Pick a manageable activity, set a date, make donations easy, recruit a few helpers, and tell participants how much you raised afterward. The steps below cover both workplaces and schools, including UK Gift Aid rules where they apply.
1. Choose a charity and a fundraiser that fits your setting
Decide what kind of support your group wants to fund, then choose a breast cancer charity and follow its official fundraising instructions. Charities offer different resources: Living Beyond Breast Cancer suggests workplace and school activities; Susan G. Komen offers DIY, social and workplace fundraising ideas; and the National Breast Cancer Foundation describes company, school, sports, college and online campaigns. These are examples of support, not a ranking of charities.

Choose an event your available volunteers can realistically run. The examples below come from charity guidance; the sources do not establish that one format raises more money than another.
At work
- Try a dress-down day, office decorating contest, lunchtime walk, quiz, bake sale, raffle or team challenge.
- A matched-giving drive or online campaign may be simpler to coordinate than an in-person event, depending on your employer’s rules.
At school
- Consider a themed dress-down day, walk or fun run, talent show, bake or craft sale, garage sale, or class coin drive.
- Check the school calendar and dress code, and choose an activity appropriate for the students taking part.

2. Get permission and choose a date
Ask the person responsible before setting up a campaign or promoting it. Breast Cancer Now advises workplace organizers to check with a boss or manager; its school guidance recommends speaking with the headteacher or department head. Also confirm any relevant workplace or school policies, such as rules for food sales, cash collection, student participation, use of the venue or raffles. Requirements vary by location and organization, so check locally rather than assuming a charity’s event suggestions cover them.
Choose a date when participants and helpers are available. Breast Cancer Now says Wear It Pink events often take place in October, but organizers can arrange another date. Its FAQ currently lists October 23, 2026 for the named campaign; that is not a required date for other fundraisers. For a different Wear It Pink date, the charity says to contact it. The National Breast Cancer Foundation recommends planning six to eight weeks ahead of October when organizers need time for customized materials, coordination and scheduling; its fundraising resources are available year-round.

3. Assign a few clear jobs
A small team can make the event easier to manage. Ask volunteers to take responsibility for:

- Venue, setup and activity logistics.
- Communications, reminders and any approved posters or announcements.
- Donation collection, record-keeping and payment to the charity.
- Cleanup and a thank-you message after the event.
Tell participants which charity will receive the money, how to donate and what the activity involves. If you are collecting cash, decide in advance who will secure, count and reconcile it under your organization’s rules.

4. Make it easy to take part and give
Use the charity’s own fundraising page or approved payment method where possible, and confirm its current instructions before collecting money. A fundraising page can simplify online donations; an in-person event may also use an appropriate collection method. For its Wear It Pink campaign, Breast Cancer Now directs organizers to register, share a JustGiving page and use its listed payment options. Do not assume another charity accepts the same payment methods.
For school events, Living Beyond Breast Cancer suggests online fundraising pages or donation boxes. For a school dress-down day, Breast Cancer Now suggests asking for £1 or £2; this is the charity’s recommendation, not a universal amount. Adapt any suggested donation to local expectations and school policy.

Promote through approved channels
At work, use suitable email, intranet or team messaging channels. At school, consider approved newsletters, posters, announcements or social channels. Explain the date, activity, beneficiary and donation method, then send a reminder. If you share event photos, get permission from the people pictured first, as Breast Cancer Now advises.

For eligible donations to Breast Cancer Now, the charity says it can claim 25p for every £1 donated through Gift Aid. This applies only when the donor is a UK taxpayer who gives the required permission and details. The donor may owe the difference if they pay less Income Tax and/or Capital Gains Tax than the Gift Aid claimed on their donations. See the charity’s Wear It Pink FAQ for its current conditions.

Gift Aid cannot be claimed on raffle or auction payments, or on fixed-price purchases such as cakes. Breast Cancer Now says a voluntary donation instead of a fixed cake price may qualify, subject to the rules and donor eligibility. This guidance is specific to the UK; organizers elsewhere should check the rules in their own jurisdiction.
6. Pay in the proceeds and report the outcome
After the event, reconcile the donations and sales, then pay the proceeds to the charity using its current instructions. Breast Cancer Now lists online card payment, phone, cheque and bank transfer options for its own Wear It Pink campaign; these are not universal payment methods. Thank the people who helped and took part, and share the total raised and how it will benefit the chosen organization. Living Beyond Breast Cancer also recommends telling supporters the amount raised and how it benefits the charity.
Free resources can reduce setup work
Check for printable materials before buying supplies. The National Breast Cancer Foundation offers printable flyers and posters, while Breast Cancer Now provides or describes event materials and decorations for its campaign. Purchased decorations or awareness items are optional; the charity’s free resources may be enough for a simple event.
