How to Move Proton Pass Items Between Folders and Vaults

By Freedom251 Team · · 10 min read

In Proton Pass, the documented container is called a vault, not a folder. To move one item, open its three-dot menu, choose Move to another vault, and select the destination. The web and desktop apps use the same command. For several items, use Multiple select and then drag the selection to a vault or choose Move.

“Folder” in Proton Pass usually means “vault”

People often ask how to move a Proton Pass item between folders, but Proton’s documentation describes the containers as vaults. A vault is an encrypted digital container for your Pass items, including logins, aliases, and secured notes. The documented move operation is therefore a vault-to-vault move.

In the web app, vaults appear in the left pane, items appear in the middle pane, and the selected item’s details appear on the right. The desktop application follows the same general arrangement and uses the same Move to another vault wording. There is no separate folder-to-folder command described in the official workflow.

Moving an item changes the vault that contains it. That matters for organization, searching by vault, and sharing: sharing permissions are attached to the destination vault. If you move a login or note into a shared vault, the people who have access to that vault may gain access to the item.

Before you move an item

A move is simple, but a short check prevents the most common mistakes. Use this checklist before selecting the command:

  • Identify the destination vault. Decide whether the item belongs in a personal, work, family, project, or other existing vault.
  • Check whether the destination is shared. A shared vault can expose the moved item to its members according to that vault’s permissions.
  • Confirm the item type. Proton Pass vaults can contain logins, aliases, and secured notes, so make sure you have selected the intended record rather than a similarly named item.
  • Look at the current vault or All items view. Starting from the source vault makes it easier to recognize the item, while All items is useful when you are not sure where it currently resides.
  • Plan the move as an organizational change. Moving does not create a duplicate in the original vault; the item is assigned to the selected destination.

If you are moving items specifically so another person can use them, decide on the vault’s membership and permissions first. Put only the intended items in that vault, then share the vault rather than trying to share each item through a separate folder system.

Move one item in the Proton Pass web app

The web workflow is performed at pass.proton.me. You can begin in a specific vault or in All items.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open Proton Pass. Sign in at pass.proton.me and wait for the vault list and item list to load.
  2. Select the source location. Choose the vault that currently contains the item, or choose All items if you need to search across vaults.
  3. Select the item. Click the login, alias, or secured note you want to move in the center pane. Its details will open on the right.
  4. Open the item menu. Find the three vertical dots next to the Share button and open that menu.
  5. Choose the move command. Select Move to another vault.
  6. Choose the destination. Select the vault where the item should live from the available options.

After selecting the destination, return to the vault list or use All items to verify the item’s location. If it no longer appears in the source vault and appears in the destination, the move has been applied. When the item is going into a shared vault, also check that the destination’s membership is appropriate before treating the move as complete.

Where to look if the menu is not obvious

The move command is not a button in the main vault list. First select the item, then look for the three vertical dots beside Share in the item view. The command is named Move to another vault. If you opened a vault but have not selected an item, the item-specific menu will not be available.

Move one item in the Proton Pass desktop app

The desktop app uses the same item-level operation, so you do not need a different folder feature or an export-and-import process.

  1. Select the item. In the center pane, open the login, alias, or secured note you want to relocate.
  2. Open the three-dot menu. Use the item’s three-dot menu to display its available actions.
  3. Select Move to another vault. This is the command Proton provides for changing the item’s container.
  4. Pick the destination vault. Select the vault you want from the available options.

As with the web app, verify the result by checking the destination vault. If the move is part of a sharing plan, inspect the destination vault’s members and permissions as well.

Move multiple Proton Pass items at once

For a batch move, use Proton Pass’s bulk-selection feature instead of repeating the single-item menu for every record. The documented workflow works from All vaults or from one specific vault.

  1. Open the item list. Choose All vaults to select across your vaults, or open the specific vault that contains the items.
  2. Start bulk selection. Choose Multiple select.
  3. Mark the items. Select each login, alias, or secured note that belongs in the destination vault.
  4. Move the selection. Either drag the selected items directly onto the destination vault or choose Move and then select the destination vault.
  5. Verify the batch. Open the destination vault and confirm that the intended items are present. Check the source as well if you need to ensure that no selected item was left behind.

Dragging is useful when the destination vault is visible and the selection is easy to review. The Move command is preferable when you want an explicit destination chooser or when the vault list is easier to navigate than a drag target.

Proton’s support instructions do not publish a numerical maximum for one bulk operation. Do not assume that a particular number of items is supported or that a large selection will always behave the same way across clients. If a very large selection is difficult to review, divide it into clearly defined groups and verify each group after moving it.

How to make a bulk move safer

  • Use a narrow source view when possible. Starting inside a specific vault reduces the chance of selecting an unrelated item.
  • Review names before moving. Similar login names can represent different accounts, environments, or people.
  • Separate sensitive categories. Move work credentials, personal credentials, and notes in separate batches when their destinations or sharing rules differ.
  • Verify after each batch. Open the destination vault and check the moved records rather than assuming the selection was applied exactly as intended.
  • Be cautious with drag-and-drop. A selection can be moved accidentally if it is released over the wrong vault, so use the explicit Move command when the destination is ambiguous.

