You can move much of a Google Workspace archive to a free AI service, but there is no universal one-click migration that recreates Workspace exactly. The dependable path is to export the data with Google’s Data Export tool or Google Takeout, convert Google-native files into portable formats, test a small import, manually rebuild permissions and automations, and keep the original Workspace account until validation is complete.
For many people, migration is not required just to get AI help: when an administrator enables the relevant integrations, Gemini can work with Gmail, Drive, Calendar, Docs, Keep and Tasks inside Workspace. Decide first whether you need a new home for the data or only an AI assistant for the existing account.

What a free AI move can and cannot preserve
An export gives you a copy of Workspace data; it does not transfer the Workspace service itself. Files, messages and records can be carried into another system, but the destination must understand the formats and must offer equivalent controls. Google’s administrator documentation says the Data Export tool exports the same data that is available to users through Google Takeout.

|---|---|---|
| Drive and shared drives | Documents, spreadsheets, presentations and other stored files, including shared-drive content selected for export | Folder paths, ownership, links, comments, version history and access-control lists may not map to the new service |
| Gmail | Mailbox data, including messages and associated labels where included in the export selection | Labels, filters, signatures, forwarding, delegated access and retention behavior need destination-specific testing or recreation |
| Calendar | Calendar data that the export includes | Recurring events, time zones, attendee responses, sharing rules, reminders and resource calendars should be sampled after import |
| Contacts | Contacts selected in the export | Groups, custom fields and sharing behavior depend on the destination’s contact importer |
| Keep and Tasks | Keep notes and Tasks data when those services are selected and eligible | Labels, reminders, attachments and collaboration features may need manual recreation |
| Apps Script, add-ons and domain controls | Some related project or configuration data may be present in the archive | Scripts, add-ons, organizational settings, DNS, retention rules and authentication policies do not automatically become equivalent settings in a free AI account |
Google also lists exclusions. Very recent accounts may not yet be eligible for every part of an organization export, and deleted data that is no longer retained by Vault is not recoverable through the export. Treat the archive as a snapshot with documented limits, not as a guarantee that every historical object will appear.

Decide whether you need to migrate at all
If your goal is summarizing mail, finding a file, or asking questions about existing work, leaving the data in Workspace can be safer and simpler. Google’s administrator guidance says users can allow the Gemini app to use content from Calendar, Docs, Classroom, Drive, Gmail, Keep and Tasks when those Workspace apps are enabled. Google’s examples include finding and summarizing Drive documents, referencing Docs, querying Gmail, and creating or modifying Calendar events.
Check the administrator’s AI and connected-app controls before exporting anything. A connected assistant preserves Workspace permissions and avoids a second copy of sensitive data. Migration is justified when you are closing a domain, losing access to a subscription, consolidating into another platform, or requiring a different storage and collaboration model.
Confirm prerequisites before starting an organization export
Administrator requirements
The organization route uses the Admin console path Data import & export → Data export. Google requires a super administrator to start the task. The account starting the export normally must be at least 30 days old, have 2-Step Verification enabled, and belong to an active Workspace subscription for the core services being exported. If any of those conditions is missing, the export control may be unavailable or the task may fail.
Export scope can cover all users or a defined group, organizational unit, or other user set. Decide the scope in writing before clicking Start so that a partial archive is not mistaken for a complete organizational copy.
Individual-user route
If you do not administer the organization, use Google Takeout and select the services and data categories you are allowed to download. An administrator can direct individual users to Takeout for personal downloads. A user export does not replace an organization-wide archive: it may omit shared content, other users’ data, domain settings and records that only an administrator can access.
Data to include in your scope
The documented export can include Drive, shared drives, Gmail, Calendar, Contacts, Keep, Tasks, Gemini and other Workspace data. Selection screens and eligibility can vary by account type and service. Include only what you are authorized to export, and record the selection so another administrator can understand exactly what the archive contains.
Step 1: Inventory the account before touching it
Make an inventory spreadsheet or database before starting the export. It becomes your migration manifest and your test plan.

