How to migrate Gmail to an open-source email provider without missing messages

The safest Gmail migration is staged: keep Gmail running, create a Google Takeout archive, use the destination’s documented Gmail, IMAP, or MBOX/EML import path, and verify messages, labels, attachments, and new mail before you make the new mailbox your only copy. No import method is proven to be universally loss-free, so the archive and a period of overlap are part of the migration—not optional extras.

“Open-source email provider” can mean three different things. Thunderbird is an open-source desktop client. Mail-in-a-Box is open-source mail-server software that you operate yourself. A hosted service may publish some open-source components without being an entirely open-source service. The steps below separate those cases so you can choose a route that matches your destination.

Decide what you are moving to

An open-source desktop client

A client such as Thunderbird stores or displays mail from an account; it does not by itself provide a new mailbox address or deliver mail. You can use it as the bridge between Gmail and another account, or as the place where you import an archive. Your destination still needs its own mailbox and an import method.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Self-hosted mail-server software

With Mail-in-a-Box, you run mail-server software on infrastructure you control. Importing your old Gmail mailbox is only one project. DNS records, delivery reputation, TLS, backups, monitoring, spam handling, updates, and account security determine whether the new server remains dependable.

A hosted service with open-source components

A hosted provider may offer a guided Gmail importer while using open-source software in part of its stack. Treat the importer as a provider-specific feature, not evidence that every part of the service is open source. Confirm the provider’s current terms, supported data types, date-range controls, and any paid-plan requirement before you begin.

Choose the migration route

Use the destination’s own instructions first. The route that preserves the most useful metadata for one provider may not exist for another.

Route How Gmail is accessed Data covered Ongoing sync Main trade-off
Destination Gmail importer Direct authorization in the destination’s documented flow Varies by provider; Proton’s Easy Switch documents email, attachments, calendars, and contacts, with data selection and an email date range Some tools may offer an ongoing connection; verify before starting Usually the least technical option, but provider-specific
IMAP migration through a client or tool Gmail and destination accounts connected over IMAP; use Google sign-in Mail and attachments; folder and label behavior depends on the destination Can be one-time or continuing, depending on the tool Flexible, but requires careful account setup and mapping checks
Takeout MBOX/EML import Exported files rather than a live Gmail connection Message content, headers, attachments, and Gmail label data in the archive One-time archive import; new mail needs a separate plan Gives you an independent recovery copy, but labels may not become folders automatically
Self-hosted server Import method selected by the server software or an intermediate client Depends on the chosen tools and server configuration You must configure delivery, forwarding, or synchronization yourself Maximum control and maximum operational responsibility

Prepare before moving a single message

  1. Keep Gmail active. Do not delete the account, remove recovery methods, or stop using the address until the destination has passed your checks and you have a plan for mail sent during the transition.
  2. Check account authority. Work and school accounts may have administrator-controlled export, IMAP, or third-party-app permissions. Ask the administrator what is allowed before attempting an import.
  3. List what matters. Note the date range you need, important labels, Inbox, Sent, Archive/All Mail, and any Spam or Trash messages that must be retained. Make a short list of messages with legal, financial, family, or account-recovery importance so you can inspect those individually later.
  4. Read the destination’s current migration guide. Confirm supported source methods, maximum message or archive sizes, label/folder rules, contacts and calendar support, rate limits, paid-plan conditions, and whether the tool continues syncing after the initial import.
  5. Plan storage. A Takeout archive can be large. Google says it is usually easiest to download the archive directly to your computer and that it may be stored anywhere safe with enough capacity. An external hard drive or SSD is optional; a direct online migration does not require buying hardware. Keep at least one intact copy that is separate from the destination account.

Create a Google Takeout recovery copy

Use Google’s Gmail export controls at Google’s Gmail export guidance. Select Gmail and review the available categories before creating the export. Google documents that the Gmail archive can include message content, message headers, attachments, and many built-in and user-defined label categories.

  1. Open Google Takeout while signed in to the Gmail account and select the Gmail data set.
  2. Choose the delivery method, archive type, and archive size options shown by Google. Download the resulting archive to a location with enough free space.
  3. Keep the original archive unchanged. Make a second copy if the mailbox is business-critical, and record where each copy is stored.
  4. Open a few exported files or inspect the archive structure so you know the export completed and is readable before beginning a destructive change.

Google’s account help explains additional archive handling at Google Takeout help. Exported Gmail labels are preserved in an X-Gmail-Labels header in the download. That header carries label information, but it does not guarantee that a destination will turn every Gmail label into a folder or reproduce nested labels exactly.

