The safest way to move personal files from a Mac to a Windows laptop is to use either OneDrive or an external storage device, then verify the copies before deleting anything from the Mac. With OneDrive, copy files from Finder into your synced OneDrive folder, wait for the upload, confirm the files are visible online, and sign in to the same account on Windows. With an external SSD or hard drive, copy the files to the drive, connect it to Windows, copy them to their destination folders, and check important files.
These methods transfer files, not a complete Mac installation. Applications, Mac-specific licenses, preferences, and every account setting will not automatically become an equivalent Windows setup. Keep the Mac and any intermediary drive unchanged until your important documents, photos, videos, and project folders open correctly on the new laptop.

What this move does—and does not—transfer
A Mac-to-Windows move is usually a personal-file transfer rather than a one-click computer migration. Your documents, photographs, videos, music, downloads, Desktop items, and custom folders can be copied. The Windows laptop will not automatically acquire the Mac versions of your applications, their licenses, application preferences, or every account configuration. Plan to install Windows-compatible applications separately and test critical files in the programs you intend to use.
File compatibility is also separate from disk compatibility. A drive that Windows can read may contain a file type that your Windows application cannot open. Open representative files before you retire the Mac, and convert or export any format that your chosen Windows software does not support.

Prepare an inventory before copying
Start by identifying where your files actually live. Use the following as an inventory prompt, not as an exhaustive list defined by Apple:
- Desktop
- Documents
- Downloads
- Pictures and photo libraries
- Movies and video folders
- Music and audio folders
- Custom folders anywhere in your home folder
- Files on connected external drives or other mounted volumes
Open each location in Finder and note the folders you need. Include work projects, tax or financial records, scans, game saves, exported media, and anything stored outside your standard folders. If a folder is on another external volume, that volume needs its own transfer plan.
Check available space on the Windows laptop before you begin. The amount required depends on the size of your files and how Windows is configured; there is no universal capacity figure. If you plan to keep files locally rather than only online, the destination must have room for the copies plus normal Windows operation.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsChoose the right transfer route
Both routes work, but the practical choice depends on internet access, data volume, and whether you want a physical intermediary.
| Decision point | OneDrive | External storage |
|---|---|---|
| Internet | Required for the upload and initial synchronization. | The physical copy does not depend on cloud access. |
| Capacity | Check your account’s available space. Microsoft’s current overview states that a Microsoft account includes 5 GB of free OneDrive storage; allocations and plans can change. | Check the drive’s free space and make sure all selected files fit. |
| Mac/Windows compatibility | Use the same OneDrive account on both computers and confirm synchronization has completed. | The disk must be readable and writable on both systems. Apple documents exFAT as a cross-platform choice. |
| Verification | Confirm files appear on OneDrive online before relying on the Windows laptop. | Confirm files are present at their intended Windows destination and open correctly. |
| Main risk | Deleting or changing items in a synced folder can propagate that change to the cloud and other synced devices. | Formatting erases the disk. Back up anything already on it before changing its format. |
Microsoft describes both routes in its new-PC transfer guidance. Use OneDrive when your account has enough capacity and your connection is reliable. Use an external SSD or portable hard drive when the library is larger than available cloud space, when you prefer an offline copy, or when internet access is limited. If practical, keeping both a cloud copy and a physical copy gives you two independent recovery paths.

Method 1: Move files with OneDrive
Check storage and account access
Before copying, sign in to the Microsoft account you intend to use on the Windows laptop and check its actual OneDrive capacity. The free allowance cited by Microsoft is 5 GB, which may be smaller than a typical photo or video library. Do not assume that the free space will accommodate your Mac; measure the folders you selected and leave room for the account’s existing content.
You also need internet access on the Mac for the upload and on Windows when the files are first synchronized. If the account is full, stop and choose an external drive or obtain additional storage before starting a large transfer.

- Install OneDrive for macOS if it is not already installed, then sign in with the account you will use on Windows.
- In Finder, open the OneDrive folder created by the application. Keep the original folder structure where possible so you can recognize projects and dates after the move.
- Copy the files from Desktop, Documents, Downloads, Pictures, Movies, Music, custom folders, and any other inventoried locations into the appropriate OneDrive folders. Copy the first batch rather than moving it; retaining the Mac originals gives you a fallback while the upload is being checked.
- Leave the Mac connected to power and online while OneDrive synchronizes. A large upload can take a long time, and closing the application or disconnecting before it finishes can leave items missing.
Microsoft’s OneDrive synchronization guidance explains how the Mac and Windows folders stay synchronized. Treat the OneDrive folder as a synchronized location, not as a disposable staging folder: later deletions or edits can be reflected in the cloud and on other connected computers.
Verify the upload on the web
- Open OneDrive in a web browser and sign in to the same account.
- Browse to the folders you copied and check that important files are present. Open several documents, photographs, and videos when the web interface supports previews or downloads.
- Compare the online folder structure with your inventory. If anything is missing, return to Finder, copy the missing item, and wait for it to synchronize before proceeding.
Do not treat a file’s presence in the local OneDrive folder as proof that it reached the account. Microsoft’s instructions for moving to a new PC specifically tell you to verify the old-device files on the web and upload anything missing before accessing them on the new computer. The online check is your handoff point.
Open the files on Windows
- On the Windows 11 laptop, sign in to OneDrive with the same Microsoft account. Windows 11 is the appropriate current destination for a new laptop; Microsoft support for Windows 10 ended on October 14, 2025.
- Open File Explorer and select the OneDrive folder. Let the folders populate, then open representative files from each important category.
- If you need offline copies, copy or download the verified files into the Windows folders where you plan to work. Keep the OneDrive versions until you have confirmed the local copies.
If the Windows OneDrive folder appears empty or incomplete, check that the account is exactly the same one used on the Mac, confirm that the files are visible on the OneDrive website, and allow synchronization to finish before deleting anything from the Mac.

