How to move Apple Reminders to Google, Microsoft, or another account

The reliable way to move Apple Reminders is to add the destination account to your iPhone, enable Reminders for that account, create lists owned by it, and move or recreate items there. Keep iCloud Reminders turned on until you have checked the destination on every device and web app you use. Apple does not document a universal one-click export from iCloud Reminders into Google, Microsoft, or every other provider, and features can change when a list leaves updated iCloud Reminders.

What “moving” an Apple Reminder actually means

Reminders are owned by an account, not permanently by the iPhone app. An iCloud list belongs to iCloud; a list under an Outlook.com, Exchange, Google, or CalDAV account belongs to that service. The iPhone can display several accounts together, but each reminder remains associated with the list and account that store it.

As an Amazon Associate I earn from qualifying purchases.

That makes the supported migration pattern account-based:

  1. Add the destination account to the iPhone.
  2. Turn on that account’s Reminders service.
  3. Create equivalent lists under the destination account.
  4. Move reminders into those lists, or recreate them while checking their details.
  5. Verify synchronization before disabling or removing iCloud Reminders.

This is different from a guaranteed bulk export/import. Microsoft documents synchronization between Microsoft To Do and Reminders after an Outlook.com or Exchange account is enabled, but that is not described as a universal import of an existing iCloud library. Google’s published help for Reminders explains exporting Google data; it does not document importing Apple Reminders directly.

Protect the iCloud source before changing anything

Do not remove the iCloud account at the beginning. Apple states that reminders remain in the internet account when an account is removed from the phone. Removing the account mainly removes that account’s reminders from the iPhone view; it is not a migration step and can make it harder to compare the old and new copies.

Make a source inventory

Before moving items, review each iCloud list and note the details that matter to you:

  • List name and list membership.
  • Reminder title and notes.
  • Due date, time, time-zone-sensitive timing, and completion state.
  • Repeat rule, including the next occurrence.
  • Priority, tags, subtasks, attachments, and location triggers.
  • Smart-list behavior, list color, and icon, if you rely on them.

Basic titles, notes, due dates, completion state, and list membership are the safest items to verify. Advanced fields are the ones most likely to need manual recreation or to be unavailable on another account.

Plan a test batch

Do not start with your entire library. Select a small set containing one ordinary task, one completed task, one timed reminder, one recurring reminder, and any item with a note or attachment. Use this batch to discover what the destination supports before you spend time moving hundreds of items.

Add the destination account on an iPhone

On current iPhone guidance, open Settings > Apps > Reminders > Reminders Accounts > Add Account. Menu names can differ by iOS release, account type, or a managed-device policy.

  1. Open Settings.
  2. Choose Apps, then Reminders.
  3. Open Reminders Accounts and tap Add Account.
  4. Select the provider shown on the phone and sign in.
  5. When the account’s services are listed, switch on Reminders.
  6. Return to Reminders and wait for the account section and its lists to appear.

If the provider is not listed, choose Other > Add CalDAV Account. Enter the server, user name, password, and other credentials supplied by that provider, then enable Reminders. CalDAV only works when the provider supplies compatible credentials and supports the reminder features you need.

Adding an account does not automatically copy every iCloud item into it. It makes a second account available to the Reminders app. The transfer still requires destination lists and a move or recreation step.

Create destination lists and move the test reminders

Build the list structure first

In Reminders, create lists under the newly added account with names that match the iCloud lists you intend to transfer. Keep similarly named lists visibly separate while testing; an “Errands” list under iCloud and another “Errands” list under Outlook.com are different containers even if the names match.

If your source uses sections or subtasks, decide whether the destination can represent them. If it cannot, preserve the relationship in notes or by using a naming convention rather than assuming the hierarchy will survive.

Move or recreate each reminder

For every test item, choose the destination list using the Reminders list-selection or move control. If a feature cannot be represented in the destination account, create a new reminder manually and copy the supported fields. Check the result against the iCloud source before moving the next group.

Use this order for a careful manual check:

  1. Match the title exactly, including punctuation that helps you search.
  2. Copy notes and confirm that line breaks and links remain useful.
  3. Set the due date and time, then check the time zone or local-time behavior.
  4. Recreate the repeat rule and confirm the next occurrence.
  5. Reapply priority, tags, subtasks, attachments, or location conditions only when the destination exposes those controls.
  6. Preserve completed state, because a completed source item can become an active destination item if you recreate it from scratch.

