How to Move from Gmail to Outlook: Mail, Contacts, Calendars, and Future Messages

The right way to move from Gmail to Outlook depends on what you mean by “move.” You may only want to read Gmail in the Outlook app, copy old Gmail messages into a Microsoft 365 mailbox, or start receiving future mail at an Outlook.com address. These are different procedures.

For the safest migration, keep Gmail active, create a backup, move mail separately from contacts and calendars, configure future mail delivery, and test everything before closing or abandoning the Gmail account.

Choose your migration goal first

What you want Best approach What happens to Gmail
Use Outlook as an app for reading Gmail Add the Gmail account to new Outlook or classic Outlook Gmail remains your mailbox and email address
Copy old Gmail or Google Workspace mail into Microsoft 365 Use classic Outlook and a PST export/import workflow where supported Gmail remains available until you verify the copy
Receive future messages at Outlook.com Forward Gmail messages to Outlook.com, or use Gmail through a desktop or mobile Outlook client Gmail continues receiving mail unless you later change accounts and notify contacts
Move contacts Export Google Contacts as an Outlook CSV and import it into Outlook Contacts must be transferred separately from email
Move or continue viewing calendars Import a Google Calendar ICS file or subscribe to the calendar An import is a snapshot; a subscription can continue receiving updates

Before following any instructions, identify your Outlook product. You may be using new Outlook for Windows, classic Outlook for Windows, Outlook for Microsoft 365, Outlook 2024, Outlook for Mac, Outlook.com in a browser, or Outlook mobile. Menu names and import capabilities are not identical. The PST workflow below is primarily a classic Outlook desktop procedure.

Before you start: keep Gmail active and make a backup

Do not delete Gmail or remove its recovery information at the beginning of the migration. Gmail is still useful for checking whether messages, attachments, contacts, filters, and calendar data transferred correctly.

  1. Confirm that you can sign in to Gmail and access the recovery email address or phone number.
  2. Check how much Gmail data you have and make sure the destination has enough storage.
  3. Export important data before changing accounts or settings.
  4. Save the exported files somewhere safe and preserve the original files unchanged.

Google Takeout can create an archive of Gmail and other Google data. A Gmail export may include message content, headers, attachments, labels, settings, filters, forwarding addresses, and other account information. It is an archive and backup—not an automatic Outlook import. A Takeout archive may contain MBOX files, and you should not assume that every Outlook version can import those files directly.

Work and school Google Workspace accounts may have exports restricted by an administrator. Encrypted messages can remain encrypted in the downloaded archive.

If you create a large Takeout archive, PST file, CSV contact export, or ICS calendar export, store a second copy separately. A USB flash drive for email backup can be useful, although it is optional if your files are securely stored elsewhere. Choose capacity based on the size of the export rather than assuming every migration needs the same amount of storage.

Option 1: Use Outlook to access Gmail without migrating the mailbox

This is the least disruptive option. Your email address, Gmail storage, Gmail labels, Gmail rules, and Google account security remain in place, but Outlook provides the interface for reading and sending messages.

Add Gmail to new Outlook for Windows

  1. Open Outlook.
  2. Open Settings or the account-management area, depending on the version.
  3. Choose Add account.
  4. Enter your Gmail address and continue.
  5. Sign in through Google’s authentication window.
  6. Review the permissions prompt and allow Outlook or Microsoft to access the account if you agree.

Google may require two-step verification or another security check. Complete that process in Google’s sign-in window rather than trying to enter your Gmail password into an unfamiliar third-party prompt.

Add Gmail to classic Outlook

  1. Open classic Outlook.
  2. Choose File > Add Account.
  3. Enter the Gmail address and select Connect.
  4. Sign in with Google and approve the requested access.
  5. Restart Outlook if prompted, then allow time for mail and folders to synchronize.

Adding the account does not move messages into a Microsoft mailbox. Outlook is acting as a client, while Gmail remains the underlying mail provider. Gmail storage limits, labels, filters, forwarding rules, delegated access, and account security still matter.

