The safest migration is an export-and-validate process: inventory your Google Drive files, download editable copies while preserving a separate source archive, deploy a self-hosted file platform with an office document server, import a small representative batch, and inspect the results before moving everything. No documented process guarantees that comments, scripts, charts, formatting, or revision history will behave identically after conversion.
What a Google Docs migration actually involves
Google Docs, Sheets, and Slides are stored in Google’s cloud-native formats. A self-hosted office suite normally edits files stored in a platform such as Nextcloud through a connected document server. Migration therefore has two distinct parts: exporting Google’s files into usable office formats, then configuring a self-hosted storage and editing service to open those files.

This is not a direct “move account” operation. The documented route is to download or export files from Google Drive, inspect the resulting archive, upload the files to the destination storage, and test them in the destination editor. The export may include more than the visible text on a page, and conversion can change how some features render or save.
For editable working copies, choose an office format such as DOCX, XLSX, PPTX, ODT, ODS, or ODP when the Google interface offers it. Keep the original export separate from the files you edit after import. That archive is your recovery copy if a conversion changes a layout, formula, image, comment, or other feature.

Before exporting: inventory and protect your Google files
List what must move
Start with an inventory rather than exporting an entire account blindly. Record the documents, spreadsheets, presentations, shared-drive folders, owners, collaborators, and file types that your team actually uses. Mark documents that contain any of the following:
- Complex page layouts, custom fonts, headers, footers, or page breaks.
- Tables, charts, drawings, embedded images, bookmarks, or linked content.
- Comments, suggestions, named revisions, or published revisions that may matter for audit or editorial work.
- Spreadsheet formulas, charts, filters, protected ranges, or external links.
- Presentation themes, speaker notes, animations, videos, or unusual slide layouts.
- Apps Script or other automation attached to a file.
These categories determine the size of your pilot batch. A plain text document is not a meaningful compatibility test for a workbook full of formulas or a presentation with custom graphics.

Check ownership and download permissions
Google says owners can disable downloads, printing, and copying for viewers and commenters. A file that you can read is not necessarily a file you can export. Ask the owner to enable an allowed download or have an administrator handle the export. For work or school accounts, organization policies can restrict which data is available for export.
Use Google’s sharing guidance to identify your role and the controls applied to each file: Google Drive sharing help. Do not treat a missing file in an archive as proof that it never existed; first check whether its owner, shared-drive policy, or account policy prevented export.
Reserve separate storage for the source archive
Keep the downloaded archive in a location that is separate from the working directory you will upload to the self-hosted system. Google advises storing downloaded data somewhere safe with enough free space. A local disk or external drive can be used as an additional copy, but no extra hardware is required for the migration.
For a large account, plan for more than one export. Google notes that archive creation can fail when exported files exceed maximum size limits. Splitting the work by folder, account, file type, or date makes it easier to identify omissions and repeat only the failed portion.

Choose an export method and format
Download individual files for a controlled pilot
For a small or high-value set, use Google Drive’s file download route. In the Drive web interface, select a file, open the context menu, and choose Download. For a Google document, spreadsheet, or presentation, Google presents available export formats. Select an editable office format for the working copy when one is offered. Google’s instructions are documented at Download a file from Google Drive.
Google lists Microsoft Word DOCX, PowerPoint PPTX, and PDF among the examples of formats available for documents and presentations. The exact spreadsheet choices should be confirmed in the live download menu for the particular file. Do not assume that every file type exposes the same options.
Use editable and reference copies together
For a document that must continue to be edited, use an editable format as the working copy. For a layout-sensitive document that recipients mainly read, also retain a PDF as a visual reference. PDF is useful for checking appearance, but it is not an editable substitute for the office file.
Keep both copies in the source archive before importing anything. Name or organize them so that the editable file and its reference PDF can be matched. This lets you compare page breaks, images, tables, and spacing after import without altering the only original you possess.