- List every user, suspended account, service account and shared drive.
- Record file owners, folder paths, external shares, public links and high-value documents.
- Count Gmail labels and filters, note forwarding addresses and identify delegated mailboxes.
- List calendars, recurring events, shared calendars, room or resource calendars and time-zone requirements.
- Export or document contacts, contact groups, Keep notes, Tasks lists and reminders.
- Find Apps Script projects, triggers, add-ons, forms, Sites and workflows that people rely on.
- Record Vault holds, retention rules, legal restrictions and any data that must not leave the organization.
- Document domain-level settings such as aliases, groups, authentication policies, DNS records and external-sharing rules.
Mark each item as legally required, operationally required, useful, or disposable. This prevents a large archive from hiding a missing payroll sheet, a critical filter, or a calendar that the business actually needs.
Step 2: Start the correct export
Organization export with Data Export
- Sign in with a qualifying super-admin account and open the Admin console.
- Go to Data import & export → Data export.
- Choose all users or specify the group, organizational unit, or user set recorded in your inventory.
- Select the Workspace services and categories required for the archive, including Drive, shared drives, Gmail, Calendar, Contacts, Keep, Tasks and Gemini where applicable.
- Review the scope, destination and confirmation details, then start the export.
- Record the start time, selected users, selected services and the administrator who initiated the task in your manifest.
The tool creates an archive in a Google Cloud Storage location. The export is available no earlier than 48 hours after you start it, normally completes in about 72 hours, and can take up to 14 days for a large organization.
Personal export with Google Takeout
- Open Google Takeout while signed in to the relevant account.
- Clear services you do not need and select the Workspace data categories required for your personal archive.
- Choose the archive format, delivery method and file-size options offered by Takeout.
- Start the export and wait for the download notification.
- Download every archive part and record the account, services and date in your manifest.
Do not assume a user Takeout archive contains domain configuration, another person’s files, or content that was deleted and is no longer retained.
Step 3: Plan around export timing and archive retention
Start well before a shutdown, contract end, or account deletion date. Google states that an organization export is not available earlier than 48 hours, typically finishes in 72 hours, and may take as long as 14 days depending on size. A waiting period is not a failure; it is part of the process.
Google-provided export buckets are automatically deleted 60 days after the export begins. Download the archive promptly when it becomes available, copy it to an approved storage location, and verify that every expected archive part opens. Keep the original archive untouched. Work from a copy so that a conversion mistake cannot alter your only evidence of the export.
Use checksums or another file-integrity method if your organization requires demonstrable chain of custody. At minimum, compare the downloaded file names and sizes with the export listing, retain the manifest, and open representative archives before ending the Workspace subscription.
Step 4: Create portable working copies
Google-native formats contain features that a free destination may not understand. Keep the native archive, then create working copies in common formats that your target service documents as importable.

The available sources do not establish one free alternative that guarantees complete Workspace-fidelity import. Read the destination’s current documentation and test it before committing. Compare these capabilities:
- Accepted import formats and maximum file sizes.
- Preservation of comments, formulas, version history, links, attachments and metadata.
- Sharing roles, group permissions, external-access controls and audit history.
- Support for mail, calendars, contacts, tasks and recurring events, rather than files alone.
- Automation, scripting, webhooks, add-ons and API access.
- Storage quotas, AI upload limits and the amount of context the AI can use in one request.
- Privacy terms, data retention, human review and whether uploads may train or improve models.
- Exportability if you later leave that service.
- Support for a custom domain, aliases and the identity model your users require.
A service that imports DOCX files but cannot reproduce shared-drive roles may be suitable for a personal archive and unsuitable for a company. Make the decision from the requirements in your inventory, not from the word free alone.
Step 6: Run a small pilot import
Do not upload the entire archive first. Create the destination account, configure its security controls, and import a representative sample.
- Choose a document containing comments and images, a spreadsheet with formulas and links, a presentation, a recurring calendar series, a contact set and a mailbox sample.
- Import copies, not the untouched archive.
- Compare text, formatting, formulas, attachments, dates, time zones and hyperlinks against the originals.
- Test search by filename, sender, date, label and a distinctive phrase.
- Invite a test user and verify the destination’s view, edit, comment and download permissions.
- Open the files on the devices and applications your users actually use.
- Record every conversion defect and decide whether to repair it, keep a PDF reference, or leave that item in Workspace.
Only after the pilot passes should you import the full working set. The researched Google guidance does not name a single free importer with guaranteed complete fidelity, so destination-specific documentation and your pilot results are the authority for the final choice.
Step 7: Rebuild settings and automations deliberately
Sharing and identity
Recreate users, groups and shared workspaces in the destination. Reapply internal and external access rules, replace links that depended on a Workspace identity, and test access with a normal user, an external user and an administrator. A copied file can retain its contents while losing the exact people who were allowed to open it.
Mail behavior
Rebuild filters, labels, signatures, forwarding, delegates, vacation replies and notification rules. Send test messages from inside and outside the organization, confirm attachments arrive, and verify that automated forwarding complies with your security policy.