If automatic Gmail setup fails

In classic Outlook, a manual IMAP setup may be available. Gmail’s IMAP server is imap.gmail.com. IMAP must be enabled in Gmail, and modern Google sign-in and authentication requirements still apply.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Avoid old instructions that tell you to enable Gmail’s “less secure apps.” That is not the normal modern solution. If manual setup is unavailable or repeatedly fails, check the Outlook version, Google account security settings, administrator policies, and Microsoft’s current troubleshooting guidance before changing security controls.

Option 2: Copy Gmail history into a Microsoft 365 mailbox

Use this route when you want historical messages to live in a new Microsoft 365 mailbox rather than merely viewing Gmail through Outlook. Microsoft’s documented desktop workflow uses classic Outlook as an intermediate step.

Step 1: Add Gmail to classic Outlook

First add the Gmail account to classic Outlook and wait for the required messages and folders to synchronize. For a large mailbox, this may take time. Make sure Outlook is displaying the folders and messages you expect before exporting.

Step 2: Export the Gmail account to a PST file

  1. In classic Outlook, choose File > Open & Export > Import/Export.
  2. Select Export to a file, then choose Outlook Data File (.pst).
  3. Select the Gmail account or the folders you need.
  4. Include subfolders if you want the folder hierarchy copied.
  5. Choose a location for the PST file and complete the export.

A PST export is a copy. Exported email, contacts, and calendar information remains in Outlook after the export. Attachments included with email are included in the exported mail.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

However, a PST is not a perfect copy of every Gmail account behavior. It does not recreate all folder properties, views, permissions, AutoArchive settings, rules, blocked-sender lists, delegated access, or other account-level settings. Gmail labels may not map cleanly to Outlook folders, especially where one message has multiple labels.

Step 3: Add the Microsoft 365 account

  1. Keep the PST file safe.
  2. Remove the Gmail account from classic Outlook only if you want to avoid confusion during the next step; removing it from Outlook does not delete the Gmail account itself.
  3. Choose File > Add Account.
  4. Sign in with the Microsoft 365 account and allow Outlook to create the mailbox profile.
  5. Wait until the Microsoft 365 mailbox is available.

Step 4: Import the PST into Microsoft 365

  1. Choose File > Open & Export > Import/Export.
  2. Select Import from another program or file.
  3. Choose Outlook Data File (.pst).
  4. Browse to the exported PST.
  5. Choose how Outlook should handle duplicates.
  6. Select the folders to import and choose the Microsoft 365 mailbox as the destination.
  7. Start the import and allow it to finish before closing Outlook.

New Outlook can access email stored in a PST and can move email between PST files and mailboxes. Its current PST limitations matter: importing PST-based calendar and contact items is not available in the same way as the classic Outlook workflow. If you need to move email, contacts, and calendar items from a PST, classic Outlook remains the relevant desktop option.

What this workflow does not guarantee

  • Gmail labels will not necessarily become an identical Outlook folder structure.
  • Gmail filters and Outlook rules must be reviewed or recreated separately.
  • Contact photos may not transfer through the CSV workflow.
  • Calendar-sharing permissions, ownership, invitee behavior, and recurring-event details need separate verification.
  • Delegated access, blocked senders, signatures, vacation responses, and account-recovery settings are not automatically recreated by importing a PST.

Option 3: Move Gmail contacts to Outlook

Contacts are separate from mail. Exporting messages or forwarding email does not automatically move your Google Contacts.

Export contacts from Google Contacts

  1. Open Google Contacts on a computer.
  2. Select the contacts, group, or all contacts you want to move.
  3. Choose Export.
  4. Select the Outlook CSV format.
  5. Save the CSV and keep the original export as a backup.

Open a copy of the CSV in a plain-text editor or spreadsheet application only to inspect it. Keep the column headings intact, and do not casually resave the original in software that may alter delimiters, encoding, dates, or field names.