Export a broader Drive collection when appropriate
Google also provides a broader data-export route for Drive content. Its export documentation describes a downloadable archive that can be used as an archive or prepared for another service: Export your data from Google Docs, Sheets, Slides, Drawings, Sites, Drive, Forms and Vids. This is still an export archive, not a direct importer for a self-hosted office suite.
After the archive is created, inspect its index and folders before uploading. Confirm that expected accounts, shared-drive material, and file types are present. Google warns that some work or school account data may not be available and that exports can fail when files exceed maximum size limits. If the archive is incomplete, resolve the policy or size issue and create a smaller export rather than proceeding as if the missing files were migrated.
Understand what an export may contain
Google’s export documentation lists content beyond visible document text. Depending on the service and file, an export can include comments and suggestions, Apps Script, bookmarks and page numbers, charts and tables, drawings, images, and named or published revisions. Sheets and Slides can contain their own service-specific structures.
That list describes what Google can include in exported data; it is not a promise that another office suite will reproduce every item with the same behavior. A comment may import differently from body text, a script may not run, and a named revision may not become an equivalent revision in the destination. Google also cautions that downloaded images might be lower quality.

Select the self-hosted office architecture
Nextcloud Office and its document server
Nextcloud Office supports common Office Open XML and OpenDocument formats, including DOCX, XLSX, PPTX, ODT, ODS, and ODP. It connects the Nextcloud file platform to a document server that processes office files for browser editing. The current administration documentation describes Nextcloud Office, its supported formats, and the requirement that the document server be reachable by Nextcloud and its users at Nextcloud Office documentation.
For production use, plan a reachable document-server service rather than assuming that installing the file platform alone provides an editor. Nextcloud’s installation guidance covers package and Docker deployment paths and notes that a reverse proxy is typically needed for dedicated deployments: Nextcloud Office installation.
Collabora Online as another supported option
Nextcloud also documents Collabora Online as a supported office integration. A built-in CODE deployment is positioned for personal or small-team use. Nextcloud describes it as less scalable than a dedicated server and recommends a dedicated Collabora Online installation when improved performance is required: Collabora Online administration.
Do these 3 things before closing this tab:

Confirm which connector, document server, host, and maintenance model your administrator is deploying. The office editor must be able to reach the stored files, and users must be able to reach the editor through the network path your installation provides.
Production requirements administrators must plan
A production deployment needs secure HTTPS connectivity and a correctly configured office-server connection. Nextcloud’s office overview explains the integration model at Office overview. Administrators should also restrict WOPI requests to expected Collabora server addresses and restrict the document server’s allowed WOPI hosts. Those controls protect the file-editing connection; exporting a file differently will not fix a WOPI or reverse-proxy configuration problem.

Run a pilot migration before the full import
Choose a representative batch
Select a small set that reflects real use rather than only easy files. Include at least one text document, one spreadsheet, one presentation, and any file containing the specialized features your team depends on. Include a large file and a shared file if those are part of daily work.

Copy the selected editable files into a staging folder in the self-hosted storage system. Do not replace the source archive with converted files.
Import through the destination storage system
Upload the staged files through the normal file-upload interface of your self-hosted platform, or use its supported synchronization process. The Google export archive is not itself a direct importer. Preserve the folder structure where practical, but do not assume that identical names prove identical content.
Open each imported file in the configured office editor. Record the result for each feature rather than relying on a quick visual glance. A file can look acceptable on its first page while a later section, formula, or slide is damaged.

- Documents: compare page breaks, fonts, spacing, headers, footers, tables, images, links, bookmarks, comments, suggestions, and revision-related material against the source and reference PDF.
- Spreadsheets: recalculate important formulas, inspect charts, verify number formats, check filters and protected areas, and test links to other sheets or files.
- Presentations: review every slide for theme changes, text overflow, image quality, charts, speaker notes, transitions, and embedded media.
- Collaboration: test simultaneous editing, comments, sharing permissions, and the ability of intended users to open and save the file.
- Special features: identify scripts, macros, unusual drawings, or other items that need manual recreation or a separate workflow.
This pilot is essential because the official documentation does not provide a universal Google-to-self-hosted fidelity score or a guarantee that every feature maps one-to-one. If a high-stakes file fails validation, retain the Google export as the authoritative source and decide whether to repair the imported copy, keep that file in a read-only format, or use a different workflow for it.
Decide between ODF and OOXML defaults
Nextcloud Office creates new files in OpenDocument Format by default unless an administrator enables Office Open XML as the default. The relevant configuration guidance is at Nextcloud Office configuration.
| Default choice | Best fit | Trade-off to test |
|---|---|---|
| ODF | Teams whose primary workflows use OpenDocument files and a standards-oriented office format | Check how external recipients and other office applications handle the resulting files |
| OOXML | Teams that exchange DOCX, XLSX, or PPTX files extensively with outside organizations | Check whether the files’ features survive saving in the chosen OOXML format |
Nextcloud warns that saving some formats can result in data loss because of format restrictions. Treat the default as a workflow decision, not merely an administrator preference. After choosing it, repeat the pilot’s save-and-reopen tests using newly created files and imported files saved in that format.