Method 2: Move files with an external drive
Check the drive before using it
An external SSD, portable hard drive, or other removable storage device can act as an offline bridge. Check its free space and make sure the selected Mac files fit. Also check its current format before changing anything. If the drive already works for reading and writing on both computers, there is no reason to reformat it.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
For a disk that must be shared by Mac and Windows, Apple documents exFAT as a suitable format and recommends exFAT for disks larger than 32 GB. The format is only one part of compatibility: the Windows laptop must have a working port or adapter, and the applications you use must support the files themselves.
Format only when necessary
Formatting is destructive. Apple’s Disk Utility guide states: “Formatting a disk or volume erases all the files on it.” Read the full Apple instructions for formatting a disk for Windows computers before making a change.
- Copy anything you need from the external drive to another safe location.
- Open Disk Utility on the Mac and select the correct external volume.
- Choose the erase or format command only after confirming that the selected disk is the one you intend to change.
- Select exFAT when the drive will be shared by Mac and Windows, following Apple’s guidance for the disk size.
- Confirm the erase only after the backup has been checked. Formatting removes the existing contents.
Never format a drive merely because it came from a Mac. First test whether Windows can already read and write it; unnecessary formatting creates an avoidable data-loss event.
Copy from the Mac
- Connect the external drive to the Mac and wait for it to appear in Finder.
- Create a clearly named transfer folder on the drive if that helps you distinguish this batch from older content.
- Copy the inventoried Desktop, Documents, Downloads, Pictures, Movies, Music, custom folders, and files on other volumes into the transfer folder or an equivalent structure on the drive.
- Open several copied files directly from the drive while it is still connected to the Mac. This catches an incomplete copy before the drive leaves the source computer.
- Eject the drive from Finder before disconnecting it. Do not unplug it while files are still being copied.
Copy to Windows and check the destination
- Connect the drive to the Windows laptop. Open File Explorer and locate the external volume.
- Copy the transfer folders to the Windows destinations you chose, such as Documents, Pictures, Videos, Music, or a dedicated project directory.
- Wait for each copy operation to finish before disconnecting the drive.
- Open representative documents, photos, videos, and project files from the Windows destination, not only from the external drive.
- Compare the destination with your inventory and check the folders that matter most.
Microsoft’s external-storage instructions cover copying files to the new PC and checking that they arrived. Keep the drive connected until the destination checks are complete, then eject it from Windows before unplugging it.

Verify that the transfer really worked
Verification is a separate phase, not an assumption based on a completed progress bar. Use this checklist on the Windows laptop:
- Open several ordinary documents, including at least one large or recently edited file.
- Open representative photographs and videos and check that they display or play as expected.
- Open the most important project folders and confirm their subfolders and supporting files arrived.
- Check files that were stored outside the standard Mac folders or on connected volumes.
- Compare the expected folder list with the Windows folder list and investigate anything missing.
- Test critical file types in the Windows applications you plan to use.
This is a practical destination check, not a formal checksum audit. It gives you evidence that the files you care about are present and usable before you make an irreversible change to the Mac.
Fix common transfer problems
OneDrive says there is not enough space
Stop adding files and check the account’s actual available capacity. Remove only unneeded content after confirming it is not part of the Mac transfer, or switch to an external drive. The cited Microsoft overview lists 5 GB of free storage for a Microsoft account, but storage terms can change, so rely on the capacity displayed in your account rather than an old allowance.
Files are missing online
Return to Finder and compare the original inventory with the OneDrive website. Copy missing folders again, leave the Mac online until synchronization completes, and refresh the web view. Do not delete the Mac originals to force a clean slate; the originals are your recovery copy.
The external drive is not visible in Windows
Disconnect it safely from the Mac, reconnect it directly to the Windows laptop, and try another compatible port or adapter. If the drive is still not shown, stop copying and diagnose the connection or disk before changing its format. Reformatting is not a harmless troubleshooting step because it erases the drive.

A file is present but will not open
Try the file in the Windows application you intend to use and check whether that application supports the format. A successful disk copy does not convert Mac-specific or application-specific formats. Return to the Mac application, export the file to a Windows-compatible format when possible, and copy the export as an additional file rather than overwriting the original.
A folder appears duplicated
Do not delete one copy until you know which route created it. OneDrive may contain the cloud copy while an external-drive transfer created a local copy. Compare modification dates and contents, then keep the verified version in the location you actually plan to use.
When it is safe to clean up the Mac
Keep the Mac originals until all important destination files have been checked on Windows. If you used OneDrive, also confirm that the files are visible online; if you used an external drive, confirm that the Windows destination—not merely the removable disk—contains usable copies.
Recommended Free Tools
Only after those checks should you erase, trade in, or repurpose the Mac. If you used an external drive, keep it untouched as a second copy until you are confident the Windows laptop is working normally. If you used OneDrive, remember that deleting files from the synchronized folder can delete or move the cloud copies as well, depending on the action and synchronization state.
A dependable decision in one sentence
Use OneDrive when you have adequate account storage and internet access; use an exFAT-compatible external drive when you need an offline path or have more data than the cloud space allows. In either case, copy first, verify online or at the Windows destination, test critical files in Windows applications, and keep the Mac originals until the checks are complete.