Calendar behavior
Recreate shared calendars, reminders, working hours, resource calendars and event-notification rules. Test a recurring event across a daylight-saving change and verify the destination time zone. Confirm attendee responses and links before canceling the original calendar.
Scripts, add-ons and forms
Inventory every Apps Script project, trigger, add-on, form and workflow separately. Export source code where permitted, review credentials and API scopes, and rebuild the automation using the destination’s supported tools. Never assume a script attached to a spreadsheet will run after conversion; file IDs, permissions and APIs usually change.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsRetention, domain and security controls
Recreate retention rules, legal holds, aliases, domain settings, DNS records, authentication policies and recovery contacts where the destination supports them. These controls are administrative configuration, not ordinary document content, and usually require a separate cutover plan.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Step 8: Validate the archive and cut over
Keep the original Workspace account active while users validate the destination. Use the manifest to select random files from every user, shared drive and service, not only the easiest examples.
- Confirm the expected user and file counts.
- Open random documents, spreadsheets and presentations and compare their critical content.
- Search imported mail and verify attachments, dates and important threads.
- Check recurring calendars, shared calendars, contacts, Keep notes and Tasks.
- Test permissions with each relevant role and with an external collaborator.
- Run business-critical scripts or replace them with a documented manual procedure.
- Obtain written acceptance from owners of legal, finance, HR and customer records.
- Record unresolved exceptions and preserve the original archive and manifest.
After acceptance, change DNS or login routing, notify users, and set a read-only or restricted period for the old account if your policy allows it. Do not delete Workspace until the retention period, legal requirements and recovery plan are satisfied.
Common failure modes and fixes
The Data Export option is missing
Check that you are a super administrator, that 2-Step Verification is enabled, that the account normally meets Google’s 30-day age requirement, and that the Workspace subscription is active for the services you selected. If you are an individual user, use Takeout instead of the organization tool.
The archive is smaller than expected
Compare the selected users and services with the inventory. Very recent accounts and deleted data outside Vault retention can be excluded. Shared-drive ownership and access can also make a user-level archive look incomplete; ask the administrator for an organization export when you need organization-wide coverage.
Best Value
- Plug-and-play expandability
- SuperSpeed USB 3.2 Gen 1 (5Gbps)
Files import but collaboration breaks
That is expected when the destination has a different identity and permission model. Recreate groups and roles, replace links, and test with real user accounts rather than relying on an administrator view.
Formatting or formulas change
Keep the native archive and a PDF reference, compare the converted file with the original, and repair high-value items manually. A CSV preserves cell values but not workbook formulas, formatting or multiple sheets, so use XLSX when those features matter.
Users want AI but not a full migration
Review Workspace’s Gemini connection settings first. If the required apps are enabled, users may obtain search, summaries and calendar assistance without copying mail and documents to a separate provider.

Google states in its Workspace guidance that your data is your data and that, in the described Workspace context, content is not used to train or improve Gemini or other generative-AI models without permission. That statement applies to the documented Workspace environment, not automatically to every consumer AI product or third-party importer.
Google also warns that sharing Workspace data with consumer Gemini or Search services can be governed by different terms and policies. Read the destination’s current privacy, retention, training and human-review terms before uploading contracts, health information, HR records, customer data or confidential mail. Minimize the data set, remove unnecessary personal information, and use the destination’s strongest available account security.
A practical decision rule
Stay in Workspace and enable the supported Gemini connections when the main requirement is AI assistance over current mail, files and calendars, or when preserving permissions and auditability matters more than changing platforms.
Plan a staged migration when you must leave Workspace, need a different identity or storage model, or are willing to rebuild collaboration settings and automations. In that case, the safe sequence is inventory, export, archive verification, portable conversion, pilot import, manual configuration, user acceptance and only then cutover.
