Export each note, document, folder, or notebook from its original app in a format the destination can read, import a small representative sample, and compare what survived before deleting anything or canceling access to the source. PDF is the broadest documented bridge, but it is usually a viewing copy rather than an editable version of the original note.
What actually moves between note-taking apps
OneNote, Goodnotes, and Notability use different internal document models. Their native files are not interchangeable by default, so a file exported from one app may open only in that same app or in a destination that explicitly supports its format. In practice, migration is a file-format decision:

- PDF: the most widely supported bridge for pages that must remain readable or printable. It can preserve page appearance, but it is a static document and may lose editability, audio, bookmarks, outlines, or other app-specific data.
- Images: useful for preserving the visual appearance of individual pages, but they remove selectable text, links, layers, and native handwriting data.
- Native formats: best for continuing to edit in the same app. They should not be treated as cross-app formats unless the destination’s own documentation confirms that it can import them.
- Text formats such as RTF: appropriate for typed text when the source app offers them. They do not automatically turn handwritten ink into editable text.
Goodnotes explicitly warns that a PDF imported from another note-taking app is no longer editable as the original notes. Notability’s native Note format is editable when it is imported back into Notability, but that does not establish compatibility with a different app. Treat every export as a copy until you have tested it in the destination.

Decide what must survive before exporting
Write down the features that matter for your move. A destination that can display a PDF may still fail your needs if you rely on searchable handwriting, embedded recordings, bookmarks, or folder organization.

Make an independent copy before the first export. Keep the source app, its account access, and the exported files until your pilot import and inspection are complete.
Use a safe migration workflow
1. Prepare a representative pilot set
Choose at least three notes: one with handwriting, one containing PDF pages or links, and one with audio, attachments, or unusual page templates if those features matter to you. Include a note from a nested folder if folder structure is important. A tiny, representative test is more useful than exporting an entire library and discovering later that a key feature was lost.
2. Export to a clearly named, independent location
Create a folder outside the source app and name files with the original notebook, section, folder, and date. If the app creates a ZIP, keep the ZIP unchanged and also make a working copy before unzipping it. For recordings, retain both the package and the extracted audio files.

Use the destination’s documented import command. If it accepts only PDF or images, import those formats rather than renaming a native file and hoping it will open. If it supports a source app’s native format, verify that support for your platform and account tier before committing the whole library.

4. Compare the imported result
- Count pages and confirm their order.
- Zoom in on handwriting, diagrams, highlights, and page backgrounds.
- Test a known hyperlink and any internal outline or bookmark.
- Open every expected attachment and recording.
- Search for typed text and, separately, for a known handwritten word.
- Check that folders and nested folders are where you expect them.
- Confirm that dates, titles, and note names are still understandable.
5. Keep two copies until the check passes
Do not remove the original notes, uninstall the source app, or revoke account access until the destination passes your checklist. A successful file import only proves that the destination accepted the file; it does not prove that every feature survived.
Move notes out of OneNote
Export an entire notebook from OneNote for the web
Microsoft’s notebook-export guidance applies to notebooks stored in a personal OneDrive. It does not support notebooks in a work or school OneDrive account or in SharePoint through that workflow.
- Open OneNote for the web and sign in to the personal Microsoft account that owns the notebook.
- In the notebook list, right-click the notebook you want to copy.
- Choose Export notebook and save the resulting archive to your independent migration folder.
- Keep the archive intact while you test whether the destination can read it. Do not assume that another note app can open it merely because it is an exported notebook archive.
Microsoft’s same guidance says notebook import functionality is deprecated. Its instructions for opening the exported archive describe reopening it in OneNote for Windows, not universal import into another note-taking app. Plan on using a destination-supported format, commonly PDF, when your target app cannot read the archive.

On desktop OneNote, the export command can save the current item as a PDF. This is useful for a page or other small share when a full notebook archive is unsuitable. The exact menu wording varies by desktop edition, so select the item first and then use the edition’s Export or Save as PDF command.

