You usually do not need to convert a Microsoft Office file before opening it in ONLYOFFICE. Keep working files in the Office Open XML formats—.docx for documents, .xlsx for spreadsheets and .pptx for presentations—then validate the saved copy in the application your recipients use. The safest migration is: preserve untouched originals, inventory dependencies, test a representative pilot, inspect high-risk layout and behavior, save deliberately, reopen and compare, and roll out in controlled batches.
Do not promise pixel-for-pixel identity for every complex file. Compatibility is strong for native OOXML, but fonts, macros, embedded objects, advanced charts, tracked changes and other application-specific features can alter a round trip. Treat each important file as something to verify, not as a conversion that is automatically lossless.

Use the native format instead of converting first
Microsoft identifies .docx, .xlsx and .pptx as the default Open XML formats for supported Office versions. ONLYOFFICE editors also use those formats as their native document, spreadsheet and presentation formats. That common file family removes an unnecessary conversion step and gives the best starting point for exchanging editable files.

| ODT, ODS or ODP | OpenDocument interchange | Use only when the receiving workflow specifically requires it | Unsupported Office features can change or lose content during an ODF round trip |
Legacy .doc, .xls and .ppt files may open in ONLYOFFICE, but they deserve a pilot and a round-trip check. Convert a legacy file to the corresponding OOXML type only after you have preserved the source and confirmed that the converted result meets the business requirement.

Prepare a safe migration set
Make an untouched source copy
Before opening anything for editing, duplicate the complete source tree to read-only media or a location governed by your normal backup controls. Preserve filenames, folder structure and timestamps where practical. This copy is your rollback point if a save changes layout, removes an object or alters a formula.
Do not use the working copy as the only backup. A cloud or network backup can be useful at this stage, but verify that synchronization has completed and that older versions can actually be restored. Record who owns the files and how long the originals must be retained.
Inventory the files and dependencies
Create a simple register for every file or file group. Record its extension, owner, last-approved version, destination application and whether it contains any of the following:
Free tools Windows power users keep installed
One-click scans. No signup required.
- Legacy .doc, .xls or .ppt content.
- Macro-enabled .docm, .xlsm or .pptm content.
- Password protection, restricted editing or digital signatures.
- External links, linked workbooks, imported data connections or refresh queries.
- Custom fonts that may not be installed on the ONLYOFFICE or recipient computer.
- Embedded objects, equation editors, audio, video, OLE packages or other application-specific components.
- Tracked changes, comments, complex fields, forms or content controls.
Mark files that are legally, financially or operationally important. Those files should be in the first pilot even if they look simple, because a short document can still contain a critical field, link or signature.
Choose a representative pilot
Do not test only a plain one-page document. Select examples that include the most complex layouts in each class: a long report with sections and headers, a workbook with formulas and print settings, and a presentation using a custom master and graphics. Include at least one macro-enabled or legacy file if those types are part of the migration. A pilot exposes exceptions while the original files are still available and the team can adjust its process.
Select the ONLYOFFICE deployment that matches the workflow
ONLYOFFICE Desktop Editors provide local editing for common document, spreadsheet and presentation formats. ONLYOFFICE Docs provides browser-based or integrated editing, depending on how it is deployed. The file-format strategy is the same, but the environment changes where fonts, permissions, conversion settings and integrations are controlled.

Keep the same ONLYOFFICE release family across a pilot where possible. If some users work in the desktop editor and others in a browser, test both paths before declaring a file class complete. A file that looks correct in one environment can expose a missing font or different print behavior in another.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Open representative files without an intermediate conversion
- Copy the pilot file from the preserved source. Work on a duplicate, not on the only original.
- Open it in the appropriate ONLYOFFICE editor. A native OOXML file can normally open directly. In documented Workspace workflows, native files open without an intermediate conversion; other formats may be converted to an editor-native format as they are uploaded or opened.
- Note any warning. Record messages about unsupported elements, repaired content, fonts, links, macros, permissions or conversion. Do not dismiss a warning without checking what it affects.
- Save a new working copy. Use a filename that identifies the editor, date and test case so the original and the migrated version cannot be confused.
- Inspect the file before making ordinary edits. Compare the opening view with the source in Microsoft Office or a rendered reference. Look for reflow, missing objects and altered calculations before changing content.
If a file is not already in an OOXML format, decide whether the conversion is acceptable before editing. Keep the legacy source, document the target extension and confirm that the converted file can still be opened by the people who need it.
Check the elements most likely to change
Documents: pagination and anchored content
For DOCX files, compare the total page count and the location of every deliberate break. Check section breaks, different first-page headers, odd/even headers, page numbering, columns, footnotes and endnotes. A small font substitution can move a heading to the next page, which then changes a table of contents or a cross-reference.
Review paragraph and character styles rather than judging only visible formatting. Confirm that headings use the intended levels, list numbering remains continuous, and direct formatting has not replaced a style. Inspect text boxes, shapes, SmartArt-like objects, floating images and their anchor settings. Verify that tables do not split in an unacceptable place and that captions remain attached to the intended figures.
Open comments and tracked changes. Check whether markup is still present, whether author names and dates remain appropriate, and whether accepting or rejecting a change produces the expected final text. Test hyperlinks, cross-references, fields and embedded objects individually; an object that displays may still fail when edited.
Spreadsheets: formulas, ranges and print output
For XLSX files, first verify that formulas are still formulas rather than pasted values. Recalculate key sheets and compare a set of known results with the Microsoft version. Check named ranges, sheet protection, hidden rows and columns, data validation, filters, freeze panes and conditional-formatting rules.