Freeze and document the source state
When the pilot passes, set a cutover window and tell collaborators when edits in Google Drive must stop. Export any changes made since the pilot, and keep a dated copy of the final source archive. If both systems remain editable during the transition, record which location is authoritative for each folder.
Import by batch and keep an exception list
Move files in manageable groups, such as one shared drive or department folder at a time. After each batch, confirm file counts, folder names, owners, and representative opens. Maintain an exception list for files that were blocked by permissions, omitted by an export policy, too large for the archive process, or failed content validation.

Do not delete Google originals immediately. Keep them available until the self-hosted copies have passed the agreed review period and users have confirmed that their daily tasks work. The source archive should remain independent of the destination so that a failed import does not remove your recovery path.
Recreate sharing and permissions deliberately
Google sharing roles and self-hosted platform permissions are different systems. Recreate access based on the team’s current needs rather than assuming that a downloaded file carries its former sharing model with it. Test a normal user, an editor, and a restricted user if those roles exist in your workflow.
Comments, suggestions, and revision history also deserve an explicit policy. If a file’s audit trail is important, preserve the source archive and document where that history can be consulted, even if the imported working file does not expose it in the same way.
Troubleshoot common migration failures
The file is missing from the export
- Check whether you had permission to download it or whether the owner disabled downloads for viewers and commenters.
- Ask a work or school administrator whether an organization policy restricted export.
- Inspect the export index and compare it with your inventory.
- Retry with a smaller export if the archive exceeded a maximum size limit.
The archive was created but is incomplete
Do not import it as a complete migration. Compare the archive contents with your inventory, identify the missing folders or services, and create a targeted export. Keep the incomplete archive labeled as such so it cannot be mistaken for the final source copy.
The imported layout differs from Google
Compare the editable file with the source and, where useful, a PDF reference. Check fonts, spacing, page breaks, tables, images, and charts first. If the document is only required for reading, retain the PDF reference; if it must remain editable, repair the imported copy while keeping the original export unchanged.
A script, chart, or revision is not usable
Google’s export list can include scripts, charts, comments, drawings, and named revisions, but inclusion does not establish equivalent behavior in another suite. Mark the item as an exception, determine whether it can be recreated, and preserve the Google export for reference. Do not promise that a script or revision history will run or appear identically after import.
The office editor cannot open or save files
Have the administrator verify that the document server is reachable by both Nextcloud and users, HTTPS and reverse-proxy routing are correct, and WOPI host and address restrictions allow only the intended systems. Test with a small file before retrying the migration batch. This is a deployment issue, not an export-format choice.
Migration checklist
- Inventory Docs, Sheets, Slides, shared drives, owners, permissions, and specialized features.
- Identify files blocked by download controls or organization export policies.
- Create a separate source archive with enough storage and split large exports when necessary.
- Download editable formats for working copies and PDFs as optional visual references.
- Inspect the export index and contents before uploading.
- Choose the self-hosted file platform and document-server deployment model.
- Configure HTTPS, reverse-proxy routing, and WOPI restrictions with the administrator.
- Import a representative pilot batch and test content, saving, sharing, and collaboration.
- Choose ODF or OOXML defaults based on actual interoperability requirements.
- Move the remaining files in controlled batches, keeping an exception list and the original archive.
- Retain Google originals until users approve the self-hosted workflow and recovery policy.
What a successful cutover looks like
A migration is complete when the destination contains the files the inventory called for, users can open and save them through the chosen office integration, permissions match the intended workflow, and exceptions have an owner and a documented resolution. The existence of an export archive alone is not evidence of a usable migration.
Keep the source archive as a long-term reference for files whose comments, scripts, revisions, images, or specialized formatting did not transfer perfectly. For future work, make the ODF-versus-OOXML choice explicit, train users where files are now stored, and repeat validation whenever the document server or office integration is substantially changed.
