To monitor requests for proposals (RFPs), identify the jurisdictions and buyers you want to serve, then create saved searches and notifications on their official procurement portals. Filter by buyer, category, location, notice type and deadline. Treat every alert as a lead: open the official notice and check its current attachments, amendments, eligibility rules and submission instructions before deciding to bid.
Choose portals for the buyers you want to reach
There is no single portal that covers every RFP. Start with the places and organizations where you can realistically compete; national, state or provincial, municipal, institutional and private buyers may publish opportunities in different places.

- U.S. federal opportunities: Search SAM.gov Contract Opportunities. Anyone may search contract opportunities without an account. A SAM.gov account enables saved searches and the ability to follow opportunities. See the SAM.gov Contract Opportunities page and its search guidance.
- Government of Canada tenders and awards: Use CanadaBuys, the official source for Government of Canada tender and award notices. It offers notifications for search criteria and notices.
- Other buyers: Add the state, provincial, municipal, institutional or international procurement sites relevant to your target market. The portals above do not constitute a complete directory for other jurisdictions or buyer types.
Before creating alerts, write down the jurisdictions, agencies and buyer organizations you want to pursue, along with the contract types and procurement categories that fit your capabilities. That list keeps the search grounded in where you can actually deliver.

Build useful searches and notifications
Combine terms with buyer and category filters
Use the language buyers use for your services, relevant buyer or agency names, procurement codes where available, and geographic filters. CanadaBuys provides filters for publication and closing dates, status, category, location and notice type. SAM.gov offers advanced search and guidance for using procurement codes and federal organizations.
#1 Best Overall
Start with a focused search, then inspect its results before depending on its notifications. A broad capability phrase may bring irrelevant notices; an overly narrow phrase may miss opportunities described with a buyer’s terminology. Adjust terms and filters based on actual relevant notices and recurring false positives.
Save searches and follow notices
On SAM.gov, public searching does not require an account, but an account is needed for saved searches and following opportunities. On CanadaBuys, sign up for notifications to stay up to date, including by following search criteria or particular notices. When a notice is relevant, use its follow or notification feature where available so you can track changes.
Keep a link to the original notice and its attachments in your pursuit record. An email alert or third-party summary may point you toward an opportunity, but the official notice is where you should verify the current version and requirements.

- Assign an owner. Decide who screens new matches and who can make or approve a bid/no-bid decision.
- Review on a cadence suited to your pipeline. Choose a schedule that reflects alert volume and how quickly your team can respond. There is no single interval suitable for every supplier.
- Capture the essentials. Record the buyer, notice link, closing date and time, question deadline, eligibility, required registrations, submission method and next action.
- Check the live notice and attachments. Look for amendments, updated documents, changed deadlines and instructions before committing bid-writing resources.
- Decide whether to pursue. Compare the requirements and timeline with your eligibility, capacity and ability to submit a compliant response.
- Refine the searches. Remove terms or categories that repeatedly create noise and add relevant buyer language or codes you see in suitable notices.
Verify every opportunity at the official source
An alert is a discovery mechanism, not the final authority. Open the notice on the buyer’s official portal and review the current notice, attachments and amendments. Confirm the closing time, question deadline, eligibility, required registrations and permitted submission method in the buyer’s own documents. A missed amendment or misunderstood submission rule can matter more than finding the notice quickly.

For repeatable analysis of U.S. federal opportunities, SAM.gov also provides data services and public opportunity reports. These can support a more structured monitoring process, but they do not replace checking the official notice and its latest documents.
When a paid aggregator may help
A commercial tender-alert service may be convenient when you need to watch many sources. For example, GovBids advertises Canadian tender listings and alerts. Its coverage and update statements are vendor claims, not independently established comparisons. Before relying on any aggregator, check which jurisdictions and buyers it covers, how it filters notices, whether it flags changes, how directly it links to official notices, how often it updates and what it costs. Use it for discovery if useful, but verify each opportunity on the buyer’s portal.

Monitor the portals with ScreenshotNeo
If you maintain a procurement dashboard or internal opportunity log, ScreenshotNeo can capture a page view for your records; it is a website screenshot API and MCP server, not an RFP alert service. A screenshot can help preserve what a public notice page looked like at a point in time, but it does not replace downloading official attachments, following amendments or recording a deadline from the buyer’s documents.

ScreenshotNeo accepts cookie or consent banners like a visitor and removes more than 60 known consent platforms, newsletter popups and chat widgets before capture; each cleanup step can be turned off. Bot checks, blank pages, timeouts, failed loads and cache hits cost nothing, and response headers identify the page verdict and billing status. Its MCP server provides the tools take_screenshot, get_page_info and capture_pdf for AI agents. The Free plan includes 1,000 screenshots a month with no card; paid plans start at $5 for 3,000 shots.