Inspect charts and pivot-style summaries for changed source ranges, labels, number formats, axis scales and legends. External links and data connections need special attention: confirm whether they refresh, whether a prompt appears, and whether the recipient environment can reach the source. If a workbook is intended for paper or PDF output, compare print areas, page breaks, scaling, repeating rows and headers, orientation and margins.
Do not rely on a single visible cell. Test representative formulas at boundaries, including blanks, dates, errors, text numbers and large values. Compare protected and unprotected behavior if users are expected to enter data.
Presentations: masters, fitting and playback
For PPTX files, compare the slide count, slide order and every slide master or layout. Check theme fonts, colors, placeholders, background graphics and title positioning. Missing fonts can cause text to wrap, overflow or shrink, so inspect dense slides at normal presentation size.
Recommended Free Tools
Review charts, tables, grouped objects, transparent graphics and speaker notes. Play transitions and animations from start to finish, including builds that reveal data in stages. If the deck contains audio or video, confirm that the media remains embedded or linked as intended and that the presentation computer has the required codecs and files.
Shared checks for all three formats
- Fonts: Identify substitutions and install or license the same fonts where permitted. Recheck pagination and text fitting after any font change.
- Links: Test internal hyperlinks, external URLs and file links from the location where recipients will use them.
- Embedded items: Open each object, not just its preview. Confirm that editing and double-click behavior are acceptable.
- Metadata: Review comments, document properties, hidden sheets, hidden slides and revision information before external delivery.
- Security: Recheck passwords, permissions, signatures and any policy that blocks macros or external content.
Save in the format your recipients need
If a file will return to Microsoft Office for editing, keep it in DOCX, XLSX or PPTX. In ONLYOFFICE workflows, conversion back to the original format on save is available when the original-format setting is enabled; confirm that setting rather than assuming it is active. Avoid saving an editable Office workflow as ODT, ODS or ODP merely because the file opened successfully. OpenDocument formats are a deliberate interchange choice, and Microsoft warns that unsupported features can change or lose content when Office files are saved and reopened in ODF.
Use a new filename or versioned folder for the first save. This makes it possible to compare the pre-save and post-save files and prevents a test from silently overwriting the rollback copy. After saving, close and reopen the file in ONLYOFFICE. Then open it in the Microsoft application used by the recipient, especially when the file will be submitted, printed, presented or merged into another Office workflow.