Import contacts into classic Outlook

  1. Open classic Outlook.
  2. Choose File > Open & Export > Import/Export.
  3. Select Import from another program or file.
  4. Choose Comma Separated Values.
  5. Browse to the Google Contacts CSV.
  6. Choose how to handle duplicate contacts.
  7. Select the Outlook Contacts folder as the destination.
  8. Finish the import and inspect several records.

Google does not export contact photos through this workflow. Microsoft also notes that importing more than 2,000 contacts at once can cause an error. If that happens, split the CSV into smaller files, preserving the headings in each file, and import them separately.

Option 4: Move or continue viewing Google Calendar

Calendar data also needs its own procedure. Decide whether you need a one-time copy or continuing visibility while Google Calendar remains active.

Import a calendar once

Google Calendar exports calendar data as an ICS file. When exporting all calendars, Google may provide a ZIP file containing individual ICS files.

  1. On a computer, open Google Calendar.
  2. Use the calendar settings to export the calendar or calendars you need.
  3. Extract the ZIP if necessary.
  4. In Outlook, open the calendar import workflow and select the ICS file.
  5. Review the imported events, time zones, recurring events, reminders, and invitees.

An ICS import is a static snapshot. If you later change the event in Google Calendar, the imported Outlook copy does not automatically refresh.

Subscribe to Google Calendar for ongoing updates

If Google Calendar will remain active, subscribing may be better than importing. In Google Calendar, locate the calendar’s private or secret iCal address in its settings. In Outlook, use the option to add or subscribe to a calendar from an internet calendar address, then paste the iCal URL.

A subscription is designed for continuing visibility and updates, although synchronization may take time. It is not the same as permanently transferring ownership, sharing permissions, or every calendar feature to Outlook. Protect a secret iCal address because anyone who obtains it may be able to view the calendar, depending on the calendar’s settings.

Google Calendar export must be performed on a computer, not from the Google Calendar mobile app. Work, school, and organization-managed accounts may restrict calendar export or subscription.

Option 5: Forward future Gmail mail to Outlook.com

If your destination is an Outlook.com address, forwarding is the practical way to send new Gmail messages there. Microsoft no longer generally supports adding new third-party accounts such as Gmail as Outlook.com “connected accounts” for synchronization. Avoid older guides that instruct you to add Gmail under that retired or unavailable feature.

Turn on Gmail forwarding

  1. Open Gmail in a web browser.
  2. Choose Settings > See all settings.
  3. Open Forwarding and POP/IMAP.
  4. Choose Add a forwarding address.
  5. Enter the Outlook.com address.
  6. Complete Gmail’s confirmation process using the verification message sent to Outlook.com.
  7. Return to Gmail settings and enable forwarding for new mail.
  8. Choose what Gmail should do with its own copy, such as keeping it in the inbox, according to your retention plan.

Forwarding handles future messages only. It does not move historical mail, contacts, calendars, Gmail labels, old attachments, filters, signatures, or account settings. It may also affect how messages appear to recipients, so test both direct messages and replies.

If you want one interface rather than a new Outlook.com mailbox, adding Gmail to Outlook mobile, classic Outlook for Windows, new Outlook, or Outlook for Mac may be more appropriate than forwarding.

Verification checklist before you retire Gmail

Do not close Gmail immediately after the import or forwarding rule appears to work. Use this checklist over a reasonable verification period:

  • Send a test message from Gmail to Outlook and verify delivery, sender display, timestamp, and attachment access.
  • Send a message or reply from Outlook to Gmail and confirm that it arrives at the expected address.
  • Search for old messages by sender, date, subject, and attachment.
  • Open representative PDFs, images, and Office files.
  • Compare several Gmail labels with the resulting Outlook folders. Do not assume the structures are identical.
  • Check contacts, phone numbers, duplicate handling, and important groups.
  • Review recurring events, invitees, time zones, shared calendars, and reminders.
  • Confirm whether each calendar is an imported snapshot or an active subscription.
  • Review Gmail filters, signatures, vacation responses, forwarding rules, blocked addresses, and delegated access separately.
  • Confirm that account-recovery information is current for both Google and Microsoft.
  • Keep the original Takeout archive, PST, CSV, and ICS files until you are satisfied with the result.