Route 1: use a destination-provided Gmail importer

If your destination offers a Gmail assistant, it is normally the simplest historical-mail path because the provider has already implemented the authorization and import logic. Follow that provider’s current documentation rather than entering credentials into an unrelated utility.

Example: Proton Easy Switch

Proton documents Easy Switch for moving from Gmail at its Gmail migration guide. The guide lists email, including attachments, calendars, and contacts, and provides controls to choose data and an email date range. Those capabilities are an example of one hosted provider’s workflow; they do not establish that every open-source or partly open-source destination supports the same categories.

  1. In the destination account, open the documented Gmail migration tool and review the permissions it requests.
  2. Authorize Gmail through Google’s sign-in flow, select the categories and date range you actually need, and note whether the screen offers a continuing connection in addition to a one-time import.
  3. Start the import while Gmail remains available. Do not treat a completion message as proof that every label, attachment, or old message arrived.
  4. Record the tool’s completion status and any skipped, rejected, or rate-limited items. If the provider exposes an error list, save it with your migration notes.

Route 2: migrate over IMAP

Why IMAP is preferable to POP for a mailbox move

IMAP presents the mailbox as synchronized folders that can be accessed from more than one device. Google’s POP guidance describes a single-computer download model, so POP is not a blanket substitute for a migration that needs server-side folders, repeated checks, or access from both accounts.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

For personal Gmail, Google’s current client-access guidance says IMAP is always enabled starting in January 2025. When a desktop client connects, Google specifically advises choosing Sign in with Google rather than giving a third-party app your Google password. See Google’s Gmail client-access instructions.

IMAP procedure

  1. Install or open a migration-capable mail client, such as Thunderbird, and update it before adding accounts.
  2. Add the Gmail account and choose Sign in with Google when offered. Approve only the scopes needed for mail access.
  3. Add the destination account using the destination’s official IMAP server name, port, encryption, and authentication settings. Do not guess these values.
  4. Wait for the client to finish discovering folders on both accounts. Gmail labels can appear as folders, nested folders, or a different hierarchy, so inspect the mapping before copying everything.
  5. Copy a small test set containing an old message, a recent message, a sent message, a message with an attachment, and a message carrying several labels. Confirm that each appears correctly at the destination.
  6. Copy the remaining folders or date ranges in batches. Leave the client running until its queues and activity indicators show completion, and keep notes of the ranges processed.
  7. Reconnect after the client has been idle and compare the same test messages from the destination account, including attachment opening and full-text search.

IMAP transfers do not necessarily reproduce Gmail’s conversation view, category tabs, stars, filters, or label relationships. Preserve the Takeout archive even when the visible message count looks right.

Route 3: import a Takeout MBOX or EML archive

The archive-file route separates the recovery copy from the live account. It is useful when a destination accepts MBOX or EML, when you want a repeatable local source, or when direct Gmail authorization is unavailable. Gmail’s exported headers and attachments remain in the files, but the destination must decide how to interpret them.

  • SuperSpeed USB 3.2 Gen 1 (5Gbps)

Generic archive workflow

  1. Finish and validate the Takeout download before importing.
  2. Check the destination’s accepted formats, maximum file sizes, folder requirements, and whether it expects one MBOX per label or a different layout.
  3. Use the destination’s supported importer or a desktop client that can open the archive. Keep the original files untouched so a failed attempt can be repeated.
  4. Import a small sample first, including messages from different years, folders, and attachment types.
  5. After the sample passes, import in manageable batches and watch for rejected files, malformed messages, or duplicate handling.

Proton’s MBOX/EML workflow

For Proton Mail, the documented file workflow uses Proton Mail Bridge with Thunderbird. Proton’s instructions are at the MBOX/EML guide. Bridge is available to paid accounts, and the mail client and Bridge must remain running during the message-by-message import. Proton warns that some malformed messages may be rejected rather than silently changed.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Proton’s Bridge project documentation also recommends Easy Switch when a Gmail or other IMAP-accessible server is available and describes Thunderbird for the EML/MBOX workflow: Proton Mail Bridge import wiki. These are Proton-specific plan and process conditions; another destination may require different software or may not accept the same files.

If you are self-hosting with Mail-in-a-Box

Running Mail-in-a-Box does not complete a Gmail migration by itself. Treat the work as two linked projects.

Project A: import the historical mailbox

Choose an import method your server and client support: a provider-independent IMAP copy, a client-mediated transfer, or an archive importer. Test delivery into a non-critical mailbox first. Confirm that the server preserves full headers, attachments, dates, and the folder structure you intend to use.