Compare both appearance and behavior. A file can open without an error while still having a shifted page break, a changed formula result, a missing animation or a nonfunctional link. For critical files, render the document, print the relevant spreadsheet sheets and run the presentation in a rehearsal environment.
Handle macros and other high-risk formats separately
Macro-enabled files
DOCM, XLSM and PPTM files contain VBA macro code in addition to document content. Treat the macro as a separate application component. Record which macros exist, what triggers them, which references they require and what outputs they produce. Test buttons, workbook-open events, custom forms, imports, exports and any code that calls an external file or service.
Do not approve a macro-enabled migration solely because the visible pages or sheets look correct. A macro may be present but fail only when a user clicks a control or when a workbook opens on a different machine. Keep the original macro-enabled file until the recipient has run the required scenarios successfully, and document any workflow that must remain in Microsoft Office.
Legacy binary formats
Older DOC, XLS and PPT files can contain layout or feature behavior that is not represented identically in OOXML. Open a copy, save to the corresponding OOXML format, then compare the result in the application that will receive it. If the file is a historical record rather than an active document, retain the legacy original and produce a PDF or other fixed-layout copy for distribution instead of repeatedly editing the source.
Password-protected and signed files
Protection and signatures can prevent editing or invalidate a signature when the file is saved. Obtain the required credentials through your normal access process, verify whether the signature must remain legally meaningful, and plan a re-signing step if any content changes. Never remove protection on the only preserved copy.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteUse PDF only when editing is no longer required
PDF is appropriate for a final handout, invoice, form or record whose intended viewing and printing layout must be stable. Microsoft describes PDF as a format that preserves intended viewing and printing layout. It is not a substitute for an editable DOCX, XLSX or PPTX when recipients still need to revise content, formulas or slides.
Best Value
Keep the editable OOXML source alongside the PDF, with clear version names and dates. Before distribution, open the PDF on the devices and printers that matter, check page count and cropping, and verify that links and accessibility features meet the delivery requirement.
Troubleshoot by symptom
| Symptom | Likely cause | What to do |
|---|---|---|
| Text wraps differently or page count changes | Font substitution, changed spacing or different section settings | Compare installed fonts, styles, line spacing, margins and section breaks; then reopen in the recipient application. |
| Images move or overlap text | Changed anchor, wrap mode or object position | Inspect each image’s anchoring and wrapping; replace fragile floating placement with a controlled layout when practical. |
| Spreadsheet totals differ | Formula conversion, stale calculation, changed named range or external-link failure | Recalculate, inspect formulas and names, test boundary cases and verify link availability. |
| Charts or pivot summaries look wrong | Source range, formatting or unsupported feature changed | Compare source ranges, labels and number formats; rebuild the affected object only after preserving the source. |
| Slides overflow or animations do not play | Missing fonts, altered master layout or feature differences | Install the required fonts, inspect the master and test the complete slide show on the delivery computer. |
| Macros do not run | Macro security, missing references or behavior differences | Run a documented macro test, check references and policy settings, and keep the Microsoft version for workflows that depend on it. |
| Links or embedded files fail | Absolute paths, unavailable permissions or unsupported embedded object | Use recipient-accessible paths, test permissions and open the embedded object directly. |
| File opens with a repair or conversion warning | Damaged content or an element that cannot be represented fully | Return to the untouched original, isolate the affected element in a copy and record the limitation before deciding whether to replace or export it. |
Roll out in controlled batches
- Approve the pilot criteria. Define which visual, formula, macro, link and print checks must pass for each file class.
- Migrate one class or team at a time. For example, complete ordinary DOCX files before moving to macro-enabled workbooks.
- Keep rollback copies. Retain the untouched source and the last accepted migrated version according to your retention policy.
- Record exceptions. Identify the file, feature, observed change, recipient application and approved workaround. An exception log prevents the same issue from being rediscovered.
- Re-test after updates. When ONLYOFFICE, Microsoft Office, fonts or an integrated platform changes, reopen the same pilot set and compare against the recorded results.
- Communicate the working rule. Tell users which extension to choose, where originals live, how to report a formatting defect and when PDF is required instead of an editable file.
Migration checklists
Before opening a file
- Untouched source copy exists and can be restored.
- Extension, owner, destination application and dependencies are recorded.
- Fonts, links, macros, protection and embedded objects are identified.
- A representative pilot file has been selected.
Before approving the saved file
- The file is saved in the intended OOXML format.
- High-risk layout and functional elements have been checked.
- The file was closed and reopened in ONLYOFFICE.
- The recipient Microsoft application has been tested when external exchange is required.
- Known limitations and workarounds are documented.
Before deleting or archiving the source
- The recipient accepted the migrated file.
- Macros, links, formulas, printing and presentation playback passed their required tests.
- The rollback copy and version history meet your retention policy.
- Any final PDF is stored beside, not instead of, the editable source when future editing is expected.
Frequently Asked Questions
Do I have to convert a DOCX, XLSX or PPTX file before opening it in ONLYOFFICE?
No. These are native OOXML formats for ONLYOFFICE and Microsoft Office, so open them directly. Preserve the original and validate the saved copy before replacing it.
Will ONLYOFFICE preserve every formatting detail?
There is no universal fidelity percentage. Native OOXML generally provides the strongest compatibility, but fonts, advanced objects, macros and application-specific features still require file-by-file checking.
Should I save an editable file as ODT, ODS or ODP?
Only when the receiving workflow specifically requires OpenDocument. For Microsoft Office exchange, DOCX, XLSX and PPTX are the safer default because ODF conversion can change unsupported features.
When is PDF the better target?
Use PDF when recipients need stable viewing or printing and no longer need to edit the document, workbook or presentation. Keep the editable OOXML source for future changes.