After moving a group, open the destination list on another device or its web application. A reminder visible only on the iPhone is not yet a verified migration.

Move Apple Reminders to Microsoft To Do through Outlook.com or Exchange

Microsoft’s supported route is to add an Outlook.com or Exchange account to the iPhone and enable Reminders for that account. Microsoft says that tasks from Microsoft To Do will then sync to Reminders and be visible on Apple Watch. This is an ongoing synchronization relationship for that account, not a promise that every existing iCloud list will be imported automatically.

Set up the Microsoft account

  1. Follow Settings > Apps > Reminders > Reminders Accounts > Add Account.
  2. Select the Outlook.com or Exchange option appropriate to your account.
  3. Sign in and complete any organization or multi-factor prompts.
  4. Turn on Reminders for the account.
  5. Confirm that the account’s lists appear in the Reminders app.

Move existing iCloud items

Create destination lists under the Microsoft account, then move or recreate the iCloud reminders into them. Test one recurring task and one timed task in both Reminders and Microsoft To Do. If a field is missing in either app, treat that field as unsupported for this workflow and preserve the information in a note or another approved system.

Understand the synchronization direction

Once a reminder belongs to the Microsoft account, changes made in a connected Microsoft To Do or Reminders client can synchronize. An item that remains in an iCloud list is still an iCloud item; adding the Microsoft account beside it does not create a second synchronized owner. Keep the source account enabled until the destination copy behaves as expected.

Move Apple Reminders to Google

Google’s documented Reminders help covers exporting or downloading Google Reminders data. It lists fields such as title, created time, active, upcoming, or archived status, expiration date, recurrence information, and the application that created the reminder. That documentation does not describe a direct import of Apple Reminders into Google.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check whether the Google account can host Reminders on your iPhone

  1. Open Settings > Apps > Reminders > Reminders Accounts > Add Account.
  2. Select Google if it is offered on the device, then sign in.
  3. Enable the Reminders service if the account presents that switch.
  4. Look for a Google-owned list in Reminders before attempting a larger move.

Availability and feature behavior can vary by iOS release, account configuration, and Google’s support for that account type. If no Reminders service is offered, do not assume that adding Google Mail or Calendar has created a synchronized Reminders destination.

Use manual recreation when direct import is unavailable

Create the required Google-owned lists, then recreate the iCloud reminders while checking each field. A spreadsheet or carefully controlled checklist can help you track titles, dates, recurrence, completion state, and notes, but the Reminders app still needs a destination list for each item. Do not describe the result as a bulk Google import unless the specific Google account and device actually provide that function.

Do not confuse export with import

Google’s export fields are useful if you later need a backup of data already stored in Google. They do not establish a supported path for taking an iCloud Reminders archive and uploading it to Google. For an Apple-to-Google move, verify the live destination rather than relying on an export file that the destination cannot ingest.

Use another provider with CalDAV

For an account not shown in the provider list, Apple provides Other > Add CalDAV Account. You need the provider’s compatible CalDAV server details and credentials. After authentication, enable Reminders and create a test list.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Questions to answer before a full move

  • Does the provider support tasks or reminders through CalDAV, rather than calendar events only?
  • Which fields does it retain: notes, due times, recurrence, completion, attachments, subtasks, tags, or location triggers?
  • Where can you verify the data outside the iPhone: another device, a web app, or a desktop client?
  • What happens when a reminder is edited or completed in a second client?
  • Does the provider impose account, organization, or managed-device restrictions?

Apple warns that some Reminders features are unavailable with other accounts. Treat a successful CalDAV login as proof only that the account connected, not that it offers parity with updated iCloud Reminders.

What transfers cleanly and what may change

Reminder element Practical expectation What to verify
Title Usually straightforward to move or recreate Spelling, punctuation, and duplicate names
Notes Often transferable, but formatting can differ Line breaks, links, and any embedded detail
Due date and time Usually available when the destination supports timed reminders Displayed date, time, and local-time behavior
Completion state Can be preserved when moving; easy to lose during manual recreation Completed items remain completed and are visible where expected
List membership Requires a destination list owned by the new account Every item is in the intended account, not merely a similarly named iCloud list
Recurrence Provider-dependent Rule, next occurrence, and behavior after completion
Attachments Provider-dependent and not guaranteed Files or images open from the destination client
Flags, priorities, colors, and icons May not have an equivalent field Whether the visual or priority cue survived
Subtasks Provider-dependent Hierarchy and completion behavior
Smart lists and tags May not be supported outside updated iCloud Reminders Filtering and grouping results
Location triggers Not guaranteed on other accounts Whether the trigger exists and fires on the destination device

Apple’s own guidance says that all Reminders features described for updated iCloud Reminders are not necessarily available with other accounts. The safest migration plan therefore treats advanced fields as items to test, not as fields that will automatically follow the reminder.