Project B: operate reliable mail delivery

  • Publish the DNS records required by your server and registrar, including the records used for mail routing and sender authentication.
  • Enable TLS and strong account authentication, and restrict administrative access.
  • Set up automated backups and test restoring a mailbox, not just creating backup files.
  • Monitor disk space, queues, certificate renewal, authentication failures, and spam or abuse reports.
  • Test sending to and receiving from several unrelated services before changing public-facing addresses.

An open-source server gives you control over the software and data path, but it does not remove the operational responsibility for availability, deliverability, and recovery.

Verify that messages, metadata, and attachments arrived

Use more than one check. Conversation-based interfaces can group several messages together, so a screen count may not equal the number of individual messages.

Coverage checks

  • Compare source and destination counts when both tools expose counts, then sample specific date ranges instead of relying on one total.
  • Inspect the oldest mail you intend to keep, several years in the middle, and the newest messages.
  • Check Inbox, Sent, Archive/All Mail, user-created labels, and—if relevant—Spam and Trash.
  • Search for several known subjects, senders, recipients, and unique phrases in both accounts.

Content checks

  • Open representative messages from every major period and folder.
  • Download and open common attachment types; check filenames, sizes, and whether inline images still render.
  • Inspect message dates, sender and recipient headers, threading, and formatting.
  • Verify that messages with multiple Gmail labels remain discoverable, even if the destination represents labels differently.

Separate data categories

Contacts and calendars are not automatically covered by an email-only transfer. Proton’s Easy Switch documentation lists them, but another destination may require separate exports or tools. Verify each category independently before closing Gmail.

Keep new mail from falling through the gap

Historical import and transition traffic are different problems. Determine whether the destination tool performs ongoing synchronization, whether it can forward new Gmail mail, and when that behavior stops. Confirm those details in the provider’s current documentation rather than assuming that a completed import remains live.

  1. Choose a transition date and continue watching Gmail until that date passes.
  2. Send test messages to the old address and confirm where they arrive. Test replies as well as inbound mail.
  3. If forwarding is used, verify the destination receives messages with attachments and that replies use the intended address.
  4. Update important accounts, mailing lists, recovery addresses, and contacts gradually. Keep the old address accessible while changes propagate.
  5. Check both mailboxes daily during the overlap period and retain evidence of any message that still arrives only at Gmail.

Common failure modes and fixes

The importer stops or reports skipped messages

Save the error details, keep Gmail and the Takeout archive intact, and retry only the affected range or files. A malformed message may need to be retained in the archive even if the destination cannot ingest it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The destination count is lower than Gmail’s

First account for conversation grouping and different folder views. Then compare date ranges, Sent, Archive/All Mail, and known subjects. Check whether Spam or Trash was excluded and whether the importer applied a date filter.

Labels are missing or look duplicated

Gmail labels are not guaranteed to map one-to-one to folders. Use the X-Gmail-Labels metadata in the Takeout files as a reference, then follow the destination’s mapping rules or keep the archive as the authoritative label record.

Google asks for a password in a third-party client

Stop and look for Sign in with Google. Google warns against giving third-party apps your Google password. If an organization controls the account, ask its administrator which authentication method is permitted.

Attachments open in Gmail but not at the destination

Test the original message in Gmail, then test the imported copy and the downloaded attachment separately. Check for rejected files, message-size limits, and malformed messages. Keep the original archive until every important attachment has a readable copy.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The self-hosted server receives mail but cannot deliver replies

Separate import success from delivery operations. Check DNS, sender-authentication records, TLS, queue status, reverse DNS or reputation requirements imposed by receiving services, and the server’s logs. Do not retire Gmail until external send-and-receive tests pass.

Retire Gmail only after the final checklist

  • The Takeout archive is readable and stored safely in at least one location with enough capacity.
  • Old, middle-period, and recent messages are present at the destination.
  • Inbox, Sent, Archive/All Mail, important labels, and any required Spam or Trash mail have been checked.
  • Representative attachments open and message search returns expected results.
  • Contacts and calendars have been migrated or deliberately kept in their original services.
  • Messages sent to the old address have a verified forwarding, synchronization, or monitoring plan.
  • The destination can send and receive reliably, including from external test accounts.
  • You know how to restore a message from the archive if the destination later changes its import behavior or account status.

Only after these checks should you consider the new mailbox the primary copy. Keep Gmail and the export for as long as your retention, legal, and recovery requirements demand.
