How to move your files and apps to a new MacBook Air

Use Apple’s built-in Migration Assistant. It can copy documents, applications, user accounts and settings from your old Mac or from a Time Machine backup. You can run it while setting up the new MacBook Air or later from macOS. Migration does not delete the information on the old Mac.

The safest process is to prepare both computers, confirm the security code shown by Migration Assistant, review what will be copied, then verify your important files and apps before you erase or trade in the old Mac.

Choose where the new MacBook Air should get its data

Migration Assistant supports two practical sources for a Mac-to-Mac move. Choose the one you can prepare reliably rather than assuming one is always faster. Apple’s guidance does not establish a dependable speed winner or a preferred cable for current MacBook Air models.

Migration source What you need Best fit Important consideration
Directly from the old Mac Both Macs available, updated, near each other, Wi-Fi enabled and connected to power if they are laptops You want to transfer from the live computer Both Macs must be ready, and you must compare the security code displayed on each one
Time Machine backup A usable Time Machine backup and its backup disk connected and turned on The old Mac is unavailable, or you prefer to migrate from an existing backup The backup must contain the files, accounts and settings you need

A Time Machine disk is not required for a direct Mac-to-Mac migration. Conversely, if you already have a current backup, you do not need to select the old Mac as a live source.

What Migration Assistant actually moves

Migration Assistant is selective rather than an exact, unchangeable clone. Before copying, it reports how much storage the chosen information uses and lets you review categories and, in some cases, individual items. You can bring over applications, user accounts and their data, other files and folders, privacy and security settings, and system and network settings.

That distinction matters when planning the move. You can leave out categories that do not fit on the new MacBook Air, but anything omitted will not appear as part of this migration. A backup-source migration also reflects the selected backup’s captured state, not changes made afterward. Keep the old Mac or newer backups available until you have confirmed that nothing important was left behind.

Prepare both Macs before transferring

Preparation prevents the most common interruptions. Complete these checks before opening Migration Assistant:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Install available macOS updates on both Macs. They do not have to run the same macOS version.
  • Place the computers near each other and turn on Wi-Fi. Apple’s instructions also refer to using the same Wi-Fi network for older OS X systems or when you are unsure about the connection.
  • Connect both MacBook Air computers to power. A transfer that stops because a laptop sleeps or runs out of charge is harder to recover.
  • Temporarily turn off antivirus software, third-party firewall software and VPN software if they are active. Turn them back on after migration finishes.
  • Make sure the new MacBook Air has enough available storage for the categories you intend to copy. Migration Assistant will calculate the amount of data selected before the transfer begins.
  • If you are using Time Machine, connect the backup disk directly, turn it on and confirm that the backup you intend to use is available.

Do not erase, reset or sign out of the old Mac before checking the migrated account and opening representative files on the new one. The migration leaves the old Mac’s information in place.

Transfer during the new MacBook Air’s first setup

If the new MacBook Air has not completed Setup Assistant, migration is offered as part of the initial setup process.

  1. Turn on the new MacBook Air and proceed through Setup Assistant until it asks how you want to transfer information.
  2. Choose the option to transfer from a Mac, a Time Machine backup or another startup disk, depending on your source.
  3. For a direct transfer, open Migration Assistant on the old Mac when prompted and choose the option to transfer information to another Mac.
  4. On the new MacBook Air, select the old Mac from the list. If you are using a backup, select the connected Time Machine disk and the appropriate backup.
  5. Compare the security code shown on both Macs. Continue only when the codes match.
  6. Review the categories and accounts that Migration Assistant offers, select what you want, and start the transfer.

The security-code check is important: it confirms that the two computers are communicating with the devices you intended to connect.

Start Migration Assistant after setup is complete

You can migrate even if you already created an account and reached the macOS desktop. Apple provides several ways to open the utility:

  • Innovative style with refined metal cover
  • Password protection with 256-bit AES hardware encryption
  • Formatted for Mac
  • Open Applications > Utilities > Migration Assistant.
  • Use Spotlight to search for Migration Assistant, then open it.
  • In the Mac User Guide’s route, open System Settings > General > Transfer or Reset > Open Migration Assistant.