OneNote for the web has a narrower scope: it can export a page to PDF, but not an entire notebook or section. Select the page, choose the PDF export or print-to-PDF path offered in the web interface, and save the result. A PDF is a static snapshot, not a live notebook with OneNote synchronization. Microsoft describes saving as PDF as saving a “static snapshot of your notes.”
Troubleshoot a notebook export that fails
- Check disk space: an archive needs room for the exported files and, in some cases, temporary working data.
- Split a very large notebook: Microsoft notes that large notebooks may need to be divided into smaller notebooks before export.
- Inspect the downloaded ZIP: an archive containing only
errors.txtindicates an export problem rather than a usable notebook copy. - Do not treat the archive as a cross-app conversion: if the destination cannot import it, export pages or sections to a format that destination supports and verify the result.
Move notes out of Goodnotes
Export from Goodnotes on iPhone or iPad
Goodnotes on iOS offers three relevant export types: a native Goodnotes document, PDF, and image. You can export a single item, multiple documents or pages, or a folder.
- Open the document or document list and select the item or items to move.
- Choose the share or export command.
- Select Goodnotes document when the file will remain in Goodnotes, PDF when the destination needs a broadly readable file, or Image when page appearance is the only requirement.
- For a PDF, choose between Editable and Flattened according to the trade-offs below.
- Save the export to your independent migration folder or a connected storage location.
When you export a folder, Goodnotes creates a ZIP file and preserves the folder’s internal structure inside that archive. Keep the ZIP if you want a record of the original organization; a destination app may still require you to recreate folders manually.
Choose Goodnotes PDF mode deliberately

Neither mode recreates Goodnotes’ original editable note objects in another app. Goodnotes says a PDF imported from another note-taking app can be viewed but is no longer editable as the original notes.

Export from Goodnotes on Android, Windows, or the web
Goodnotes’ guidance for Android, Windows, and Web describes exporting individual notebooks as PDF. Select the notebook, use its export or share command, choose PDF, and save the file. The platform-specific instructions do not describe the same multi-item and folder export choices available on iOS, so test the scope you need before attempting a full move.
Mind the Goodnotes import limits
Goodnotes documents PDF and image import on iOS, Android, Windows, and Web, as well as native Goodnotes document import on those listed platforms. Office-format import is described for iOS. The guidance lists limits of 1 GB per PDF and 200 MB per Goodnotes file for subscribers; free users have a 5 MB per-file limit. These account and platform limits can change, so check the current Goodnotes support page immediately before a large import. Split or compress files only after confirming that doing so will not remove links, page order, or other required features.

Choose a Notability export format
Notability’s sharing options list PDF, Note, JPEG, PNG, and NTB (Notability Cloud). Select a format based on the destination and the data you need:

Export a single note or a group
- Open Notability and select the note or notes to share.
- Tap or click Share and choose the required file format.
- For PDF, enable the Paper option if you need background lines or colors included.
- For notes with recordings, select PDF + Recording rather than ordinary PDF.
- Save the output outside Notability and retain the original package while testing the destination.
Notability’s native Note format is described as editable when imported back into Notability. That is useful for a same-app restore, not evidence that a different note app can edit it.
Use connected-storage backup as a separate safety copy
Notability documents third-party backup to Box, Dropbox, Google Drive, OneDrive, or WebDAV. It describes this as a one-way backup: deleting the source note does not delete the backup copy. A backup is valuable protection, but it is not automatically a conversion into the destination app’s format.
Backup folders do not restore automatically with their original folder structure. Notability says those folders must be recreated manually. Its guidance says backups are made when the feature is enabled or its settings change, and after you edit a note and return to the Library. Allow that process to complete before treating the backup as current.
Import into the new app without losing control of the originals
Match the destination’s accepted formats
Look for the destination’s import command and confirm whether it accepts PDF, images, RTF, or the specific native file you exported. A file extension alone is not proof of compatibility. If the destination accepts PDF but not native files, use PDF and keep the source-native export as an archive for possible same-app restoration.

Rebuild organization when the format cannot carry it
PDF and image imports often arrive as individual documents rather than notebooks and nested folders. Create the destination folders first, then import in manageable batches and name files consistently. For a Goodnotes folder ZIP, preserve the archive as a reference even if you must recreate the folders manually. For Notability backups, plan on manual folder creation because the documented backup workflow does not restore that hierarchy automatically.
Handle audio and attachments separately
When a note contains audio, use Notability’s PDF + Recording package and verify each extracted .m4a file. An ordinary PDF will not supply those recordings. For embedded files or other attachments, open the imported note and test each one; a visible icon or page image is not proof that the underlying file remains accessible.
Common failure modes and fixes

A final verification checklist
Before switching fully, mark each item for the pilot set and then repeat the check on high-value notes:
- The destination opened every exported file without an error.
- Page count and page order match the source.
- Handwriting, highlights, diagrams, and paper backgrounds are legible.
- Typed text can be selected or searched as required.
- Handwriting search works if it is a requirement.
- Known hyperlinks, outlines, and bookmarks behave as expected.
- Images and attachments open, rather than appearing only as flattened pictures.
- Every required audio recording is present and playable.
- Folder and notebook organization is either preserved or deliberately recreated.
- An independent copy remains outside the destination and source apps.
Once those checks pass, migrate the remaining notes in batches and retain the exported archive. The safest outcome is not merely that the new app displays your pages; it is that you know exactly which content remains editable, searchable, linked, playable, and organized.
