How to Monitor Your Brand’s Mentions in ChatGPT

Build a fixed set of realistic customer questions, run the same prompts on a schedule, and keep a dated record of the answers, brand and competitor mentions, and cited URLs. That gives you a consistent sample to review over time—not a count of every ChatGPT conversation. Track mentions, citations, and website visits separately: each measures something different.

Choose what you want to measure

Before checking ChatGPT, define what counts as a brand mention. Decide whether you will count only the literal brand name, or also product names, misspellings, parent or sub-brand names, recommendations, and linked citations. Use the same counting rules each time so a change in your report reflects the observations rather than a change in definitions.

Keep three measures distinct:

  • Mentions: whether and how the response names or describes your brand.
  • Citations: which URLs ChatGPT links as sources. A citation is worth inspecting, but it does not prove an answer is complete or correct.
  • Referral visits: visits to your site attributed to ChatGPT links. OpenAI says ChatGPT adds utm_source=chatgpt.com to referral URLs; look for that parameter in your analytics reporting. It measures attributable visits, not all brand mentions. See OpenAI’s publisher FAQ.

A response can mention your company without sending anyone to your website, and a referral visit does not reveal how often ChatGPT mentioned you.

Build a repeatable prompt set

Use language grounded in customer questions from sales calls, support tickets, reviews, search queries, and community discussions. Include more than brand-name searches: discovery and comparison prompts can show whether the brand appears when a person has not already named it. Preserve each prompt’s exact wording in your log.

  • “What are the best [category] options for [use case]?”
  • “How does [brand] compare with [competitor] for [need]?”
  • “Is [brand/product] a good fit for [specific audience or constraint]?”
  • “What are the drawbacks of [brand/product]?”
  • “Which sources do you recommend for learning about [category]?”

These are prompt templates, not a claim that ChatGPT will answer them consistently or that they represent all customers. Avoid rewriting a prompt between reporting periods if you want to compare results. Add new prompts when customer language or your product changes, but record when you introduced them rather than silently mixing them into an existing trend.

Run checks and preserve the evidence

  1. Choose a cadence. Run the prompt set at a repeatable interval suited to your reporting needs. The important thing is consistency, not an assumed universal schedule.
  2. Record the run conditions. For each check, note the date, exact prompt, language, region and account context where relevant, and whether web search was used or appeared in the response. Search is not necessarily active in every conversation: OpenAI says it may appear when a user asks for web search or when ChatGPT decides search would help. Treat different observed surfaces or conditions as context, not identical search events. See OpenAI’s transparency page.
  3. Save the answer. Keep the response text or a reviewable capture alongside your summary. Record brand and competitor mentions, the framing or sentiment if you have a defined labeling method, and every cited URL.
  4. Review citations. Open cited pages before repeating factual claims from an answer. OpenAI cautions that responses and citations can be incomplete, outdated, or incorrect; source access can also be affected by technical issues, paywalls, or robots.txt settings. See OpenAI’s accuracy guidance and ChatGPT search help.

A spreadsheet is enough to begin. Keep the raw prompt and answer with any score or summary so you can check how a reported result was counted. When publishing a mention rate, state the sample size, timeframe, counting rule, and relevant run conditions beside it. A small prompt sample describes only that sample, not the whole ChatGPT experience; there is no authoritative general benchmark in the cited sources for how often brands should appear.

Check site discovery and referrals separately

If you want your public pages considered for ChatGPT search summaries and snippets, check that OAI-SearchBot is not blocked in your robots.txt or by site security controls. OpenAI says any public website can appear in ChatGPT search and recommends avoiding a block when seeking consideration for summaries and snippets. Allowing the crawler supports discovery; it does not guarantee a mention or citation. OpenAI also notes that a relevant link and page title might surface in some cases even if a page is disallowed. Details are in the publisher FAQ.

Separately, configure analytics reporting to identify referral URLs containing utm_source=chatgpt.com. Crawler access is a discovery diagnostic; analytics shows attributable visits. Neither provides a count of all ChatGPT mentions.

Choose manual tracking or monitoring software

When manual sampling is enough

Manual checks are a practical starting point when the prompt set is small and someone can inspect each answer and citation. They also give you direct control over wording and run context. Their limitation is scale: repeating and reviewing many prompts takes time, and the results remain a sample.

What to assess in a monitoring service

Automation may help when you need recurring runs across many prompts, but compare capabilities that affect whether its results answer your question:

  • Prompt control: Can you use and preserve the exact customer questions you chose?
  • Surface coverage: Does it monitor ChatGPT alone or other AI search products too?
  • Context: Can you account for region, language, and other run conditions?
  • Evidence: Can you review underlying answers and cited URLs, not just a summary score?
  • Cadence and scale: Does its run frequency and prompt capacity fit your workflow?
  • Cost and terms: Check current subscription prices, limits, retention, and data-use terms before buying.

For example, OtterlyAI describes daily prompt monitoring, brand coverage, sentiment, and citation tracking in its feature materials. Its help page says users can add or discover prompts for daily monitoring and describes “Brand Coverage” as the share of responses for a prompt that mention a brand (prompt-monitoring help). These are the vendor’s descriptions of its own service, not independent performance findings or a universal industry standard.

ScreenshotNeo is a screenshot API and MCP server, not a ChatGPT mention-monitoring platform: it does not run or score your prompt set. It can capture a public page you want to keep as visual evidence alongside your manually logged checks. For example, this one-call request captures a website as a WebP image:

curl -G "https://api.screenshotneo.com/v1/shot" -d access_key=YOUR_API_KEY --data-urlencode url=https://stripe.com -o shot.webp

See the ScreenshotNeo API documentation before adapting the request. Its clean-shot workflow accepts cookie or consent banners and removes more than 60 known consent platforms, newsletter popups, and chat widgets before capture; each step can be turned off. Bot checks, CAPTCHAs, blank pages, timeouts, failed loads, and cache hits are not billed, and responses report the page verdict and billing status. An MCP server provides take_screenshot, get_page_info, and capture_pdf tools for AI agents and MCP clients. The free plan includes 1,000 screenshots a month with no card; paid plans start at $5 for 3,000. Learn about ScreenshotNeo or sign up free.