Move items into a shared vault

If your objective is to share selected credentials or notes, Proton’s model is vault-based. You can use an existing shared vault or create a new vault, move the intended items into it, and then share that vault.

Using an existing shared vault

  1. Confirm that the existing vault has the right members and permissions.
  2. Move the selected item or items using the web, desktop, or bulk workflow.
  3. Open the destination vault and verify that only the intended records were moved.
  4. Review who can access the vault before relying on the move for collaboration.

Creating a separate vault for sharing

  1. Create a new vault for the group, project, or purpose that requires access.
  2. Move only the credentials or notes intended for that group into the new vault.
  3. Share the vault and configure its members and permissions.
  4. Check the vault contents and membership after sharing.

This arrangement is often safer than placing a single sensitive item in a broad household or team vault. The vault is the permission boundary, so the contents should match the people who can access it. Moving an item into a shared vault is therefore both an organizational action and an access-control decision.

Web and desktop workflows compared

Task Web app Desktop app
Choose the item Select it in the center pane after opening a source vault or All items. Select it in the center pane.
Open the action menu Use the three vertical dots next to Share. Use the item’s three-dot menu.
Move command Move to another vault Move to another vault
Choose destination Select a vault from the available options. Select a vault from the available options.

The wording is intentionally consistent. If the interface is rearranged in a later client update, look for the current item menu and the command that refers to moving to another vault rather than searching for a separate folder feature.

Troubleshooting common problems

“Move to another vault” is missing

Make sure an individual item is selected. The command belongs to the item’s three-dot menu, not the empty area of a vault or the general navigation menu. In the web app, the dots are next to Share. In the desktop app, open the selected item’s three-dot menu.

You are looking for a folder list

Use the vault list instead. Proton’s documented model treats vaults as encrypted containers and does not describe a separate folder object for this workflow. Choose the vault that should contain the item, then use Move to another vault.

You cannot find the destination

Check that the destination vault exists and that you are viewing the complete set of available vaults. If you started inside a source vault, return to the vault navigation or use the destination chooser opened by the move command. Do not proceed until the name matches the intended vault.

The item seems to have disappeared

Search the destination vault and then check All items. A successful move removes the item from the source vault’s contents because it now belongs to another vault. If the item is not visible, confirm that you selected the intended record and destination, then reopen the relevant vault view.

A bulk selection contains the wrong items

Stop before choosing Move or dropping the selection. Clear the selection and start again from a narrower vault view. For mixed-purpose records, make separate batches so each selection has one clear destination.

A move changed who can access an item

Inspect the destination vault’s sharing settings and membership. Permissions are managed at vault level, so an item moved into a shared vault follows that vault’s access rules. If the destination is broader than intended, move the item to an appropriate private or restricted vault and review the shared vault contents.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The interface labels differ

Client interfaces can change. Look for the selected item’s three-dot menu and a command equivalent to Move to another vault. The exact placement may differ between versions, but the documented destination concept remains the vault.

Organize vaults before moving large numbers of items

Vaults work best when each one has a clear purpose. Before a large reorganization, write down the destination rule for each group of items: for example, personal logins in one private vault, work credentials in another, and a narrowly scoped collaboration set in a shared vault. This reduces repeated moves and makes later access reviews easier.

Use names that distinguish similar accounts and projects. A login’s title may not tell you whether it belongs to a personal or shared context, so review the item details before adding it to a shared destination. The same principle applies to secured notes and aliases: their information may be more sensitive than the name suggests.

For a one-time cleanup, move a small, easily verified group first. Confirm that the destination and sharing model are correct, then continue with the remaining groups. This staged approach does not depend on an undocumented bulk limit and gives you a clear checkpoint after each operation.

What Proton’s documented workflow does not establish

The official instructions describe vaults as the containers for Pass items and provide a move-to-another-vault action. They do not document a distinct folder entity or a separate folder-to-folder command. They also do not state a maximum number of items for one bulk move. Treat any limit or folder feature mentioned elsewhere as unconfirmed unless the current Proton Pass interface or documentation explicitly provides it.

Interface placement and labels can change as Proton updates its web and desktop clients. If your screen differs, start with the selected item’s action menu and identify the current move command, then verify the destination and its sharing permissions.

Quick decision guide

  • One item, private destination: Select the item, open the three-dot menu, choose Move to another vault, and select the destination.
  • Several items in one vault: Choose Multiple select, mark the items, then use Move or drag them to the destination vault.
  • Items spread across vaults: Start from All vaults, use Multiple select, and review the selection carefully before moving it.
  • Items intended for other people: Put them in an existing or new vault whose membership is correct, then share that vault.
  • You cannot find a folder command: Use the vault workflow; vaults are the documented containers in Proton Pass.