On the new MacBook Air, choose to transfer from a Mac, Time Machine backup or startup disk. On the old Mac, open Migration Assistant and choose to transfer to another Mac. Select the old Mac on the new computer, verify the matching security code on both screens, and continue to the data-selection page.

Because the new Mac already has an account, pay particular attention to any account-name conflict. Migration Assistant may ask whether to replace the existing account or rename the incoming account so both accounts remain.

Review exactly what will be copied

Migration Assistant calculates the amount of storage used by the selected information and lets you choose categories or, in some cases, individual items. The Mac User Guide identifies these categories:

  • Applications: programs stored on the old Mac.
  • User Accounts: accounts and their data, with options to select parts of a user’s information.
  • Other Files & Folders: data outside the standard user-account selections.
  • Privacy & Security Settings: selected settings governing privacy and security behavior.
  • System & Network settings: configuration used by macOS and network services.

Use the calculated size to check that the destination has room. If the selection is larger than the new MacBook Air’s available storage, go back and remove categories or folders you do not need on the internal drive.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Applications are not guaranteed to work

Migration Assistant can copy applications, but copying an app does not guarantee compatibility. Apple warns that an incompatible application, or an application for which a newer version is already installed on the new Mac, may not transfer or may not work afterward. Plan to reinstall or update affected apps through their normal, trusted distribution channel rather than assuming every old program will launch.

Decide what to do when an account already exists

If an incoming account has the same name as an account already created on the new MacBook Air, read the choices carefully:

  • Replace the existing account: the incoming account takes that account name. macOS may retain the replaced account’s data in Deleted Users.
  • Rename the incoming account: both accounts remain, but the migrated account receives a different name.

Choose based on which account contains the data you want to keep as the primary login. Do not select an option casually if the existing account already contains files, settings or an Apple-related login configuration you need.

  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.

Understand the password prompts

An administrator account being transferred requires a password to be set for the new Mac. A standard account may receive a temporary password; that user must replace it at the first sign-in. Make a note of the account names and passwords you establish so you can test each migrated login afterward.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Let the transfer finish, even if the screen seems stuck

Large transfers can take hours. Apple notes that the progress display may appear to pause occasionally, so an unchanged estimate is not by itself proof that Migration Assistant has failed. Keep both Macs connected to power and avoid putting either one to sleep while the process is running.

When the transfer completes, close Migration Assistant on both computers if it remains open. Sign in to the migrated account on the new MacBook Air and perform a deliberate verification rather than checking only one folder.

Verify files, apps and accounts on the new Mac

Use this post-transfer checklist:

  1. Open the migrated user account and confirm that the Desktop, Documents, Downloads, Pictures and any other folders you rely on contain the expected files.
  2. Open several files from different applications, including at least one file type that is important to your work.
  3. Launch the applications you use most. Record any app that is missing, refuses to open or reports that it needs an update.
  4. Check System Settings for network, privacy and security behavior that matters to you.
  5. Open your email application. Apple says email can transfer while the email account still needs to be set up again inside the app; complete that setup before assuming mail is ready.
  6. Sign out and sign back in, or restart the MacBook Air, to verify that the migrated account password works normally.

Keep the old Mac available until these checks succeed and you have another backup of the new Mac’s important data.

Use a Time Machine backup as the migration source

A Time Machine backup is useful when you want to migrate from a recorded copy of the old Mac instead of connecting to that Mac directly. Apple’s restore guidance supports using Migration Assistant with a connected Time Machine backup disk.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Connect the Time Machine backup disk to the new MacBook Air and turn the disk on if it has a separate power switch.
  2. Open Migration Assistant during Setup Assistant or afterward using Applications > Utilities, Spotlight or System Settings > General > Transfer or Reset > Open Migration Assistant.
  3. Choose to transfer from a Time Machine backup or startup disk.
  4. Select the backup disk and the backup snapshot you want to use.
  5. Review Applications, User Accounts, Other Files & Folders, Privacy & Security Settings and System & Network settings.
  6. Resolve any account-name conflict and password prompt, then start the transfer.
  7. After completion, sign in and run the same file, app and email checks described above.

The backup route reflects the state captured by the selected backup. If a document was created or changed after that backup, it will not appear unless it exists elsewhere or in a newer backup.