Common mistakes and recovery steps

“I added Gmail to Outlook, but nothing was migrated.”

That is expected. Adding Gmail creates an Outlook view of the Gmail account; it does not copy the mailbox into Microsoft 365. Use the classic Outlook PST workflow if you need a separate Microsoft mailbox.

“My old Gmail labels are missing or look different.”

Labels and Outlook folders use different models. Search the imported messages by sender, subject, date, and attachment, then create or reorganize Outlook folders manually where necessary. Gmail filters and Outlook rules should also be reviewed independently.

“The PST imported mail but not my calendar or contacts.”

Check which Outlook version you used. New Outlook has limitations around importing PST-based calendar and contact items. Use classic Outlook for the full desktop PST workflow, or export Google Contacts as CSV and Google Calendar as ICS and import them separately.

“Forwarding works, but old messages are not in Outlook.com.”

Forwarding only affects future messages. Use a desktop Outlook/PST migration for historical mail where supported, and handle contacts and calendars separately.

“The export or import is blocked.”

Organization-managed Google Workspace accounts may restrict Takeout or Calendar export, and Microsoft 365 tenant policies may limit imports or account connections. Contact the Google Workspace or Microsoft 365 administrator rather than weakening account security settings.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“Outlook becomes slow during the migration.”

Large mailbox synchronization and PST imports can temporarily consume storage, network bandwidth, and Windows resources. Allow synchronization to finish, work in smaller batches where practical, and keep the PST on a reliable local drive. A third-party Windows troubleshooting utility is not required for this migration; use Microsoft’s native Outlook repair and support options first if Outlook itself develops problems.

Which method should you use?

  • Want Outlook’s interface only? Add Gmail to Outlook and leave the mailbox in Google.
  • Want old mail in Microsoft 365? Use classic Outlook to export Gmail to PST, add Microsoft 365, and import the PST.
  • Want new mail delivered to Outlook.com? Configure Gmail forwarding and test it, but remember that it does not migrate history.
  • Want contacts in Outlook? Export Google Contacts as Outlook CSV and import them separately.
  • Want a one-time calendar copy? Export and import ICS.
  • Want continuing calendar visibility? Subscribe to Google Calendar instead of importing a static copy.
  • Using a work or school account? Check administrator restrictions before starting.

Frequently Asked Questions

Can I move Gmail to Outlook without losing my Gmail account?

Yes. Add Gmail to Outlook for access, or export and copy messages into Microsoft 365 while leaving Gmail active. Keep Gmail until you have verified mail, attachments, contacts, calendars, and future delivery.

Does forwarding Gmail to Outlook move old emails?

No. Forwarding sends new messages received after forwarding is enabled. It does not transfer historical mail, contacts, calendars, labels, filters, or previously stored attachments.

Can new Outlook import a Gmail PST with contacts and calendars?

New Outlook can access email stored in a PST and move email between PST files and mailboxes, but PST-based calendar and contact importing is limited. Classic Outlook is the safer choice for a complete PST-based desktop migration.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Will Gmail labels become Outlook folders?

Not perfectly. Some folder and label information may appear after synchronization or PST export, but Gmail labels, multiple labels on one message, Outlook folders, and account-level rules do not have identical behavior. Check and reorganize important messages manually.

Can I transfer Google Calendar ownership to Outlook by importing an ICS file?

No. An ICS import creates a copy or snapshot. It does not automatically transfer ownership, sharing permissions, or every calendar feature. Subscribe instead if you need continuing visibility while Google Calendar remains active.

The Bottom Line

For most people, the safest plan is: back up Gmail, decide whether you need access or a true mailbox migration, use classic Outlook and PST for historical mail going into Microsoft 365, export contacts as CSV, import or subscribe to calendars as appropriate, and use forwarding only for future Outlook.com delivery. Test both directions and keep Gmail available until the migration is proven complete.