Destination comparison

Verification before you clean up iCloud

Use a deliberate acceptance check instead of deleting the source as soon as the first list appears.

  1. Open each destination list and compare its item count with the source batch.
  2. Open a normal reminder, a completed reminder, a timed reminder, and a recurring reminder.
  3. Check notes, dates, recurrence, priority, attachments, subtasks, tags, and location behavior where applicable.
  4. View the destination on every device and web app you plan to use.
  5. Edit a test reminder in the secondary client, then confirm the change returns to the iPhone.
  6. Complete a test reminder and verify that its state is consistent across clients.
  7. Only after those checks, decide whether iCloud should remain enabled, be turned off for Reminders, or be removed from the phone.

Apple says reminders stay up to date on devices that use the same accounts. That statement applies to the same account configuration; it does not mean an iCloud list and a newly added Google, Microsoft, or CalDAV list are automatically linked.

Troubleshooting common migration problems

The destination account is not listed

Check whether the iPhone offers that provider under Add Account. If it is not listed, ask the provider for CalDAV credentials and use Other > Add CalDAV Account only when it supports reminders. On a company- or school-managed iPhone, an administrator policy may hide account types or prevent changes.

The account appears, but no Reminders switch is available

The account may support mail or contacts without supporting tasks. Do not treat a successful sign-in as reminder synchronization. Confirm the provider’s task support and try a documented compatible account type, such as Outlook.com or Exchange for the Microsoft workflow.

A moved reminder appears twice

One copy may still be in the iCloud list while another is in the destination list. Compare the account headings, not just the list names, then keep the intended destination copy and remove the duplicate only after checking its fields.

The recurring date changed

Recurrence rules are provider-dependent. Compare the original rule and next occurrence, then recreate the rule manually in the destination. Test another cycle before moving the rest of the recurring series.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

An attachment, tag, or location trigger is missing

This is a feature-coverage issue rather than proof that the entire reminder failed. Preserve the missing information in the note or another approved record, and decide whether that reminder should remain in iCloud because the destination cannot represent its behavior.

The destination is visible on the iPhone but not elsewhere

Wait for synchronization, then check that the second device or web app is signed into the same destination account. If the item exists only locally, verify that the account’s Reminders service is enabled and that the provider supports access from that client.

You removed iCloud and the old reminders disappeared

Removing the account from the iPhone hides its reminders from that device, while the data remains in the underlying internet account and on devices that are still configured for it. Add the account again or use an already configured device to recover the source view. Do not assume that hiding the source completed the migration.

A safe migration checklist

  • Keep iCloud Reminders enabled during the entire test.
  • Inventory lists and advanced fields before moving anything.
  • Add the destination account through the current Reminders account path.
  • Enable Reminders for that account and create clearly identified destination lists.
  • Move or recreate a small test batch.
  • Check basic fields first, then recurrence and advanced features.
  • Verify on every intended device and web client.
  • Resolve duplicates and missing fields before proceeding.
  • Repeat the process in manageable groups rather than moving an unverified library.
  • Keep the iCloud account available as a reference until the destination is accepted.

Choosing the right outcome

Choose the Microsoft route when you need Outlook.com or Exchange tasks to stay synchronized with Reminders and Microsoft To Do. Choose Google only after confirming that the specific Google account on your iPhone exposes a usable Reminders service; otherwise plan for manual recreation in a Google-supported task system rather than an assumed import. Choose CalDAV for another provider only after testing its credentials and feature support.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If full updated Reminders functionality—especially smart lists, tags, location triggers, attachments, or complex recurrence—is essential, keep those items in iCloud or maintain a documented workaround. If cross-platform access matters more than feature parity, a destination account with verified clients and reliable synchronization may be the better owner for basic tasks.

The safest result is not the fastest disappearance of iCloud lists. It is a verified destination copy whose account ownership, synchronization, and supported fields you have tested before changing the source.