Troubleshoot common migration problems

The old Mac does not appear

  • Confirm that both Macs are awake, nearby and have Wi-Fi enabled.
  • Install available macOS updates and reopen Migration Assistant.
  • Temporarily disable antivirus, third-party firewall and VPN software, then try again.
  • On the old Mac, make sure Migration Assistant is set to transfer information to another Mac, not receive it.
  • If the old computer is unavailable, use a usable Time Machine backup instead.

The security codes do not match

Stop before proceeding. Recheck that you selected the intended old Mac on the new MacBook Air and that the code visible on each device is identical. If the codes remain different, cancel the attempt, reopen Migration Assistant on both Macs and start the pairing process again.

  • The available storage capacity may vary.

The transfer appears frozen

Large transfers may take hours and can look paused. Leave both Macs on power for a reasonable period before interrupting. If the process actually fails, restart both computers, turn off the security software listed in the preparation steps, and retry. A Time Machine backup provides an alternative source if the direct connection repeatedly fails.

An application is missing or will not open

Check whether the app was excluded from the selection, whether a newer version is already on the new Mac, or whether the old version is incompatible. Obtain a current compatible version through the app’s normal official channel. Migration Assistant is not an app-compatibility fixer.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The expected account is not the primary login

Sign out and inspect the account names shown at the login screen. If you chose to rename the incoming account, its data is under that renamed account. If you replaced an existing account, look for retained data in Deleted Users and do not delete anything until you have confirmed which account contains the files you need.

What to do with the old Mac

Migration does not erase the old Mac. Keep it untouched while you verify the new MacBook Air, confirm that important applications work and establish a current backup. Erasing, resetting or trading in the old computer is a separate decision that should happen only after you are satisfied that the transfer is complete and you no longer need the old copy.

Frequently Asked Questions

Can I use Migration Assistant after I have already set up my MacBook Air?

Yes. Open it from Applications > Utilities, Spotlight, or System Settings > General > Transfer or Reset > Open Migration Assistant. Choose the old Mac, a Time Machine backup or another startup disk as the source, then verify the matching security code when transferring directly from another Mac.

Do the two Macs need to run the same macOS version?

No. Apple’s instructions say the Macs do not have to use the same macOS version. Install available updates on both computers, keep them nearby with Wi-Fi enabled, and connect laptops to power before starting.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Will Migration Assistant erase my old Mac?

No. It copies the selected documents, apps, accounts and settings while leaving the old Mac’s information in place. Do not erase or trade in the old computer until you have checked the new MacBook Air and have another backup of important data.

Do I need a Time Machine drive for a direct transfer?

No. A direct Mac-to-Mac move uses both computers. A Time Machine disk is needed only when you choose an existing backup as the migration source. If you already have a usable backup, you can migrate from it without selecting the old Mac as a live source.

How long will moving everything take?

Apple says large transfers may take hours and the progress display can appear to pause. There is no reliable duration or speed winner established for direct versus backup migration. Keep the computers on power and avoid interrupting the process simply because the estimate has not changed.

Will every application transfer and work?

No. Apple warns that incompatible applications, or apps for which a newer version is already installed on the new Mac, may not transfer or may not work. Review the Applications category, then update or reinstall any missing or incompatible program through its normal official distribution channel.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What happens if the incoming account has the same name as one on the new Mac?

Migration Assistant lets you replace the existing account or rename the incoming account so both remain. Replacing can leave the former data in Deleted Users; renaming preserves both accounts under different names. Read the prompt carefully before choosing.

Why did my email move but still not work?

Apple says email may transfer while the email account still needs to be set up again in the email application. Open the app after migration and complete its account setup before assuming that messages, sending and receiving are ready.

Do I need a special cable for a MacBook Air transfer?

The Apple guidance used here does not establish a preferred cable for current MacBook Air models. Follow the documented direct-transfer preparation: update both Macs, keep them nearby with Wi-Fi enabled, connect laptops to power, and verify the security code.

The Bottom Line

Use Migration Assistant to move selected files, apps, accounts and settings either directly from the old Mac or from a Time Machine backup. Prepare both computers, confirm the security code, review storage and account choices, wait for the transfer to finish, and verify apps and email before retiring the old Mac.
