public film and television showings may require additional authorization. A school, library, or community center should make the final determination with its own legal or risk contact and the relevant local authority.

6. Design every station for access

Access is a project requirement, not an optional addition after the furniture is installed. Map a step-free route from the entrance to every station, with enough turning space for mobility devices. Keep labels readable, use high contrast, and provide captions or transcripts for spoken content. Offer seating, headphone or volume choices, and a quiet option.

Provide more than one way to participate

At least one activity should not depend on fast reflexes, precise motor control, or hearing. Consider switch access, remappable controls, larger text, translated labels, tactile or audio description, and staff assistance. A display-led station, board, timeline, or discussion activity can give visitors a meaningful alternative to a title they cannot use.

Publish access information before arrival

State the step-free route, seating, captions, audio options, controller adaptations, quiet periods, booking requirements, and contact method in the event listing. Invite disabled visitors or an access consultant to review the plan before opening. The National Endowment for the Arts accessibility guidance treats access as an organization-wide process involving mission, staffing, budget, education, meetings, and programs; Ontario guidance likewise expects exhibits to be usable by visitors of all ages and abilities and calls for trained staff and safe environments.

7. Complete safety, security, and safeguarding planning

Assess the room

Anchor or weight displays, keep walkways and emergency exits clear, tape or cover cables, avoid overloaded outlets, and manage heat and glare. Separate food and drinks from equipment. Provide hand-cleaning or controller-cleaning procedures and decide who checks for damage between sessions.

Supervise interactive stations

Interactive equipment needs active supervision. The American Library Association’s Exhibition Security Guidelines say it is preferable for someone to be in the room at all times, even while performing other duties. If continuous presence is not possible, the guidance suggests checking at least every 30 minutes during peak use and hourly during quieter periods. Treat those as operational recommendations and adapt them to local fire, safeguarding, insurance, and host requirements.

Write incident procedures

Train every employee and volunteer on escalation and first-aid contacts. The procedure should cover:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • A lost child or vulnerable visitor
  • Bullying, harassment, or a conduct complaint
  • A seizure, medical incident, or distress caused by flashing effects or sound
  • Damaged, overheated, or missing equipment
  • A blocked route, electrical fault, or evacuation
  • Unauthorized photography, recording, or online interaction

Keep emergency contacts, the room plan, shut-down instructions, and an incident form where staff can reach them quickly. Record only the information the host policy and law allow you to retain.

8. Screen age, content, and conduct

Review every title

Check the applicable age-rating system and screen for violence, sexual content, gambling-like mechanics, language, flashing effects, online interaction, and cultural sensitivity. Record the reason each game is appropriate for the stated audience and identify a replacement activity if it is not.

Use warnings and alternatives

For school or family events, follow the host’s policy and local ratings system. Victoria’s education guidance says public school events open to the school community, including small children in family groups, must be suitable for general exhibition. If a resource is unsuitable for some ages, the school should restrict entry or provide advance and immediate warnings. Post plain-language notices at the entrance and station, and provide a different game or non-screen activity rather than leaving a visitor without an option.

Publish a code of conduct

Cover queueing, controller sharing, harassment, recording other visitors, food and drink, and compliance with staff instructions. Give visitors a private way to report concerns. Explain whether staff may end a session, remove a person from the queue, or close a station when safety or conduct requires it.

9. Confirm governance and the status of the exhibit

Before accepting loans or bookings, confirm who approves the exhibition, who can cancel a station, how objections are handled, and whether the event is institutional, independently sponsored, or a community partnership. Align the plan with the host’s safeguarding, room-use, communications, collection, and photography policies.

For libraries, the American Library Association recommends content-neutral, clearly defined, equally applied, and inclusive exhibit policies. A library can also state that displays do not necessarily reflect the library’s viewpoint. Schools and community centers should use an equivalent notice only if it fits their own policy and communications practice.

10. Build a realistic budget and logistics plan

Use a line-item budget, even when equipment is borrowed. Include:

  • Permissions, licenses, and rights administration
  • Loan transport, packing, insurance, and security
  • Monitors, consoles or computers, controllers, adapters, and spare parts
  • Tables, stands, seating, signage, printing, and label production
  • Power strips, cable covers, locking hardware, and network costs
  • Accessibility accommodations, translation, captions, and audio equipment
  • Staff and volunteer time, training, and safeguarding cover
  • Cleaning supplies, repairs, contingency, and takedown

Confirm load-in access, storage, locking arrangements, network restrictions, electrical capacity, opening hours, and responsibility for repairs. Georgetown’s gallery guidance notes that exhibitors may be responsible for reception costs, graphics, setup, and cleanup; assign each cost and task explicitly in the agreement.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

11. Promote, open, and operate the exhibition

Describe the experience accurately

Use concrete audience language such as hands-on stations, family-friendly, local game history, or drop-in play. Publish dates, hours, age guidance, access features, booking requirements, and the photography policy. If capacity is limited, explain whether visitors will queue, book a time, or join a session. Offer a preview for teachers, librarians, community partners, or support workers.

Run an opening checklist

  1. Verify that every station has the approved game, correct account state, paired controller, readable label, and reset instructions.
  2. Check cable covers, furniture stability, exits, turning space, seating, lighting, sound levels, and emergency access.
  3. Confirm that content warnings, conduct rules, access information, and staff contact details are visible.
  4. Test cleaning supplies, spare equipment, shutdown procedures, and the incident-reporting route.
  5. Record the status of each station and take a privacy-appropriate headcount or sign-in measure.

At each session, staff should watch queue length, share controllers fairly, reset save data, manage volume, and close a station promptly when it becomes unsafe or unreliable.

12. Evaluate against the original objectives

Do not judge success solely by attendance. Collect the measures that match the outcomes you wrote at the start:

  • Attendance, repeat visits, and dwell time
  • Station use, queue length, and completed activities
  • Short learning or satisfaction feedback
  • Accessibility requests and whether they were met
  • Equipment failures, resets, and downtime
  • Incidents, conduct reports, and safeguarding actions where lawful to record
  • Observations from staff, educators, community partners, and lenders

Compare the findings with the stated objectives. Record which stations were too complex, which labels caused confusion, whether supervision intervals were adequate, and what access requests could not be met. Use that record to change the next exhibition’s theme, station count, staffing, equipment, and communication.

Common failure points and practical fixes

A station works during setup but fails during public hours

Updates, account prompts, overheating, loose cables, and controller pairing are common causes. Test at the expected opening temperature and network conditions, disable avoidable updates, keep a spare connection path, and post a simple reset sequence. Assign one person authority to take a station offline rather than allowing repeated improvised fixes.

Visitors cannot tell what they are allowed to do

Label the session length, queue method, controller-sharing rule, reset behavior, and staff-help signal at eye level. Demonstrate the first interaction and provide an alternative for visitors who do not want to play.

The room becomes inaccessible when queues form

Mark a queue that does not cross the step-free route, provide seating outside the main circulation path, and use timed sessions or a sign-up list when capacity is tight. Keep one staff member watching circulation rather than focusing only on the screen.

A title attracts visitors but creates content or conduct problems

Close the station temporarily, document the concern, and follow the host’s review and escalation policy. Replace it with the preselected alternative if the title no longer fits the published audience or code of conduct. Do not change the rules selectively for popular visitors or partners.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What a complete plan should contain

  • Purpose, audience, scope, objectives, and format choice
  • Named project roles and a signed partner or loan agreement
  • Game, hardware, interpretation, rights, and privacy records for every station
  • Access map, accommodations, content notices, and alternatives
  • Room risk assessment, supervision schedule, cleaning plan, conduct rules, and incident procedures
  • Budget, procurement, insurance, storage, installation, and takedown assignments
  • Promotion copy with dates, age guidance, access information, and photography policy
  • Opening checklist, station-status log, evaluation measures, and post-event review

When these documents agree with one another, the exhibition can be engaging without becoming an unmanaged arcade: the games support a purpose, visitors know what to expect, staff can respond to problems, and the host can demonstrate that access, safety, rights, and learning were planned rather than assumed.
